City of Orange Eisteddfod General Rules Entries 1. This competition is open to amateurs only, i.e people who do not derive their major income from performance. 2. ENTRIES: In 2018 entries will be made on-line at http://www.stardom.com.au Entries on Stardom that are unpaid by the closing time will be deleted. If you have difficulties with on-line entries please contact us for help. An on-line admin fee will be $5 per invoice. Method of payment will be credit/debit card only. Manual entries may be sent to Entry Secretary. PO Box 8556, Orange. NSW 2800, accompanied by cheque or money order for entry fee and the $5 admin fee. NB. As of 1 January 2017 Eisteddfod copyright compliance has deemed it necessary to increase fees. 3. No entries will be accepted or recorded unless accompanied by full entry fee. 4. No refund will be made for an entry fee paid after the entry has been accepted. 5. In all competitions which are subject to an age limit, the age of the competitor shall be taken at the 31 st December, 2018. The Committee reserves the right to call upon any competitor at any time to provide a copy of his/her Birth Certificate and can withhold any prize until certificate has been produced. 6. Local is a competitor living in an area with a 2800 postcode. 7. Restricted means never having won a first prize in that section at any age at any Eisteddfod or competition up to the closing date of entries. (This refers to the title of the section, not the routine/piece.) Competitors eligible are permitted to enter Restricted or Open sections, or both, but must not repeat the same routine/piece. 8. In all sections where 2 or more are competing, the names of each competitor must be given at the time of entry, except in the case of groups. 9. Competitors must not have been pupils of the adjudicator in the 6 months prior to the Eisteddfod. 10. Entrants are responsible for royalty and copyright payments and liabilities if any. 11. Competitors enter at their own risk. 12. Notification of appearance is not given by mail unless a program is ordered on entering. NB: For on-line entries, programs may be ordered from the EXTRAS menu, or downloaded from the Orange Eisteddfod website - www.orangeisteddfod.com 13. All care has been taken in the compilation of the Syllabus and Program and the Committee reserves the right to rectify any errors or omissions. 14. Please check receipt of entries carefully and rectify errors or omissions immediately, as no alterations can be made after program is printed. Performances 15. The Committee reserves the right to amend the program at any time, to appoint a substitute or additional adjudicator, to divide or combine any sections or to alter competition times. 16. No competitor may compete more than once in any one section unless specific rules apply. 17. Competitors must be ready to take their place on the stage at the appointed time and in the order set down in the program. 18. No person may take another person s place in the program. 19. No medals are to be worn on stage. 20. No rehearsals are allowed on the stage of any venue during the Eisteddfod. 21. Please note that the use of inappropriate material in performances could lead to disqualification by the adjudicator. 22. No videos or photographs are to be taken of any performance with the exception of the official photographers. This includes the use of mobile phones. 23. All mobile phones are to be switched off in all venues during performances. 24. Audience members are asked not to enter or leave the venue while competitors are performing. Page 3

Adjudication 25. The decision of the adjudicator is final unless a protest is lodged. Protests must be in writing, setting out full details of the protest and accompanied by a deposit of $20. If the protest is not upheld the deposit is forfeited. 26. Verbal grievances/complaints to individual Committee members, volunteers or other parents are not in the spirit of the Eisteddfod competition and will not be tolerated and could lead to exclusion from any further participation in the Eisteddfod. 27. The Adjudicator has the authority of the Committee to withhold or alter any prize which he/she is of the opinion that sufficient merit has not been displayed. 28. A report sheet from the Adjudicator will be available free of charge for competitors in each section. 29. If any competitor, teacher or parent approaches the Adjudicator before or during any section, the competitor may be disqualified. Electrical Equipment 30. All electrical equipment brought into the performance venues must be checked by a Certified Electrician prior to the Eisteddfod and have a current electrical tag in place. Any electrical equipment not meeting the Occupational Health and Safety guidelines will not be allowed to be used. Competitors 31. The Committee reserves the right to use the competitor s details in the compilation of the program, including photographs for publicity purposes. If you do not wish to be photographed, it is the competitor s (or carer s) responsibility to notify a member of the Orange Eisteddfod Committee. Spirit of the Eisteddfod The motto of our Eisteddfod is Learn and Grow through Performance and we aim to provide a supportive and encouraging environment where competitors can achieve their best. The Eisteddfod Committee values the positive contribution of a supportive and respectful audience to all competitors. Page 4

