Touhill Performing Arts Center on the campus of the University of Missouri-St. Louis is a spectacular venue for your next occasion. Whether planning a concert in the acoustically stunning Anheuser - Busch Performance Hall or a cocktail party in the strikingly chic E. Desmond and Mary Ann Lee Theater, the Touhill can provide the perfect backdrop to exude modern elegance and sophistication. E. Desmond and Mary Ann Lee Theater The amazingly versatile Lee Theater can be configured to accommodate most any event. In a flat floor setup, the Lee Theater welcomes extravagant parties, providing beautiful landscaping as a backdrop through the unique arched window. INCLUDED WITH YOUR RENTAL Stage Services Our Stage Services personnel will be able to assist you in creating the best possible event by offering advice on lighting, sound and staging choices or coordinating these details with your own production team. Marketing Included with every rental is a dedicated production page on our website, and a listing on our online calendar. Upon request, our Marketing Department can create a custom marketing plan for your event that fits your needs and budget. Event Management The Event Management team works with you to create a realistic time line so that all the details are properly communicated and executed for your event. TICKETING SERVICES All events at the Touhill have access to our Ticketing Services which includes online ticket purchasing, walk-up sales during regular Ticket Office Hours and Ticket Sellers for the day of your event. Front of House Staff House Managers, Ushers, Ticket Takers, Parking Attendants, Elevator Operators, Greeters and Venue Amenity Information are available to ensure that your guests feel welcome at the Touhill.

HOW DO I BOOK MY EVENT AT THE TOUHILL? Our Event Services Staff will assist you in all aspects of planning your event. From choosing the right venue to finalizing the stage setup, we will be there with you every step of the way. When you are ready to start planning your next big event, just give us a call at 314-516-4100. TYPICAL EVENT TIMELINE 24-2 months before event date Inquire with the Touhill about calendar availability, complete a Rental Application and request an estimate. Once we have received your Rental Application we will be able to place your desired event date on hold for ten-days while you consider our estimate. If you approve the estimate, we will begin processing a contract for you right away. Your event date does not become confirmed until we have a signed contract, Event Information Release form and deposit check in our office....i found the Touhill s service was excellent. The Event Advance is designed to ensure that all the last minute details are accounted for as we get closer to your event date. 14 days prior to event Your Certificate of Insurance must be in our offices by the end of this day. It is required that all Touhill renters secure venue insurance for their events. This information can be faxed to 314-516-4110. The Touhill employs a detailed intake procedure and standardized rate sheet to ensure that we fully understand your event s needs and present as accurate an estimate as possible. At the conclusion of your event, actual costs based on real usage will be presented in the final settlement. We strive to give you the clearest picture of your anticipated costs, but we also realize that many times renters are just looking for a quick number when considering events and venues. To meet this need we have a provided some quick estimate numbers below. These estimated numbers are based on a standard two-hour event or performance and includes room rent, ticket, usher, and custodial services, plus operational fees. Stage Services costs (lighting, sound, stage setups, etc) are not included, but a custom estimate will be generated based on completing our Rental Application. INSURANCE REQUIREMENTS Please forward to your insurance provider Your rental of the Touhill Performing Arts Center requires a Certificate of Insurance to be issued as follows. 1. Certificate Holder The Blanche M. Touhill Performing Arts Center University of Missouri-St. Louis One University Boulevard St. Louis, MO 63121 2. Certificate of Insurance evidencing current coverage 1) Public Liability: Bodily Injury, $1,000,000 2) Workers Compensation Employer s Liability: $500,000 *If no employees will be on site for event, please provide a letter so stating. 3. Dates of Coverage Include load-in, rehearsal, and/or load-out dates as well as performance or event date. OR Certificate may be issued as blanket coverage if multiple events are scheduled within the year. 4. Additional Insured The Curators of the University of Missouri must be named as additional insured in the Description box of the Certificate of Insurance. Certificate may be mailed to above address or faxed to 314-516-4110 at any time, but must be received at least 14 days prior to first day of operation. 4

