Preface The South Asia Union Catalogue (SAUC) is both an historical bibliography and a union catalogue. The main objective is creating metadata for the books and periodicals published in south Asia from 1556 through the present. The source for describing books and periodicals are based on the various printed bibliographies published by government agencies and individuals. The printed bibliographies have used different layouts to describe the books and periodicals. There was no uniform pattern followed. Because of this complexity, the need for the cataloguing manual has been felt by the cataloguers in south Asia. In 1867 the Press and Registration of Books Act was enacted. It was a regulatory law which enabled Government to regulate printing presses and newspapers by a system of registration and to preserve copies of books and other matter printed in India. The details about the books registered under this act were published by the government in all presidencies in British India. The guidelines are based on the following standards:- 1. Anglo-American Cataloguing Rules, second edition, 2004 Revision 2. MARC 21 format for bibliographic data 3. Bibliographic formats and standards http://www.oclc.org/bibformats/en/default.shtm This manual will describe all the possible fields used for the SAUC work. Attempts have been made to elaborate the MARC fields with examples for the easy understanding. The outline of the manual 1. Definition 2. Table showing the indicators and subfields 3. Guidelines for retrospective conversion Some of the fields and subfields are repeated in the bibliographic records. It will be marked as R in the manual. The non-repeatable fields and subfields are marked as NR. The subfield delimiter used in the manual is $. The blank space is marked as #

Leader The leader is the first field in a bibliographic record. It is fixed in length at 24 characters. The data elements contain numbers and coded values. The leader has no indicators and subfield codes. The data elements are positionally defined. It provides information for the processing of the record. 00-04 Record length The computer-generated, five-character number equal to the length of the entire record, including itself and the record terminator. The number is right justified and unused positions contain zeros. 05 Record status Rec stat A one-character alphabetic code that indicates the relationship of the record. n - New Code n indicates that the record is a newly input record. 06 Type of record Type One-character alphabetic code used to define the characteristics and components of the record a - Language material Code a indicates that the content of the record is for non-manuscript language material. e - Cartographic material Used for non-manuscript cartographic material. Includes maps, atlases, globes, digital maps, and other cartographic items. t - Manuscript language material Used for manuscript language material. This category is applied to items for language material in handwriting, typescript, or computer printout including printed materials completed by hand or by keyboard. Examples include marked or corrected galley and page proofs, manuscript books, legal papers, and unpublished theses and dissertations. 07 Bibliographic level BLvl A one-character alphabetic code indicating the bibliographic level of the record. m - Monograph An item is a monograph/book or multivolume monograph. 08 Type of control Ctrl # - No specific type Code # indicates that no type applies to the item being described. 09 Character coding scheme Identifies the character coding scheme used in the record. a - UCS/Unicode Code a indicates that the character coding in the record makes use of characters from Unicode. 4

10 Indicator count The computer-generated number 2 that indicates the number of character positions used for indicators in a variable data field. In MARC21, two character positions at the beginning of each variable data field are reserved for indicators; therefore, the indicator count is always 2. 2 - Number of character positions used for indicators 11 Subfield code count The computer-generated number 2 that indicates the number of character positions used for each subfield code in a variable data field. In MARC21, a subfield code consists of a delimiter ($) and a lowercase alphabetic or numeric data element identifier; therefore, the subfield code count is always 2. In connexion, the subfield code delimiter is ǂ. 2 - Number of character positions used for a subfield code 12-16 Base address of data The computer-generated, five-character numeric string that indicates the first character position of the first variable control field in a record. The number is right justified and each unused position contains a zero. 17 Encoding level ELvl A one-character code that indicates the fullness of the bibliographic information and/or content designation in the bibliographic record. # - Full level The most complete MARC record. The record's information is derived from a physical inspection of the item. Code blank is used by authorized national bibliographic agencies and libraries participating in PCC (BIBCO and CONSER). BIBCO and CONSER records will contain an authentication code in field 042. I - Full-level input by OCLC participants. A record that conforms to OCLC's level I input standard. The level I input standard represents full cataloging. K - Less-than-full input by OCLC participants A record that conforms to OCLC s level K input standard. The level K input standard represents less-than full cataloging. 18 Descriptive cataloging form Desc A one-character code that indicates characteristics of the descriptive data in the record. a - AACR 2 The descriptive portion of the record and the choice and form of entry of the access points are formulated according to the second edition of the Anglo- American Cataloguing Rules. The punctuation practices of ISBD apply. 19 Multipart resource record level Record level to which a resource pertains and any record dependencies. This information will facilitate processing the record in different situations. For example, the record may describe a set of items, or it may describe a part of a set. The part may only have a dependent title to be used for identification purposes thus requiring use of additional information to understand its context. # - Not specified or not applicable The distinction between record levels is not specified or not applicable for the type of resource. 5

008 Fixed-Length Data Elements LEADER This field contains 40 character positions (00-39) that provide coded information about the cataloguing record as a whole and about special bibliographic aspects of the item being cataloged. This field has no indicators or subfield codes. The data elements are positionally-defined. Character positions that are not defined contain a blank (#). All defined character positions must contain a defined code; for some field 008 positions are contain a blank. These coded data elements are potentially useful for retrieval and data management purposes. 00-05 Date entered on file Entered The computer-generated or manually entered, six-character numeric string that indicates the date the MARC record was created. The date is recorded in the pattern yymmdd. The date entered on file in 008/00-05 is never changed. 008 00-05 061205 06 Type of date/publication status DtSt A one-character alphabetic code indicates the type of dates given in character positions 008/07-10 (Date 1) and 008/11-14 (Date 2). The data is derived from the field 260 subfield $c (Publication, Distribution, etc. (Imprint)). m - Multiple dates Code m indicates that 008/07-10 and 008/11-14 contain the range of years of publication of a multipart item. Field 008/07-10 usually contain the beginning date and 008/11-14 the ending date. If more than four codes are appropriate to an item, only the first four are recorded. Four fill characters ( ) are used when no attempt has been made to code 008/18-21. 9
