Introduction This manual will show the process of cataloging a book using the set of cataloging rules known as RDA (Resource Description and Access) and how to encode the RDA elements for said book into a MARC (Machine Readable Cataloging) record. The manual will go through each applicable MARC field in the order that they appear in a record, and each field will be described and explained, as well as the information corresponding to the book that should be filled into the record. MARC indicators and subfields will also be described. Instruction on assigning LCSH (Library of Congress Subject Heading), LCC (Library of Congress Classification call number) and DDC (Dewey Decimal Classification call number) and including it in the relevant fields is also included in this manual. The full MARC record will be included at the end of the manual. The resources frequently used for cataloging rules and cataloging help are: 1. MARC field 040 Cataloging Source From MARC 21 Definition and Scope: MARC code for or the name of the organization(s) that created the original bibliographic record, assigned MARC content designation and transcribed the record into machine-readable form, or modified (except for the addition of holdings symbols) an existing MARC record. These data and the code in 008/39 (Cataloging source) specify the parties responsible for the bibliographic record. Indicators : Both indicator positions are undefined; each contains a blank (#). Subfield Codes: $b - Language of cataloging, MARC code for the language of cataloging in the record. Code from: MARC Code List for Languages. $e - Description conventions, MARC code for or the title of the description rules used in creating the record. Code from: Description Convention Source Codes. We know that the cataloging language is English and the convention is Resource Description and Access. Based on those MARC code lists, we would use eng for English and RDA for Resource Description and Access. 040 Blank blank $b eng $e rda This is also the field that can be used to list the original cataloging agency of the record, but for the purposes of this manual, that is not necessary. 4

MARC field 020 International Standard Book Number (ISBN) From MARC 21 Definition and Scope: International Standard Book Number (ISBN) assigned to a monographic publication by designated agencies in each country participating in the program. The field may include terms of availability and canceled or invalid ISBNs, such as ISBNs with invalid check digits or that are not applicable to the item being cataloged. It may be repeated for multiple numbers associated with the item (e.g., ISBNs for the hard bound and paperback manifestations; ISBNs for a set as a whole and for the individual parts in the set). Each field contains all the information relevant to one ISBN, or if no ISBN exists, relevant to the item being cataloged. Indicators :(the two spots to fill in at the beginning of each MARC field: Both indicator positions are undefined; each contains a blank (#). Subfield Codes: $a - International Standard Book Number (NR) Valid ISBN. ISBN and the embedded hyphens may be generated for display $c - Terms of availability (NR) Price or a brief statement of availability and any paranthetical qualifying information about availability. Display Constants : ISBN usually appears on an item with the prefix ISBN and with each of its parts separated from the other by hyphens or spaces. The initialism ISBN, the phrase ISBN (invalid), and the embedded hyphens are not carried in the MARC record. From RDA Toolkit: The ISBN on the copyright page of the novel is 978-0-385-53463-5, but the hyphens must be removed for the MARC field based on the display constants. MARC field 050 Library of Congress Call Number From MARC 21 Description and Scope : Classification or call number that is taken from Library of Congress Classification or LC Classification Additions and Changes. The brackets that customarily surround alternate class/call numbers are not carried in the MARC record; they may be generated based on the presence of repeated $a subfields. Indicators : First indicator: Whether or not the item is contained in the LC collections. 0 - Item is in LC Item is in the LC collections under the call number given in the field.other agencies should use this value when transcribing from LC cataloging copy on which the call number is neither enclosed within brackets nor preceded by a Maltese cross. Second Indicator: Whether the source of the class/call number is the Library of Congress or another organization. 0 - Assigned by LC Used when an institution is transcribing from LC cataloging copy. Subfield Codes: $a - Classification number, Classification number portion of the call number. The source of the classification number is Library of Congress Classification and the LC Classification-Additions and Changes. Subfield $a is repeated to record an alternative class number. The alternate class number is recorded following the last subfield of the call number. If the alternate class number also includes an item number, the item number is included in the same subfield $a as the alternate class number; it is not separately subfielded. $b - Item number, Item number portion of the call number. An item number is the Cutter, date, term, etc. that is added to a classification number to distinguish an item from any other item assigned the same classification number. Organizations that use the Cutter-Sanborn Three-Figure Author Table may conform to Library of Congress item number practice by applying Subject Cataloging Manual: Shelflisting conventions. Capitalization - Alphabetic characters in the classification number portion of the field are generally uppercase. Spacing - Any spaces that are desired as part of the call number must be input. For assigning a LC Call number for this novel, use Classification Web to search LC Classification Schedules by using the LC Classification Search from the main menu. For the classification number, this novel is American literature, so search by that. Then you chose individual authors in that subject, from 2001- because the novel was published in 2010, and then 6

