Questions & Responses Regarding RFP #3070 Audio Video System for Stewart Auditorium Questions from Strategic Communications (SC) 1. Does JCPS have an electronic and/or hard copy drawing floor plan of the Stewart Auditorium? a. If yes, can that drawing be provided to SC by 1 June 2017 The drawing is attached. 2. Does JCPS have an equipment list of all existing equipment? a. If yes, can that equipment list be provided to SC by 1 June 2017 Answer: All existing equipment will be removed. 3. Does JCPS have an interconnect/block diagram of the existing equipment architecture? a. If yes, can that drawing be provided to SC by 1 June 2017 Answer: No, irrelevant nothing is being reused. 4. What existing equipment and features is JCPS looking to retain on the new system? Answer: See page 15 of the RFP. 5. Will SC be responsible for the removal of the existing equipment? a. If yes, will SC be responsible for the disposal of the removed equipment? Answer: See page 14 of the RFP. 6. Will JCPS have a dumpster available for the disposal of the packing/crating materials? 7. Under General Items it states the following All systems will be accessible through a single designated laptop/tablet to make adjustments to all systems. All systems shall be locked by password and unadjustable except thru the designated laptop/tablet by an authorized person a. What is the make and model of the tablet/laptop? b. What OS is on the tablet/laptop? c. Does the locked password come from the OS or from the contractor provided control software on the device? Answer: Will be what is needed by the system to operate. Password will be in the software, not the device. 8. Under General Items it states the following Existing audio press box can be re-used or replaced. It will connect to an existing in wall XLR jack a. This audio press box is not mentioned in the rest of the Specifications. Can JCPS provide more information for the function and use of the audio press box so it can be properly addressed in the design of the system? Answer: You can see it 5-30-17 at the walk thru to decide if it needs replacement. 9. Under AV Controls System it states the following Touch screen will have a 3 minute countdown timer button with a 2 minute 30 seconds soft warning and a time expired tone at 3 minutes. a. Can JCPS describe in more detail the above statement? i. Does bring up mean to make active? ii. Is this only for microphones installed on the system? iii. What does the customer mean by manually? Answer: i. No. ii. No. iii. Select as needed.
10. Under Audio/Microphones it states the following Discussion system adjustments will be controlled by a tablet/laptop provided by the owner. The system will be totally automated for hands off operation a. Is this the same tablet/laptop described under the general items section? b. What is the make and model of tablet/laptop? c. What OS is on the tablet/laptop? Answer: a. Yes. b. TBD. c. TBD. 11. Does the video switcher need any other inputs besides the (4) cameras connected? a. If so what inputs and how many? Answer: No. 12. Under General Items JCPS states the issue must be resolved quickly. What does JCPS consider quickly? 4-hour response, 2-hour response? Answer: 2-hour response. 13. Under General Items JCPS states meetings are held daily. What time are the meetings normally held? During normal duty hours (0800 1700)? 14. Is JCPS looking for a Service Level Agreement that covers the equipment 24 x 7, or just during normal duty hours? Answer: 24 x 7. 15. Under AV Control Systems is JCPS looking to have the controller (AMX or Crestron) control lighting and/or drapes? Answer: Lighting. 16. Under Audio/Microphones JCPS is requesting several pre-sets. Can an exact list of pre-sets JCPS is requiring be provide to SC by 1 June 2017? Answer: See page 15 of RFP. This question will be discussed at the pre-proposal meeting in detail. 17. Under Audio/Microphones JCPS is requesting an equipment rack can the following be answered in reference to the equipment rack? a. Does the new equipment rack need to be secured to the floor? b. Does the room the equipment rack will be installed in have a raised floor or a solid floor? i. What material is the floor made of? If raised (wood core tiles, cement core tiles), if solid (tile, wood, etc.) ii. Does JCPS want redundant power in the equipment rack? iii. Will JCPS be responsible to provide power to the equipment rack? Answer: a. Yes. b. Solid. i. Solid - tile on concrete. ii. JCPS will install power in the equipment rack. iii. Yes. See page 14 of the RFP. 18. Is the equipment rack in a separate room from the auditorium (Data Center)? a. If yes, are there cable conveyances between the two rooms This question will be discussed at the pre-proposal meeting in detail.
19. Under Warranty/Service Agreement it states that JCPS is interested in the cost of a full warranty per year after the initial one (1) year system warranty has expired. a. Is JCPS requesting 5-years of extended warranty in 1-year increments? Article II requests 5- years of annual maintenance. 20. What is the ceiling height in the Stewart Auditorium? Answer: 12-14 feet you can see it at the pre-proposal meeting 5-30-17. 21. What are the walls in the Stewart Auditorium constructed of? (Wall board, cement block, etc.) Answer: Brick you can see it at the pre-proposal meeting 5-30-17. 22. Does JCPS have a secure area to store equipment for delivery and during installation? 23. Will SC installation personnel be granted un-escorted access throughout the installation? Answer: After they have a contractor s badge. 24. Does JCPS have a current contractor providing any type of Service Level Agreement on the existing equipment? Answer: No. Questions from JAVS PAGE 15 ASSISTED LISTENING SYSTEM - Install a Hamilton Buhl ALS700 Assistive Listening system or equal that meets or exceeds the following spec. -Provide 5 or more listening units. The Hamilton Buhl ALS700 Assistive Listening System uses an RF (radio frequency) signal for transmission. Is this type of signal required or preferred within this design? Would an assistive listening system model that uses an IR (Infrared) signal be acceptable? PAGE 16 VIDEO SWITCHER -Provide enough media for the switcher to record 8 hours of 1080P video/audio using media recommended by the manufacturer of the switcher with built in recorder. By media does this specification refer to the storage capacity of the switcher? Answer: No, uses 2 SD cards for recording. Questions from Seven Outsource 1. Whether companies from Outside USA can apply for this? (Like, from India or Canada) 2. Whether we need to come over there for meetings? 3. Can we perform the tasks (related to RFP) outside USA?
(Like, from India or Canada) Answer: This RFP requires installation. How would the installation be performed in India or Canada? 4. Can we submit the proposals via email? Answer: No. The proposals must be submitted via mail or other delivery service. Questions from Guitar Center 1. It looks like you had someone come out and design the system already. Are they an AV integrator who is wanting to install the equipment? There were three vendors that reviewed the project. 2. We want to partner with a great AV company in your area that will help us provide installation and backup for the products while we provide the products at the best price and warranty. Any information would be great, we look forward to being able to partner with your school and make this happen! Answer: We can t recommend vendors. Questions from Pre-Proposal Conference 1. Do you want the control system to operate the lighting? 2. Will a diagram of the light fixtures be supplied? Answer: Lighting is not part of the RFP, however, a diagram indicating the placement of the LED fixtures is attached. 3. Will the current video projectors and screens stay? 4. Do you have an idea of the time frame for presentations? Answer: No. However, each presenter will be allowed ample time to present and discuss their proposal. 5. Will the translator/signer station stay? This question was incorrectly answered as No at the pre-proposal conference. However, after further consideration the translator/signer station will stay. 6. Are there any wiring conduit runs? Answer: Yes, in the walls and floor. 7. Will the secretary s table and PC be moved? Answer: Yes the table may be moved. The secretary uses a laptop. 8. Are all current stationary microphones going away? 9. When is the expected project completion date? Answer: July 24, 2017. However, this date will be agreed upon by the awarded proposer and JCPS IT staff. 10. What type of lighting will be used? Answer: LED lighting fixtures will be installed by JCPS.
