Newark Unified School District Request for Proposal #2018-19.03 District-Wide Wireless Projector Project June 4, 2018 Pre-Bid Questions/RFI s Question #1: Will options 1 and 2 be considered completely separately or will a mix of Ultra-Short Throw and Standard Throw projectors be considered? Answer to #1: The district s intention is to go entirely with one solution or the other and not mix Ultra-Short Throw and Standard Throw projectors in classrooms. Question #2: 3.11.2.2 through 3.11.3.5: They are requesting 1 sepia and 5 hard copy sets of the drawings at every submission, along with hard copies of cut sheets and manual binders. This must be old verbiage from quite some time ago. Can we request digital copies be allowed? Answer to #2: Digital documentation will be allowed. Question #3: We need to have a full time superintendent when we are on site. Will a Lead Technician count? Answer to #3: A lead technician will suffice so long as district live scan and requirements are met. Question #4: For the 310 classroom system, are we to assume all new infrastructure (AV input plates, pathways, etc.) will be surface mounted (jboxes, cable covers, etc)? Answer to #4: Yes, new infrastructure can be surface mounted. All pricing for cable covers, boxes, etc should be included in proposal {SR232336}{SR232336}
Question #5: The System Descriptions section does not talk about document cameras but the parts list does show them. Is this to be a separate individual/selectable input into the projector? Or will this just be using the HDMI input located on the wall? Answer to #5: This will use the existing HDMI input on the wall. Question #6: In the Graham Cafe, the question is whether the existing rear mount screen is to be used or removed? If used, what is the make/model of the screen and frame structure and size of this screen? Answer to #6: Existing screen in Graham cafeteria should be replaced whether new proposal is for rear mount or ceiling mount projection. Additional documentation on large room venues is provided further in this addenda. Question #7: In the NMHS café, what make/model is the existing PA System we are to add new equipment to? Answer to #7: Existing amplifiers are TOA and there are other brands of components in the rack as well. Pictures are available further below in this addenda. Question #8: In NMHS Star Lab, what make/model and size of the existing screen are we to install new fabric into? Answer to #8: Existing screen is a Da-Lite brand. Size is roughly 18 tall x 12 wide. Question #9: Option 1 Question - In rooms with existing projectors, are we to demo these units? Use them? Or will they be removed before we land on site? Answer to #9: Chosen vendor should remove existing projectors and equipment and store in district designated locations on-site. The district will handle the equipment from there. {SR232336}2
Question #10: Option 1 Question - The spreadsheet list is showing the addition or relocation of the duplex in the ceiling (this is out of AV spec), will this be performed by the clients Electrical Contractor? Or will we need to subcontract our own Electrical Contractor? Answer to #10: Power and Ethernet relocations are part of the specification. Chosen vendor will need to perform this work or have an appropriately licensed sub-contractor to perform the work. Question #11: Option 1 Question - In the ceilings that are "Hard Cap", will there be access hatches to get access above the ceiling? Answer to #11: Access hatches are not always available and should not be assumed to be available in these classrooms. Question #12: Option 2 Question - In the column "Above-whiteboard mount-surface", some rooms on the spreadsheet are marked as "no". Are these the classrooms with the cabinet whiteboards that extend out a few feet from the wall that were talked about at the site walk? Or does this mean there is no space above the whiteboard and the projector in these rooms? Will the projectors need to be ceiling mounted? Or does this mean there are pipes or other wall-mounted obstructions that require us to create a custom furr-out to mount the wall-mounted projector mount? Answer to #12: It is a mix of cabinet whiteboards and rooms where there are wall-mounted obstructions (i.e. pipes). In these rooms vendor would need to make appropriate modifications to allow the mounting of equipment. Question #13: Option 2 Question - As discussed at the site walk, the column, Needs new whiteboard", on most of the rooms is left blank. We are to assume there is an existing whiteboard that will be used, but at our discretion, some of these rooms will require a new whiteboard. Answer to #13: Where this column is blank it can be assumed that these rooms have an existing suitable whiteboard. {SR232336}3
Question #14: Large Venue Question - For the Large Venue spaces, will the infrastructure be recessed into the wall or again surface-mounted? Answer to #14: Cables and infrastructure can be surface-mounted. Question #15: Large Venue Question - For the large Venue spaces, are the ceilings open to deck, hard lid, or drop tile ceiling? At the site walk, Larry said the district would provide all drawings, pictures and/or measurements for the large venue spaces, which might answer this question. Answer to #15: All of the large venue spaces are hard lid type ceilings. Additional documentation and pictures for each space are provided in documentation further in this addenda. Question #16: Large Venue Question - For the Large Venue locations, what ceiling types are these rooms? Would the client prefer ceiling speakers, front wall-mounted speakers, etc.? Answer to #16: All of the large venue spaces are hard lid type ceilings. Additional documentation and pictures for each space are provided in documentation further in this addenda. The district has no preference to types of speakers in these rooms but they should be specified to provide sound appropriate for the spaces they occupy. Question #17: Large Venue Question - Will the PA in the Large Venue locations only need to provide audio in those locations or will they need to tie into any other rooms/hallways or another PA system feed? Answer to #17: The PA systems installed in the large venue locations need to accept an input for paging override. Question #18: Large Venue Question - Large Venue Specs call for a half rack, Does this mean they need a half rack width or half rack height size restriction? Where will these racks be placed and what size restrictions do we have? Answer to #18: Half height racks. The placement of the racks will vary depending on the location being installed but vendor can assume a standard full depth rack will fit.