m because the author s last name begins with m. This gives you PS3613.A-Z. The instructions then say that the author number is determined by the second letter of the last name. Which in this case is O. For Mor, you look at Table P-PZ40. You then get for the author Morgenstern, PS3613.O74875. Then for the item number, you need to use the LC Cutter table from Cataloger s Desktop. You normally use the first letter of the author s last name and then get directed to numbers that follow. This should get you, M67. However, because the classification number for literature already built the author s name into it with O74875, you use the title of the book. So using that with the cutter table, you get N54. So the full item number is N54 2010. The 2010 is for date of publication. 050 0 0 $a PS3613.O74875 $b N54 2010 7

MARC field 082 Dewey Decimal Classification Number From MARC 21: Description and Scope : Classification number is taken from Dewey Decimal Classification and Relative Index, the Abridged Dewey Decimal Classification and Relative Index, and electronic updates to either edition. Through 1997, updates were issued in DC& Dewey Decimal Classification Additions, Notes and Decisions. Indicators: First indicator: Type of edition 0 - Full edition Second indicator: Source of classification number 0 - Assigned by LC Subfield codes : $a - Classification number, Classification number assigned using an edition of the Dewey Decimal Classification. To find DDC numbers you go to WebDewey on OCLC Connexion. For literature, you use the 800s. So 8 is the main class. Then you look for the language, in this case, English. We then get down to the following for American literature in English which is 81. Then look at Table 3A for works written by one author in order to find the number for the form. Fiction is 3, so you add that to 81 and get 813. Then you look for the time period, which is after 2000 and the number for that is /.6. So all together you get 813/.6 082 0 0 $a 813/.6 Both call numbers are also on the copyright page, but for the purpose of this manual it s important to explain how to assign one if a book doesn t list ong on the copyright page. 8

MARC field 100 Main Entry - Personal Name From MARC 21: Description and Scope : Personal name used as a main entry in a bibliographic record. Main entry is assigned according to various cataloging rules, usually to the person chiefly responsible for the work. Indicators: First indicator: Type of personal name entry element 1 - Surname Second indicator: Undefined and contains a blank (#). Subfield Codes : $a - Personal name $d - Dates associated with a name $e - Relator term From the MARC Code List for Relators: Author [aut] : A person, family, or organization responsible for creating a work that is primarily textual in content, regardless of media type (e.g., printed text, spoken word, electronic text, tactile text) or genre (e.g., poems, novels, screenplays, blogs). Use also for persons, etc., creating a new work by paraphrasing, rewriting, or adapting works by another creator such that the modification has substantially changed the nature and content of the original or changed the medium of expression From RDA Toolkit: 9

To find the correct birth and death years for Erin Morgenstern, the author for the purposes of the relator term, check the authority file through http://authorities.loc.gov/, and search her name with Name Authority Headings. When searching this, we come to find out that there is not a birth year associated with her authority record, and she is still alive, so we leave out the date subfield. 100 1 blank $a Morgenstern, Erin, $e author. 10