GENERAL OPERATING POLICIES Revised June 2009 Operating Hours: Normal daily operation of the center is 8 a.m. till 10 p.m. Special arrangements may be made to loadin or load out outside of these times, but performances and events may not extend past 12 midnight or start before 8 am. Event Timeline: Inquiries must begin a minimum of 45 days from the event date. Contracting must begin 30 days to the event date. The signed contract, deposit check and Event Information Release form must be received in the Touhill offices 10 days after receipt in order to confirm your reservation. Availability and Booking: Seasonal calendars will open approximately 18 months out. Academic and university renters are allowed priority booking at this time, followed by partnering presenters, and the Touhill s own presenting series. When this opening period has passed, dates will be available on a first come first served basis. A renter may hold a date once a completed event questionnaire has been returned to the Touhill for review and estimate. Once the estimate has been returned to the renter they will have 10 calendar days to review the estimate and decide whether to confirm the booking. If the event will move forward, the contract, deposit and event information release form must be returned to the Touhill within the next 20 calendar days. The date is confirmed once the contract and deposit are received. The event may not be publicized nor tickets put on sale prior to this time. Rate Sheet: All estimates are determined by a standard rate sheet. A discount tier is provided for not for profit organizations (proof of not for profit status required) and university usage. This rate sheet may be revised on a periodic basis. Rates used to determine the estimate at the time of booking will be used to determine final settlement, but additional services added after booking may be billed at the current rates. Cost Estimate: An estimate of expenses will be provided with all rental contracts. This estimate will be based on the information known about the event at the time of booking. As an event develops, additional estimates may be produced at the request of the renter. Deposit: Non University sponsored use of the Touhill is confirmed when a non refundable deposit is received accompanied by a signed contract. Deposit is a minimum of $500 up to 50% of the total estimated costs of the event. When ticket revenue is the primary source of payment, ticket revenues must exceed the estimated Touhill rental expenses at ten days prior to the event date. If ticket revenues are not enough to cover Touhill expenses, an additional deposit to make up the difference in revenue will be expected no later than five days prior to the event date in order for the event to go forward as planned. Failure to provide full payment in advance could result in event cancellation. At final settlement excess funds will be returned to the renter or a balance due will be presented for payment. Settlement: At the conclusion of each event, a settlement statement will be presented showing all final costs and ticket revenues. If ticket revenues exceed building costs, these costs will be deducted from the ticket revenue with the remaining funds transferred to the renter within 10 business days by University check or ACH electronic transfer. Should the building costs exceed ticket revenue or no admission was charged, renters are responsible for paying final costs by check directly at the conclusion of the event, prior to leaving the building on day of show. Unless special arrangements are made in advance, failure to make the final payment on the day of the event will result in an additional 10% processing fee. Rental Clients may request an updated Event Estimate from their Event Manager in order to have a 5

check prepared for Settlement. When making a payment based on an estimate, any variance between the estimate and final settlement will be returned to the renter or an invoice prepared. Changes and Cancellation: An event contract may only be changed or cancelled through an agreement of the renter and the Director of the Touhill. The changes may result in additional charges or the forfeiture of the deposit. These charges may include but are not limited to: tickets printed, mailing fees, credit card charges, advertising, stage labor, administrative costs, equipment rental, and patron refund fee. Payment of these charges may be required prior to implementing the change or setting a new date. An event cancellation will result in the forfeiture of the deposit. RENT The Anheuser Busch Performance Hall and Lee Theater are rented for specific time periods as indicated on the rental agreement. The Rental Client is responsible for ensuring that all required time and space for load in, set up, rehearsal, performance, and tear down are included in the rental agreement. The Terrace Lobby may be rented for a four hour block prior to 5 pm or for a determined time during the day or evening. Full day and evening booking of the Terrace Lobby includes the blocking of the Anheuser Busch Performance Hall for public activities. The Touhill reserves the right to hold closed rehearsals or work in the Performance Hall when the lobby is rented. Access to the Promenade Lobby and Lee Theater will not be obstructed. When the Full Lobby is booked both the Anheuser Busch