EVENT MANAGEMENT ROLES PRESENTATION MANAGER The Presentation Manager will lead and manage the Sport Presentation team at an assigned sport and ensure a successful delivery of the Sport Presentation program. Lead and manage the Sport Presentation team all technical operators, stage managers, talent and volunteers Direct/cue the technical operators, stage management team and announcers/talent as per the runsheet Direct/cue the Medal Ceremonies team for all Medal Ceremonies at their sport Direct/cues Athlete entrances Ensure the in- venue Sport Presentation program is running in sync with the live/non- live broadcast program Develop daily event documentation including daily runsheets (in consultation with the Competition Manager) and scripts Select music from the music database provided to tie in with the events at their sport Ensure vision content is loaded by the Vision Playback Operator and all is in order prior to the commencement of the session start Brief the Sport Presentation team prior to each session Send daily reports to the Sport Presentation Management team Main contact for Sport Competition, Venue Team and all other Functional Areas at their venue Responsible for creating atmosphere and enhancing the spectator experience inside the venue Events/show experience is essential / 3 rd year Events/Theatre students Showcalling/ Directing experience preferred Keen interest in sport Confident individual capable of managing a team / excellent team working skills Excellent organisational skills and attention to detail Excellent Initiative Ability to problem solve and make quick and effective decisions and manage multiple event activities simultaneously Strong interpersonal communication skills and the confidence to liaise with, team members, volunteers and performers Cuing and time management is a huge part of Sport Presentation, it is therefore, vital that the Presentation Managers own excellent time keeping skills Strong writing and administrative skills along with technical knowledge of computers and printers for on- site requirements including uploading data to FTP sites (clear instructions will be provided)
EVENT MANAGEMENT ROLES PRESENTATION ASSISTANT The Presentation Assistant will work very closely with the Sport Presentation Manager to manage the administrative logistics and resources for the team, as well as assist in developing the event documentation and content to deliver a successful Sport Presentation program. Collect and prepare sport specific information Works closely with the Sport Presentation Manager to develop event documentation Manage and liaise with the Sport Presentation team members and other Functional Areas on behalf of the Sport Presentation Manager (under the direction of the Sport Presentation Manager) Collect results, share relevant information with Announcer Assist the Sport Presentation Manager with directing/cueing the team Assist in managing the administrative logistics and resources for the Sport Presentation team (briefings and all information will be provided) Events/show experience is essential Confident individual capable of managing a team / excellent team working skills Excellent organisational skills Excellent Initiative Ability to problem solve and make quick and effective decisions and manage multiple event activities simultaneously Strong interpersonal communication skills and the confidence to liaise with, team members, volunteers and performers Attention to detail Time management is a huge part of Sport Presentation, it is therefore, vital that the Presentation Assistants own excellent time keeping skills Strong writing and administrative skills along with technical knowledge of computers and printers for on- site requirements including uploading data to FTP sites (clear instructions will be provided)
EVENT MANAGEMENT ROLES STAGE MANAGER The Stage Manager will work closely with the Sport Presentation team to manage and ensure the successful delivery of all activities around the field of play, including but not limited to; athlete entry, live entertainment and crowd interaction segments. Responsible for executing Sport Presentation activities around the field of play and in the seating stands, as directed by the Sport Presentation Manager. Activities may include; live presenter segments, crowd interactive segments, working with talent, VIP, athletes, etc Cue athlete entries - following cues given by the Sport Presentation Manager Events/show experience is essential / 1 st 3 rd year Events/Theatre studies/stage Management students Excellent team working skills Excellent organisational skills Excellent Initiative Ability to problem solve and make quick and effective decisions and manage multiple event activities simultaneously Very strong interpersonal communication skills and the confidence to liaise with, team members, Volunteers, performers and athletes Attention to detail Time management is a huge part of Sport Presentation, it is therefore, vital that the Stage Managers own excellent time keeping skills
