5 CHANGES TO THE AUDITION PROCESS 2010 In effort to standardize the audition process across the state the following policy changes have been adopted by TMEA. AUDITION ENTRY PROCEDURES b. All contest deadlines will be 14 days prior to the day of the audition c. The late and final online entry deadline will be seven days prior to the day of the audition. d. Correction to an existing student entry may be made between 13 and 7 days prior to the contest without penalty, but a student entry added less than 14 but more then seven days prior to the contest will result in an addition 100% student late fee. e. Entries begun less than 14, but more than seven days prior to the contest, will be assessed a 50% additional campus fee charge and additional 100% student fee charge. f. A campus entry created less than fourteen days prior to the contest will be subject to the TMEA Grievance Process (THIS WILL HAPPEN AUTOMATICALLY FROM THE TMEA OFFICE WITH THE ENTRY) g. Directors will be allowed to add or change student entries the day of the audition. The 50% additional campus and 100% additional student late fees will be assessed. h. All fees must be paid or supported by a school purchase order PRIOR TO THE START OF AUDITIONS. (If fees are not paid prior to the start of audition, the student will be allowed to audition, the school billed the late fees, and the director will be subject to the TMEA grievance policy) ELECTRONIC DEVICES a. No electronic devices, including personal metronomes, may be used or accessed by a student participant until the results for the studentʼs section have been posted or announced. Failure to comply with this regulation may result in student disqualification. The Region may set up an adult monitored call station where students may access their phones in emergency situations without penalty. b. The list of non-allowable electronic devices includes, but is not limited to, phones, electronic games, computers, camera phones, and playback systems. POSTING OF RESULTS a. Results must be posted at audition site with an hour view time. b. Online posting of results can ONLY include students who make the choir and may only be listed by voice and audition number. c. Directors will only be allowed to take home 1) Results by School or, 2) Results of contest with ranks listed (Copies of detailed judging break down MAY NOT LEAVE the audition site Details of how this affects the Region V Entry Process can be found with entry procedures in this handbook.

11 APPENDIX P and APPENDIX S Both of these forms are now electronic and accessible via the Region V website at Appendix P - Parent Volunteer Form This form is to be submitted by the paperwork deadline of September 10th for Round 1 and then as soon as possible after auditions for Rounds 2 and 3. REQUIRED PARENT WORKERS Number of Entries Number of Parent Workers or more 8 You will need to press submit and then return to the form to enter each parent. Remember that parent workers are A REQUIRED PART OF YOUR ENTRY. Please be sure parents are contacted and know of the committment you are signing them up for. Double check phone numbers and to help this process run smooth. Parent workers are crucial to a smooth, fair, and positive audition for all of our students. Appendix S - Special Time Requests Because all auditions are planned for certain portions of the day, AM/PM requests are not possible. However, when legitamate, school-related connlicts arise we will work to schedule students EARLY/LATE as needed to accomodate their audition. 14 REGION V HIGH SCHOOL VOCAL DIVISION RULES AND GUIDELINES A. JURISDICTIONAL STRUCTURE OF REGIONS 1. Although geographically located in an area detined by TMEA, that state- level organization has no jurisdiction, nor do they accept responsibility for activities of regional organizations. Only activities at state level competitions fall under state TMEA rules. Regions therefore, must develop their own rules. 2. The following rules and guidelines adopted by Region V are intended to be comprehensive and adequate for the association ofticers to administer association activities. These rules supersede all previous written rules and previous customs which may have existed prior to this date. These rules will follow TMEA philosophy, thus enabling our selected students to be accepted at state conducted competitions with credibility. B. OBJECTIVES OF THIS ASSOCIATION To conduct a series of competitive events, which will provide credible and equal opportunity for students and member schools from this region. These events should lead to selection of the best available talent for progression to the state- level vocal music competitions. C. GENERAL RULES 1. RESOURCE SUPPORT REQUIREMENTS Resources are entirely secured from within Region 5 schools to conduct auditions. Auditions (4), a choir clinic and a concert will be held each academic year. 2. STUDENT REQUIREMENTS AND ELIGIBILITY Refer to click on DIVIONS & REGIONS, scroll to ALL- STATE and then to ELIGIBILITY REQUIREMENTS. In the event that a student becomes ineligible while participating in the audition process, directors are RESPONSIBLE and REQUIRED to advise the Chairperson as soon as possible. 