2 n ACS Press Guidelines for Book Authors Introduction Thank you for contributing to an ACS Press Book! We would like to make writing for ACS as efficient and effortless as possible for every author. A list of the requirements and explanations of deadlines that you will be asked to meet follows. contributor Requirements Final text manuscript All art and captions Word lists Key terms & tags Transfer of Copyright Agreements: Sign and return. utlines to Editors for approval First Draft to Editor(s). (ACS will review all files at this time also.) Final Draft to Editor(s). Elements that must be included with final submission include: Proper citations and references Permissions for any borrowed or adapted elements Short bio & photo (optional) Review final text after ACS copyedit, to address any queries before book pagination begins Scheduling You will receive a list of deadlines when the book contributors have been secured. It is very important to meet established deadlines so that we can schedule copyeditors, proofreaders, and other professionals needed to produce the book by the projected publication date. That said, we are flexible and will work with you if conflicts arise. Please let us know if you cannot meet a certain deadline in the key dates, so that we will be prepared to work around them. Final drafts will be reviewed by a professional copy editor. His or her job will be to make sure that the text is grammatically correct and professional, and that there is general consistency and continuity in all elements and terminology through the entire book. The copy editor will not edit the general message or contents of your writing. We will return the copyedited text to you to approve all changes and address any outstanding queries. You will have approximately 3 business days to address these changes. We will make every attempt to let you know when you can expect your files for this brief review period. At this point, your work should be just about be wrapped up. ver the next few months, ACS staff will see to these final production steps: 1. Typesetting 8. Index Typeset and approved 2. Proofreading 9. Files to printer for proof 3. Corrections Round To final print 4. Editorial & Lead Author review 11. E-book production begins 5. Corrections Round E-books proofread 6. Finals to Editor 13. E-books uploaded for sale on Apple and Amazon 7. Indexing to Begin (Updated May 17, 2013)
ACS Press Guidelines for Book Authors n 3 List of technical and Key Terms technical terms As you write your text, please create a list of the proper use of standard/scientific terms in your chapter. While we comply with the ACS Style Guide, we often encounter issues that are a matter of preference for example, prooxidant, or pro-oxidant? We will compile and supply our copyeditors and proofreaders a list of proper terms for each project to ensure consistency across chapters. Key/tag Terms Please supply 5 or 6 key terms that apply to your text that will make your individual chapter searchable on the internet and on the ACS website. (Updated May 22, 2013)
4 n ACS Press Guidelines for Book Authors MANUSCRIPT preparation General Try to convey your narrative, data, and conclusions completely, yet as concisely and simply as possible. Divide the material logically; use subheads to organize your manuscript. Code each subhead to show the level of heading importance. For example: <H1>=1st most important level <H2>=2nd most important level Please note that while we request codes to determine head hierarchy, the design of your book will not necessarily have the head levels printed in the book. Therefore, references such as See section should not be included, and may be deleted in editing. Use double-spaced, 11-point Times. Use hard returns <ENTER> only at the end of a paragraph. No extra line spaces between par. Avoid using the passive tense. Some examples: Do NT USE: It was noted. ur research has shown. Although results do not vary much, it is recommended that the operation be repeated three to five times, the ideal being six, using each of the pots once. INSTEAD USE: We noted, the researchers noted, Jones et al (1999) noted, etc. Data showed. We recommend repeating the operation three to six (ideal) times. Avoid these phrases. It is important to note As already stated It has been found that It has long been known that It is interesting to note that It is worth mentioning at this point It may be said that It was demonstrated that If the non-english language terms are in Webster s Dictionary, do not italicize. Exceptions per ACS style: do italicize other non-english language terms, including Trans, cis, P value, etc. Special characters (Symbol, greek, math, etc.) Special characters do not always transfer properly between different computer systems. Please identify greek letters, mathematical operation signs, and sub- and superscript text in case the symbol disappears from the text document in conversion. Coding Greek Characters Include both the character and write out in brackets. For example: µ [mu], Δ [Delta], δ [delta], α [alpha] etc. Exceptions per ACS Style: for omega-3 and omega-6 fatty acids, use n-3 and n-6, etc., not the Greek letter, omega.