MARC field 245 Title Statement From MARC 21: Description and Scope : Personal name used as a main entry in a bibliographic record. Main entry is assigned according to various cataloging rules, usually to the person chiefly responsible for the work. Indicators: First indicator: Title added entry 1 - Added entry Desired title added entry is the same as the title in field 245. Second indicator: Nonfiling characters, Number of character positions associated with a definite or indefinite article (e.g., Le, An) at the beginning of a title that are disregarded in sorting and filing processes. 1-9 - Number of nonfiling characters Title begins with a definite or indefinite article that is disregarded in sorting and filing processes. Any diacritical mark, space or mark of punctuation associated with the article and any space or mark of punctuation preceding the first filing character after the article is included in the count of nonfiling characters. Any diacritic, however, associated with the first filing character is not included in the count of nonfiling characters. In this case we use 4 because that is number of characters and space in The Night Circus to skip the. Subfield Codes : $a - Title, Title proper and alternative title, excluding the designation of the number or name of a part. Subfield $a also contains the first title of separate works (by the same or different authors/composers) in a collection lacking a collective title. In records formulated according to ISBD principles, subfield $a includes all the information up to and including the first mark of ISBD punctuation (e.g., an equal sign (=), a colon (:), a semicolon (;), or a slash (/)) or the medium designator (e.g., [microform]). $b - Remainder of title, Data includes parallel titles, titles subsequent to the first (in items lacking a collective title), and other title information. In records formulated according to ISBD principles, subfield $b contains all the data following the first mark of ISBD punctuation and up to and including the mark of ISBD punctuation that introduces the first author statement (i.e., the first slash (/)) or precedes either the number (subfield $n) or the name (subfield $p) of a part/section of a work. Note that subfield $b is not repeated when more than one parallel title, subsequent title, and/or other title information are given in the field. 11

$c - Statement of responsibility, etc. First statement of responsibility and/or remaining data in the field that has not been subfielded by one of the other subfield codes. In records formulated according to ISBD principles, subfield $c contains all data following the first slash (/). Once a subfield $c has been recorded, no further subfield coding of field 245 is possible. From RDA Toolkit: 12

All of the information needed for this field comes from the title page of the novel, and a novel counts as the remainder of the title because it appears as an important designator of what the book is. MARC Field 250 Edition Statement From MARC 21: Description and Scope : Information relating to the edition of a work as determined by applicable cataloging rules. Indicators: Both indicator positions are undefined; each contains a blank (#). Subfield Codes : $a - Edition statement, Edition statement that usually consists of numeric and alphabetic characters and accompanying words and/or abbreviations. If an edition statement appears in more than one language, only the first edition statement is recorded in subfield $a. In records formulated according to ISBD principles, subfield $a includes all data up to and including the first equal sign (=) or slash (/). Punctuation : Field 250 ends with a period. See also subfield descriptions for punctuation information. From RDA Toolkit: In this instance, this item is a first edition, evidenced by what it says on the copyright page where is says First Edition at the bottom. 250 blank blank $a First Edition. 14

MARC field 264 Production, Publication, Distribution, Manufacture, and Copyright Notice From MARC 21: Description and Scope : Statement relating to the publication, printing, distribution, issue, release, or production of a work. Indicators: First indicator: Sequence of statements # - Not applicable/no information provided/earliest available publisher Second indicator: Function of entity, 4 - Copyright notice date Field contains a date associated with a notice of protection under copyright or a similar regime. Copyright dates include phonogram dates (i.e., dates associated with claims of protection for sound recordings). Subfield Codes : $a - Place of production, publication, distribution, manufacture $b - Name of producer, publisher, distributor, manufacturer $c - Date of production, publication, distribution, manufacture, or copyright notice From RDA Toolkit: 15

Based on the copyright page, we know that this book was published in New York by Doubleday and the copyright was in 2011. Therefore, the second indicator is 4 to indicate that we are using copyright, not publication date. There also has to be a copyright symbol before the date. 264 blank 4 $a New York : $b Doubleday, $c 2011. 16

