1. Leaver Process - Excluding Redundancy This section will cover how to process Leavers on itrent using Manager Self-Service for any of the following reasons; Death in Service, Dismissal, End of Fixed Term Contract, Lack of Capability, Misconduct, Resignation, Retirement (including Ill Health) 1.1 Processing the Leaver 1.1.1 From the Home page, click on the View my Employees link: itrent Userguide Leaver Process; April 2018 Page 3
1.1.2 Search and select the correct employee record in itrent: 1.1.3 Expand the View or Change Employment Details folder and click on the Submit a Leaver option: itrent Userguide Leaver Process; April 2018 Page 4
1.1.4 When prompted enter the leaving date/effective date: 1.1.5 You will be redirected to the Occupancy maintenance screen. Enter the; leaving date, the last working day, the reason for leaving If the employee is leaving the organisation or all positions, tick all boxes in the Occupancy details section. If the employee only has one position everything will be ticked by default. If the employee is leaving just one position, ensure you select the correct one. 2. Leaver Process - Redundancy This section will cover how to process Leavers on itrent using Manager Self-Service for any of the following reasons; Redundancy, Retirement-Redundancy (relevant for support staff over the age of 55) 2.1 Processing the Leaver 2.1.1 From the Home page, click on the View my Employees link: itrent Userguide Leaver Process; April 2018 Page 6
2.1.2 Search and select the correct employee record in itrent: 2.1.3 Expand the View or Change Employment Details folder and click on the Submit a Leaver option: itrent Userguide Leaver Process; April 2018 Page 7
2.1.4 When prompted enter the leaving date/effective date: 2.1.5 You will be redirected to the Occupancy maintenance screen. Enter the; leaving date, the last working day, the reason for leaving (redundancy or retirement-redundancy) If the employee is leaving the organisation for all positions, tick all boxes in the Occupancy details section. If the employee only has one position everything will be ticked by default. If the employee is leaving just one position, ensure you select the correct one. When finished click Save. Note: Retirement-Redundancy is only applicable to support staff in the Local Government Pension scheme being made redundant over the age of 55 itrent Userguide Leaver Process; April 2018 Page 8
2.1.6 Click the employee name to return to the summary screen, skip to section 2.2.3 of this guide and follow the instructions for adding the pay element. 2.2 Adding the Pay Element 2.2.1 If starting from the Home page, click on the View my Employees link or skip to section 2.2.3 2.2.2 Search and select the correct employee record in itrent: itrent Userguide Leaver Process; April 2018 Page 9
2.2.3 Expand the View or Submit Payroll Information folder and select the Enter a New Temporary Payment option: 2.2.4 The temporary element details screen will load. If making a payment, Set the Level to the correct post. Select the correct Redundancy pay element from the drop-down (either P094 (non-taxable) or P095 (taxable)) Enter the amount into the Value field, Ensure the Type field is set to cash Enter the leaving date in the Date earned field Check that the payment period is correct/current.