Performance Hall and Lee Theater will be blocked for public activities. The Touhill reserves the right to hold closed rehearsals or work in either space when the lobby is rented. The Whitaker Rehearsal Hall is a large rehearsal hall and dance studio. This space may be rented for classes, workshops, and seminars for groups of less than 30 people. This space may also be rented as support space for the Anheuser Busch Performance Hall including warm up room, dressing room, ready room, and catering facility. Access to the Whitaker may be limited due to events in the A B Performance Hall. The Whitaker may used for backstage meet and greets for up to 100 people. Due to the remote location of the room and lack of adequate public support facilities, the Whitaker may not be booked for receptions, parties, or events not directly connected with the main stage performance and must involve artist interaction. Patrons Room is rented in either four hour blocks or for a determined time. The Event Services Fee is assessed in addition to base rent for each performance of an event depending on its ticketing structure. This fee covers expenses related to public information, ticketing, front of house, custodial, and parking operations. This is a flat fee for a nominal two hour performance. Performance events well in excess of two hours will be assessed this fee for every four hours (or part thereof) of performance. Services supplied by Stage Services will be billed at actual usage. An estimate of services will be provided at the time of booking and just prior to an event (at the request of the rental client). Miscellaneous Charges Credit Card Fee: All ticket sales or other transactions completed by credit card will be assessed a 5% processing fee. Set up Fee: Various equipment fees exist for tables, chairs, and other non stage services equipment. These fees typically include the labor to set up and tear down the equipment. Marketing Services: Rental Clients may contract for package and single item marketing services through the Touhill s marketing department. Other charges may be added depending on the particular needs of an event and the engagement of outside vendors and resources. 6

MARKETING SERVICES All public events held in the Touhill Performing Arts Center will be given a production page on the Touhill s website and listed on the online calendar. The Renter must first complete the Event Information Release Form Before any information will be made public about an event. Please contact your Event Manager for information about which marketing opportunities are available. The Touhill does not allow the use our nameplate or arches logo without permission from the Director of Marketing. Renter may refer to the building in text only using one of the two options: Blanche M. Touhill Performing Arts Center at the University of Missouri St, Louis Or Touhill Performing Arts Center at the University of Missouri St. Louis All advertising materials must clearly indicate the presenter or producer of the event. All public information copy is to be reviewed by the Touhill Director of Marketing prior to publication or posting. TICKET OFFICE The Touhill Ticket Office offers walk up window service, will call, and phone service. The Touhill also provides 24 hour online ticket sales via the Touhill website as part of our basic ticketing services. The Ticket Office utilizes the computerized in house Tessitura ticketing system and all tickets must be printed on site. In order to provide excellent and consistent customer service, all ticketed events held in the Touhill will utilize the center s ticketing services. The Touhill reserves the right to require an event to be ticketed for capacity control or safety. Hours of Operation: The Main Ticket Office is open Monday through Friday from 10:00 a.m. to 6:00 p.m. and at least three hours prior to performances. The Lee Ticket Office will operate only when ticketed events are held in the Lee Theater. During performances, the Ticket Office will remain open through intermission or the first 30 minutes of a performance. On Sale Dates: The on sale date for ticketing may be set by the renter. However, there must be a fully executed contract and paid deposit in the Touhill offices before tickets will be put on sale. Ticketing Options: Ticketed Reserved The ticketed reserved option is only available in the Anheuser Busch Performance Hall. This option offers patrons the ability to pre select and reserve a specific seat in the hall at the time of purchase. General Admission The general admission option allows for a gated event, but seating occurs on a first come first served basis. Due to the uneven filling of the seats, general admission events will have saleable capacity capped at 90% of the room capacity. Free Ticketed The free ticketed option may be used for a free general admission event that desires to control attendance. For Free Ticketed events, tickets will only be available via window sales or sponsoring group direct distribution. Free Non Ticketed The free non ticketed option does not restrict access to an event except at the discretion of the House Manager. This option is