Orlando Fringe 2016 Artist Application Fringe-Managed Venues General Guidelines ORLANDO FRINGE RETURNS 100% OF TICKET REVENUE TO THE ARTISTS; UNJURIED: PARTICIPANTS ARE SELECTED THEOUGH A LIVE LOTTERY; UNSCENSORED: ARTISTS CONTROL 100%OF THEIR CONTENT. The 25 th Annual Orlando International Fringe Theatre Festival takes place May 18 May 30, 2016. Tech rehearsals begin May 14 th for local artists and May 16 th for National and International Artists. Applicants must be conflict-free during those dates to apply. No schedule accommodations are guaranteed. If you are selected in the lottery for participation, Orlando Fringe will provide you with your show schedule by no later than March 18, 2016. Each group will receive a variety of show times, including peak and off-peak times. Fringe makes no scheduling accommodations for artists doing multiple shows. It is important that your company is available during the operating hours of Fringe without conflicts. Weekday performances will begin as early as 5:00 PM or as late as Midnight. Weekend performances will begin as early as 11 AM or as late as Midnight. YOU MAY ONLY APPLY AS A PRODUCER OR PRODUCING COMPANY FOR ONE SHOW. i.e., you may only submit ONE show; you cannot produce a show under your name and another under your company name. Each application must have a different Company Name and main point of contact to be considered. Artists are permitted to participate in multiple projects. There is a $25 non-refundable application fee to apply. Be aware of the deadlines; they are absolute; all deadlines are receipt deadlines. The ENTIRE application must be filled out in full to be considered for the Lottery. Orlando Fringe artists picked for the Festival are determined by a fair and random Lottery. Under no circumstances may any group sell their Orlando Fringe slot. We maintain a waitlist to fill empty slots. The waitlist order is determined by order drawn in original lottery; number/ranking on the waitlist is assigned in the order placed on waitlist. You may withdraw from the waitlist at any time you will not be refunded your $25 application fee. Groups may NOT increase their show length/running times. Shows cannot exceed 60 or 90 minutes, depending on Tier the time you have listed on this application is the MAXIMUM time allowed for your show. Artist groups are responsible for securing all rights, royalties, copyrights, and union waivers for published works or Equity actors. Groups are responsible for proving a copy of these rights and royalties no later than March 1 nd, 2016 to producer@orlandofringe.org Failure to secure rights is grounds for removal of your show from the Festival. Orlando Fringe holds a certificate from BMI. Any show that has any published music must pay a $25 licensing fee to Orlando Fringe. No group should pay for additional licensing from BMI. This includes any music used as house music or performed live or via vocal tracks, CD s, background music, etc. You must indicate on application if your show includes published music. Orlando Fringe guarantees FREE billeting (housing) for all National and International Artists, up to 4 members per company. Orlando Fringe will try to accommodate larger groups, but housing is not guaranteed. 1

First time local groups are required to have representation at the 2016 Artist Conference to be a part of Fringe. Veteran groups are also encouraged to attend. We will discuss policies and procedures, particularly changes from the previous year. The artist conference will be scheduled in January 2016. National/International Groups will receive a 30-minute phone conference with the Festival Producer in January 2016 to serve as their Artist Conference. Orlando Fringe logo must be present on all posters, handbills, and programs for each group. 10% of available seats for each ticketed show are held to accommodate artist comps and Orlando Fringe pass holders/volunteers. 90% of tickets will be on sale until doors for each performance. For example, in a 100 seat venue 90 tickets sold is the maximum possible and is considered a sellout. The maximum ticket price for each show is $11.00; Groups may choose a $2.00 discount on tickets. Regardless of set price, all tickets purchased using an Orlando Fringe multi-pass will be reimbursed for $9.00 There is a $1.00 - $1.47 surcharge on every ticket sold. This money pays for the ticketing system. This fee is paid directly by the ticket purchaser, and goes directly to an outside ticketing company. Orlando Fringe takes no money from tickets sales, and returns 100% to the Artists. International artists are responsible for securing their own Visa to enter the United States. More information can be found at www.travel.state.gov. All 2016 artists will be sent an artist handbook after the lottery. This will include disbursement /payment forms, tech forms, deadline information, and any FAQs pertaining to participation in the 2016 Festival. Artists who come off the waitlist will receive the handbook after they come off the waitlist. The final deadline for all applications is 5:00 PM EST on Monday, November 16, 2015 to be considered for the lottery. This is absolute. Any application received after that will be placed at the bottom of the waitlist. Confirmations of application receipt are sent via e-mail notification from the Orlando Fringe office. If confirmation is not received within 48 hours of delivery, please contact producer@orlandofringe.org (technology is not always reliable). If you have questions about the application process, contact producer@orlandofringe.org. UNDERSTANDING THE LOTTERY You are applying to be a part of the 2016 Fringe and are choosing your VENUE TIER. Tiers are further defined later and are based on seating capacity of the venues. ALL applicants will be entered into a TIER lottery, with adherence to the following geographically tiered quotas: o 50% of the slots are reserved for local companies (companies within Central Florida) o 25% for national (companies applying from outside Central Florida, but within the US) o 25% for international (outside the United States). The lottery is scheduled for Monday, November 30th, 2015, 6 PM at the Fringe Offices at the Lowndes Shakespeare Center. It is open to the public; results will stream in real time on Twitter and Facebook. Fringe staff will make every effort to accommodate as many groups as possible into the Festival. Applicants are first drawn in association with their geographical area for each Tier, until quota is reached or there are no more applications. 2

