Foreword Quality control in the CCS MARC database can be best maintained by adopting bibliographic standards. These standards are the basis for retrospective and ongoing bibliographic data entry. These standards correspond with the CCS Database Management Model. The Online Computer Library Center (OCLC) is the single online source for CCS MARC records. OCLC is a vast, online MARC database that is widely used in CCS. OCLC has an online file for name and subject authority control, which is an integral component of the Database Management Model in our pursuit of consistency. The following manuals (latest editions) are also recommended as sources for data entry: all OCLC manuals and Technical Bulletins, Anglo-American Cataloguing Rules, 1988 revision, Library of Congress Rule Interpretations, Library of Congress Subject Headings, and Library of Congress Cataloging Service Bulletins. i

Cardinal Principles of Cataloging 1. Catalog the work in hand! That means that the choice of the main entry and everything relating to the item's description should be based on the work itself, not any related work. 2. Transcribe accurately! Anything that is cataloger-supplied or not found in the chief source of information must be placed in square brackets. 3. If a work has one named personal author that person is the main entry. 4. If a work has one named editor or compiler, that person is an added entry; the work has a title main entry. Exceptions: the compiler of a dictionary, bibliography, or book of quotations may be considered the "author" (and main entry) in many cases. 5. If a work has two or three named personal authors (presumably sharing equal responsibility) the main entry goes to the first-named person; added entries are made for each of the other two authors. 6. If a work has four or more personal authors (presumably sharing equal responsibility) the work has a title main entry; an added entry is made for the first-named person only. 7. If a work has no named personal author or corporate body claiming responsibility, the work has a title main entry. 8. If a work has only a corporate body (21.1B2) claiming responsibility, the work has a corporate main entry if the work is: a. the policies, procedures, finances, operations, officers, staff, membership (e.g. directories), resources (e.g., catalogs, inventories) of the corporate body b. laws, decrees, administrative regulations, constitutions, court rules, treaties, court decisions, legislative hearings, religious laws, or liturgical works of the corporate body c. records of the collective thought of the body (reports of commissions, committees, official statements of position on external policies) d. reports of the collective activity of a conference, of an expedition, or of an event falling within the definition of a corporate body, provided that the conference, expedition, or event is prominently named in the item being cataloged e. the result of the collective activity of a performing group as a whole where the responsibility of the group goes beyond that of mere performance, execution, etc. (in the case of sound recordings, films, video recordings, and written records of performances) f. cartographic materials emanating from a corporate body other than a body that is merely responsible for their publication or distribution 9. Chapter 1 - CCS Basics Glossary of Geac PLUS System Terms A/T KEY A nine-character unique identifier for each bibliographic record. A/T Keys are made up of letters from the author's name and title of the record, and two system-generated uniqueness digits. (e.g., Irving, Hotel New Hampshire = IRVHNHA99). Also called a E ID. AUTHORITY CONTROL A means of ensuring consistency in headings containing names, series, and subjects. MARC authority records contain the information used by the authority control system. An authorized heading is found in the 1XX tag of a MARC authority record, an authorized See Also heading in the 5XX tag, and an unauthorized heading in the 4XX tag. BIBFORM Controls the brief and full display in CL-CAT and Bibliographic/Item Inquiry. BRIEF BIBLIOGRAPHIC RECORD Limited essential information about the title. Any information in a brief bibliographic record also appears in a full bibliographic record. CONVERTED-ON-THE-FLY RECORD (C-FLY) A temporary item record that the system creates at checkout. The record retains its c-fly status until you store it using Bibliographic/Item Maintenance. A c-fly record contains only a barcode and default values that your library has specified. FIELD Group of characters which is considered to be a single unit of information, e.g., E FULL BIBLIOGRAPHIC RECORD A LIBS 100 Plus display of a bibliographic record derived from a MARC record. GENERIC RECORD Brief entries for materials that do not require bibliographic access. See p. 61. MARC BIBLIOGRAPHIC RECORD A record that follows a standard MARC (MAchine Readable Cataloging) form to describe a work in the library. It allows you to create records with a common structure that can be electronically communicated between computers. MULTIVOLUME BIBLIOGRAPHIC RECORD A bibliographic record that has one or more volume records linked to it. Examples of this type of record are The New Encyclopaedia Britannica which consists of 32 volumes, and Fodor's Spain which has a volume for each year. PRELIMINARY DATA Brief entries for materials not yet cataloged. See p. 59 E ID See A/T Key. UNIQUENESS DIGITS Numbers assigned to the E ID by the system to distinguish bibliographic records with the same E ID. The first bibliographic record will be assigned uniqueness digits of 99, the next bibliographic record with the same E ID will be assigned uniqueness digits of 98, etc. VOLUME RECORD A record that describes a volume of a multivolume set or serial. Volume records are linked to multivolume bibliographic records and are uniquely identified by an A/T Key and a volume ID. 3

