Building Procedures, Regulations & Amenities Animals With the exception of guide dogs and working dogs, animals are not permitted in the auditorium, stage, lobbies dressing rooms or other areas of the Civic Center Music Hall without written permission from Civic Center staff. Alcoholic Beverages Beverages sold at the Civic Center lobby bars are allowed in the theatre unless otherwise arranged. Beverages for artists must be arranged by the promotor in conjunction with local and state liquor laws. Artist alcoholic beverages must stay in the dressing rooms and are not allowed on stage or in the hallways. Backstage Catering Please coordinate backstage catering with the Civic Center Technical Direct. Various locations for catering are available, dependent upon need and availability at the time of your event. Civic Center does not have in-house catering. Construction Civic Center Music Hall is not equipped with a scene shop and it is recommended that all construction of scenic elements be completed off-site. Assembly is allowed onstage and exceptions can be made as deemed necessary by the Civic Center Technical Director. Any use of saws must take place in the loading dock or other area deemed fit by Civic Center Staff. Deck Information A $25.00 charge will be added to the final bill for every lag made into the deck. Equipment & Plot The user will be provided with a general wash with the lighting in the setup and space inventory. It is the responsibility of the user to restore the space and equipment to the condition and plot that was upon move in (generic wash). If this is not completed, the house will do so and will bill the user for the work completed. Equipment Additional Any equipment needed beyond this plot shall be requested in advance to the CCMH department in question. This request shall be submitted in writing and will be granted at the discretion of the full time house technician and technical director based on availability and need. The user may be required to pay an equipment fee for extra rented equipment. These feeds will be used to maintain and purchase equipment to maintain the quality of CCMH equipment and will in return benefit the user. If it is discovered that extra equipment is being used without the permission of the house technician, the user will be billed for the time spent inventorying equipment and any other expenses incurred to CCMH from lack of permission. Equipment Alteration Equipment should not repainted, rewired, or physically altered in any way. Specific alterations must be requested will be labeled (I.e. do not move, do not un-tape). If this limit will greatly affect the quality for the production, this issue may be discussed with the full time house technician. If permission is granted, the House Tech will document the permission granted in writing and will notify the TD of these permissions. It is the responsibility of the user to restore equipment to original state. If this is not completed, the house will do so and will charge a fee to the user for the work completed. Firearms Oklahoma State Law allows open and conceal carry of firearms with permit. Firearms are not allowed in city buildings. This policy is posted on all entrances to the facility. With the exception of staffed policy and security, firearms are absolutely prohibited. Fire Exits & Public Safety Placing items in corridors or blocking emergency exits or obstructing any portion of sidewalks, entries, halls, elevators or ways of access to the public utilities of the building is prohibited. Clearance must also be maintained around sprinkler heads and nothing may be attached to them. Flammable Materials & Pyrotechnics Any use of open flame or pyrotechnics is only permitted on stage with the express permission of the Technical Director and all required permits. Hot Work Welding, grinding and other tasks deemed hot work require a hot work permit provided by the facility in accordance with facility insurance. All required precautions must be met including a fire watch during work and 1 hour after work is completed. Ice Machine There are two ice machines located in the facility. The recommended machine is located in the basement on the north side, by the pit entrance. An additional machine is located in the kitchen of the Meinders Hall of Mirrors at the south east cord of the building on the Grand Tier level. Please check with the house for availability. Insurance Commercial General Liability Insurance is required for all events. Please contact an insurance agent of your choice. Minimum coverage is $1 million per occurrence. The following are to be listed as additional insured: The City of Oklahoma City and The Oklahoma City Public Property Authority (OCPPA). Insurance is required as part of your facility permit, speak with your Event Coordinator if you have any questions. Only authorized caterers will be allowed to provide food and beverage service. Minimum coverage of $1 million Liquor Liability is required if alcohol is served. Internet Wireless internet is available throughout the facility. The password is available from the Technical Director or Stage Manager. The password is also supplied to the Company Manager or Stage Manager for distribution and regulation among the company/presenter. Late Seating Late seating policies should be decided per production by the production staff