Where you are selected in the lottery, along with your venue preference, run time, technical requirements, and venue restrictions will all be factored into your venue placement. If you do not wish to be placed in a specific venue, then you may state that on your application, and you will not be considered for that venue. Be aware that if you are drawn late in the tier lottery, this could push you to the wait list. UNDERSTANDING TECHNICAL ACCOMMODATIONS You will receive a comprehensive tech for in your artist handbook. It must be completely filled out and returned no later than March 1, 2016. Any Tech form received after March 1 will be charged a $25 late-fee. Each group will be given a limited amount of storage (varies on venue), a technical rehearsal, and a 10-20 minute load-in, and 10 minute load-out time for each show. All shows 60 minutes or less will receive a 3-hour tech rehearsal. If your show is 65-75 minutes, your tech time will be 4 hours. 80-90 minute shows will receive a 5 hour tech time. Additional Tech time may be purchased, at a rate of $50 an hour and is subject to availability. Tech rehearsals will be sent to you at the time you receive your schedule for the Festival. Keep in mind that Fringe does not provide any sets, props, or equipment for your show. You may contact Fringe s TD should you wish to rent any props or costumes from The Orlando REP or Orlando Shakespeare Theatre. The following are not allowed in most venues: fog, smoking, open flame, guns firing on stage or any substance that is not approved by Fringe TD (i.e. - stage blood, bubble machines, paint, etc.). If your show does require any of the above listed items, contact the TD as soon as possible. UNDERSTANDING PAYMENT Your $25 non-refundable application fee is due upon submission of your application. You will be ineligible for the lottery without this payment. It is not refundable under any circumstances. After you complete your application, you will have the option to pay your application fee via PayPal; if you prefer to hand deliver this fee, please contact the Fringe Offices at 407-648-0077 to schedule a time. You may also mail a check or money order. If you are chosen in the lottery, you will be informed the following day; at that time, Fringe will begin placing artists in venues. The remaining fees (venue & length costs) are due within 72 hours after venue placement in the 2016 Festival. This includes artists coming off the waitlist. Total due will include the cost of your tier/#seats, number of performances, and performance length (if more than 60 minutes. If you do not pay the remaining balance within 72 hours of venue placement, you will automatically forfeit your space in the 2015 Festival. You will be responsible for getting the payment to us in time. Fringe accepts the following payment methods: Visa, MasterCard, Discover, American Express, Personal Check, Money Order, Cashier s Check, and Cash. You are responsible for any fees associated with your payment; Orlando Fringe will NOT reimburse you for any fees your credit card or bank charges you. Additionally, international artists are responsible for any additional fees incurred because of exchange rates. Checks/credit cards will be submitted upon receipt; a $30 fee is assessed for all returned checks. Please contact george@orlandofringe.org for transaction receipts. 3

