1 For Colleges and Scholarship Programs Data Layout for SAT and SAT Subject Tests Electronic Score Reports EFFECTIVE ON THE SCORE RELEASE FOR THE NEW AUGUST 2017 ADMINISTRATION If you have questions about this data layout, please contact Customer Service at or Introduction A Summary of New Developments Score Report Delivery and Data Access Score reports provide score information that each student selects to send from up to six administrations of the SAT and six administrations of the SAT Subject Tests. The reports also include descriptive information if the student completed the SAT Questionnaire, and information about the student s high school. Some minor changes have been made to the data file layout since last published in For your convenience, we have created a revised SAT Data Layout Crosswalk that shows the prior data layout positions and the updated data layout positions starting in Fall You can access this crosswalk at deliveringopportunity.org/implementation. The layout is finalized, and sample data can additionally be found on sat.org/highered. Here is a brief summary of the changes to data fields and the layout that we expect to make beginning in the year: Additional information provided for score report delivery and data User group percentiles updated Class rank updated Citizenship Status no longer reported Additional information provided for social security number reporting Areas previously subject to research have been updated Electronic score reports are accessed via the College Board website, integrating with the Higher Ed Reporting Portal k12reports.collegeboard.org. For more information on the Higher Ed reporting portal, see our website collegereadiness. collegeboard.org/educators/higher-ed/reporting-portal-help. Electronic score reports are delivered in two formats: comma delimited (.csv), and fixed width (.txt). This document outlines the data layout for the fixed width data layout. For information on the comma delimited data layout, review the Excel cross-walk for this format at sat.org/highered. New processes for collecting student profile and questionnaire information from school-based SAT School Day administrations may result in less information provided by students.
2 To update your score report delivery preferences from paper to electronic score delivery, or to change your electronic score delivery format preferences (.txt vs..csv), contact ETS Code Control. You can send a fax on university letterhead signed by the Director/Dean of Admissions or Registrar to , or send an from the Director/Dean of Admissions or Registrar to codecontrol@ets.org. Test Scores s Major Codes The SAT contains several scores, including a total score, section scores, test scores, cross-test scores, and subscores. The total score is on a scale of ; Evidence-Based Reading and Writing, and Math section scores are on a scale of , test and cross-test scores are on a scale of 10-40, and subscores are on a scale of Additionally, the optional Essay will be reported as three subscores on a scale of 2-8. All scores are whole integers, except the Math test score, which is in 0.5 increments (i.e., 10.0, 10.5, 11.0, etc.). From March 2005 to March 2016, the SAT included critical reading, mathematics, and writing section scores, reported as three digits on a scale of , as well as subscores for the essay and writing multiple choice. These scores are still included in the score report file if students who take this version of the test send their scores to you. To differentiate between the new SAT scores and old SAT scores there are two sets of score fields provided in the layout, one for each group of administration scores. If the scores being provided are from the new SAT, only the new SAT scores and percentile fields will be populated. If the scores being provided are from the old SAT, only the scores and percentile fields for the old SAT will be populated. For the new SAT, we include college and career readiness benchmark indicators at the section-level. As shown in our research, benchmark attainment is related to many positive college outcomes and can be a useful tool in measuring the college readiness of high school students. Like admission test scores, benchmarks are intended to be used by colleges and universities as supplementary to secondary school records and other relevant information, with the benchmarks providing a useful uniform measure for all students. SAT Subject Test scores are reported as three digits on a scale of in distinct score fields. The SAT uses two percentile ranks. The Nationally Representative Sample s are derived via research study samples of U.S. students in the 11th and 12th grade weighted to represent all U.S. students in those grades, regardless of whether they typically take the SAT. User group percentiles are based on performance on the new SAT by the graduating class of There will be different percentiles provided for old SAT scores. These will continue to be National and State College Bound Seniors norm referenced from the prior year s College Bound Senior cohort. Old SAT percentiles will be in separate fields from redesigned SAT percentiles. The codes for majors align with the Classification of Instructional Programs (CIP) codes provided by the National Center for Education Statistics (NCES). While we only use a subset of the published codes, we recommend allowing for any CIP codes as we update the SAT-supported values regularly. 2
3 Assessment Dates/ Grade Level When Assessed College Code (positions 1-6) Social Security Number (positions ) Revised Score (positions 572 and 1070) SAT Questionnaire Data (positions ) Attending Institution Code (positions ) Number of Advanced Placement Courses Offered (positions ) Date of Report (positions ) Multiple Records We report assessment dates by year, month, and day (YYYY-MM-DD). Every set of scores reported includes the student s assessment date and grade level when assessed. Grade level when assessed is a student self-reported field. Check that the correct four-digit code has been listed for your institution. If you find an error, contact Customer Service at or hedreports@collegeboard.org. Only complete nine-digit numbers appear in this field; incomplete numbers are deleted. Students are not required to provide this information. Please note, beginning in August 2018, the College Board will no longer collect Social Security numbers from students who participate in our assessment and instruction programs. Social Security numbers associated with these programs that are already in the College Board s system will be purged at a later time. We are undertaking this change as a part of our commitment to protecting the privacy of students and to align with best practices across the education sector. Blank = not revised score, Z = revised score. A revised score can occur if a student s assessment needs to be rescored and this results in a new score. We report data from the SAT Questionnaire cumulatively for each student. The most recent date, in YYYY-MM-DD format, for which the SAT Questionnaire information was submitted is indicated in positions Unanswered SAT Questionnaire questions are left blank. The Attending Institution (AI) codes remain the same, but do not enforce numerical assignment of codes, where the first two positions can be used to infer the location, and other positions can be used to infer the school level. Please use AI Address fields and AI School Level fields for this information. The data provided in this field are the total number of Advanced Placement (AP) courses offered by the student s high school. The count of AP courses is static, based on the total number of AP courses approved at each high school at the end of the previous academic year. The College Board maintains a list of AP courses for the current school year, released in November and updated through June of that year, which can be found at apcourseaudit.epiconline.org/ledger. This field indicates the date a student s score record was generated into the file. The date of report, like all other date fields, is in the YYYY-MM-DD format. It can be used to determine the most recent information when multiple records are created for the same student. Multiple records are created when a student submits more than one request to send a report to your institution within the same reporting period, or if a student takes the SAT and/or SAT Subject Tests more than once and does not provide consistent identifying information. 3