3. REGISTRATION PROCEDURE a) Each director will register his/her students online with the necessary information required. Directors will also send a hard copy presenting the required documents and fees listed below to the region Chairperson. The package will be postmarked no later than FRIDAY, SEPTEMBER 10, 2010 for All- State Entires and Friday, October 15, 2010 for 9-10 Honor Choir Entries. All entries must be sent CERTIFIED MAIL or HAND- DELIVERED TO THE CHAIRPERSON. b)the growing size of our choral region and the time to administratively process a high volume of students requires adherence to this deadline. c) Requirements are: 1. TMEA AUDITIONS PROCESS ENTRY COVER SHEET: APPENDIX M. Complete and list voice teachers availability for judging 2. REGISTRATION FORM (done online) * Directors will attach a copy of their current TMEA membership receipt to the form, thus verifying current membership in TMEA. Directors will NOT be allowed to register students online if their membership is not current with TMEA. Register online at * Register all singers, including grade and voice part. * For Round 1, Altos and Basses will audition in the AM, Sopranos and Tenors will audition in the PM. * Print out a copy of your registered singers and include in your packet. 3. PARENT HELPERS FORM: APPENDIX P - ONLINE * Note that each school will provide at least ONE parent helper!! 4. STUDENT CERTIFICATION FORM: APPENDIX L * Note that there is one for All District/Region/Pre- Area and there is one for 9 th Grade All Region. * Each student entered in the contest will print and sign his/her name and voice part, agreeing to the terms of the contract (Adherence to Rules and Guidelines of TMEA All State Competitions). Directors will sign the document, verifying all entered students have signed the agreement. 5. SPECIAL AUDITION REQUEST FORM: APPENDIX S - ONLINE * Note that you can not do a specitic AM/PM request as at Round I all altos/basses will be AM. Soprano/Tenor will be PM. 9-10th is all AM / Round II PM. You can however do early / late requests within these blocks for valid school contlicts.

15 6. FEES * Fees, as set by the Region, will be included with the registration package. Late fees and penalties have been set by the state and can be found with entry procedures in the region handbook. ONE CHECK will be made payable to TMEA REGION V VOCAL DIVISION. * Fees are paid only for primary registrants. In the event that fees are not available at the registration deadline, they must be presented before the director s meeting the morning of the 1 st audition with a school check OR a copy of the purchase order for student fees. ALL FEES INCLUDING LATE PENALTIES MUST BE PAID AT THIS TIME. FAILURE TO DO SO WILL RESULT IN INITIATION OF THE TMEA GRIEVANCE PROCESS. 4. NO LIMITATION OF REGISTRANTS a) In Round 1, teachers may enter as many PREPARED students as they wish. Make sure all students exhibit maximum mastery of audition literature at the campus level prior to the District audition (Round I). b) The 9/10 th Grade Region Mixed Choir also allows unlimited entries on all voice parts. Any 9/10 th grade student who is not selected for advancement from Round I may audition for the 9/10 th Grade Region Mixed Choir. (This audition is on October 30 th, 2010) 5. AUDITION PROCEDURES 1. General Rules a) No electronic devices, including personal metronomes, may be used or accessed by a student participant until the results for the student s section have been posted or announced. Failure to comply with this regulation may result in student disqualitication. The list of non- allowable electronic devices includes, but is not limited to phones, electronic games, computers, cameras and playback systems. A station will be set- up at auditions where students may, under adult supervision, use cell phones in an emergency situation to contact parents. b) Students will wear their assigned numbered name tag for identitication at all times and will not exchange numbered name tags with anyone c) Students will not be permitted to rehearse the cuts after the pre- sutiion meeting and warm- up period 2. Procedure a) Audition will be performed as a solo with the All- State CD accompaniment b) Students are required to learn ALL audition pieces in the entirety. At the audition only part of each selection will be sung. This is known as a CUT. CUTS, known only to the Chairperson, will be made available to all participating schools no later than 48 hours prior to the District Audition and 9-10th Honor Choir Audition. CUTS for Rounds 2,3, and 4 will be given to the singers at registration for these rounds. c) After registering at an audition, a pre- audition group meeting will be held. At this meeting audition rules will be reviewed, the singers will be warmed- up vocally and all singers will sing through the CUTS CD to ensure understanding of assigned CUTS. All students must be present for the pre- audition group meeting and CUTS rehearsal in order to audition. d) Screens will be used at all auditions. e) In the First All State Audition, if a section exceeds 75 singers, the section will be split into 2 equal audition room. If a section exceeds 120 singers, the section will be split into 3 equal audition rooms. The top- ranked 36 singers from each voice part will be selected. In the case of a split room, an equal number of singers will be selected from each room. (2 room split=18 per room, 3 room split=12 per room) 5. USE OF ALTERNATES * No alternates are chosen at Round I. * Alternates will be used at Round III and/or 9/10th Clinic if: 1) A selected primary student becomes ineligible. 2) A selected primary student becomes ill and unable to attend. 3) A selected primary student gives notice to his/her director that he/she does not intend to participate. 4) A selected primary student fails to show for the scheduled audition. 5) Other circumstances evaluated by the Chairperson as valid and fair to others.