not supported by the Ticket Office outside of generally answering informational calls during normal office hours and posting information on the web calendar. Groups that wish to assist in ticket sales and/or distribution, have the following options. In any case a portion of tickets must be available directly from the Touhill Ticket Office at all times. Direct Order Forms Rental clients may work with the Ticket Office Manager to develop a mutually agreed upon ticket order form allowing the patron to purchase a Touhill ticket remotely. This form will allow the rental client to present its offerings directly to its patrons while allowing the Touhill to service the ticketing operation. This option may be used with the Ticketed Reserved or General Admission. Individuals should make payments out to the University of Missouri 7

St. Louis or expect their credit cards to be charged by the University. All orders will be assessed the $3 per ticket convenience fee. Organizational Order Forms Rental Clients may also work with the Ticket Office Manager to develop an order form that allows the rental client to collect payments in their name, then submit the order forms and bulk payment to the Touhill for processing. All orders will be assessed a $1 per ticket convenience fee. Block Distribution Free Ticketed events may take a block of tickets for direct distribution to their patrons. Tickets may not exceed saleable capacity. Ticketing Fees: Credit Card Charges The Touhill will charge the rental client a flat 5% on all credit card transactions in order to offset credit card processing costs. Promotion Fee Basic ticketing setup for each performance is included in the Event Services Fee assessed to each performance. However additional and extra ticketing functions such as subscription sales or promotions may require additional fees. Convenience Fee Patrons will be charged a $3 per ticket convenience fee when purchasing via the web or phone. No fees will be charged to the patron for walk up sales at the window. State Sales Tax: Missouri sales taxes will not be collected by the Touhill. They are the responsibility of the rental client to remit the proper amount to the taxing authorities. Discount Programs: The Touhill offers an extensive ticket discount program to UMSL students, faculty, and staff as well as other university partners. We encourage all rental clients to adopt this discount program for events they present at the Touhill, however renters are free to setup their own discount program. Group Sales: The Touhill offers a group sale discount of 15% when 20 or more tickets are purchased to any single event. In addition every 20 th ticket is provided free of charge. There is a reduced $1 per ticket convenience fee when tickets are purchased as a group. Rental clients are encouraged to adopt this group sale discount program. Seating Reserve: The Touhill and the University require certain seats and/or a percentage of seats held for its own purposes to all events held in the Touhill Performing Arts Center. These seats will be identified at the time of the ticketing setup. FRONT OF HOUSE SERVICES The Touhill will provide all Front of House services for every event. The Touhill management will determine the size of required staff for all events (ushers, managers, ticket takers, parking lot attendants and security personnel). Concessions Bar: A concession bar offering light meals, deserts, snacks, candy, alcoholic and non alcoholic drinks may be provided in the lobby at the discretion of the Touhill. Should the renter require concessions, a minimum fee may be required to secure this service. Coat Check: Complimentary coat check is available for most performances as part of the Touhill s basic front of house services. Parking: Parking is free for patrons on all lots adjacent to the Touhill during the time surrounding a public performance. If parking during rehearsals or load in, check with your Stage Supervisor on proper locations to park or necessary credentials. 8

Merchandise Sales: The Touhill will collect a 15% commission on all gross product sales in the center. With advance notice, the Touhill may be able to supply sellers at a 20% commission. The Touhill does not collect tax on merchandise sales, this is the responsibility of the seller. The Touhill will have final determination on the location of all sales. STAGE SERVICES Stage Services supports all the technical needs of each event including staging equipment, lighting, sound, video, and labor. Stagehands: Stagehands are the technical crew and will directly operate or supervise the operation of stage, lighting, sound, and video equipment. The renter will incur stagehand costs required for rehearsals, set up, show, load in/out, stage restoration and changeover. Stagehands will be billed out at the applicable rate depending on the qualifications and responsibilities of the stagehand. Stage Management The Touhill does not normally provide Stage Managers for events. Stage Management and calling a show is the responsibility of the performing group. Stage Supervisor This supervisor is responsible for the direct administration and organization