Rehearsal to end at least 15 minutes before the end of your booking to allow time to pack up and leave the venue by the end of booking time. Manpower is compulsory. Projector rental is optional. Lighting and stage will be set as per SYF Drama presentation standards. The time required for the setup and strike will be approx.15 minutes each and it is part of the duration of booking. FAQ for SYF Drama Rehearsal 2018 Booking Processes 1) Complete the Venue Booking Request Form Singapore Youth Festival Drama Rehearsal 2018 and submit it via email to syfbooking@sota.edu.sg 2) SOTA will contact you via email on confirmation of the booking period, please provide more than one choice of preferred rehearsal slot. 3) SOTA will courier the following documents to your institution a) Letter Of Offer b) Booking Confirmation c) Production Estimate d) Terms & Conditions 4) Please return the full set of original documents stated in point 3, duly acknowledged on every page and along with a cheque or e-invoice information for full payment of the charges, to SOTA within 14 days from the date of Letter of Offer. 5) If you wish to make payment via Vendors@Gov (e-invoice), please provide the following information on return of the contract a) Department: b) Sub-business Unit: c) Attention to: 6) Do note that submission of the Venue Booking Request Form or contracts does not constitute a confirmed booking. Any booking requests not confirmed within this period will be considered void and cancelled without prior notice to the requesting institution. 7) Where are the rehearsals being held? The venue for both rehearsals and presentation is at, the SOTA Studio Theatre, School Of The Arts, 1 Zubir Said Drive, Singapore 227968 8) Where do we alight and park our vehicles? Participants can alight at the Zubir Said Drive drop-off point. Parking facilities are available at SOTA, The Cathay and POMO. There will be strictly no parking or waiting at the drop-off point. 9) Where do I report to when I arrive? Please have your representative proceed to SOTA s security office (at Fire Command Centre on level 2) and present the security staff with your school name and his/her NRIC in exchange for Backstage Passes for entry into the Studio Theatre. You may collect the passes 5 minutes before your booking timing begins. Should you require to wait for your rehearsal timing or arrival of your transportation, you may do so at the foyer of the Studio Theatre. 10) How many backstage passes am I entitled to? Each booking is entitled to 6 backstage passes. These passes have to be held by the adults in charge of the group. All performing students entering or leaving the venue, have to be accompanied by a passholding adult at all times. The passes must be returned to the security counter after the booking slot. There will be a charge of $50 for each pass that is damaged, misplaced or not returned by the end of the booking slot. 11) Where do I go after I have collected the backstage passes? Upon collecting your backstage passes, please proceed to the backstage entrance of the Studio Theatre, tap the backstage passes at the card reader by the backstage door for entry into the venue. Once inside the venue, the technician in-charge will advise you on rehearsal procedures. Should you require to wait for your rehearsal timing or the arrival of your transportation, you may do so at the foyer of the Studio Theatre.
12) How long am I able to rehearse? You are allowed to be in the venue for the duration of your booking however please take note that: a) Setup time of approximately 15 minutes is required and it is part of the duration of your booking. 15 minutes Setup / stage preparation* 1 hour 30 minutes Actual rehearsal 15 minutes Pack up / clearing of stage *No participant will be allowed on stage during this period. Technicians will inform you once the stage is ready for use. Setup timing may vary according to different group s requirements. Eg. Block A booking: 9.00am 11.00am 9.00am 9.15am: Setup / stage preparation* 9.15am 10.45am: Actual rehearsal 10.45am 11.00am: Pack up / clearing of stage *No participant will be allowed on stage during this period. Technicians will inform you once the stage is ready for use. Setup timing may vary according to different group s requirements. b) Please ensure that your rehearsal ends at least 15 minutes before the end of your booking, for your group to organize yourselves, pack up and leave the hall within the duration of booking. A last 5-minute signal by the technician in-charge will be provided nearing the end of last 15 minutes of your booking, thereafter we will proceed to black out the stage lights to stop any further rehearsal. We have other hirers taking over the venue after your blocked booking, and will require you to leave the venue punctually. Do note that your group will be charged accordingly for overstaying in the venue beyond your booking duration. Your kind understanding and co-operation in making this rehearsal an effective and fuss-free experience is greatly appreciated. 13) Is setup and strike time part of the duration of booking? Yes, setup and strike time is part of the duration of your booking. You are allowed to enter the venue from the exact start time of the duration of your booking however to take that setup time of approximately 15 minutes is required and it is part of the duration of your booking. Kindly refer to point no. 12 for detailed breakdown of the allocated timing. We seek your cooperation to ensure that your rehearsal ends at least 15 minutes before the end of your booking, for your group to organize yourselves, pack up and leave the hall within the duration of booking. 14) What are the hall settings for my rehearsal? All settings will be preset to the SYF Competition standards as sanctioned by the CCA Branch from the Ministry of Education; requests for adjustments to predetermined settings will not be allowed. 15) Are we allowed to consume food and beverages in the venue? Only bottled water is to allowed to be brought into the venue, please check with the technician in-charge, on the designated areas for consumption. Please ensure that all wastes are disposed off in the proper litter receptacles. 16) Proper etiquette in the venue Do note that all participants are expected to uphold the strictest behavior in professional ethics. Any persons found failing to comply will be asked to leave the venue. Any damages found will have to be reinstated and the costs will be charged accordingly to the hirer. SOTA reserves the rights, with immediate effect, to cancel any rehearsal, without refund, if any person/s is deemed to be in breach of it s policies and procedures. 17) Are we allowed to invite guests to view the rehearsals? No guests are permitted to enter the venue. Only accompanying staff from your school and the performing students are allowed entry. 18) Is there a dress code for rehearsals? Warm clothing is recommended, as the venue tends to get cold. We strongly advise that covered footwear be worn at all times. 19) Are we allowed to share a block with another school?