16 6. NOTIFICATION OF ALTERNATES: RESPONSIBILITY & PROCEDURE * For the 3 rd audition (Pre Area): a) Directors will notify the Chairperson of a primary selected student who will not audition. After being notitied, the Chairperson will notify the alternate or succeeding alternates. b) All alternates will be present at the PRE- AREA audition group meeting. Until all participants are accounted for, the alternates will remain at the audition site. c) Should the prescribed number of audition candidates change from the set numbers printed in Section IV, A; all directors with audition candidates shall be notitied prior to the audition. Information will also be included in a Tinal or mailing. This only applies to the second and third auditions (Region and Pre- Area). * For 9th/10th Region Choir and District Choir a) Directors should notify the Vocal Chair if a selected student will not participate in the 9th/10th Honor Choir or District Choir Clinic and Concert. After being notitied, the Chair- Elect will notify the alternate or succeeding alternates. 7. EXTENUATING CIRCUMSTANCES a) Students who do not participate in the 2 nd audition (Region) because of (1) a death in the family, or (2) inclement weather, prohibiting transportation will be allowed to maintain membership in the District Choir. This is contingent upon certitication by the student s director that the student is well prepared to sing the District Choir repertoire (1 st and 2 nd round audition material). b)students who do not participate in the second audition because of ineligibility will forfeit membership and all performing privileges with the District Choir c)alternates: Region Choir alternates will perform with the Region Choir at the Clinic/Concert in November. d)a student who has been certitied on the music in the FIRST ROUND; auditions in the second round with VOCAL LIMITATIONS due to a medical (physical) condition affecting the total quality of the student audition score ; must sing the second audition material to the best of his/her ability for certitication purposes only. 8). SCHEDULING OF QUALIFIED JUDGES a) Region V directors will serve on a Tive- member judging panel. Judges must be present for the judging workshop following the pre- audition director s meeting in order to judge in the Tirst audition. In the event that additional judges are necessary, members of Region V s judging pool (as submitted by Region V directors) will be secured. These judges will be paid $75 for Round I and $50 for all subsequent auditions. b) If any section exceeds 75 singers at the time of registration, that section will split into 2 equal audition rooms to be judged by 2 separate 5 member judging panels. If any section exceeds 120 singers at the time of registration, that section will split into 3 equal audition rooms and will be judged by 3 separate 5 member judging panels. Audition numbers will be generated at random by a computer selection process. Room assignments will therefore be made as a result of this computer generated data. As each room completes the scoring process, the computer will rank each singer and determine the following data. (2 room split=18 per room/ 3 room split=12 per room) ROUND II: 16+2 SOPRANO I 16+2 TENOR I 16+2 SOPRANO II 16+2 TENOR II 16+2 ALTO I 16+2 BASS I 16+2 ALTO II 16+2 BASS II *16 singers plus 2 alternates in each voice part advance to the pre- Area audition. *16 singers plus 2 alternates sing as the REGION CHOIR *Chairs are considered the DISTRICT CHOIR Each All- District Choir member must score at least 16% of the possible total score for this audition. Any student awarded less than the required 16%, whose teacher has established with the Chairperson that the candidate has a medical reason that is causing extreme limitations, may be considered for advancement. Students without a medical limitation who score below the required 16% will not qualify for the All District Choir. *Chairs will be named as alternates to the DISTRICT CHOIR and will be called if a selected student is unable to participate in the clinic / concert.