during the time an event is in the Touhill; the Stage Supervisor will serve as liaison between the event staff and Touhill personnel. They will provide access, labor management, and policy enforcement. They may be a working member of the crew. Leads Crew Leads are senior stagehands with considerable experience and/or advanced training. They may act as specialists or technical department leaders depending on the complexity of the event. They are working members of the crew. Stage Overhead Charge: A stage overhead charge of 15% of the labor bill will be assessed to cover expendable use such as miscellaneous hardware, tape, tieline, lamps, basic lighting gel, some equipment overhead, and contributes to maintenance labor budgets. Work Rules: All renters will be subject to abiding by prevailing work rules concerning stagehands and theater staff. This includes taking appropriate rest and meal breaks. These work rules are outlined in the next section of this document. Neutral Settings: Each theater has an established neutral setting of staging, lights, and sound that is provided with the rent of the theater. Variations from this neutral may cause the renter to incur additional labor and/or equipment charges to implement and restore the custom settings. Stage Supplies: Renter will be charged for extraordinary amounts of consumables or supplies needed for custom projects. This may include lumber or other construction supplies, batteries beyond first one supplied with equipment, custom lighting gel, etc. All custom purchased supplies will be charged to the renter at cost plus 15%. Piano Usage Fee: Each use of a piano will be assessed a piano usage fee which includes a tuning. Subsequent tunings or brush ups will be billed at appropriate rates. Stage Equipment Rental: Though most staging, sound and lighting equipment is included with the rental of the hall, certain stage equipment usage may require additional rental fees. Your Rental Estimate Worksheet will provide line items and costs for any extra equipment requested. Any outside equipment rented on behalf of the renter will be billed at cost plus 15%. Backstage Phones, Fax, and Internet: Phone lines are available in backstage dressing rooms. There is no charge for use of phones as they are programmed for local calls only. Renter must use their own credit card for long distance and other telecommunication services. Broadband internet is available in the production office of the Anheuser Busch Performance Hall. Check with your Stage Supervisor if you need to access the internet. Fee may be assess for the use of these services. 9

Stage Lounge: A soda and snack machine is located in the stage lounge on the Basement level for the convenience of the cast and crew of any event. A refrigerator and microwave are also provided. Drawings and Detailed Technical Specification Sheets: AutoCAD and VectorWorks drawings of the spaces, lighting plots, line schedules, audio layouts, and other information can be found at our technical website. Additional services may be available at the request of the Renter. Please contact Stage Services at 314 516 4934 for more information. STAGE SERVICES WORK RULES All stage equipment will be operated by Touhill stagehands unless express permission is given otherwise by the Stage Supervisor. A limited number of event management staff is permitted to come in with an event. Most events will use the Touhill house stagehands; however we do contract with the local stagehands union under certain conditions. Basic work rules for both house and union stagehands are listed below with differences noted. o Initial calls will be for a minimum of four hours. Any return to work after a break of longer than one hour in a given day will be considered a call back and subject to a two hour minimum; union stagehands receive a four hour minimum call back. o A paid fifteen minute rest break should be given to each crewmember at approximately 2 ½ hours from the beginning of a call or continuation from a meal break. If a break is not given, then a penalty of thirty minutes will be incurred per each stagehand denied a break. This rule is not enforced during rehearsals, performances, festivals, or load outs; it is expected that crewmembers will be given breaks at appropriate times during the event or production. o A meal break must be given after no more than five hours. The meal break may be for one unpaid hour or a thirty minute paid break. In either case, the stagehand must be allowed to leave the event and/or building if necessary. If a meal break is not given after five hours, then a meal penalty of double time per stagehand will be in effect and billed as such until a meal break is given. o PAC stagehands may be asked to cross departments as long as they possess the competency to carry out the task requested. o Individual stagehands may be cut from a call at anytime; call minimums will be billed regardless of the stagehand working for less than the initial four hours (or two hours on a call back). o Union stagehands will receive overtime at 1½ times the billing rate after eight hours in one day; any work performed by union stagehands