ACS Press Guidelines for Book Authors n 5 coding subscript, Superscript and Equation characters Include both the character and write out in brackets. For example: 10 5 [superscript] or C 2 [subscript] β[greek Beta] 1 [Registered Trademark] 6 x 2 = 3[equation] [Footnote superscript] Mathematical Characters If you are using the keyboard to create <, >, =, +, -, you do not need to call them out with a code. If, however, you are using a separate font, symbols, glyphs, or ASCII code to create these or any other character, please highlight with [greater than], [less than], etc. and web addresses Type in and web addresses. Copying and pasting links will cause them to disappear when the document is typeset. FIGURE NUMBERS and captions Figures must be cited in numerical order in the text where they should appear: See Figure 6.1 Number figures with a double number consisting of the chapter as the first number, and the second number as the order in which the figure appears in the chapter. Please set art text and labels in a legible font, minimum 9 pt. type. If you are creating art larger than the width of your page, the fonts should be increased proportionally so that resizing, if necessary, will not decrease the text size to an unreadable size. Provide a figure caption and source and permissions, if necessary, for each piece of art. Tables Each table needs to be typed either in MS Excel or MS Word. Number tables with a double number consisting of the chapter number and uppercase letter, to show the order that the table appears in the chapter. (Example: Table 5-A, Table 5-B, etc.) Tables must be cited in numerical order in the text where they should appear: See Table 6-F. Provide a typed table legend indicating the table number and caption (Updated May 17, 2013)
6 n ACS Press Guidelines for Book Authors References & Citations ACs press requirements All chapters must include references. References must accurately refer to previously published work. References to peer-reviewed journals should refer to the original source of the research. Text that describes or consists of a general account of progress in a particular scientific area (that may have been carried out at a particular institution) must also accurately cite the work of the scientist(s) who proposed, initiated, developed, published, and/or patented those innovations, discoveries, and/or original studies. Authors must not claim, or appear to claim, the words and ideas of others as their own. Credit must be given to those who published the original scientific discoveries. All copyright laws must be respected. Permission must be obtained for any figure, picture, plot, graph, table, or any other element obtained from any source (including the internet) and lawfully re-published in a chapter, must clearly state Reproduced with permission. All legends will clearly credit the original source from which permission was obtained. Book editors are responsible for the quality and content of their book within the framework of rules established by ACS Press. They must ensure that all rules are strictly adhered to by all chapter contributors, including their co-editors. Any appearance of plagiarism must not be tolerated. All chapters must be peer-reviewed by an external reviewer. Chapters that are authored or co-authored by a co-editor must be reviewed and edited by another co-editor to insure that they comply with all of the above guidelines. All chapters of books with a single editor should be peer-reviewed and a summary or each chapter review process, including reviewer names, should be provided to ACS Press. input Instructions for References and Citations Avoid using references to publications older than 10 years, unless they are classic references. For all types of references, author name lists can be up to 10 names long before et al. is used. rganize your reference lists alphabetically according to the lead author s surname. In-Text Reference Citations For in-text reference citations, use the Author, Year system, for example: ne author lengthy research (Jones, 1998). Two authors... lengthy research (Jones & Altman, 1998). Three or more authors -.lengthy research (Jones et al., 1998). Internet (Author, Year) where Author can be the organization or owner of the website if no author is clear and year is the year accessed. 9 ACS Press Guidelines for Book Authors n 9 Art: Line art, photos, CHARTS, etc. Figures can consist of line art, photos, graphs, charts, or boxed text. IMPRTANT: Please D NT embed or place your art in a MS Word document or PowerPoint presentation. Please supply a separate, original file for each figure or photo. When art is embedded in a separate program, we must export it, which in essence, creates a copy of a copy it does not produce a clean, original file. It will export at a very low-resolution that will look good on the internet, but terrible in print. If you have any questions, or need help please do not hesitate to contact me: loris@aocs.org. I will be more than happy to assist you in fixing up your files if you need help, so that we end up with clear, readable images. TIPS for submitting high-quality images Submit files in.eps format if possible. Please limit art to 5 inches wide, unless it a very large piece that will run sideways on the page. Your book will be printed in black ink. All art, therefore, will be in black and white, or varying shades of gray. TIP: WE CAN ASSIST YU IN CNVERTING YUR ART T grayscale, but keep in mind that every element will convert to some shade of gray, and some may not show up as well as others (see sample below). We will try to clean this up as much as possible, in-house. light blue text will look like this when converted to gray for a black and white book light blue text The text width in your book will be approximately 5 wide. Your art will look best in print if it is created to the approximate width that it will appear in printed form. TIP: Excessive enlarging or reducing will greatly impact the quality of your figures in a negative manner. Supplying very large pieces of art will result in our reducing it to fit on the printed page. As your art shrinks, your type size will shrink also, which can result in its being very small and difficult to read. Please avoid supplying line art in a photo format. Text on such art will be pixelated and difficult to read. Photos and Screen Shots grayscale. Files should be at least 300 dpi (dots per inch) resolution. Please submit all photos and screen shots as separate.tif or high-resolution.jpg files. Files should be black and white. We will convert any color art, photos or screen shots to them to TIP: It is very important to provide hi-resolution photo files. Photos downloaded from the internet may look good on your monitor, but they do not translate well into print. PLEASE NTE that changing the number from 72 to 300 in the image size field in Photoshop or other photo manipulation program(s) DES NT increase the quality/resolution of the photos. Images downloaded from websites are only 72 dpi (not print quality) unless the images are specifically labeled as high resolution files.
10 n ACS Press Guidelines for Book Authors Permissions When you reuse tables, graphs, figures and/or significant portions of text in your chapter, a complete set of signed ACS Press Request to Reprint form(s) from publishers and/or the copyright holder of borrowed materials needs to be submitted with your chapter. An ACS Press Request to Reprint form is attached for your use. Make as many copies as needed. Material submitted without permission will be deleted. If you reuse tables, graphs, and figures that originally appeared in the ACS journals JACS, JSD, Lipids, and/or inform magazine, send your request to reuse these items directly to ACS. An ACS Permission Verification form is attached for your use. Always submit the completed form with your chapter, even if all content is original.