17 *Any 9th- 10th Grade Student not receiving a place in the DISTRICT CHOIR (Charis 28-36) will be automatically granted a place in the 9/10th Grade Honor Choir. Directors should notify the Region Chair following the Round II audition if the students will be accepting these positions. PRE- AREA: 5+2 SOPRANO I 5+2 TENOR I 5+2 SOPRANO II 5+2 TENOR II 5+2 ALTO I 5+2 BASS I 5+2 ALTO II 5+2 BASS II *5 singers plus 2 alternates are expected to attend the Area audition in Midland on Saturday, January 8, Region 5 will compete with 3 other regions for seats in the All State Mixed (chairs 1-4), Treble (chairs 5-10) and Tenor Bass Choirs (chairs 5-8). 9. MUSIC SELECTION Music selected for use in competitive auditions will be taken from the TMEA current All State repertoire. Sightreading will be included in the Pre- Area and Area auditions. Utilizing the ofticial All State rehearsal CD, the Chairperson will prepare audition CDs Containing excerpts from the repertoire. 10.DIRECTOR RESPONSIBILITIES a) ALL CHORAL DIRECTORS FROM EACH SCHOOL WHO HAVE A STUDENT PARTICIPATING IN THE INITIAL AUDITION MUST BE PRESENT AS A WORKING MEMBER FOR THAT AUDITION AND ALL FOLLOW-UP ACTIVITIES FOR THE ACADEMIC YEAR. If a director needs to be excused from judging responsibilities, it is up to that director to Tind and PAY the Region fee for judging to that proxy. Directors will not be excused from judging and other audition responsibilities because of contlicting rehearsals or performances. If any director fails to meet the judging expectations, a Grievance will be Tiled with TMEA. b) All directors, regardless of public, private, or home school students, are accountable for all rules and guidelines as stated. c) Directors must adhere to correct entry procedures. This includes on- line entry, paper entry (TMEA Cover Sheet, Appendix L,M,P,S, Registration List of entries, and fees or PO) by the deadlines stated. d) Students must be chaperoned at all times at an audition or clinic/concert by a director from that school. Exceptions must be cleared with the Region Chair prior to the event and a proxy that is an employee of that school or school district must be secured. Directors are expected at all events unless there is an emergency situation. 11. CRITERIA FOR SELECTION/EVALUATION PROCEDURE a) Judging panels will consist of 5 qualitied judges b) Each judge s score per singer will be entered into the All- State Computer system c) The All- State computer program will rank singers d) The All- State computer program is used in all rounds e) The 3rd and 4th rounds will also include sight- reading scores 12.DISQUALIFICATION OF STUDENTS Once a student enters the TMEA audition process, he/she may be eliminated by the following: 1. The audition process itself. 2. The TMEA Appeals Process 3. The student s TMEA member sponsor. 13. HOW TIES ARE BROKEN a) In Tinal tabulations, ties shall be broken by judges preference method on the Raw Rank conversion Chart. If 2 or more contestants are tied by virtue of receiving identical raw score, the judge shall break the tie. b) When a tie occurs for the last place for membership in that All- Region choir, it shall be the option of that region to select both students for participation and, therefore, to increase that section by 1 singer. **NOTE: The TMEA audition computer program automatically tabulates ties. 14. POSTING & ANNOUNCEMENT OF RESULTS a) At each round of auditions results including each judges score and rank will be posted for one hour following the completion of tabulations. At the end of this hour these results will be collected. Directors will not receive a copy of these results and they will not be posted online. Directors will only be allowed to take home either 1) results by school or 2) Results of contest with ranks listed. b)results will NOT be announced after Round 1. Instead, directors will notify their own students. Directors can wait for Tinal results that day at the end of the audition process or go online to the Region 5 Website for posting of results. The Chairperson WILL announce results after Rounds 2 and 3, as well as after the 9 th Region auditions.

