2017-18 Season Volunteer Procedures Ushers, Scanners, Concession & Merchandise
BEFORE YOU ARRIVE Please, Dress to Impress NO jeans or shorts Try to wear the show colors, but don t worry about it! We d prefer you look professional rather than wear a specific color. Be sure to wear shoes you can stand in for more than an hour. Being bare-foot isn t a professional look. Designated volunteer seats are now located in the back row of the balcony. If you can t climb the stairs we can NOT guarantee you a seat downstairs. Sign ups are locked in 48 hours before your shift begins. If you find you can NOT work your shift after they are locked please contact the office. WHEN YOU ARRIVE Sign in. The sign-in sheet is located in the long hallway, just to your left through the staff only door. All volunteers will sign-in on the same sheet. Y=youth A=adult S=senior Get a name tag and wear it don t forget to return it at the end of your shift! The bottom lockers are available for storage of personal items.
USHERS Sign in on the usher/scanner checklists located on the lockers USE them! Make sure curtains are closed by 7:00 Get playbills 75 at each door downstairs; 125 upstairs Open curtains when given the go ahead
CORRECT Pull the cord from the front of the curtain around the back to the hook. It makes it neat every time. INCORRECT
ONCE DOORS ARE OPEN Stand inside entrance to theatre and offer each patron a playbill Ask patrons if they need assistance finding their seats help them if they do If a patron has special needs ask if they need assistance. If they are transferring into a theatre seat you will need to park their walker or wheelchair in the back of the theatre. Make sure they know where you are putting it! If they are not transferring you will need to remove the chair, place it in the rear of the theatre. You may need to stack it on the chair that s by the door. Close the curtains when Steven takes the stage for his preshow announcements. Take your seat. Volunteer seats are now reserved in the back row of the balcony. Please be aware of the spotlight as you take your seat DUCK! REMEMBER: Ushers and Scanners are expected to clean the theatre after the show! Clean up procedures are included in this presentation.
SCANNERS Sign in on the usher/scanner checklists located on the lockers USE them! Acquire scanner from house manager it will be set up and ready to use Stand just outside the entrance to the theatre and make sure patrons don t enter until the house is open. (Upstairs scanner will stand on the landing.) Open curtains when given the go ahead Scan tickets as patrons enter theatre Refer them to the usher if they need assistance finding their seats Cover for the usher if they are escorting a patron to their seat Do NOT use the scanners for taking pictures it will run the battery down prematurely Tickets are now available in Apple Wallet; it is a bar code instead of a QR code, same procedure for scanning

Ask patron if their party is all here, if so press Admit all tickets Then press confirm If only part of the party is here select each seat to check in individually.

CONCESSION & MERCHANDISE Familiarize yourself with the offerings for the show Familiarize yourself with the register & where supplies are stored Confirm you have $100 in the till to begin it should be $50 ones and $50 in fives Make sure forks and napkins are out (forks should be placed handle up) Make sure sugar, Splenda, creamer and stirrers are out by the coffee Concession and Merchandise volunteers are asked to sit next to the doors inside the theatre. They will open the curtains at the end of Act I and work during intermission.

To unlock ipad: tpi301 Launch Heartland App Password: Merch301 This is what you will use to process credit card payments. It connects via Bluetooth so it does not need to be plugged in.
Select Appropriate Tab Concession & Merchandise: Touch the icon for what you are selling. Touching it again will add another item. Total will appear at bottom of screen. Touch either the credit card or cash symbol at the bottom of the screen to check out.
This screen opens when you press the credit card button Always check a credit card for a chip. If the card has a chip you will insert it into the bottom of the card reader. A card with no chip will be swiped at the top of the card reader.
Green light indicates it is ready for card. To process a credit card with a chip: Green light indicates it is ready to process. Press F1 to process
Swipe card with stripe facing you. To process a credit card without a chip. Press F1 to process
To process a cash sale enter amount of cash received or press exact change. Press Finish to complete sale. This is for ALL sales!
Concession and Merchandise volunteers should clean up the area after intermission. If you are watching the second act you can clean up after the show. Clean up procedures: Put unsold goodies away (into cooler on the right through staff only door) Put forks and napkins away (under the counter) Put Coffee caddy away (under the counter) Make sure merchandise is neat Wipe down counters and high top tables with multi-surface cleaner (located in top left locker) Empty trash can only if there is food in it Work with Merchandise volunteer to close out money in drawer (leave smallest bills $100 in the drawer) Give cash envelope to house manager
AFTER THE SHOW USHERS AND SCANNERS ARE REQUIRED TO CLEAN UP AFTER THE SHOW Usher #1 and Scanner #1 (those working house left) responsible for clearing tables in house responsible for emptying (2) trash cans in house Usher #2 and Scanner #2 (those working house right) responsible for wiping tables in the house responsible for emptying (3) trash cans in lobby Usher #3 and Scanner #3 (those working the balcony) responsible for cleaning balcony and emptying the trash up there responsible for emptying trash in all three bathrooms
