Start by going to the Catalog tab and accessing the Add Title choice in the menu on the left. From here, you can search for items that need records. Enter descriptive information in the search box and either click Go or push Enter on your keyboard. The defaults that appear are to search for Books with ISBN. One can change these drop-down menus to reflect the type of item one is trying to find a record for as well as what identifier to use in the search box. The above example is searching for Books using an ISBN. The example below is searching for Books with Title keywords book thief. Either method is acceptable as long as the record matches what is between the covers. When using the ISBN method of searching, be aware that third-party book companies can take a paperback, remove the cover, turn that into a hardback (Perma-bound, for instance), add their own ISBN, and reattach the cover. We always recommend you utilize the ISBN from the verso page for this reason. If you don t find a match using the ISBN, try searching by title instead. In the new search results you might find a match without ISBN, and that s okay. Contact Library Media and we ll add the ISBN to the matching record.
The image below is the beginning of the search results list for this title. Notice that the first two items have a red house near the title. That icon indicates that at least one school in the district has this title. The next two titles have an A+ near the title, indicating that the cataloging has been provided by Follett, the makers of Destiny. Other records will have a library name and a thunderbolt near the title. It is preferable to use one of the records that are already in our system IF and only if the existing record actually matches. If the record doesn t match, then keep searching for one that does match from either the Alliance Plus or the Z-source records. Library Media has chosen the Z-source libraries. If you find a record that matches from one of them, please use it.
To see more search results, click the button at the bottom of the page. You may need to do this more than once. The pencil icon will remain in motion if search results are still out there to be seen. Once you have chosen a record to look at, you are taken to the Title Details screen for that book. Do not choose your record from this screen. To make the final determination if this record is acceptable, check the MARC View of the title.
Please note the red arrowed items. These are the key points for determining if a record is a match. The following are of equal importance: Title (245), author (100), physical description (300), and publication (260). If ANY of these do not match, the record does not match. Of secondary importance is the ISBN (020), any edition notes, and subject headings. If the record matches, but doesn t have the ISBN, let LMS know and we ll add the ISBN to the record. It is preferable to have at least three subject headings. At least one subject heading is required for a matching record.
This second part of this record has plenty of subject headings (tags 650 & 651). It would be an acceptable record if the primary matching points, (tags 100, 245, 260 & 300) match what is in your hand. If the record doesn t match, use the Search Results breadcrumb to go back to the search results and find another record.
When you find an acceptable record, you may click to save the record and take you to the item record screen. Notice that the example says you ll have 11 characters total. That s true of elementary libraries. Secondary libraries will have 14 character barcodes. From here, enter your barcode, assign a call number (as per the guidelines in the Library Handbook), purchase price, add to a copy category, indicate a sublocation (if necessary), and add any other relevant information. Don t forget to save your work with the button. In the event that you don t find a matching record, refer to Instructions for when record not found in Destiny in the Library Handbook. You ll be instructed to send specific information about the item to Library Media.