MARC field 300 Physical Description From MARC 21: Description and Scope : Physical description of the described item, including its extent, dimensions, and such other physical details as a description of any accompanying materials and unit type and size. Indicators: Both indicator positions are undefined; each contains a blank (#). Subfield Codes : $a - Extent Number of physical pages, volumes, cassettes, total playing time, etc., of of each type of unit. $c - Dimensions Expressed in centimeters, millimeters, or inches; may include a parenthetical qualifier giving the format of the item (e.g., (fol.), (8vo) ). Format qualifier is recorded as part of subfield $c and is not separately subfield coded. In records formulated according to ISBD principles, subfield $c contains all data following a semicolon (;) and up to and including the next mark of ISBD punctuation, if any (e.g., a plus sign (+)). Punctuation : Field 300 may end in no punctuation, may end in a right parenthesis when the last element of the field is a parenthetical qualifier, or may end in a period when the last element is an abbreviation ("cm" and "mm" are not treated as abbreviations) or a 490 field is present in the record. By looking at the last page number in the novel, we know that the book has 387 pages. When we measure the height of the book in centimeters, rounding up to the nearest centimeter, we get 25 cm. In RDA, pages should be spelled out but centimeters can be abbreviated. 300 blank blank $a 387 pages ; $c 25 cm 18

MARC field 336 Content Type From MARC 21: Description and Scope : The form of communication through which a work is expressed. Indicators: Both indicator positions are undefined; each contains a blank (#). Subfield Codes : $a - Content type term, Content type of the work being described. $b - Content type code, Code representing the content type of the work being described. $2 - Source, MARC code that identifies the source of the term or code used to record the content type information. Code from: Genre/Form Code and Term Source Codes. From RDA Toolkit: RDA also give a list of terms to be used for content type. We will use text for our purposes because the novel is solely text. From the codes list linked to from the $2 subfield code explanation above, the content type code for text is txt and the source code is rdacontent. 336 blank blank $a text $b txt $2rdacontent 19

MARC field 337 Media Type From MARC 21: Description and Scope : Media type reflects the general type of intermediation device required to view, play, run, etc., the content of a resource. Indicators: Both indicator positions are undefined; each contains a blank (#). Subfield Codes : $a - Media type term, Term for the category of media used to convey the content of the resource. $b - Media type code, Code for the category of media used to convey the content of the resource. $2 - Source, MARC code that identifies the source of the term or code used to record the media type information. Code from: Genre/Form Code and Term Source Codes. From RDA Toolkit: From that list we chose unmediated because unmediated means: Media used to store content designed to be perceived directly through one or more of the human senses without the aid of an intermediating device. A book falls under this. From the codes list linked to from the $2 subfield code explanation above source code is rdamedia. MARC field 338 Carrier Type From MARC 21: Description and Scope : Carrier type reflects the format of the storage medium and housing of a carrier in combination with the media type (which indicates the intermediation device required to view, play, run, etc., the content of a resource). Indicators: Both indicator positions are undefined; each contains a blank (#). Subfield Codes : $a - Carrier type term, Term for the category of carrier used to convey the content of the resource. $b - Carrier type code, Code for the category of carrier used to convey the content of the resource. $2 - Source, MARC code that identifies the source of the term or code used to record the carrier type information. Code from: Genre/Form Code and Term Source Codes From RDA Toolkit: RDA then has a list of carriers and we will use volume from that list because the book is a volume. From the codes list linked to from the $2 subfield code explanation above source code is rdacarrier. MARC field 500 General Note From MARC 21: Description and Scope : General information for which a specialized 5XX note field has not been defined. Indicators: Both indicator positions are undefined; each contains a blank (#). Subfield Codes : $a - General note, Note that provides general information for which a specialized note field (i.e., a specific 5XX field) has not been defined. Punctuation : Field 500 ends with a period unless another mark of punctuation is present. If the final subfield is subfield $5, the mark of punctuation precedes that subfield. Any punctuation within the note (e.g., quotation marks) is carried in the MARC record. MARC field 520 Summary, Etc. From MARC 21: Description and Scope : Unformatted information that describes the scope and general contents of the materials.this could be a summary, abstract, annotation, review, or only a phrase describing the material.the level of detail appropriate in a summary may vary depending on the audience for a particular product. When a distinction between levels of detail is required, a brief summary is given in subfield $a and a fuller annotation is given in subfield $b. The text is sometimes displayed and/or printed with an introductory term that is generated as a display constant based on the first indicator value. Indicators: First indicator: Controls the generation of a display constant preceding the information. # - Summary Used to generate the display constant Summary:. Second indicator: Undefined and contains a blank (#).
