GUIDELINES AND NOMINATION FORM Canada-Japan Literary Awards 2018 Follow these three steps to nominate a book for this award: Step 1 Step 2 Step 3 Read the Guidelines for details about the purpose of the awards, who may nominate and other eligibility criteria, award amount, assessment process and criteria, etc. Read the Important Information section. If you still have questions about the awards or the nomination process, contact the program officer indicated below. Complete all sections of the attached nomination form and include all required support material. GUIDELINES Description of the Awards The Canada-Japan Literary Awards recognize literary excellence by Canadian writers who are writing on Japan, Japanese themes, or themes that promote mutual understanding between Japan and Canada. It also recognizes literary excellence by Canadian translators of such books from Japanese into English or French. The funds for the Canada-Japan Literary Awards come from the investment returns on that portion of the Japan-Canada Fund set aside as an endowment, in perpetuity, for a literary award. Eligibility Awards will be given for literary excellence to Canadian authors of published, first-edition trade books of fiction, non-fiction, poetry or drama. The authors books may be in English or French and must be on Japan, Japanese themes, or themes that promote mutual understanding between Japan and Canada. Canadian translators of works in the same genres, translated from Japanese into English or French, are also eligible. Eligibility of publishers Nominated books must be submitted by a professional book publisher. To meet the Canada Council s definition, professional book publishers must: publish books based on an editorial selection process pay royalties or financially compensate the author, illustrator or translator for any submitted book use appropriate and effective means to market, distribute and create public awareness of their titles meet basic professional standards of publishing. Eligibility of books Authors and translators must be Canadian citizens or permanent residents of Canada, as defined by Citizenship and Immigration Canada. They do not need to be residing in Canada. Nominated books must have been published professionally, between 1 May 2016 and 30 April 2018, to be eligible for the 2018 awards competition. The books may have been published in Canada or abroad, but they must have an ISBN, be distributed in Canada and be available in Canadian bookstores. They must be at least 48 pages long. Restrictions An eligible book may be nominated to either the English-language component or the French-language component, but not to both. The following books are not eligible: selections and collections of poetry, short stories, essays and plays containing material that has previously been awarded a Canada-Japan Literary Award Canada-Japan Literary Awards / 2

Eligibility (continued) Amount of the Awards Restrictions (continued) anthologies of the works of more than one author, illustrator or translator, or works that are not expressed in a single voice commissioned works or works for which the writer does not receive compensation for the use of his or her intellectual property self-published books textbooks or instruction guides, academic and scholarly publications, academic theses, conference proceedings, illustrated (coffee-table) books, how-to and self-help books, guidebooks, cookbooks, exhibition catalogues, film scripts, testimonials, journals, transcripts of interviews, collected letters, directories, reference books or bibliographies, and books of minimal critical content books whose author or translator is deceased at the time of publication. Up to $20,000 is available in 2018: two awards of $10,000 each may be given, one for an English-language book and one for a French-language book. Nomination Process Assessment of Nominations Authors and translators may not submit their own published books for this award; they must be nominated by a professional book publisher. Publishers must use the attached Publisher s Nomination Form for the Canada- Japan Literary Awards to nominate a book on behalf of the author or translator. A separate form must be completed for each eligible book. The completed form, with the required copies of the book, must be sent to the Prizes Section, Canada Council for the Arts. Support material The publisher must include five copies of each nominated book. For translations, the publisher must also include two copies of each nominated work in its original language (Japanese). Assessment process Peer evaluation is fundamental to the Canada Council s decision-making process. Nominations for this award will be evaluated by separate English-language and French-language peer assessment committees, composed of three to five experienced writers or other appropriate literary peers. Committee members will also be selected with consideration to fair representation of literary genres, gender, generations, Aboriginal peoples, and the regional and cultural diversity of Canada. The peer assessment committees may decide not to award one or both of the awards in a given year, if they feel that none of the nominated works sufficiently meet the literary and artistic merit required by the award. All peer assessment committee recommendations are final. For further information on this subject, please consult the Canada Council s website at canadacouncil.ca. Assessment criteria Nominated books will be assessed on the basis of literary and artistic merit. Translations will be assessed on the literary and artistic merit of the translation. IMPORTANT INFORMATION Processing the Nomination Nomination preparation Nominators are responsible for providing all the information and support material requested. The Canada Council for the Arts will make eligibility decisions based on the information provided in this nomination. The Canada Council is not responsible for the loss or damage of material submitted in support of a nomination. Only one copy of the nomination form is required. Submit only the material requested. Extra material will not be shown to the peer assessment committee. Committee members have a limited time in which to assess each nomination. It is important to inform the Canada Council of any changes to your contact information. Response time The publishers and authors or translators of the winning books will be notified of the results, in writing, approximately five months after the nomination deadline date. Non-winning publishers will be notified, in writing, of the results of the competition. The Canada Council does not release results by telephone. Personal Information Award Terms and Conditions The Privacy Act gives individuals the right to access and request correction of personal information about themselves. The Canada Council for the Arts will protect personal information as required by the Privacy Act. The information will be stored in a series of Canada Council data banks described in Info Source, a government publication that is available on the Internet. All other information may be accessible to others under the Access to Information Act. The Canada Council may share information related to applications and awards with officials in other arts and cultural industry funding agencies, on a confidential basis, to assist with program planning and evaluation. Once the recipients have been contacted, they must confirm acceptance of the prize and agree to keep the results of the competition confidential until the Canada Council for the Arts makes its public announcement. All the documentation submitted becomes the property of the Canada Council for use in any publicity or promotion accompanying the prize. Canada-Japan Literary Awards / 4

Award Terms and Conditions (continued) Participation in promotional and award activities Authors, translators and publishers of winning books must participate fully in all award events, including the prize presentation, receptions, media interviews and press conferences. They must also allow photographs and public information about themselves to be used for promotion of the awards and in other Canada Council promotional initiatives. Acknowledgement of Canada Council for the Arts The support of the Canada Council for the Arts must be clearly acknowledged in any public announcements, advertising or publications related to books that receive a Canada-Japan Literary Award.