RULES FOR VOCAL AND INSTRUMENTAL SECTIONS 1. RESTRICTED means NOT having won a FIRST PRIZE in any solo instrumental or vocal section at any previous Eisteddfod. Eligible competitors are permitted to enter restricted sections, unrestricted sections, or both. The Restricted Rule applies up to the date of CLOSE OF ENTRIES OF THE EISTEDDFOD. 2. The Committee reserves the right to use the competitor s details in the compilation of the program, including photographs for publicity purposes. If you do not want to be photographed, it is the competitor s (or carer s) responsibility to notify a member of the Orange Eisteddfod Committee. MUSIC 3. In all sections, competitors must hand one (1) copy of the selected music/ music and words, to the Green Room person at least 20 MINUTES BEFORE THE COMMENCEMENT OF THE SESSION. The Committee accepts no responsibility for the loss of, or damage to, any original works. Music should be printed, but if handwritten, it must be legible. 4. No competitor may perform the same item in more than one (1) section. 5. All music submitted must be clearly marked with SECTION NUMBER AND COMPETITOR S NUMBER NO NAME OR SCHOOL SHOULD BE VISIBLE. 6. ALL BARS IN MUSIC GIVEN TO THE ADJUDICATOR MUST BE NUMBERED. 7. CD backings only allowed in school choir sections. 8. Microphones allowed only in Popular Song and Open Contemporary Ensemble sections. ACCOMPANISTS 9. * A competitor should consider providing his/her own accompanist so that accompaniment is then assured. A list of accompanists is provided but availability of accompanists cannot be guaranteed. * PLEASE NOTE: ACCOMPANISTS ARE NO LONGER PROVIDED FREE OF CHARGE. Fees should be negotiated with the accompanists for their services and paid directly to them. All music to be used by the official accompanist MUST BE IN THE HANDS OF THE ACCOMPANIST AT LEAST TWO (2) WEEKS BEFORE THE COMMENCEMENT OF THE EISTEDDFOD. Performers should consult the accompanist about preferred presentation of sheet music eg no staples. TIME LIMITS 11. Competitors must comply strictly with the TIME LIMITS. TIME given is the total time allowed for singing or playing in that section, whether for one or two pieces. Competitors will not be adjudicated after the specific time limit has elapsed. At the commencement of the music/song/piece, etc, the timekeeper will set the time to the appropriate time allowed for that section (the actual playing or singing time). Upon the time being reached, a bell will be rung and adjudication will cease. A second bell may be rung if needed. Competitors who continue after the time limit has elapsed may not be awarded a prize and a comment about the time excess will be noted on the comment sheet. PLEASE KEEP TO THE TIME LIMITS WHICH ARE ALLOCATED. Page 5

COMPETITORS EQUIPMENT 12. Competitors equipment must be brought into the venue through the door provided ½ an hour before each session. All equipment must be removed from the stage and venue at the conclusion of each session. IT IS THE COMPETITOR S RESPONSIBILITY TO ENSURE THAT ALL ELECTRICAL EQUIPMENT IS SAFETY CHECKED AND TAGGED. PRESENTATION OF PRIZES: 13. Presentation of prizes will be as follows, wherever possible: Major prizes and medals are to be presented on the stage following the adjudication. Money prizes are to be collected from the Office. The onus is on the competitor to collect all prizes, medals, certificates, reports, money and music etc. WINNERS OF SCHOLARSHIP SECTIONS: 14. Scholarship winners are NOT eligible to enter these sections again until three (3) years have elapsed. A Junior Scholarship winner may enter a Senior Scholarship whenever he/she becomes eligible by the specified age for the senior scholarship. Six (6) scholarships are offered for 18 yrs and under competitors to participate in Orange Regional Conservatorium Ensemble programs over a period of one year. Competitors will be selected by the adjudicator from vocal, brass, strings and woodwind sections. Rule: Recipients must NOT be currently enrolled in Orange Regional Conservatorium ensemble programs. GRADE SECTIONS: 16. Selection of music: Competitors should choose a piece of music which is listed in the AMEB syllabus for the grade they entered this year, 2018. DUETS: 17. An Instrumental Duet is when two (2) instruments are played together using music specifically written for a duet, not a solo instrument with accompaniment. A Vocal Duet is when two (2) singers sing together in two part harmony (not in unison). The names and dates of birth of both performers must be provided when entering a duet section. COPYRIGHT RULE: 18. The competitor may hand in a music photocopy for the use of the adjudicator, provided that it has been made from an original music work. However the photocopy must be destroyed by the Eisteddfod committee at the end of the section, and it cannot be handed back to the competitor. NB Original music provided for the use of the adjudicator will be handed back to the competitor at the end of the section. Page 6

BANDS/ENSEMBLES/CHOIRS: 19. Leaders must hand their music (for the Adjudicator) to the Green Room officials at least 20 minutes before the session begins. 20. Leaders must submit to the Green Room officials a list of members of the Band/ Ensemble/ Choir performing in each section. This is to comply with the Workplace, Health and Safety rules of the venues. 21. It is the responsibility of the leader to notify the Green Room before the performance of permission to photograph the group. 22. The performers in each group should be bona fide members of that group. 23. Organisations can enter more than one group in a section as long as each group has a unique identity. 24. No teachers are permitted to perform with any group, other than in Special Needs and Open sections. 25. Bands and School Ensembles/Choirs will perform at the Orange Function Centre, Eyles St, Orange. 26. Bands perform on the floor area of the Function Centre not on stage, unless advised by the Committee. 27. No piano will be available for bands on Band Day. 28. Groups need to bring their own equipment music stands, extension leads, CD Players if needed for Percussion Bands, school choirs, etc. 29. All electrical equipment is to be checked and tagged, and is the responsibility of the competitors. 30. On Band Day, leaders are asked to ensure that equipment and instruments are stored neatly and compactly to avoid damage to them and that players are quiet while performances are taking place. PIANO SECTIONS: 31. Extra devices cannot be brought on to the stage or attached to the piano. THE PROGRAM: 32. THERE WILL BE NO CHANGE MADE TO THE PRINTED PROGRAM. Please check entries with your teacher as soon as you receive the receipt. Contact us if incorrect as no changes will be made after the program is finalised. If your AMEB music examination is scheduled on your performance day and time, then please notify a committee member 7 days before your programmed time. You are then required to produce your appointment schedule letter to the committee member. Two or more committee members will decide if you can be allocated a different spot.