Refunds: If you are chosen in the lottery and need to withdraw before January 1 st, 2016, you will receive 100% of your production fees back. A partial refund, minus a $200 administrative penalty, will be available to all groups who withdraw between January 1 st and February 1 st 2016. NO REFUNDS will be issued if you need to withdraw after February 1 st, unless it is due to death, health, or visa/customs issues, and will be considered on a case-by-case basis. Any refunds will be issued via check, regardless of payment type, and can take up to 10 business days to process. Disbursements are paid via check or EFT on the 2 nd Wednesday during the Festival and the Thursday following Memorial Day. Artists who are unable to be present to pick-up checks will have payment(s) mailed to them unless they have chosen EFT. Any EFT transaction fees are the responsibility of the Artist. Disbursements will NOT be issued without the following documents: 2016 Artist Payment Information (all artists), a 2016 W-9 (US citizens only), and a 2016 Direct deposit (EFT) authorization (US banks only). Artists are responsible for their own taxes. Orlando Fringe issues 1099 tax forms to each individual act/performer who is paid $600 or more during the Festival. Want BRING YOUR OWN VENUE/SITE SPECIFIC To ensure open access to all participants, Orlando Fringe allows Artists to participate as a sitespecific or BYOV show. These shows take place in a venue not managed by the Orlando Fringe. BYOV is not necessarily a theatre; it can be any location you choose that is not listed in the Orlando Fringe application. Venues have included bathrooms, cars, the green lawn, a closet, etc. Any BYOV must have Orlando Fringe approval and may require insurance or waivers. Artists are responsible for any costs associated with the BYOV of choice. If you have a show that needs an unconventional venue, or if you do not make the lottery and wish to use an offsite location for your show, please fill out a BYOV application, and contact producer@orlandofringe.org with any questions. If you are applying as a BYOV, you MUST fill out the application and pay the $200 ticketing and program listing fee. 4

Application Info Needed To save time when filling out your application online, you might want to run through this next section ahead of time. You will need to provide Show/Company Name, some Basic Contact Info, and the following information: The MAIN genre for your show: Theatre, Musical/Cabaret, Comedy, Dance, Variety, Kids/Family Any sub-genres/themes that you associate with your show: (multiple items are okay) Examples include, but not limited to: Physical Theatre, Cabaret, Burlesque, Solo-Show, Stand-up, Storytelling, Improv, Sketch, Music, Puppetry, Clown, Theatre, LGBT Theme, Performance Art, Mime, Experimental, Educational, Political, Multi-Media, Parody/Spoof, Circus, Acrobatics An accurate rating for your show: All Ages, 7 & up, 13 and up, or 18 and up Ticket Price: (maximum $11) Any groups you would like to offer a $2 Discount: Frequent choices are, Fringe artists, volunteers, students, seniors, and military, but feel free to list others (theme park employees, people with pink hair, etc.) How many in your cast / total company members: (Includes stage managers, stagehands, and any person requiring backstage access during any of your shows this is also the number of artist passes you will receive.) A brief description of your show: (30 words or less) to be used in the program and other promotional material. You can also supply a longer one (60 words) that will be used on the website and other places where more space is available. Use some tech time to participate in Free Promo Previews? All shows are guaranteed a minimum 3-hour tech rehearsal. If your show has very minimal tech that will need 2 hours or less to complete, and it is an established piece that will be ready for an audience before the Festival begins, you may opt to do a FREE PREVIEW PERFOMANCE with part of your tech rehearsal. This performance is not open to the public, only media, volunteers, artists and staff may attend. These performances usually lead to being reviewed early, and creating buzz before the Festival even starts. Using Published Music? A $25 licensing fee applies if you are using any published music in your show. This fee is non-negotiable; you WILL NOT need to pay BMI directly; Fringe holds a certificate. You will be charged the fee upon acceptance into the 2016 Festival Do you prefer a proscenium or ¾ thrust stage? Will you be using a projector? (based on venue, you may need to provide this yourself) Show Run Time: The Orlando Fringe has a strict policy regarding show length during the Festival. The running time of your show begins when the pre-show announcement ends and your first cue happens. Official Fringe time is determined by your Venue Tech s official Fringe clock. If your show goes over your allotted show time, your Venue Tech will bring up the house lights and end the show. If it happens more than once, you will be assessed a $50 fine per occurrence. Shows with running times listed at or below 60 minutes will not be charged Run Time fees. An additional Run Time Fee will apply for shows listed as 65-90 minutes. The fee is based on the actual length you decide on this application and the Venue Tier you wish to be placed in. Running time for 5

