1st INTERNATIONAL UNIVERSITY CHOIR COMPETITION MEDELLÍN 2016 Organized by Universidad EAFIT Department of Artistic Development, affiliated to the Human Development Area University Welfare Division REGISTRATION INFORMATION 1. OBJECTIVES a. To provide university people, who have voluntarily engaged in institutional choral activities, with scenarios of artistic competition, development and promotion. b. To join the artistic expressions of universities, cities and nations on the same stage and in the same geographical location. c. To promote artistic, cultural and choral development clusters and centralities in the city of Medellín (Colombia), seeking global identification and focusing on university choirs. 2. VENUES a. Main venue: Universidad EAFIT, Medellín (Colombia), Carrera 49 No. 7 Sur-50. b. Other venues: Medellín Metropolitan area. 3. DATE From Tuesday July 5 th to Friday July 8 th, 2016. 4. CONTESTANTS: This call is open to university choirs from all over the world endorsed by their corresponding universities. Joint university choir is the name of the one and only category of this event that brings together this type of musical ensembles regardless of their musical genre, age, or any other features inherent to the human being or the artistic expression itself. By Joint university choir we mean a group that represents the university and, as such, is comprised of undergraduate or postgraduate students, alumni and/or employees of both sexes. Choirs formed by a minimum of 16 members and there will not be a maximum number for participants, this shall depend on each choir formation. 5. EVENT PROCEDURE INFORMATION
Compliance with the following program is expected from all the choirs. The organizers, by their own decision or by recommendation of the jury, may exclude a choir that does not exhibit sufficient rigor to comply with the program. The same shall be applied in the event that one or several members of a choir show inappropriate or unfair behavior in relation to other groups, or if they do not represent Universidad EAFIT, the event or its scenarios philosophy. The organizers reserve the right to unilaterally modify the program, either as a whole or in part. Selected choirs will release a maximum of two, fifty-minute concerts with their own and free repertoire. Concerts will be distributed in the first three days of the event and in the stages defined by the organizers. These concerts are part of the event and are mandatory, but will not make part of the technical assessment taken into account by the jury at the time of deliberation. A capella will be the only category in the competition and it is distributed as follows: a mandatory piece (the score will be sent to the selected choirs), a folk piece of the contestants country of origin and two contrasting polyphonic pieces. In all cases, the total time of the music pieces shall not exceed 16 minutes. In the prize-giving ceremony, the award-winning choirs will jointly deliver a gala concert in which they will perform the mandatory musical piece that will be directed by the winning conductor. 6. CONTEST REPERTOIRE a. A mandatory musical piece. b. A folk piece of the contestants country of origin (this is the only piece that will be allowed to have accompaniment, if required, which will be provided by the participating choir). c. Two polyphonic pieces of different periods. The pieces will be sung a capella. The entire repertoire shall last between 11 and 16 minutes.
7. SCORES AND LYRICS: a) All the scores that will be used in the competitive cycle of this event must be sent in PDF format. b) A total of three scores from the participant choir will be accepted. c) The competition committee will evaluate the score readability and will issue a concept on the quality approval for its effective reading. If necessary, the university will be requested to resend the appropriate scores. d) After registering the contest competing pieces and registration approval, subsequent modifications of this repertoire will not be allowed and it will be taken as definitive. e) In the event that the lyrics of the music pieces are not written in the official languages of the event (Spanish or English), a translation of each score must be attached as an annex. Official translations are not required. 8. ARBITRATION CLAUSES 9. JURY a. No voice amplification or use of instruments different from the human body and its inherent capacity to corporal expression will be allowed in the competitive events before a jury (except for the folkloric piece of music for which each choir should bring its own instruments). b. In the event that a choir decides to cancel its participation, there will be no refund of money paid for any concept. c. The decisions of the jury will be definite and not subject to appeal. d. The organizers reserve the right to deferment or cancellation of the event for reasons of force majeure, in which case a refund will be made of any money paid for any concept. e. Universidad EAFIT is released of any responsibility related to hotels or accommodation in general, appointments and private concerts that each participant choir wants to deliver, or any other civil, legal or extra contractual responsibilities carried out before or after the dates established for this competition. There will be an international jury composed by three members with voice and vote of equal value, as follows: A Colombian maestro and two foreign maestros who have an acclaimed career and are experts in choral music at a global level.
