Managing References using EndNote Online Management The online version of EndNote is a very useful tool for keeping track of references in support of academic research and writing activities. Success in using EndNote relies on a sound knowledge of the principles and practice of referencing and attention to detail in creating and maintaining the quality of your data. Internet Explorer is the recommended browser. 1. Creating an EndNote online Library Task 1: Connect to Web of Science 1. Using Internet Explorer find the Library website: http://www.bath.ac.uk/library 2. In the catalogue search box, type in Web of Science. 3. Open the Web of Science database by clicking View Online under the record entry. Task 2: Register with Web of Science 1. Click the Register link under Customize your experience on the bottom right of the screen: 2. Enter your University of Bath email address. 3. Click Continue. 4. Complete the form and submit changes to return to the Web of Science homepage. 5. When signed in you can link to EndNote under My Tools drop-down menu. 6. Read and agree to terms use of use to complete registration. 7. To access EndNote online in the future: Log in at http://www.myendnoteweb.com Sign in to Web of Science and click the My Tools/EndNote link 2. Collecting references Your EndNote online Library is made up of individual records of the papers, books and other sources that you gather in your study and to which you may wish to refer in your academic or professional writing. There are three ways to add references to your EndNote online Library. You can manually type in data; some databases allow you to export references in a special file format for import into EndNote; others, such as Web of Science, provide a button or link to directly transfer references into your EndNote online Library. Note: use the navigation within EndNote and not the browser back button. Task 1: Try out a Web of Science (WoS) transfer 1. Connect to WoS and sign in using your email & password (see Step 1). 2. Search using topic keywords e.g. change management. 3. Select references to transfer (tick boxes next to chosen records).

4. Click the Save to drop-down menu & select Save to EndNote online 5. At the prompt click send. EN will appear next to the records you have exported. 6. In EndNote you will see your references under My References > [unfiled]. Task 2: Add references manually 1. Go to http://www.myendnoteweb.com 2. Click the Collect tab. 3. Click New Reference. 4. Select Book from the Reference Type (drop-down list). 5. Fill the relevant fields using the details from the following box and click Save when finished. o Authors: Kotler, Philip and Armstrong, Gary o Year: 2010 o Title: Principles of marketing o Edition: 13 th Global Edition o Publisher: Pearson o Place of publication: London 6. See My References > [unfiled] to view the records you have added. Task 3: Managing and editing references 1. Click on [Unfiled] references under My References on the left hand side of the screen. 2. Select some references from your EndNote online Library, using the tick boxes. 3. Click the Add to group drop-down list, select New group and give it a name e.g. Test. 4. Click OK and the references will move to your test folder under Groups. 5. To edit the information in a Bibliographic Field click on the title to open the record in full and then click on the text you want to edit, e.g. to edit Place Published: click on London. Task 4: Export from the Library catalogue into Endnote online 1. Open the Library homepage and enter a search term into the Catalogue search box. 2. Select an item from the results that are returned and click on the (pink text) Description link. 3. Click on the Actions drop-down list to the right of the displayed description. 4. Chose EndNote from the listed options. 5. If you are not logged in to EndNote a dialogue box should open asking you for your email address and password. Enter your details. 6. The reference will be imported into EndNote online. Check the details are added correctly. (Sometimes the place of publication appears twice!) 7. Select My references and, if you wish, add it to a group (e.g. Test) within your library. Task 5: Run a Google Scholar search 1. Open a new web browser window. Find and open Google Scholar. You will find it listed on the Resources for Management web page (http://www.bath.ac.uk/library/subjects/management/) and on the Library catalogue. 2. Click on in the top left and then choose settings. Select Endnote in the Bibliography manager and save your settings.

