PRODUCTION MANAGER Reports to: The Producers (Committee of Management) Supervises: Production Team Serve as the representative of the Producers and to be appointed from the committee Obtain overview of show schedule plan from the committee Prepare the show informer in collaboration with creative team to clarify important dates and considerations for audition Co-ordinate the information session and auditions in collaboration with committee volunteers Develop a production schedule in collaboration with relevant departments Liaise with venue as appropriate Manage departmental budget allocations Oversee all departments, being ultimately responsible for delivery of the production Ensure the production does not exceed the budget set by the treasurer Ensure all departmental coordinators are accountable to their position descriptions Schedule regular production meetings for all departments and take precise minutes of these meetings. Submit fortnightly production reports to production team and committee including budget and box office figures Attend rehearsals, technical rehearsals and dress rehearsals. Maintain a record of cast names, addresses and phone numbers and provide these to the SM Ensure that no alcohol is consumed during rehearsals and performances. Look out for the welfare of all cast, crew and production team members in liaison with the Stage Manager Assist departments to organise equipment hire (where applicable) Collect reports from all department heads to present to committee Prepare a full report for the committee at the end of the production. 2

STAGE MANAGER Reports to: Production Manager Supervises: Assistant Stage Manager & Backstage Crew Maintain the role at rehearsals and performances and where necessary, contact those who do not attend Will be familiar with and ensure a prompt copy of the script Liaise with Production Manager on all production issues Ensure that no alcohol is consumed on the premises during rehearsals and performances Collaborate with props, set construction and other departments to ensure smooth delivery of production Ensure that props and sets are available so that the cast become familiar with their working environment Time each scene in the rehearsal and block each move in the prompt copy in pencil and compare notes with the Assistant Director Compile a full and comprehensive check list of all items to be bumped in and out as provided by department coordinators Co-ordinate and oversee bump in and out in collaboration with set construction in relation to vehicles needed, personnel and times and report to Production Manager Manage technical and dress rehearsals Carry out pre show checks in collaboration with relevant department heads (e.g. lighting, props, sound, orchestra) Call the show for each performance Submit a full report to the Production Manager at the end of the production 3

ASSISTANT STAGE MANAGER Reports to: Stage Manager Supervises: Backstage Crew Will assist the Stage Manager and be very familiar with the script and communicate any problems to the Stage Manager Ensure that all cast are present when required at rehearsal Mark up the rehearsal space as required Ensure that no alcohol is consumed during rehearsals and performances Recruit and manage backstage crew Co-ordinate set changes and allocate specific tasks to crew Allocate dressing rooms and check they are clean before and after rehearsals and performances Make sure the theatre is left to the standard required by the vendor and the company 4

DIRECTOR Reports to: Production Manager Supervises: Creative Team and Cast Will provide a written concept, including design and timeline of the show (to be submitted with your application) Be aware of the production budget and raise any queries with the Production Manager Collaborate with creative team regarding casting Design a rehearsal schedule and attend all rehearsals Conduct all rehearsals in an organised and thoughtful manner, starting and ending on time Collaborate with creative team Mentor and support the Assistant Director (if appointed) Attend regular production meetings as arranged in collaboration with the Production Manager Attend all technical and dress rehearsals and attend the opening night Ensure that no alcohol is consumed on the premises during rehearsals and performances Develop a rehearsal schedule in collaboration with the Production Manager 5

ASSISTANT DIRECTOR Reports to: Director The Assistant Director will support the Director s vision and receive mentorship and guidance To attend all rehearsals, take production notes, blocking and comments in a Director s copy of the script To attend all technical and dress rehearsals and attend opening night Ensure that no alcohol is consumed during rehearsals and performances 6

MUSICAL DIRECTOR Reports to: Director and Production Manager Supervises: Orchestra/Band, Vocalists, Vocal Coach and Rehearsal Pianist (if appointed) Collaborate with Director, Rehearsal Pianist and Choreographer Collaborate with creative team regarding casting Liaise with the Director, Rehearsal Pianist and Choreographer re the interpretation of the score Give vocal tuition to principals and chorus Recruit and rehearse suitable musicians for orchestra Notify Production Manager of orchestra contact details at the date dictated in the production schedule Attend regular production meetings Attend rehearsals as specified Attend all technical and dress rehearsals and to conduct the orchestra Prepare a written report for the Company at the end of the Production 7

CHOREOGRAPHER Reports to: Director and Production Manager Supervises: Dancers and Dance Captain (if appointed) Collaborate with the Director and Musical Director Collaborate with creative team regarding casting Choreograph dance and movement for cast Liaise with Director and Costume Designer regarding suitable costumes for movement Attend rehearsals as specified Attend all technical and dress rehearsals and the Opening Night 8