18 c) Student evaluation sheets will be distributed to each director. PARENTS ARE NOT ALLOWED TO PICK UP EVALUATION SHEETS. Students not present for announcements at Rounds 2,3 and 9 th Grade Region will be notitied by their directors, not by the Region Chair. 15. ROLL CALL AT AUDITIONS (PRE-AUDITION PROCEDURE) The day of each audition, directors will verify the presence of all auditioning students immediately prior to the pre- audition director s meeting. All students must be present to practice cuts a total of 2 x s each. (Women s cut CD/Men s cut CD).Directors will notify the Chairperson at the earliest possible time of a student who will not attend a scheduled audition. All students must be present to practice cuts at the pre- audition meeting in the assigned location. Directors must be present for the judging workshop following the pre- audition director s meeting in order to participate in any of the auditions. 16. COMMITTEE SELECTION AND USE The Chairperson will appoint and utilize committees for resolution of minor complaints. The elected ofticers will compromise the executive committee who will be utilized to process major problems, complaints and sanction/warning actions. This Region wishes to avoid a one- person decision in major areas of importance affecting the entire region. No more than 2 directors from each independent school district will serve on the same committee, except ofticers Serving on the executive committee. 17. THE APPEALS PROCESS See Section IV- STUDENT RULES AND REGULATIONS and Click on DIVISIONS & REGIONS, scroll to ALL- STATE, then APPEALS for information on appealing audition results. 18. TMEA GRIEVANCES & INFRACTION PENALTIES and COMPLAINT PROCESS A) Submitting a Grievance: 1) Any student, parent, director, TMEA member, school ofticial or concerned party may submit a grievance. 2) Grievances must be submitted to a Region Division Chair, State Division Vice- President or the TMEA Executive Director. 3) The TMEA Executive Director shall immediately inform, in writing, the member(s) who is (are) the subject of the grievance. 4) The Region Division Chair, State Division Vice- President and the Executive Director shall investigate and report to the Presidents Committee. B) Jurisdictions: 1) The Presidents Committee shall have decision jurisdiction to determine the merit of a grievance and instruct the Executive Director to proceed with action deemed appropriate. 2) The TMEA Executive Board shall have appellate jurisdiction. Appeals of a Presidents Committee decision will be considered during a regularly scheduled meeting. 3) The TMEA State Board shall have Tinal jurisdiction. Appeals of an Executive Board decision will be considered by the State Board during a regularly scheduled meeting. 4) Cases with a decision recommending loss of membership shall be submitted directly to the State Board for consideration and Tinal decision. 5) The Executive Director has no jurisdiction authority in this process. C) Penalties: 1) Level I - At the direction of the Presidents Committee and subject to the appeals process, a letter of reprimand shall be sent to the member only and a copy kept in a contidential Tile at the TMEA oftice in the custodial care of the Executive Director. A Level I penalty may include a probationary period of up to three years and may include any reasonable conditions which, if not fultilled, may result in a more stringent penalty. It shall not be published in the Southwestern Musician. 2) Level II - At the direction of the Presidents Committee and subject to the appeals process, a letter of reprimand shall be sent to the member, campus level administrator, district level superintendent and district level music supervisor. The reprimand may also be published in the Southwestern Musician stating the violation found. A Level II penalty may include a probationary period of up to three years and may include any reasonable conditions which, if not fultilled, may result in a more stringent penalty. 3) Level III - The Presidents Committee may choose to recommend loss of membership as a penalty for a period not to exceed three years. The State Board, by constitutional provision, is the only body which has decision- making authority over loss of membership. Consequently, the Presidents Committee must submit all recommendations for loss of membership to the State Board for action.

19 19. ELECTION OF OFFICERS Three ofticers will be elected BIANNUALLY: 1)the Vice- Chairperson (chair- elect), 2)Secretary and 3)Treasurer. This Region Tinds that the demands upon a Chairperson are sufticient to require some on- the- job training; thus the Vice- Chairperson will progress to Region Chairperson position after 2 years as Chair Elect. In the event of an ofticer vacancy, the Chairperson may appoint a temporary ofticer to fultill the required duties. An election will be held at the earliest opportunity to Till the vacancy. 20. FUNDS The Treasurer is the custodian of Region V funds. Operating funds are generated by audition entry fees only. Funds remaining at the end of the year as a surplus will be left in the fund for use in succeeding years. A report on the status of funds will be given at each general meeting. 