any show in a Tier III Venue is a maximum 60 minutes. Show times are listed in 5 minute increments (i.e., if your show is 63 minutes, please list as 65 minutes and pay the additional fee). Your tech rehearsal time will be determined by the length of your show. All 60 minute shows will be given 3 hours of tech time, 65-75 minute shows will have a 4-hour tech, and 80-90 minute shows will receive a 5-hour tech time. Run time will also impact your Venue placement. Fringe strongly encourages your show to be 60 minutes or less; we cannot accept any show longer than 90 minutes. Rates by Tier are as follows: Tier I: 65-75min, $200 80-90min, $400 Tier II: 65-75min, $100 80-90min, $200 Please select your running time with care. The maximum length you enter on this application is final, you may DECREASE your run time by emailing producer@orlandofringe.org before March 1st 2016. Tier Choice: (See description below) Number of Performances requested: (4 7): First Choice of Venue in Your Chosen Tier: If you have no preference, leave blank. We will do our best to accommodate these choices, particularly for those groups selected early in the lottery: Any Venues in your Tier for which you DO NOT wish to be considered: Please note, listing venues here may push you to the wait list. 6

TIERS, VENUES & SEAT CAPACITY/FEES All Fringe-managed venues are located in Loch Haven Park in the Lowndes Shakespeare Center, The Orlando Repertory Theatre, and The Orlando Museum of Art There is a Box Office in each facility a total of 3 full Box Offices that can sell buttons and tickets to all shows. Tickets are available for purchase at all Fringe Box Offices during the 14-day Festival or online at orlandofringe.org, starting April 18, 2016. When making tier choices, please know that the lottery will play a large part in which venue you are placed in, and Fringe will do its best to accommodate your requests. The Orlando Fringe is fortunate to know its venues at the time of applications. The number of seats in your venue determines, in part, what your fee will be. Fringe has a variety of venues ranging in size, seat capacity, amenities, and layout. Please note that 10% of tickets will be withheld for Artist comps, volunteers and pass holders. 90% of the total house is for sale (so a 320 seat Venue has a maximum 288 tickets for sale). TIER I The three largest Venues Orlando Fringe. Two of the venues seat 320, the third seats 250. Recommended for large productions or groups with strong, established followings. Not recommended for 1st time Orlando Fringe Artists or small productions. Shows in this Tier may have run times up to 90 minutes (additional fee applies). ORANGE VENUE: The Margeson Theater at Lowndes Shakespeare Center 320-seat, very large 3/4 thrust stage, fully equipped light & sound board, storage & dressing rooms. This is a large venue with intimate feel. SILVER VENUE: The Busch Theater at Orlando Repertory Theatre A 320-seat spacious proscenium theatre, excellent light & sound system, spacious storage and dressing rooms. Great floor for dance groups with raised stage, and high ceilings. ORANGE and SILVER pricing: 7 Performances - $1800 6 Performances - $1600 5 Performances - $1400 4 Performances - $1200 *Add $200 for 65-75 min. shows in this tier. *Add $400 for 80-90 min. shows in this tier. GOLD VENUE: The SunTrust Auditorium at The Orlando Museum of Art A 250-seat auditorium/lecture hall with a small proscenium stage, minimal lighting and good sound. There is a large dressing room backstage, and this is the only venue that has a projector and screen included. Good for solo performances and small cast shows expecting large attendance. GOLD pricing: 7 Performances - $1400 6 Performances - $1200 5 Performances - $1000 7

4 Performances - $800 *Add $200 for 65-75 min. shows in this tier. *Add $400 for 80-90 min. shows in this tier. TIER II These 5 mid-sized Venues of Orlando Fringe, range from 100-125 seats. If placed in the 125 seat Yellow Venue, there is an additional $100 fee. Recommended for veteran artists and mid-sized productions. Shows in this Tier may have run times up to 90 minutes (additional fee applies). YELLOW VENUE, The Goldman Theater at Lowndes Shakespeare Center 125 seats, beautiful proscenium with great technical amenities.
