Both offices work together to ensure equitable space allocation for all groups submitting requests through Student Engagement & Leadership. This document outlines reservation types, reservation process, billing, and production suggestions. Venues: The Office of the Arts manages multiple theatrical venues on the Emerson Campus: 10 Boylston Place - Tufte Production and Performance Center: Semel Theater 218 Seats Greene Theater 108 Seats 219 Tremont St Boston MA Majestic Theater - 1196 559 Washington St Boston MA Robert J Orchard Theater (RJO) Seats 585 Jackie Liebergott Black Box Theater (JLBB) Maximum Seating of 126 Bright Family Screening Room (BFSR) Seats 172 555 Washington St Boston MA Paramount Rehearsal Studio Paramount Practice Rooms Reservation Types: There are a few types of reservations accepted: Paramount Rehearsal Studio Reservations: All Emerson College students are provided the resources to book Paramount Rehearsal Studio space via SpaceBook, events.emerson.edu, or by interfacing with the Paramount Studio Supervisor on the 3 rd Floor at the Studio Desk. Paramount Studio 1: This space is no longer a rehearsal studio as its primary academic function is now a classroom. This space can be booked through SpaceBook at events.emerson.edu Paramount Studio 2 6, 8 & 9: These spaces become available for individual student booking starting 7 days out from the requested date. SpaceBook access starts 7 days out at 12:00am. Emerson College reserves the right to cancel or shift these bookings if there is an academic conflict. We strive to prevent these issues, but appreciate your understanding if this does occur. In the event a reservation needs to be bumped, you will be notified as soon as possible. SGA Recognized Student Organization affiliation does not permit early access to booking Paramount Rehearsal Studio space.

Office of the Arts Theater Reservations: 1 Day Reservation: SGA Recognized Student Organizations are permitted access from 9:00am 11:00pm for one day Venues available for 1 Day reservations: Greene Theater Semel Theater Robert J Orchard Theater Please see page 6 for draft production schedule based on a 9:00am 11:00pm day. 3 Day Reservation: SGA Recognized Student Organizations are permitted access: Day 1 4:00pm 11:00pm Day 2 6:00pm 11:00pm Day 3 6:00pm 11:00pm Venues available for 3 Day reservations: Greene Theater Semel Theater Please see page 6 for a draft production schedule based on a three day reservation. Bright Family Screening Room Reservation: SGA Recognized Student Organizations are permitted access: Monday evenings only, 5:00pm 11:00pm SGA Recognized Student Organizations are provided the opportunity to book the Bright Family Screening Room on Monday evenings only. To book this space please submit a request to the Office of Student Engagement & Leadership. Student Engagement & Leadership has purview over Monday evenings and does release them for EC Departmental use. Please discuss availability with Student Engagement & Leadership prior to submitting a request. Reservation Process: Office of the Arts General Management and Student Engagement & Leadership allocate dates available to SGA Recognized Student Organization Groups during the Office of the Arts season planning process. These dates will be identified by the end of the academic semester and relayed to the Office of Student Engagement & Leadership for distribution to SGA Recognized Student Organization. After Student Engagement & Leadership distributes the available dates, SGA Recognized Student Organizations can submit requests. After submission, the requests are reviewed by Student Engagement & Leadership where staff perform a compliance review with all forms/policy/procedure as well as a fiscal review by SGA. After a successful completion of both reviews, Student Engagement and Leadership will pass requests to Office of the Arts for final review and space allocation. Please submit all requests on time. Late submissions will not be considered. After reservations are submitted, Office of the Arts allocates space based on the order received, dates, and venue requested. SGA Recognized Student Organizations will receive their offers by: Fall Requests 1 st Monday in August Spring Requests 2 nd Monday in November After receiving venue offers, SGA Recognized Student Organization representatives should respond accepting or declining the offer. If accepted, Office of the Arts will build a draft estimate of cost. This estimate may change depending on ticketing. Ticketing will be discussed in detail at the meeting with Office of the Arts. Once the academic semester has started, the SGA Recognized Student Organizations should arrange meetings with Office of the Arts staff to discuss the production details, including but not limited to: Ticketing Production Documentation outlining scenery, lighting, audio, props, etc. Scheduling (Load In, Performances, Load Out)