PRESENTING ROLES ANNOUNCER The Announcer is the main contact the spectators have with each sport, they will educate, instruct and excite the audience. They will work closely with the Sport Presentation Manager to deliver generic Games wide announcements, sport specific announcements, athlete introductions, medal ceremonies announcements, live to the in- venue spectators. Main contact spectators have with each sport for the duration of the competition Educate, instruct and excite the audience Work with the Presentation Manager in developing detailed scripts Pace the competition through its various stages including athlete introductions, warm ups, competition progress, results etc. All public and Competition announcements Scripts will be pre- produced and provided to the Announcers, however they will need to research information on upcoming events, athletes to watch, finalists, etc at their sport and update scripts on a daily basis Public speaking / live announcing experience essential Keen interest in Sport A well spoken individual with a strong voice and clear and concise pronunciation Excellent research skills Excellent team working skills Excellent organisational skills Attention to detail Ability to read and follow scripts, however can also perform off- script if required under any circumstance, under the direction of the Sport Presentation Manager
PRESENTING ROLES PRESENTER The Presenter will perform live segments to camera to the in- venue spectators. This may involve crowd interaction, interviews with guests, fun and informative segments during pre- show, breaks during competition and post show. This will only be shown on the videoboard inside the venue and will not be broadcast on television or any other media format. The Presenter will act as the face of event for the spectators, representing the Commonwealth Games, Glasgow 2014 to the world. Interact on a live Level with spectators Encourage spectator participation through- out competition Perform on the field of play and in the seating stands amongst the crowd Educate, instruct and excite the audience Work with the Presentation Manager in developing detailed scripts Work closely with the stage management team and camera operator to deliver successful live segments to the videoboard inside the venue Scripts will be pre- produced and provided to the Presenters, however they will need to research information on upcoming events, athletes to watch, finalists, etc at their sport and update scripts on a daily basis Live presenting and interviewing experience essential Interest/experience in Sport is advantageous Ability to perform live to camera and adlib when required Ability to interact in a professional and presentable manner with spectators, VIPs, and athletes Bright, upbeat personality and willing to have some fun with the crowd Presentable and well- kept appearance A personable and approachable individual with excellent people skills A well spoken individual with a strong voice and clear and concise pronunciation Excellent research skills Excellent team working skills Excellent organisational skills Attention to detail Ability to read and follow scripts, however can also perform off- script if required under any circumstance, under the direction of the Sport Presentation Manager
TECHNICAL ROLES AUDIO OPERATOR The Audio Operators main responsibility will be to operate the Audio mixing console that will receive the various Sport Presentation audio feeds to send out to the venue PA system and to the Broadcast truck outside the venue for Medal Ceremonies. They will also assist the experienced Audio technician team to troubleshoot any unexpected issues with the equipment at their assigned venue. Operate the Sport Presentation audio mixing console - controlling all audio feeds for Sport Presentation Monitor audio levels and maintain audio quality. The levels will be initially set up with an experienced technician, however the Audio Operator, in conjunction with the Presentation Manager, will need to maintain the levels for the remainder of competition Support the Presentation Manager in regards to Audio requirements Takes cues from the Sport Presentation Manager An experienced technician will be on- call to troubleshoot unexpected technical/equipment issues, however, the Audio Operator may need to assist the experienced technician to resolve any issues Audio Production studies essential Operation of a mixing console essential Knowledge and confidence to manage audio levels around the venue Experience of show condition, use of communications and their protocols is advantageous Excellent organisational skills and attention to detail Excellent Initiative Ability to manage unexpected issues effectively and respond calmly to instructions
TECHNICAL ROLES AUDIO ASSISTANT The Audio Assistants key responsibility will be to operate the Audio playback device, including playback national anthems for the Medal Ceremonies. They will work closely with the Sport Presentation Manager to develop the daily music program for each day of competition at their assigned sport. Operate the audio playback device - including playback of national anthems for the Medal Ceremonies, music tracks for athlete introductions and key sporting moments, and music tracks for pre- show and post- show periods, etc Takes cues from the Sport Presentation Manager Work closely with the Sport Presentation Manager to select and program the music tracks and playlists to be used for each competition session at their assigned sport Assist the Audio Operator Audio Production / Music Production studies essential Operation of a music playback device / program essential example playback device; Soundboard (a music playback program) operated using a laptop Knowledge and confidence to select the right tracks to be played, as directed by the Sport Presentation Manager Experience of show condition, use of communications and their protocols is advantageous Excellent attention to detail