between midnight and 7:00AM, or on holidays will be billed at double the billing rate. o PAC stagehands will receive overtime at 1½ times the billing rate after forty hours on one event within one week. Any adjustments to the schedule must be approved through the Stage Supervisor; this includes adding or subtracting stagehands from an upcoming call, changing call times, and adding or canceling calls. Insufficient notice of changes may result in being billed the minimum for each affected stagehand; insufficient notice may also result in not having the requested number of stagehands, or stagehands for the requested time GENERAL BACKSTAGE POLICIES Participants should not be allowed to enter or exit through the lobby or office areas. Groups are responsible for informing their participants where to enter and exit the building. o For events taking place in the Lee Theater this is normally the Lee Stage Door off of parking lot K. o For events taking place in the Anheuser Busch Performance Hall this is normally the Metro Stage Door (down the sidewalk from parking lot K running alongside the MetroLink tracks), or the Anheuser Busch Stage Door off of the main loading dock. o Anyone needing to park in the loading areas must obtain a special temporary permit from their Stage Supervisor. 10

In order to maintain safety and security, the Touhill staff will maintain ultimate control of the building and performance spaces at all times. Stage Services staff may stop any event for safety reasons. Also for security reasons, unauthorized persons are not allowed backstage. Groups are responsible for identifying the limited number of individuals with permission to access the backstage. Please have family and friends wait in the house or lobby for event personnel to come to them; special circumstances must be coordinated with the Stage Supervisor. No scenery, equipment, or staging may interfere with the operation of the fire curtain in the Anheuser Busch Performance Hall; the curtain must have clear access to the floor at all times. All event equipment brought into the venue is expected to be removed immediately following the event unless prior arrangements have been. Smoking is not permitted inside the building at any time. Smoking, open flame, fog, or other pyrotechnic devices used in an event must be approved prior to use. University regulations prohibit possession and/or use of alcohol and/or any narcotic or stimulating drug on University property. Major scenic building or painting will not be allowed on the stage, receiving area, or loading dock without prior approval. There is to be no altering of any physical part of the Touhill (walls, ceilings, movement of furniture, draperies, etc.) without the approval of the Stage Supervisor. Nothing is to be nailed, taped, glued, pinned or attached in any way to any curtain, floor, wall, orchestra shell or ceiling, without consent of the Stage Supervisor. The Touhill is not to be held responsible for any items of a personal or production nature that is brought into the building. Please secure all sensitive items. The catering and hospitality needs of a performing artist or group are the responsibility of the Renter. The Touhill can recommend catering companies familiar with the venue or food can be provided directly by the renter. CATERING AND RECEPTIONS The Patrons Room or part of the Lobby may be rented for an addition fee to host receptions or other functions. All lobby rentals independent of a theater performance must be clear of the lobby (including tear down and clean up) by 5pm or they will be required to pay the full day lobby rent. All food served to the public must be commercially prepared by a licensed caterer. A proper liquor license must be in effect whenever alcohol is served. Catering : Chartwells is the preferred campus caterer and is recommended by the Touhill. All arrangements for catering, hospitality, and beverage service will be made through a separate contract with Chartwells. To discuss options and receive a bid, please contact Chartwells Catering at 314 516 4321. Catering Buyout: Non campus based renters of the Touhill may elect to hire an independent caterer for their event. A catering buyout fee will be assessed based on the size of the event to cover catering commission losses and the additional support required to host an external catering operation. SAFETY AND SECURITY The Touhill Performing Arts Center is a public building. Due to this reality, there are many people in the building at any one time including faculty, staff, crew, students, and the general public. While utilizing the facility, care should be taken to lock and secure valuables at all times. Coats, wallets, purses, PDA s, laptop computers, and any other lucrative items should be locked away at all times. Dressing Rooms should remain locked at all times. The user is responsible for all items brought onto the property. The Touhill and the University assumes no responsibility for lost or stolen items. Touhill Management reserves the right to require security personnel for certain events. The cost of supplying this security will be passed onto the renter. 11