REHEARSAL PIANIST Reports to: Musical Director Liaise with the Musical Director regarding interpretation of the score. Record music for rehearsal, if required Attend rehearsals as specified Provide feedback to the Musical Director for inclusion in their production report 9

SET DESIGNER Reports to: Production Manager Supervises: Set Construction Coordinator Design set in collaboration with director to fulfill Director s vision Prepare an estimate for the set design along with detailed drawings and model of the set, giving full and concise instructions as to materials, sizes, colours and textures Provide all quotes and receipts to the Production Manager Prioritise use of available resources and stay within budget Be prepared to creatively re-design any part of the concept that does not meet budget requirements 10

SET CONSTRUCTION COORDINATOR Reports to: Set Designer and Production Manager Supervises: Set Construction Team Organise working bees involving cast and other volunteers Prioritise use of available resources and stay within budget Collaborate with the designer regarding all set construction matters Oversee the workplace health and safety requirements of all working bees and participants including safety and suitability of tools and equipment 11

COSTUME DESIGNER Reports to: Production Manager Supervises: Costume Coordinator Design set in collaboration with director to fulfill Director s vision Ideally prepare a costume book showing material samples, colours, designs and textures for each cast member/scene after full consultation with the Director and other designers Provide all quotes and receipts to the Production Manager Prioritise use of available resources and stay within budget Be prepared to creatively re-design any part of the concept that does not meet budget requirements Attend all technical and dress rehearsals and opening night Prepare a running sheet of all costume changes Advise cast of personal costume requirements, e.g. socks, hosiery, shoes 12

COSTUME COORDINATOR Reports to: Costume Designer and Production Manager Supervises: Wardrobe Team and Dressers Organise wardrobe workshops involving cast and other volunteers Arrange and supervise a group of machinists and sewers to make the costume required. Prioritise use of available resources and stay within budget Collaborate with the designer regarding all costume construction matters Meet deadline and schedules for costume parade for Director s approval Liaise with costume designer regarding costume running sheet Arrange dressers for all performances Organise a suitable time for costume fitting outside of rehearsal time Ensure the safe and immediate return of all costumes belonging to the company 13

LIGHTING DESIGNER/OPERATOR Reports to: Production Manager Supervises: Lighting Team and Followspot Operators (if appointed) Design lighting in collaboration with Director, Set Designer, Costume Designer and Makeup Designer to fulfill Director s vision Prioritise use of available resources and stay within budget Prepare an estimate for the lighting design along with detailed lighting plan Provide all quotes and receipts to the Production Manager Collaborate with Set Designer regarding set electrics Call/oversee the rigging and focusing of electrics prior to technical rehearsal Facilitate the safe use of floor electrics, including smoke/haze as required Recruit follow spot operator if required in line with production schedule Work with actors regarding the safe use of practical electrics if required 14

MAKEUP/HAIR DESIGNERS Reports to: Production Manager Supervises: Makeup and Hair Teams Design make-up and hair in collaboration with Director, Lighting Designer and Costume Designer to fulfill Director s vision Prioritise use of available resources and stay within budget Be prepared to creatively re-design any part of the concept that does not meet budget requirements Purchase of the required make-up and hair items Provide all quotes and receipts to the Production Manager Recruit and support make-up/hair artists Attend all technical and dress rehearsals and the opening night Advise cast of personal make-up and hair requirements, e.g. sponges, eye lashes, brushes, eye make-up etc. 15

PROPERTIES COORDINATOR Reports to: Production Manager Supervises: Properties Assistants (if appointed) Liaise with Director re gathering appropriate furniture, props etc. Set up props table side stage so that the cast become familiar with their working environment Prepare a scene by scene running sheet of props requirements Prioritise use of available resources and stay within budget Organise the collection and return of borrowed equipment, furniture, props etc. Attend rehearsals, technical rehearsals and dress rehearsals 16

MARKETING COORDINATOR Reports to: Production Manager Liaises with: BTC Marketing Manager Prepare a marketing plan in conjunction with BTC Marketing Team Strategise with the company designers and social media team to ensure continuity of branding and timelines Operate within budget Liaise with all sections of the media Seek sponsorship and ensure fulfilment of sponsorship commitments Liaise with the venue regarding publicity opportunities Distribute press releases as per the publicity plan Arrange production and distribution of printed collateral Organise opening night promotions including invitations to media 17