21. RESPONSIBILITY FOR RULE COMPLIANCE All ofticers, led by the Chairperson, will be responsible for insuring that the rules contained herein are followed to the best of his/her ability. To assist each Director in understanding, a copy of these rules will be posted on the Region 5 Website. All directors will be held responsible for insuring that rules pertaining to students at Region activities are followed at all times. 22. AUTHORITY GIVEN TO CHAIRPERSON a) Authority is given to the Chairperson to make decisions necessary to administer the Activities of this Region, while using the guidelines contained herein as the primary guidance. When major problems arise that are not adequately covered in the rules, the membership should be advised and polled to determine if revisions or additional rules should be added to our handbook. The region desires to involve the members of the Executive Committee in major matters. b) The Executive Committee shall have the authority to make major decisions without a quorum only when the situation is an emergency. An emergency shall be detined as a situation which requires a decision within seven (7) days or less. 23. DUTIES AND STIPENDS OF OFFICERS a) Chairperson: (See Section II A) =Receives $500 Honorarium b) Chair Elect: (See Section II B) =Receives $250 Honorarium c) Secretary: (See Section II C) =Receives $125 Honorarium d) Treasurer: (See Section II D) =Receives $125 Honorarium 24. RULE CHANGES Rules can be changed by a majority of the active membership for the current year /10 TH- GRADE HONOR CHOIR a) A separate 9 th Grade Region Choir audition will occur each school year. Any 9 th - 10th grader is eligible, even those who audition for the Tirst round of All State but are not selected. Students who are selected to advance to the second All State round are not eligible to audition for the 9 th grade Region Choir; however, any 9th/10th grade student not placing in the district choir at Round II (Chairs 29-36) will be automatically granted a position in the 9-10 Honor Choir. b) The same entry procedures apply for 9/10 th grade as for the All State process, including on- line entry and submitting the appropriate paperwork as stated for All State.(Note: no parents are used in this process). If a student has a legitimate contlict and needs to request a certain time, please Till out the SPECIAL AUDITION TIME REQUEST form (Appendix S). c) A committee will form to choose audition repertoire. The pieces selected will include 2 mixed selections, (1) SSAA selection and (1) TBB selection. The general difticulty of this music is equal to PML level III/IV. d) The clinician or the selection committee will choose one extra piece to learn after the choir is selected. Music for the new non- auditioned piece will be provided by the region to students at the end of the audition process. Directors are expected to meet with students to teach the new music prior to the clinic/concert. e) The 9/10 th Grade Honor Choir will perform on the same concert with the District & Region Choirs. f) A total of 18 female singers will be selected for each voice part (S1,S2,A1,A2) and 12 male singers (T1,T2,B1,B2)

20 REGION V VOCAL DIVISION STUDENT RULES AND REGULATIONS A. SEQUENCE OF EVENTS FOR ALL STATE CHOIR AUDITIONS: 1. FIRST AUDITION: 288 SINGERS (144 S/A: 144 T/B) SOP 1=36 ALTO 1=36 TEN 1=36 BASS 1=36 SOP 2=36 ALTO 2=36 TEN 2=36 BASS 2=36 These 288 singers advance to ROUND 2 NO ALTERNATES CHOSEN AT THIS ROUND. Note: Audition results will NOT be announced after the Nirst round. Directors can Nind results after the Ninal auditions are tabulated at the end of the audition day and results will also be posted on the Region 5 website. 2. SECOND AUDITION: 144 SINGER (64+8 S/A: 64+8 T/B) SOP1=16+2 ALTO 1=16+2 TEN 1=16+2 BASS 1=16+2 SOP 2=16+2 ALTO 2=16+2 TEN 2=16+2 BASS 2= singers will advance to Round 3 and perform as the Region Choir TWO ALTERNATES PER VOICE PART ARE CHOSEN a) 16 singers and 2 alternates from each voice part will be selected and these 18 singers are the Region Choir. These singers are required to attend Round 3 and the Clinic/Concert on Friday, November 19, 2010 and Saturday, November 20, 2010 to receive their patch. b) The next 10 singers(chairs 19-28) from each voice part will be named the All District Choir. Each All- District Choir member must score at least 16% of the possible total score for this audition. Any student awarded less than the required 16%, whose teacher has established with the Chairperson that the candidate has a medical reason that is causing extreme limitations, may be considered for advancement. Students without a medical limitation who score below the required 16% will not qualify for the All District Choir. The All District Choir will be required to attend the clinic/concert on Saturday, November 20, 2010 to receive their District Patch. They must also attend a rehearsal to be announced to prepare for the District music. c)singers will not qualify to sing in a choir unless they are a Freshman or Sophomore. In this case, any Freshman or Sophomore who qualitied to audition in Round 2, participated and sang at least 16% of the audition material in Round 2 but did not make chairs are automatically invited to participate (without audition) in the 9 th /10 th Grade Honor Choir. They are responsible for obtaining and learning all the Repertoire for this choir. Note: Auditions results WILL be announced at the end of the audition day in chair order beginning with 2 nd alternate to Chair 1 in each voice part. Audition results will also be posted on the Region 5 website. 