TECHNICAL ROLES COMMUNICATIONS OPERATOR The Communication Operators key responsibility will be to manage the distribution and collection of 2- way radios to the Sport Presentation team, and ensure the team can communicate effectively for the entire duration of competition at their assigned sport. It is crucial that the radios inventory is exceptionally managed on a daily basis, otherwise missing radios or equipment issues can impact on the delivery of the Sport Presentation program. Manage distribution and collection of 2- way radios for the Sport Presentation team Liaise with and assist the experienced roving Communications technicians team to troubleshoot and manage the sport Presentation Communications system within a venue (the Communications system will be set up by an experienced team) Assist the Audio Operator and Audio Assistant Audio/Sound Production studies essential Experience of setting up and managing wired and wireless communication is advantageous Good organisational skills Ability to manage unexpected issues effectively and respond calmly to instructions
TECHNICAL ROLES CAMERA OPERATOR The Camera Operator will work closely with the Presenter and Stage Management team to deliver live Sport Presentation segments around the field of play and in the seating stands. The operator must have the ability to operate a broadcast quality camera and line up good, clean shots that will be sent to the Videoboard inside the venue. Operate the Sport Presentation camera (Broadcast quality camera) to take a live feed from live segments to the videoboard inside the venue. Cameras may be cabled cameras or roving RF link cameras. Work closely with a live presenter and stage manager Take cues from the Video Desk Operator and/or Sport Presentation Manager Liaise with experienced camera technicians to troubleshoot any equipment issues Camera operation and Camera Production studies essential Ability to work with a crowd and line up good, clean shots that will be sent to the Videoboard Ability to think quick and set up segments with the team in unplanned situations Ability to manage unexpected issues effectively and respond calmly to instructions
TECHNICAL ROLES VIDEO DESK OPERATOR The Video Desk Operators will be responsible for switching between the numerous vision feeds and sending the output to the videoboard inside the venue. They will also assist the experienced Video technician team to troubleshoot any unexpected issues with the equipment at their assigned venue. Operate the video desk console - switching between the numerous vision feeds going live to the Videoboard, as directed by the Sport Presentation Manager Assist the Sport Presentation Manager with cues to the Camera Operator Take cues from Sport Presentation Manager An experienced technician will be on- call to troubleshoot unexpected technical/equipment issues, however, the Video Desk Operator may need to assist the experienced technician to resolve any issues (the Video Desk console will be set up by an experienced team) Video Production studies essential Operation of a video mixing console essential Knowledge and confidence to manage switching between vision feeds is essential Excellent organisational skills and attention to detail Excellent Initiative Ability to manage unexpected issues effectively and respond calmly to instructions
TECHNICAL ROLES VIDEO PLAYBACK OPERATOR The Video Playback Operator will be responsible to program the vision content into show order on the playback device that will be provided. They will work closely with the Sport Presentation Manager to review the daily runsheet and select and programme the content as it will be played throughout their sport competition session. The Video Playback Operator will also assist the Sport Presentation Manager in downloading vision and graphic content updates that may be developed during the Games period. Operate the video playback device - sending vision content (video packages and graphics) to the video desk console to be sent to the videoboard Have the ability to use the software (software to be confirmed) and program the show by ordering the vision content as per the Sport Presentation Runsheet, in conjunction with the Sport Presentation Manager Assist the Sport Presentation Manager to download updated content via FTP Take cues from the Sport Presentation Manager Assist the Video Desk Operator Video Production studies essential Knowledge and confidence to select the right vision content to be played, as directed by the Sport Presentation Manager Apple Mac proficient/user preferred Excellent attention to detail
