GST BOCES Distance Learning Rooms Cooper Plains Campus Building 8 Elmira Bush Campus Building 1 Hornell Wildwood Campus Building 1 Instructions Distance Learning Mode Overview: This tutorial will guide you through the process of using the GST BOCES Distance Learning Rooms for Distance Learning/VideoConferencing sessions. Handout developed by: Please contact any member of the team for assistance with your use of the rooms.

Distance Learning / Video Conference Mode When you enter the Distance Learning Rooms, the equipment you need is situated on the presenter s desk at the front of the room. On the desk you will see a Computer, a small Touch Panel, a Document Camera, and an Extron Control Panel. HP TouchSmart 9300 Touch Panel Document Camera Extron Control Panel The HP TouchSmart is an All in One Computer with touch screen! (See PC description below) The Touch Panel allows you to facilitate Presentations and Video Conference sessions in the DL Room. It also is used to control (Pan,Tilt/Zoom) the cameras, select various image sources for display, mute microphones, and control room volume. You may use the Document Camera to show close up of any document or object. The Extron Control Panel is only used to power the TV monitors in the room off and on. There is also a VGA cable and microphone cable on the countertop in case someone needs to use their own laptop. Powering up the System To power on the large TV monitors in the room, simply press the On button on the Extron Control Panel. The Extron Control Panel is right next to you if you are sitting in the presenter s chair! Elmira Bush Campus Coopers Plains Campus Hornell Wildwood Campus Note: After pressing the ON Button, there is nothing else to press on this unit until you shut down! (No other buttons or dials on this box are functional!) If the Touch Screen is dark, touch anywhere on the screen and it will illuminate.

The HP TouchSmart Computer All in One Unit! The whole computer is in this one unit! (see diagrams to the right) Touch Screen Capability This means you can use/control the computer with your finger, like a tablet/ipad. Ports o Blue Ray/DVD/CD o USB o Multi Card Slot o Microphone Jack o Headphone Jack Wireless Keyboard/Mouse Both the keyboard and mouse are wireless and can be used anywhere in the DL Room, within range, to control the computer!

I. Setting up your Camera Shot The Camera Shot is a very important part of the Videoconference experience, as it is what the other side will see! VS. IVC Etiquette Tip: Make sure the other side will be able to see all of the people in the conference, but zoom in as tight as possible! Avoid having Ceiling Lights or windows in the view, if possible. If there only a few people in the conference, zoom in, so the other side can see them more clearly.) To access these controls: 1. Press the button at the top right of the touch panel. 2. On the right side of this window, you will see pre set camera shots. Try these first to see if one of them will work for you! 3. On the Left, use the + and buttons to zoom in and out. 4. The moves the camera shot vertically and horizontally!

II. Placing a Call to other Videoconference Participants Initiating calls to other locations starts from this screen. Notice the 3 options at the bottom of the Touchscreen! (*Generally, if the video conference is set up through the DL Team, an automated scheduler will initiate the call automatically. In this case, manual dialing is not needed!) 1. Make sure the Call button is highlighted. If it is not, Press it! 2. Choose or Dial the other participant(s) a. If you are calling the other BOCES Campuses, check the Favorites Tab at the top. They are listed in there! b. Tap the entry you wish to connect to. *Note* Feel free to call bldg. 11 gst multisite, (IP=10.172.32.71) which is the DL office in Building 11, if you want to do a test call for practice!!!

c. To dial another participant that is not listed in the favorites, press the button. Enter an IP address in this box. If you only have one participant to call, Press Start! If you want to add more participants to the call, press the Add Participant button. After all of the participants are added, Press Start! If you are successful, you will see something similar to this on the touch panel, the remote site(s) will be seen on the TV monitors and you will hear the remote sites.

III. Volume Control There are 2 volume levels to be concerned with when participating in a Videoconference! 1. The Volume you hear from remote site(s) through the wall mounted speakers. 2. The Volume the other side hears from you (mic volume) Both are controlled in the same place on the right side of the touch panel. The slider, (seen in green) controls the volume that you are hearing through the speakers. To use this control, you can either: Touch the desired location on the slider, or Slide your finger up or down over the slider. The button above the slider controls the sound that the other side hears. If this button is lit up, as seen here, your mic is muted. The other side cannot hear you! If this button is not lit, the other side will hear you! *Tip* When participating in a Videoconference, if you are not speaking or sending audio to the other side, it is appropriate to mute your Microphone. If you are NOT presenting your computer screen the document camera or a laptop during the Videoconference, you can skip items IV and V and review item VI Shutting Down the System. If you ARE presenting an image source other than the cameras, keep going!!!!

IV. Presenting The Computer During a VideoConference To Present the computer during a videoconference, Press PRESENTATION on the bottom row of the Touch Panel. By clicking PRESENT on the Computer Option, your computer screen will be displayed on the screen. Pressing the other devices, i.e. DocCam or Laptop, Camera, etc. will switch to that device! Make sure the correct device is chosen to present from!!! When you are done presenting, press

V. Presenting the Document Camera or a Laptop Using the document camera or a laptop is a really simple process! 1. Follow the two steps above under Presentation Mode. 2. Push the power button (seen in the red box) on the document camera. 3. To use the laptop, connect it to the VGA cable on the counter. If the laptop is sending VGA signal then it will show instead of the doc cam. After just a few seconds, the selected image will show on the screen closest to the presenter desk and be sent to any connected sites. When you wish to show the camera view again, press the stop presenting button. *Remember to power off the Document Camera after use! VI. Powering Down the System Powering down the system is an easy process 1. Shut down the computer, if it is on. 2. Turn off the document camera, if it is on 3. Press Stop Presenting, if you are still presenting. 4. In the top left corner of the Touch Panel, press the Shut Down Button. 5. Shut down the Screens by pressing the Off Button on the Extron Control Panel. Please contact any member of the GST DL Team for assistance with your use of the rooms.