3. THIRD AUDITION: 40 SINGERS + 2 ALTERNATES (20+8 S/A:20+8 T/B) SOP1=5+2 ALTO 1=5+2 TEN 1=5+2 BASS 1=5+2 SOP 2=5+2 ALTO 2=5+2 TEN 2=5+2 BASS 2=5+2 These 20 singers plus alternates advance to the area audition. Note: Audition results WILL be announced at the end of the Friday evening rehearsal with the Region Clinician from 2 nd alternate to Chair 1 in each voice part. Audition results will also be posted on the Region 5 website. REGION 5 3 rd Audition and Friday Evening Clinic Date: Friday, November 19,2010 Where: Arlington High School 818 W. Park Row Arlington High School Time: Friday Audition 3:00-6:00 PM, Region Choir Clinic 7:00-9:00 PM ***This Friday Audition and Clinic pertains to Region Choir ONLY. REGION 5 CLINIC AND CONCERT (Region Choir, District Choir, 9 th /10 th Grade Honor Choir) Date: Saturday, November 20, 2010 Where: First United Methodist Church of Hurst 521 W. Pipeline Road Hurst, TX Time: 8:00-4:00 PM Concert: 5:00 PM (this includes all 3 choirs)

AREA AUDITIONS: EACH VOICE PART AS FOLLOWS CHAIRS 1-4 ALL STATE MIXED (32 SINGERS) CHAIRS 5-10 ALL STATE TREBLE (24 SINGERS) CHAIRS 5-8 ALL STATE TENOR BASS (16 SINGERS) This audition takes place in Midland, Texas at Robert E. Lee High School on Saturday, January 8, The Area audition is made up of singers from 4 Regions (5, 6, 7 & 22) which make up AREA B. Note: Audition results WILL be announced at the end of the audition and will be posted on the Region 5 website. 5. TMEA CONVENTION: The All State Mixed Choir, All State Treble Choir and the All State Tenor Bass Choir meet In San Antonio, Texas for the Texas Music Educators Association Convention February 9-12, B. SEQUENCE OF EVENTS FOR 9 TH /10 TH GRADE HONOR MIXED CHOIR 1. A maximum of 72 female singers (18 per voice excluding ties) will be selected: S 1, S 2, A1, A2, 2. A maximum of 48 male singers (12 per voice part excluding ties) will be selected: T 1, T 2, B 1, B 2 3. If a section exceeds 50 contestants, the section will be split into 2 equal audition rooms. The top 18 female singers and the top 12 male singers will become members from each voice part. In the case of split rooms, an equal number from each room will be taken to total 18 female singers and 12 male singers per voice part. If a tie occurs for the last chair, both students will become members. 4. The region will sell a practice CD with voices and accompaniment for $10. The region will also provide a copy of the non- auditioned supplemental piece for the students who are chosen for the choir th and 10 th grade students have the opportunity to audition for both the All State Choir and for the 9 th /10 th Honor Choir. A 9 th or 10 th grade student who wants to audition for the All State Choir can certainly do so. They will prepare and audition the Round 1 All State material. If they Do not qualify for All State Round 2, they can simply prepare to audition on the 9 th /10 th grade Repertoire and participate in that audition. If a 9 th or 10 th grader advances to the All State Round 2 Audition, they will prepare the Round 2 repertoire. Should they make chairs 1-18, they will sing with the Region Choir and also advance to the Round 3 audition. Should they make chairs 19-28, they will sing with the District Choir. If they do not qualify for either the Region choir or the District Choir, they automatically will be offered a place in the 9 th /10 th Honor Choir. They and their director are responsible for learning all of the repertoire for the 9 th /10 th Grade Honor Choir. 4. The Clinic/Concert will be: Saturday, November 20, 2010 First United Methodist Church of Hurst 8:00-4:00 PM 5:00 PM 5. A patch will be awarded to each student after completing the Clinic/Concert responsibilities. 6. All TMEA rules and regulations apply. C. AUDITION PROCEDURES 1. General Rules: a) NO ELECTRONIC DEVICES OF ANY KIND: TV s, game boys, mp3s, ipods, cd players. NO CELL PHONES!! No digital equipment will be allowed at ANY audition. b) Students will wear their assigned numbered name tag for identitication at all times and will not exchange numbered name tags with anyone. c) Students will not be permitted to rehearse the cuts after the pre- audition meeting and warm- up period. 2. Procedure: a) Auditions will be performed as a solo with the All State CD accompaniment. b) Music requirements: Students are required to learn ALL audition pieces in their entirety. At the audition, only a part of each selection will be sung. This is known as a CUT. CUTS, known only to the Chairperson, will be made available to all participating schools no later than 48 hours prior to the District Audition (Round I). CUTS for Rounds 2, 3, and 4 will be given to the singers at registration for these rounds. c) After registering at an audition, a pre- audition group meeting will be held. At this meeting audition rules will be reviewed, the singers will be warmed- up vocally and all singers will sing through the CUTS CD to ensure understanding of assigned CUTS. All students must be present for the pre- audition group meeting and CUTS rehearsal in order to audition. d) Screens will be used at all auditions.