Chapter 1 - CCS Basics ZEBRA NUMBER / ITEM NUMBER / BARCODE NUMBER A unique 14-digit number assigned to each item by the owning library. The number is represented by a machine-readable bar-coded label printed on a paper strip. The left-most digit of the zebra number indicates whether the number is assigned to an item (3) or a patron (2). The next four digits identify the owning library. The next eight digits are actually the unique sequential number and identify the particular item. The final digit is a check digit used by the computer to verify that the number is entered correctly. Chapter 1 - CCS Basics Multivolume Records MULTIVOLUME BASE RECORD a bibliographic record that has one or more volume records linked to it. Examples of this type of record are The years of Lyndon Johnson (CARYOLJ99) which has two volume records attached to it and Fodor's Alaska (*FALASK99) which has several volume records attached to it. VOLUME RECORD a record that describes one volume of a multivolume set or serial. It is uniquely identified by the A/T key of the bibliographic record to which it is linked, plus a three-character volume ID. The volume ID consists of any three alpha-numeric characters (except 000) which usually correspond to the volume number, edition, or year of publication. Examples: CARYOLJ99 001 v. 1 CARYOLJ99 002 v. 2 CARYOLJ99 SET SET *FALASK99 098 1998 *FALASK99 099 1999 *FALASK99 100 2000 *FALASK99 101 2001 Changing the "Type" of the Record To change a record into a multivolume record (and vice-versa), press <F12>, or pull down the Menu Bar and select "Change Type." If you are not authorized to use this function a screen will alert you, asking for an Authorizing Staff Member: and Password: Fields in the Volume Record VOLUME Information entered in this field will appear in Bibliographic/Item inquiry on the brief titles and volume list screens. SERIES/YEAR This field may be used to enter series numbering or year of publication. VOLUME NOTES Enter in this field information pertaining only to this particular volume. VOLUME AUTHOR Enter in this field an author or editor related to this particular volume. Enter surname first. Information in this field is searchable in Bibliographic/Item inquiry. VOLUME E Enter here the volume title if it differs from the title in the bibliographic record. Information in this field is searchable in Bibliographic/Item inquiry. ISBN Enter in this field an ISBN specific to this particular volume. Enter ten digits without hyphens. Information in this field is searchable in Bibliographic/Item inquiry. COST Enter in this field the cost of the volume. Do not enter a dollar sign ($). This field will only accept numbers and a decimal point. 5

Chapter 1 - CCS Basics The Item Record The item record identifies each of a library's unique holdings. It contains a numeric barcode (defined above) as well as several other fields (defined below.) Fields in the Item Record COLLECTION Hierarchy level that relates to a location or grouping within a library agency, represented by a three-letter code. ACTIVE the agency/collection that is currently circulating certain library material, but that may or may not be the agency/collection that owns the library material. PERMANENT the agency/collection that owns certain library material, but that may or may not be the agency/collection that is circulating the library material. ITEM BARCODE A unique 14-digit number assigned to each item by the owning library. The number is represented by a machine-readable bar-coded label printed on a paper strip. The left-most digit of the zebra number indicates whether the number is assigned to an item (3) or a patron (2). The next four digits identify the owning library. The next eight digits are actually the unique sequential number and identify the particular item. The final digit is a check digit used by the computer to verify that the number is entered correctly. STATUS Whether an item is "on shelf," or one of several other conditions. ITEM CALL NO Classification and/or location number. ITEM FORMAT A one-character code indicating the physical format of an item, such as book, video, or cassette. Format codes are defined for use in statistical reports and to calculate limits on borrowing. STAT. CAT. A statistical category that your library assigns to a group of items within a collection in order to track circulation. LOAN CATEGORY A one-character code that your library assigns to an item for loan period calculation, fine rate, renewal limit and notice frequency. COST Item cost. If an item cost has a value greater than $0.00 (zero), the item cost overrides the cost in the bibliographic record when a bill is calculated. LAST ACTIVITY The last date that circulation activity took place on the item record. SHELF STATUS This allows you to specify whether you want the item to be eligible for circulation. The possible values in current use are: CIRCULATING and NON-CIRCULATING. OFFLINE is for agencies whose holdings are reflected in the database but do not use our system for circulation. NO. HOLDS A field that indicates the total number of open and trapped item holds. NO. CIRC. Circulation counter. A field in the item record that indicates how many times the item has been checked out. It can be reset to zero by using the Change Item workform or by transferring the item to another location. 6

Chapter 1 - CCS Basics RENEWABLE Allows you to determine whether you want the item to be eligible for renewal. PURGE PROTECT This field determines whether the item can be prevented from being automatically purged by an ITEM PURGE program. The normal value is "N." LOCAL HOLD Determines whether the item is eligible to satisfy a local hold at the agency or collection level, depending on how your library has set its parameters. AREA HOLD Determines whether the item is eligible to satisfy an area hold. This feature depends on how an area is defined in your library's scoping parameters. SYSTEM HOLD Determines whether the item is eligible to satisfy a system hold for all agencies within CCS. INTERSYSTEM HOLD Determines whether the item is eligible to satisfy an intersystem hold for agencies outside CCS. DATE ADDED The date the barcode entered the system. The system supplies the date the item is stored. On April 3, 2001 a global change was made to add the date May 19, 1999 to all items that lacked data in this field. That was the date the field was first made available through the installation of a new software release. Consequently, dates before 5/19/1999 are incorrect, dates after 4/3/2001 are correct, and dates between 5/19/199 and 4/3/2001 are questionable. NOTE 1 & NOTE 2 Item notes. BORROWED AT The agency that checked out the item, appearing only when an item is checked out. CHECKED OUT The date and time that the item was checked out, appearing only when an item is checked out. 7

Chapter 2 Bibliographic Input Standards These Bibliographic Input Standards are brief and not intended to be used independently. Rather, they should be used for MARC bibliographic database maintenance along with all CCS documentation and OCLC manuals. The Bibliographic Input Standards Committee was formed to review current CCS data entry practice, identify problem areas, examine OCLC input standards, and make recommendations for CCS bibliographic input standards. As a result, OCLC Level I Input Standards have been adopted. Level I represents full cataloging rather than minimal-level cataloging. Level I corresponds to the second level of description found in AACR2, 1988 revision, Rule 1.0D2. CCS is committed to upgrading all OCLC records to Level I quality. Retain indicates that the information must be kept if it is found in the cataloging source, but not necessarily supplied by the local cataloger. Obsolete indicates that the tag is no longer used.
