Getting Started During yur JbLgic Day 1 training, yu wuld have been shwn hw t set up Jb Types and Task Types. Tgether, these can give yu mre ptins when it cmes t reprting, searching and scheduling jbs. If unsure, please cntact the training team using the details at the end f this guide. Servlgic is accessible thugh the menu at the tp f the screen. The fllwing 4 ptins are available t use; Service Desk Query The jb desk, where all the jbs are lgged and cntrlled. Lg Jb This is ne f tw buttns where a new jb can be lgged int the system. Generate Annual Service JbLgic can be prgrammed here t prduce repeat jbs n an annual basis, per site. Lg Jb by Asset Here yu can lg a jb by finding the asset n site first. Selecting the Service Desk Query ptin will pen the service desk as shwn belw. 1
The Service Desk The JbLgic Service Desk is the Hub f the JbLgic System. Giving users access t their jbs, cstings, qutes, histry and mre. 1 2 3 4 5 The Desk is split int 4 parts. 1. Main Filters These allw searching, f the jb list, using ne r many filters. (fr example it can find ne jb by its unique number r a list f jbs fr a specific custmer, engineer, task, area and date range cmbined) 2. Jb Status Filters These tick bxes determine what gets displayed in the JbList. 3. Jb List The list f jbs displayed here is determined by the Jb Status Filters. T access a jb, duble click n yur muse r click nce n the jb and then click n the Display buttn n the right hand side f the screen. (If there are selectins in the Main Filters this will affect what is r isn t seen) 4. Actin Buttns A list f buttns that will perfrm certain actins n the Desk ; a. Query This will query the JbLgic database and display the latest infrmatin. b. Lg Jb Lg a new jb nt the Desk. c. Display As described in pint 3 abve, this will display details abut the selected jb. d. Visits This screen will display labur timesheet entries, fr engineers, against the jb. (please refer t the cstlgic user guide fr mre infrmatin n timesheets). e. Jb Ntes This windw is where ntes are added t the jb, private r public, fr the engineers, the ffice, the site r the eventual invice. f. Reprts Reprts held here can be printed fr individual jbs r multiple jbs based n the users selectin. g. Mark Selecting a jb and clicking n Mark Selected will put a tick against that jb marking it fr a particular reasn. h. Deply With a jb r multiple jbs selected, this buttn will deply it/them t the allcated engineer/s. 5. Find Jb Enter the jb number yu wish t find here. This ptin will ignre the jbs status and find the jb n matter what yu have selected. 2
Lgging A Jb There are tw ways f lgging a jb (with the service desk pen). Yu can use the Lg Jb icn in the tp left crner f the screen r the ringing red telephne n the right hand side f the screen As shwn abve, bth ptins will display the same menu/chices. (These are set up in CreLgic ). Once selected, the Lgging Jb screen will pen. Depending n yur set up/requirements, there are 4 r 5 pieces f infrmatin required t lg a jb. (during training yu will discuss and nte dwn which fields (infrmatin) are mandatry r nt). 3
The Jb Screen 2 1 3 4 The Jb Screen is made up f 4 key sectins: 1. Custmer Infrmatin Select the custmer yu want t lg the jb t. 2. Site Infrmatin Select the site, belnging t that custmer. 3. Jb Infrmatin Tabs/headers Detailed jb infrmatin Details This is yur default screen when yu pen a jb. In here yu can add a Pririty/SLA t a jb, a jb rder number frm yur client, details f the jb (in brief), estimated appintment date & time and an estimated cmpletin date & time. Quted Details This will display any details abut the Qute that the jb came frm. Yu can als view the riginal qute and raise a new ne frm this tab. Equipment The equipment/asset assigned t a planned maintenance jb will appear here autmatically. Yu can als manually enter a piece f equipment/asset, fr the jb, frm the list assigned t the site. Faults Insert any required fault cde t the jb Engineers The list f engineers allcated t the jb can be viewed here. Yu can als allcate the engineers by clicking insert and selecting the time and date. Related Jbs Any jbs cnnected t the jb yu are viewing can be viewed here. This is in read-nly frmat and cannt be edited. Histry View details n any jb, ever lgged in JbLgic, fr this site. Yu can als then view the purchase rder and invice histry f the selected jb. JbLgic Mbile All the financial & time sheet entry infrmatin, frm the engineers mbile device, are kept in here. Yu have t accept the infrmatin fr it t be transferred t the relevant areas f the jb. (Remember ntes are autmatically transferred). N Access Enter any visits in here where yu haven t been able t gain access t the site/prperty. Invices - Here yu will be able t view the details f any invices linked t the jb and reprint if yu need t. Just duble click n the selected invice and yu will be given the printing ptins screen. 4
4. Jb Buttns Varius actins that can be perfrmed n the jb. a. PO This will allw yu t raise a purchase rder directly t the jb. b. Csts Add r amend csts, print ff prfit and lss reprts r issue stck here. c. Ntes All types f ntes are entered and kept here that are linked t the jb. Engineer, site, invice and jb ntes are all entered here. (Remember they are private by default). d. Attachments All electrnic attachments, fr the jb, are kept here. (Remember is takes a cpy f the file and puts it in yur database). e. Reprts Here yu can print the call slip/jb sheet fr the jb. f. SOR Enter any SOR s (Schedule f rates) that yu have set up fr this client. g. Email Using any email template yu can send infrmatin t yur client (Remember n images/graphics can be sent, nly text). h. Lg Sub Jb This will allw yu t lg anther jb linked t the main jb. Reasns yu may d this might include revisits, additinal wrk, prjects etc. i. Appintment Here yu can view the appintment histry and any subsequent changes. j. Mbile Frms This buttn takes yu t a new windw which displays any mbile frm/certificate related t the jb. Creating A Site (whilst lgging a jb) As with a lt f areas in JbLgic, there are shrt cuts allwing yu t create r edit recrds whilst inside ther screens. Creating a site, whilst yu are lgging a jb, is gd example f these shrt cuts being used. When yu have clicked n Lg Jb, select the custmer yu want t add the new site t. Once the details are in the Custmer sectin, click the PICK buttn n yur Site details sectin. 5
The site screen will pen in frnt f the jb screen. Befre anything else, click the insert buttn, as this will enter default details already set up in yur custmer recrd. Fill in the remaining infrmatin (as described in the crelgic wrkbk) making sure yu cmplete all the required fields. Once all details are entered click n the save buttn, then click n OK. This will cnfirm the entry int yur recrds and enter the details nt the jb screen. 6
Jb Alert Screen On the service desk there is a feature (if turned n in the users settings) that displays alerts frm mbile jbs. A windw will pp up when a jb has been cmpleted r abrted by the engineer. T clear it yu simply click n the mark as read buttn at the bttm f the screen. It als gives users wh use SOR s the ability t add them there and then, withut having t g int the jb. **The alert screen can als shw when a new jb is lgged inside the WebLgic prtal.