22 e) In the First All State Audition, if a section exceeds 75 singers, the section will be split into 2 equal audition room. If a section exceeds 120 singers, the section will be split into 3 equal audition rooms. The top- ranked 36 singers from each voice part will be selected. In the case of a split room, an equal number of singers will be selected from each room. (2 room split=18 per room, 3 room split=12 per room) D. EVALUATION PROCEDURES 1. Judging panels will consist of 5 qualitied judges. 2. Each judge s score per singer will be entered into the All State computer program. 3. The All State computer program will rank singers. 4. The All State computer program is used in all rounds. 5. The 3 rd and 4 th rounds will also include Sightreading scores. E. USE OF ALTERNATES 1. 3 rd Audition: Alternates are selected by a competitive evaluation. They must be prepared to sing on short notice in case a primary student drops out of competition. Your director will inform you if you are required to audition. Two alternates from each voice part will be present at the pre- audition meeting, prepared to sing if a primary candidate does not compete. 2. Region Choir alternates will perform with the Region Choir. All members who perform will receive a Region Choir patch. 3. If a Region Choir alternate advances to the Area audition, he/she must submit a recorded performance of all music not previously auditioned for certitication to the Region Vocal Chairperson. This recording shall consist of the alternate singing his/her complete part with the All- State accompaniment CD. The recording must be submitted at least 5 days prior to the Area audition. F. ANNOUNCEMENTS OF RESULTS OF AUDITIONS Results for Round 1 WILL NOT BE ANNOUNCED. Directors will notify students of Round 1 results. Results WILL be announced at all other rounds at the end of the audition day. All results will also be posted on the Region 5 website. Directors are responsible for contacting students with results; not the Chairperson. G. REQUIREMENTS TO PARTICIPATE 1. All participating singers must sign the CERTIFICATION FORM (APPENDIX L) agreeing to Participate in ALL activities (auditions and Clinic/Concert) and to abide by all rules and Regulations as stated in the Region 5 handbook. 2. All participating singers must be eligible. 3. All participating singers must follow TMEA rules should they be selected. H. NOTIFICATION TO DIRECTORS BY STUDENTS NotiTication to directors by students is required when a student does not intend to participate so that other students and alternates will have the opportunity to compete. This notice must be given to the director and, in turn, to the Region Chairperson, as soon as possible. I. DISQUALIFICATION Once a student enters the TMEA Audition Process, he/she may be eliminated by: a) the audition process itself b) the TMEA Appeals Process c) ineligibility** d) the student s TMEA member sponsor **Note: Please refer to for TMEA APPEALS PROCESS and ELIGIBILITY REQUIREMENTS FOR TMEA ACTIVITIES. J. EXCUSED ABSENCES Absences (Clinic/Concert only) may be allowed for pre- arranged emergency- validated cases, such as UIL play off game participation. Patches will not be awarded since the student did not participate in Choir activities (the alternate who performs receives the patch), but the student may advance to the next audition level previously earned, providing all Area music has been certitied to the Region Chairperson. K. PATCH DISTRIBUTION All singers who participate in the Clinic/Concert (9 th /10 th Grade Honor, All- District and All- Region Choir) will receive appropriate patches unless they have been disqualitied for any reason. Directors are responsible for obtaining these patches from the Vocal Division ofticers the day of the clinic/concert. L. ELIGIBILITY REQUIREMENTS FOR ALL STATE CONTESTANTS Refer to **Please note: The State Manual, TMEA Vocal Division AUDITION RULES AND PROCEDURES MANUAL are revised for the current year and this manual is the FINAL AUTHORITY for all procedures and processes in Region V.