Ticketing: SGA Recognized Student Organizations will need to fill out a Box Office Build Form to initiate the ticketing process. There are two types of forms: Box Office Required No Box Office Required There are three ways to go about ticketing SGA Recognized Student Organizations performances: Zero Value (free) ticketed event Organization will need to fill out No Box Office Required form for this type of ticketing Emerson Box Office will print the number of tickets requested as General Admission zero value tickets which can be passed off to the groups and distributed as desired. Tickets are printed at a $0.25 fee per ticket at the expense of the Student Organization These tickets cannot be sold or exchanged for any monies due to laws in place preventing resale of tickets over face value Sold through Emerson Box Office Emerson Box Office will work with Student Organization to setup the event build outlining ticket cost, payment types, and sale periods. All tickets sold are printed at a $0.25 fee Student Organization must fill out the Box Office Required build form Billing Process: All SGA Recognized Student Organizations are billed to use Office of the Arts space: SGA Recognized Student Organizations are responsible for the OA Technical Supervisor labor This hour count is the time in the space each day +1 additional hour for opening and lock up SGA Recognized Student Organizations are responsible for Front of House Labor This is variable depending on venue These are block minimums so if there is only one performance running two hours FOH staff will still be billed out as follows House Supervisor 5 hour minimum House Usher 5 hour minimum If there are performances over multiple days (ex. 3-Day reservations), then two usher staffs will be required - one for each day. SGA Recognized Student Organizations are responsible for Box Office labor if they are selling tickets through the Emerson Box Office which is billed as 4 hours for both the: Box Office Manager Event build and setup Box Office Ticket Agent Ticket sales and customer interaction If requested Student Groups are responsible for the cost of piano tuning. All costs will be reflected in the estimate provided by Office of the Arts to Student Engagement & Leadership and the SGA Recognized Student Organization. The Student Government Association Treasurer will work with Student Engagement & Leadership to provide the Student Organization account code and Office of the Arts Business Office will deal with all billing. If tickets were sold, and there is revenue following the settlement, the Student Organization should work with Student Government Association to provide an account code for the funds to be transferred into.

Policies in Office of the Arts Venues: General Guidelines: All scenic construction must be completed prior to Load In All scenery must be flameproofed and back-painted No rental equipment permitted Marley floor may be rented by dance groups if required for their performances No open flame Boston Fire Department regulation No atmospheric SFX If Student Organization is bringing in any soft goods, all appropriate Boston Fire Department permitting must be provided All permitting is the responsibility of the Student Organization; however, Office of the Arts can provide guidance regarding the time line, correct paperwork, and ways to submit this application with the BFD Student Organizations are responsible for all expendables, including but not limited to tie line, gel, tape, etc. Only spike and gaffers tape are permitted on stage floor (All OA venues) Only blue painters tape is permitted on walls or other non-floor surfaces (All OA Venues) Dressing Rooms are not guaranteed when space is offered. If desired, this should be discussed at the meeting with Office of the Arts If multiple Student Organizations are in production, each group will allocated one dressing room All stage weaponry must be approved by ECPD prior to use on stage Use of food and drink need to be approved prior to use on stage Please inform Office of the Arts if the production intends to use substances that may cause damage or extensive clean up including but not limited to Water, Sand, Confetti, Glitter, Stage Blood, etc. These items may be prohibited depending on how they are being used during rehearsal/performances Office of the Arts reserves the right to alter or revise production plan due to health, safety, and time concerns Available Technical Equipment and approved procedure: Greene Theater: Electrics: Provided the repertory lighting plot Lighting Designer may choose to use up to 10 additional units from space inventory If Leko follow spot kits are part of the design they count as 2 of the 10 additional units No refocus No recolor No practical lighting units Access to the A-Frame ladder Audio: 1/8 in to the audio console for playback House Audio System only No additional speakers No microphones Scenic: All scenery must fit into a passenger elevator Lag and screw fastening permitted. If using lags, holes will need to be drilled and doweled during the load out period

Semel Theater: Electrics: Provided the repertory lighting plot Lighting Designer may choose to use up to 10 additional units from space inventory If Leko follow spot kits are part of the design they count as 2 of the 10 additional units Recoloring is permitted No refocus No practical lighting units Audio: 1/8 in to the audio console for playback House Audio System only No additional speakers No microphones Scenic: Brad fastening permitted Theatrical rigging system is not available for Student Group use Semel Theater comes as is, no alteration of the stage height or seating plan is permitted Robert J Orchard Theater: Electrics: 50 units out of most current RJO inventory plus the Front of House repertory plot No practical lighting units Audio: 1/8 in to the audio console for playback House Audio System only No additional speakers No microphones Scenic: Lag and screw fastening permitted. If using lags holes will need to be drilled and doweled during the load out period Rental marley is permitted in this space if required for dance groups
