GENERAL INFORMATION, EXHIBIT RULES & REGULATIONS SHOW TIMES Exhibitors should be at their booths from 7:30 a.m. until 5:00 p.m. on Friday, June 9. In order to maintain the value for all conference attendees, we kindly request that exhibitors do not tear down early. SET UP/DEPARTURE Exhibitors can set up their booths on Thursday, June 8, between 1:00 and 6:00 p.m. or Friday, June 9 between 6:00 a.m. and 7:30 a.m. For those setting up on Thursday, the space will be fully secured overnight. The exhibit area will close down at 5:00 p.m. on Friday, June 9. Exhibitors, please do not break down booths before 5:00 p.m. on Friday, June 9. All exhibit materials and equipment must be removed from Bates Mill 1 by 7:00 p.m. on Friday, June 9. COST The base price of an exhibit booth is $400. State government agencies, municipalities, and non-profit organizations are eligible for a reduced rate of $300. GENERAL INFORMATION, EXHIBIT RULES & REGULATIONS EXHIBITOR SPACE There are 36 booths available for exhibitors in Mill 1 during Build Maine (see enclosed Exhibit Area Diagram). Standard booths are 8 ft wide by 5 ft deep. In the tactical spirit of this event, we are encouraging exhibitors to consider training stations, interactive games, maker spaces, or other hands-on activities. Small equipment can be brought in and integrated into booth displays. Also, additional space may be available for particularly creative and interactive booths. Please provide us with detailed information concerning any special needs you will have for your exhibit that varies from the standard booth package. Outdoor space is also available on request. See the Special Sponsorship Opportunities section above for information on pricing. The basic setup for each booth will include a 6 ft table, two chairs, and a standard electrical outlet with two receptacles. Exhibitors with special electrical requirements beyond the standard one outlet per booth must indicate and specify those needs when requesting exhibit space. Additional special requirements requested by the exhibitor (eg. extra tables, etc.) will be billed to the exhibitor at cost). Please select your top three booth(s) locations in order of preference. All booths will be reserved on a first come, first served basis.
GENERAL INFORMATION, EXHIBIT RULES & REGULATIONS RESERVATIONS AND CONFIRMATION OF SPACE Reservations for space must be made on the Build Maine website at build-maine.com/exhibitors. Preference for booth space will be on a first-come, first-served basis. Inquiries regarding exhibit space should be directed to Mandy Reynolds at (603) 767-7411. An email confirming your exhibit booth space will be sent after receipt of your electronic payment. The deadline for reserving exhibit space is May 5, 2017. PAYMENT FOR EXHIBIT SPACE Payments must be made through the Build Maine website no later than Thursday, May 5, 2017. If payment is not received by that date, space cannot be guaranteed and will be released if we have a waiting list at that time. Cancellations will be accepted until May 5, 2017. No refunds will be made after the cancellation deadline. Receipts for payment will be emailed to you directly and will come in the form of an email receipt. BOOTH PRIZES Exhibitors are encouraged to offer drawings from their booths during the convention as an attraction for delegates. Exhibitors will provide their own means and devices for conducting prize contests. Build Maine will not be responsible for shipping or mailing booth prizes awarded to delegates who are not present at time of announcement. Exhibitors will keep door prizes at their booths. A representative from Build Maine will help coordinate the awarding of such door prizes during the afternoon of the event. Please be mindful of any snacks or other materials that you bring to share at your exhibit. We encourage healthy snacks and reusable and sustainable items.