and relayed to the Civic Center staff. The house staff will attempt to follow these to the best of their abilities. Prior to curtain, the House Technical Director will check in with front of house staff via radio to confirm if a performance hold is needed in order to limit late seating. Show holds will be requested by house staff and can be confirmed or denied by the production. Loading Dock The loading dock is located off of Couch Dr at the northwest corner of the building. The loading dock has direct access to the stage via a set of elephant doors measuring approximate 20 height and 10 width. Please contact us if any pieces measure over 9 in width to verify that handles and doorstops will not interfere. The loading dock connects to hallway with offices, restrooms and dressing rooms. At the end of this hallway on Stage Right is an additional entrance to the stage that measures approximately 5 0 in width by 6 0 height. There are three (3) loading dock bays that can accommodate up to three (3) fifty-three (53 ) foot semi-trailers at a time> The openings of the semi-trailer loading dock doors are 8 0 x 12 0 and are operated mechanically via button control inside the dock. Moving the rear axle of the trucks to their back position assists in matching truck bed and dock height. In order to level truck beds with dock, trucks are backed down the street-level ramp and each bay either ahs a drop-down leveler (2 bays) or elevator life (center bay), and we have one pair of truck risers that can be used. With the exception of load-in and load-out, we keep the center dock open for regular facility deliveries. The company may keep two trucks parked in the bays but additional trucks will need to be stored offsite at the expense of the arrangement of the company/presenter. There is a personnel entrance with double glass doors labeled Stage Door through which smaller deliveries may be accommodated. Any trash or construction debris in the loading dock and stage area is the responsibility of the client and should be removed daily. Mail Mail is only delivered directly to the Civic Center by mail services such as USPS and FedEx. US Postal Service mail is only delivered Monday through Friday to the city mail room and is picked up by Civic Center staff. Please notify us if you are expecting letters or packages to arrive on or near the weekend. Opening House The front of house staff will wait for the back stage production and house staff to complete all check to open the house. The production should release the house to Civic Center staff. Civic Center staff will then confirm the house is clear to open. Smoking The Civic Center Music Hall is deemed a non-smoking facility in accordance with the City of Oklahoma City. Smoking is not allowed inside the facility or within 25 feet of all entrances. Staffing The Civic Center requires three house technicians (Carpentry, Electrics and Audio) for every call or rehearsal. Staffing may change based on need and availability to cover the needs of the facility and production as determined by the Technical Director. Stage & Backstage Access Backstage visitors and guests must be escorted by a member of the production or Civic Center staff at all times. Technical Director The Civic Center Technical Director is responsible for all stage and backstage areas and operations and is the final authority on all theatre practices. Safety is always of paramount importance. All stage operations are subject to rules and regulations of the Civic Center Music Hall and The City of Oklahoma City. Tornado Sirens Oklahoma City tests tornado sirens every Saturday at 12:00 p.m. Sirens cannot be heard in the house or on stage, but can be heard from some areas backstage, including the loading dock and hallway. House crews will be aware if there is a weather concern and will coordinate with the production if a situation arises. Property Though rented for a production, the space and equipment remains the property of the City of Oklahoma City Civic Center Music Hall. No equipment may be taken from the premises without express permission of the Technical Director. The space may be entered at any time by a Civic Center employee and therefore should be safe and sufficiently lit during off hours (i.e. ghost lights). Any safety hazards should be clearly marked and addressed as soon as possible. Rehearsal and Warm-Up Spaces Additional facilities are available for rehearsals and warm-ups. The Performer s Lounge, located on the basement level, is included in rentals of the Thelma Gaylord Performing Arts Theatre. The Joel Levine Rehearsal Hall can be included as an additional rental, please contact your Event Coordinator for more information. Ushers Ushers of the facility are volunteers and are not expected to act as security or enforcement. Please notify management of any issues and they will be addressed by Civic Center staff. Wardrobe and Laundry Laundry facilities are available for rent. The facility is located on the basement level at the east side of the building. Facilities include 3 washers and 3 dryers. Elevator access is limited. Stage Right is equipped with a passenger elevator accessible to pit seating, lobby, and Star Dressing Room levels and is used by the public during performances. During performances, the freight elevator on Stage Left can accommodate large loads to stage level.
