24th Irvine High School Jazz Festival SATURDAY, MARCH 17, 2018 Dear Jazz Band Director, READ CAREFULLY and in DETAIL. UPDATES (including school maps) will be at posted at www.vimb.info This letter represents the final info for the Irvine Jazz Festival. We have 80 groups in 6 venues, please be aware that every attempt has been made to accommodate your requests. If you have a time problem with your schedule, please contact the director that you wish to trade times with, and then notify us. I.) ARRIVAL 1.) Plan to arrive at least 1 ½ hours before your performance time. Note: Southbound traffic can be slow on Saturdays. 2) You may park your bus/cars in the front or back parking lot. 3) Directors MUST CHECK IN at the check-in table located near the school entrance. 4) Place your SCORE and COVER sheets in the envelope, TAKE it WITH you to your performance venue, give it to the stage crew (they will give it to the judges). WARM-UP 1.) Warm-up is simply one group before your performance time. See map for location. 2.) You must allow at least 5 minutes to transport your equipment, instruments, cases, personal belongings, etc., to the performance area. We will have guides there to assist you. Bring ALL items with you!! II.) PERFORMANCE / CLINIC AREA 1.) Combos 30 minutes including on stage clinic, NON Theatre venues have 35 minutes including on stage clinic. Advanced and Heavy (theater) -30 min. on stage then 30 min. clinic in our Business Lab/ IM North, Advanced HS in Gym have 45 min. 2.) There will be one solo microphone for each section (Theater, Gym and SC). We will have an acoustic piano (Theater only) or electric keyboard on stage. There will be no microphones in the combo performance areas. 3.) Novice bands PLEASE play no more than 3 charts. This gives you more clinic time. 4.) THANKS TO BERTRAND S MUSIC, EACH STAGE will have a drum kit w/hardware (no cymbals) guitar, bass and keyboard amps, and an electric keyboard (not theater) THERE WILL BE NO KITS OR AMPS IN WARM-UP. Please bring your own if you need them. With 6 venues and multiple bands from the same school, we MUST keep on time. YOU MUST USE THE KIT PROVIDED WITH YOUR OWN CYMBALS! Penaltys may be awarded as necessary. There will be vibes in the Theater, Gym, SC and HLG only. 5.) PENALTIES- there will be a 2 point deduction per minute (or portion thereof) for any group going past the 30 minutes in the THEATER. This includes set-up/tear down! We can t afford to go off schedule, please plan accordingly.

III.) GENERAL NOTES 1.) We will have a $5 admission for all non-performers, looking at the bright side, it is cheaper than a field tournament and the performance lasts longer. Such a Deal. 2.) PLEASE FILL OUT THE PDF FORM(s) SENT TO YOU (ALSO AVAILABLE ON VIMB.info) PRINT 4 COPIES, AND BRING WITH YOU, 2 FOR COMBOS. SCORE SHEETS/SEATING CHARTS MUST BE EASY TO READ! WE CANNOT MAKE A CERTIFICATE IF WE CAN T READ THE NAME. 3.) The12:30 awards and 5:30 evening Awards promise to be great! The 12:30 Awards will feature the CSULB CJO from the Bob Cole Conservatory directed by Jeff Jarvis, and the evening awards will feature the Saddleback College Big Band under the direction of Joey Sellers. 4.) For your students convenience we will have a tasty snack bar set up serving breakfast, lunch. We would appreciate your patronage, as you know this is how we make the needed funds to continue having this festival. Directors will receive a complimentary lunch in our VIP area located in the teachers lounge (upstairs in the Student Center), please join us. 5.) Please encourage your students to listen to other bands. III.) AWARDS---- Note- colors are not classification rankings they are simply a way to split divisions to allow more awards JUDGES 1.) There will be 1 st -4th place for all bands divisions, Combo division 1-5. We will also have the most outstanding soloist in each class by venue (not broken into colors). Outstanding section awards will be given where applicable. 2.) In the event of a tie, we will have the judges break it via consensus. 3.) Awards for ALL AM BANDS will be announced during the lunch concert. All other Bands/Combo awards will be announced during the evening concert at 5:30PM. Please stay for the awards if possible. The actual awards may be picked up near the check in table! 4.) We look forward to an exciting and educational day and hope all goes well for you. Please remember that your students are responsible for their own equipment. We take no responsibility for lost or stolen instruments. We will have plenty of student/parent helpers to assist you; please feel free to ask them for assistance. We pride ourselves on having true jazz educators as our adjudicators / clinicians for our festival.
