1 THE CORPORATION OF THE MUNICIPALITY OF MISSISSIPPI MILLS RESPONSE TO QUESTSIONS REQUEST FOR PROPOSALS: ONLINE MEETING MANAGEMENT AND LIVE STREAMING OF COUNCIL MEETINGS Q1: Would the Town be willing to consider a 3-year term. Our standard term is a 3-year minimum and our pricing model is geared towards such. From a pricing standpoint, it would be more advantageous to the Town for a 3-year term. A1: Yes, if it there can be a cost savings demonstrated. Q2: Would the Town be agreeable to meetings and training conducted remotely? We have delivered all services remotely for the vast majority of our close to 200 active clients. We are experts in managing this method of delivery. Conducting meetings and training remotely greatly reduces the cost of delivery and allows us to provide you with a firm fixed price. A2: Yes Q3: Could you provide the layout of your Council Chambers (drawings/blueprints/pictures)? Would we be able to visit Town Hall for a personal assessment of your Council Chambers? A3: Please see layout and photos attached. Yes, potential bidders would be able to visit the Municipal office for an assessment. Please contact Dawn McDonald at dmcdonald@mississippimills.ca to coordinate a visit. Q4: What is the meeting management solution currently is use by the Municipality? A4: The municipality currently does not utilize a meeting management solution and is looking to implement one at or around the same time as live streaming. The intent is that the two solutions would integrate with each other. Q5: Is closed captioning required for Live and VOD? A5: Currently, all videos (livestreaming and VOD) must comply with WCAG 2.0 Level A standards and by January 1, 2021 WCAG 2.0 Level AA. Please refer to Ontario Regulation 191/11, section 14

2 Q6: Is the camera currently being use for the YouTube channel compatible with SDI, HDMI or analogue outputs? A6: The municipality does not currently have cameras utilized for livestreaming. Q7: Can the Municipality provide a camera switcher (if needed)? A7: The intent is that the chosen provider would supply the required equipment. Q8: Can the municipality provide wiring (audio to encoder, camera to encoder) A8: The intent is that the chosen provider would supply the required equipment. Q9: Will picture in picture for presentations be through a video mixer or similar device? Do you have this equipment, or do you expect us to supply this? A9: We do not have this equipment and it is our intent that the chosen provider would supply this equipment. Q10: Do you have an operator who will be onsite during meetings? A10: Yes, it is our intention that there will be a staff person onsite during the meetings to be responsible for the camera and livestreaming functions.
