Editing Your Reading List Selecting where a new item will appear on your list Once you have located the reading list you wish to edit and have logged into the system you can start adding items to your list. To start, click on Add New To begin with you need to select where on your list you would like the new item to appear and what type of material you are adding to the list. If this is a brand new reading list and you are creating a whole list of items you can add each entry individually in the order you wish them to appear. The default position is End so that each new item added appears at the bottom of the reading list. If you already have a reading list and you are adding items to it you can insert them in the appropriate place in one of two ways. Firstly you can make a note of the number of the item preceding the place you wish the new item to appear and then in the pull down box next to Add item after position select that number. 2
Alternatively you can right click on the number of the item below where you wish the new entry to appear. This produces a pop up box with extra options, one of which is insert before. Click on this and you are taken to the standard form where the position the item is going to be added is already completed and you just need to select the item type. Once you have decided where on the list the new entry appears you need to select the type of material it is. Click on the appropriate item type, then click on Add. Assigning importance Select your item type and click on Add. A form appears for you to complete. The first step is to assign an importance level to the material. The Library uses this information to decide how many copies of an item we will need to purchase for the needs of the cohort and students use this information as guidance on the importance of the material. The default is Standard but if the text being added is the main textbook or required reading for all of your students please select Key. 3
Adding a book Select Book as your item type. If you have the ISBN for the book add this first then tab down to Title and the system should automatically complete all of the rest of the bibliographic information for you. The system uses the ISBN to link to Library stock so if we already hold the item this will show when students click on the entry. If you do not have the ISBN then please complete as much of the rest of the form as you can. The Library will add the ISBN if possible or link to the item via a system number if there is no ISBN available. There is an option on the form to add a Note to students which is a free text field, so you can add information that is useful to your group such as previous editions of this book can also be used. The Library adds information here relating to how the material can be accessed, so if it is an ebook we might add Athens username and password required for access. The Library will also add the url if we hold the item electronically so your students can access it direct from the reading list. Finally there is an option to add a Note to Library. Click on Academic Recommendations then in the box add the relevant information for the Library. When completed click on Save and your item will be added to the reading list. 4
Adding a journal article Select Journal Article as your item type then in the resulting form add the DOI of the article you are referencing. When you tab down to Article Title the system should automatically complete the rest of the bibliographic details. It also links directly to the article on the journal s webpage so that if we have an electronic subscription to the journal the article can be accessed by your students directly from the list. If you do not have the DOI then please complete the appropriate bibliographic information fields, then click on Save. The Library will check that we hold the item and if not try to obtain a copy. The Library will ensure the item obtained is copyright compliant and if there are problems obtaining the item the Library will contact you. Sometimes the Library has a copy of the print journal but does not have electronic access to it, if you would like the Library to check to see if this item can be scanned and made electronically available go to Academic Recommendations and tick the box next to Include in e- reserve, then click on Save. 5
Please Note: pdfs of journal articles or book chapters can only be made electronically available from the reading list system. Any digital copies of extracts from published printed material cannot legally be made available on LEARN. All appropriate digital material obtained by the Library is stored on the Copyright Licensing Agency s database and they provide us with urls to access this material. In this manner the University ensures it is compliant with copyright legislation. Adding a book chapter Select Book Chapter as your item type and in the resulting form fill in the appropriate bibliographic details. If you have the ISBN for the source book then add that and tab down and the system will fill in most of the bibliographic details but you will need to add the chapter of the title required and the page numbers if you have them. If the Library has a copy of this book electronically we will add the url so your students can access it digitally. If the Library just has a print copy we will link to that, so if you want it available electronically please tick Include in e-reserve (instructions provided above). If the Library does not hold a copy of this item electronically or in print then we will try to obtain from the British Library a copyright cleared digital copy of the specific chapter required. Adding AV material Select AV Material as the item type and complete as much bibliographic information as you can in the resulting form. The Library will ensure that the reading list system links to the record in our catalogue so your students can check availability and location. 6
Adding an electronic resource Select Electronic Resource as the item type and complete the bibliographic information. The Title of the resource and URL are needed as a minimum. The Library may remove this entry if it appears that the reading list is linking to a resource that should not be legally available. Should this happen we will inform you. Adding a journal Select Journal as the item type and complete the bibliographic information. If adding a url, please only link to open-access journals or journals for which the Library holds an electronic subscription. Adding a sub-heading or note These can be added to a reading list to make it easier to navigate or pass on important information to students. The only difference between the two item types is the size they appear on the reading list. Every time a reading list is edited the Library is notified, so whenever an item is added to a list we are alerted and will attempt to obtain a copy (or extra copies). Should there be a problem obtaining the item we will let you know. 7