PRIZES a. First-place winning choir: ii. Trophy. iii. Nine thousand USD ($9,000), which will be deposited to the winning university. b. Second-place winning choir: ii. Trophy. iii. Four thousand USD ($4,000), which will be deposited to the winning university. c. Mandatory musical piece best interpretation: ii. Special plaque. iii. One thousand USD ($1,000), which will be deposited to the winning university. Additionally, the following special distinctions will be awarded: d. To the best soprano singing voice: ii. Plaque. e. To the best contralto singing voice: ii. Plaque. f. To the best tenor singing voice: ii. Plaque. g. To the best bass singing voice: ii. Plaque. h. To the best conductor: ii. Special plaque. iii. The right to conduct the mandatory piece with the winning choirs. 10. REGISTRATION: Registration will be considered as completed once the applicant choir has submitted all the following documents: a. Complete registration form (Annex), which will include a list of the choir members, conductor and non-contestant accompanying persons with their corresponding dates of birth and passport numbers (or citizenship identification number for Colombians). This form should be signed and stamped by the
president of the university that is being represented, thus certifying the institutional affiliation of the choir members. b. The profile of the conductor and choir in a paragraph of maximum 1000 characters without spaces, Arial 12. c. A recent picture of the choir and other of the conductor. Both pictures should have a minimum of two (2) Mb. d. A less-than-a-year recording of repertoires sung a capella that may be live or in studio. This recording can be sent as a link to a Web site or an MP3 file format. This may be a video or audio file, provided that the audio is high quality (HQ). e. Three scores in PDF format that made part of the competitive cycle (a folk piece of their country of origin and two polyphonic pieces of different periods). f. Tax document of the university represented by the choir. For logistic purposes, payroll may be amended up to the 15 st of April 2016, only permuting members instead of adding them. In the event of elimination of members, there will be no refund of the fare paid in the registration process. The registration will be closed on Thursday 31th March 2016 11. SELECTION OF APPLICANT CHOIRS: A committee will select the applicant choirs and will publish such selection on the web site www.eafit.edu.co/artistico no later than Thursday 7 th April 2016. Likewise, a statement of results will be sent to all the choirs. A single invoice with the total amount for the registration will be sent to the universities of the selected choirs. The amount will include singers, conductor and non-contestant accompanying persons, based on the list of the registration form. The invoice for foreign choirs will be increased by twenty-five US dollars ($25) per transaction cost. The selected choirs will confirm their participation by sending the proof of payment of the issued invoice or by bank transaction support. This confirmation (registration fee) must be made no later than Friday, 29 st April 2016. 12. REGISTRATION FEE: a. Any member of the selected national or foreign choir (either singer, conductor or non-contestant companions) shall pay a two hundred fifty USD ($200) fee or its equivalent in Colombian pesos at the exchange rate calculated for the 7 th of April 2016. b. Any member of the local choirs selected (either a singer, conductor or noncontestant accompanying persons) must pay a fee of two hundred thirty six thousand Colombian pesos (236,000 COP). c. Upon payment of this registration, each person is entitled to:
i. Event identification badge. ii. Accident insurance policy (general illness is not covered). iii. Lunch during the event. iv. Gala dinner on the evening of the last day of the event. v. José María Córdova airport hotel* transport (Tuesday 5 th July 2016) and Hotel - José María Córdova airport (Saturday 9th July 2016). vi. Transport to the concert venues and back to the place of origin (Universidad EAFIT or hotel). vii. Snacks during the concerts. viii. Admission to concerts. ix. Three lectures of choral rehearsal. x. Use of Universidad EAFIT classrooms for group rehearsals. xi. Use of Universidad EAFIT Medellin campus s sport and recreation areas. xii. Kit containing institutional products, competition timetable, a guide of Medellin and its activities in December and places of cultural interest. *The national and international choirs should take into account that the hotel checkin will start at 3:00 p.m. and the time to check-out is 11:00 a.m. This will help you schedule flights and times of arrival in the city of Medellin. 13. MEDICAL CARE a. All participants of the selected international choirs must have a medical care card that covers medical, dental and repatriation expenses. Participants of the selected national and local choirs shall have an EPS healthcare plan or health insurance. b. The organizers shall not be liable for any damages suffered in unscheduled or not previously established activities. 14. OTHER PROVISIONS a. The organizers reserve the right of audio and/or video recording, reproduction and marketing and the simultaneous and/or subsequent radio-television broadcasting of the event. In all cases, performance of the choirs will have no financial compensation. b. The universities, represented by the choirs, authorize the recording, reproduction and public communication of the choral performance by registering to this competition. c. Enrollment in the competition implies acceptance and compliance with the terms set forth in this regulation.