3. Run a simple search e.g. credit derivatives. 4. Select a paper that you want to save for EndNote. 5. Right click Import into EndNote below your chosen reference and choose to save the file (target/link) somewhere you can find it easily e.g. on the desktop. 6. Open your EndNote online Library. 7. Click the Collect tab then Import References and use Choose File to locate the saved file. 8. Select EndNote Import from the Import Option drop-down list. If missing, find this by clicking Select Favourites. 9. Choose the group that you want the reference will belong to. Click the Import button. 10. View the imported records in My References in the group in which you saved them. Task 6: Downloading and importing references from Business Source Complete (EBSCO) 1. Open a new web browser window. 2. On the Management Resources webpage click on the link for Business Source Complete. 3. Run a search, e.g. type in buy one get one free and click Search. 4. Mark a few results for exporting by clicking on the folder icon to the right of each result. 5. Open the folder view at the top of the page, tick select all and click on export. 6. Make sure the export option is set to Direct Export to EndNote Web. 7. Click Save. EndNote opens automatically and inserts the reference into your [unfiled] library of references. 8. In EndNote click on My References and then select unfiled to view the references. 3. Creating a reference list Once your references are stored you can easily create a correctly formatted reference list. 1. Chose format from the menu. 2. In the drop down box next to references select the library of references you want to format. 3. The first time you use bibliographic style you will need to opt to select favorites. 4. Choose the style you want e.g. Harvard Bath and copy to favorites. 5. Now you can select Harvard Bath from your list of favorites. 6. Select the file format you want (text or rich text is best) and then preview & print to cut and paste into your Word document or save the file.

4. Cite While You Write (CWYW) in Microsoft Word 2016 If you want to use the more advanced features of EndNote you can opt to use the CWYW toolbar to insert citations and references directly into your document. EndNote X8 is installed on all BUCS public access computers. If the tab is not available on the ribbon in Word, EndNote CWYW needs to be installed. On a personally owned computer or laptop, the plug-in can be installed by anyone with an EndNote online account. Go to the Downloads tab and then Download installer for your operating system. Task 1: Display the EndNote Web toolbar in Word 2016 1. Open Word 2016. 2. Click the EndNote X8 tab. 3. Click Preferences on the toolbar 4. In the Preferences box, click Application. 5. Select EndNote online from the drop-down list. 6. Enter your EndNote online/web of Science account email and password (the one you registered and with which you signed into the service). 7. Tick the box to remember your preferences i.e. username and password. 8. Click OK. The EndNote online toolbar appears. The toolbar is now labelled EndNote (NOT EndNote X8 ) as shown below: Task 2: Inserting references/citations: an example 1. Type the following paragraph into Word (NB it is a direct quote from the Kotler book): Creating customer value and satisfaction is at the very heart of modern marketing thinking and practice. 2. Click the Go To EndNote Online button on the CWYW toolbar (in Word). 3. From within your EndNote online Library decide which reference to insert. 4. Go back to Word. Click Insert Citations on the toolbar. 5. Search for the reference using keywords e.g. the surname of the author (for the inserted paragraph search for Principles of Marketing Kotler ). 6. Select the reference and then click Insert. Important: as this is a direct quote you will need to add the page number to your citation in the text as EndNote does not do this part for you! Task 3: Formatting reference/citation style 1. Use the Style drop-down list to select your preferred citation style e.g. Harvard (Bath), APA, etc. 2. The style should change automatically on selection. 3. You may need to use the Select Another Style option to pick your style from the A-Z list if not listed. 4. Try selecting the Harvard (Bath) style to view your references in an annotated format. 5. Try switching to another style (e.g. APA 6th) to see how it compares.

Task 4: Formatting reference list 1. Click the small arrow next to Bibliography on the ribbon to open the Bibliography formatting box: 2. Click the Layout tab. 3. Type in a Bibliography title: e.g. References. 4. Click the Text Format button for options to set the text font and style. 5. Click OK when finished. You could also insert a page break before this inserted heading so the reference list always starts on a new page at the end of your document. If you want to do this, position the cursor ahead of your References section. Click the Insert tab and then the Page Break option on the ribbon. TOP TIPS! Not connected to EndNote whilst trying to Cite While You Write? Got this error message? Check you have entered your username and password for EndNote correctly. Click Preferences on the CWYW EndNote toolbar in Word and check the Applications settings. If your details are missing, re-enter them and ensure you tick the box below to remember your preferences. If your details are there, try re-entering your password and check your email is correct. Warning! When importing from databases, or other electronic sources, make sure that you capture all the required elements for your references (all the important fields) and that information is located in the correct fields. This will help ensure that citations and references will be complete and correct in your written work. You must edit references in Endnote Online to ensure that changes are updated in your document. If you spot a mistake, you cannot manually edit your references in Microsoft Word, unless you have taken the step of converting your citations and references to plain text. Do not do not convert your references if there is a possibility that you still need to edit your work.
