2 Preface The CSUS Guide to Thesis or Project Format replaces a portion of the Guide to Graduate Studies. The policy portion of the Guide to Graduate Studies was extracted and will be placed on the World Wide Web by the end of Summer The new CSUS Guide to Thesis or Project Format pertains only to formatting requirements for Master s candidates at California State University, Sacramento. Between now and the end of the year, formatting procedures will be reviewed for possible changes. However, at this time there is only one major change; that change is pagination. Beginning Spring 1997, thesis or project pages from Chapter 1 through the Bibliography are consecutively numbered in the upper right-hand corner (see page 2). Page numbering for those candidates using the old Guide to Graduate Studies, will be honored through Summer Formatting for theses or projects for California State University, Sacramento is based on Form & Style by Carole Slade. Departments may use other style manuals as long as they do not conflict with the CSUS Guide to Thesis or Project Format. If you have any comments concerning this guide, please address them to the Graduate Center. We will take all comments into consideration for future publications. 5 Chapter 1 1 FORM AND STYLE The official University format manual, Form & Style: Research Papers, Reports, Theses, by Carole Slade, is for sale in the Hornet Bookstore. The manual is in its tenth edition, but you should check to be sure that you buy the most recent edition. Many departments use Form & Style as their style manual, but they are free to choose from a wide range of other style manuals. Check with your department for the appropriate style manual. Although the University allows variation in thesis/project form and style at the discretion of departments, certain rules described in this guide govern all theses and projects. Besides carefully following the format rules described here, carefully study the style manual chosen by your department. It is not advisable to use a previous thesis or project as a model for proper format. Approval of Form and Style Each thesis or project must be accompanied by one extra format approval page signed by the Graduate Coordinator or Chair of the student's Department or School (see sample in Chapter 4). However, the Graduate Center carefully reviews each thesis and project submitted to ensure that it conforms to the format rules described here. Direct your questions about the appropriate approval of form and style to the Graduate Center. The single-sided, double spaced manuscript is to be arranged as follows: Blank page. Title Page. The candidate's name is to be listed the same as on the graduation application and diploma. Copyright Page (optional). Approval Page (original plus one copy; the original must be on 50% or 100% rag content, 20 lb. bond paper). Format Approval Page (original plus one copy; original must be on 50% or 100% rag content, 20 lb. bond paper).

6 Margins & Pagination Abstract (original plus one copy; original must be on 50% or 100% rag content, 20 lb. paper). Preface, Dedication and or Acknowledgment pages (optional). Table of Contents with page references. *Individual listing of preliminary pages (Preface, Dedication, Acknowledgments, if included). *Individual listing of Tables, Figures, Illustrations, Software Specifications, if included). *List of Chapter or Section headings *Appendices *Bibliography Separately listed Tables, Figures, Illustrations, Software Specifications (if included). Text (double spaced) Appendices (if included) Bibliography Blank page Regardless of which form or style has been prescribed by the department, all theses and projects are to follow University instructions about pagination. The preliminary pages preceding Chapter 1 carry consecutive lower case Roman numerals, centered at the lower margin of the page, starting with the approval page which is numbered "ii." The Title Page is unnumbered, but carries the implied number "i." The first page of the text carries the Arabic number "1" and pages thereafter carry consecutive Arabic numbers, including the materials in the Appendices and the Bibliography. The Arabic numbers are positioned in the upper right-hand corner ; down one inch from the top and one inch in from the right edge of the paper. Double space to the first line of text. (This is a change from previous format guidelines). All text must be printed on single-sided paper. Text must be double spaced, except for quoted passages which may be indented and singlespaced for emphasis. Top, bottom and right margins: One inch from edge of paper Left margin: One and one-half inch from edge of paper. This measurement is especially critical because of the binding. 2

7 Paper 3 The thesis or project submitted for deposit in the University Library must be on 20 lb., 50% or higher rag content, non-erasable, 8 1/2 x 11 paper (carried in most stationery stores and copy centers). Students should include one extra blank sheet for the front and back of the thesis or project. The thesis or project may be produced on lower rag content paper and photocopied onto the 20 lb./50%+ paper. However, the copy must be clear, sharp, and black on white (no gray). Photocopied signatures are acceptable. Erasures & Corrections Theses/projects will not be accepted in which erasures have been made or opaque correction fluid used. Make whatever corrections are necessary; then reproduce the page(s) on the required paper. Once the project/thesis has been microfilmed, bound and shelved in the library, no further corrections may be made. Fonts & Spacing The preferred font is Times New Roman. Arial or similar fonts are also acceptable. The acceptable point sizes are Micro elite is not acceptable. Different type faces (i.e., italics) may be used only to show differences in captions and special text. Text is to be typed double spaced. Print Quality Theses and projects should be printed on laser or ink jet printers with at least 300 DPI resolution. Dot Matrix print, even letter quality, must be checked for quality by Graduate Center staff.

8 Copyright 4 Under the 1978 Copyright Act, copyright is secured automatically when a work is created. Therefore, a thesis or project receives copyright protection when it is accepted by the University, regardless of whether the manuscript is registered with the Federal Copyright Office. Students need not include a copyright page in theses or projects unless they are formally registering the manuscript. To do so requires that a copy of the complete document, together with a copyright application be forwarded to Register of Copyrights, Library of Congress, Washington, DC Microfilming & Binding Fees A fee is charged for microfilming and binding the deposit copy of the thesis/project to be filed with the Graduate Center. The Microfilming and Binding Receipt form must be submitted with the deposit copy of the thesis/project. Separate arrangements must be made with a bookbinder of the student's choice for the binding of any personal copies.

9 Chapter 2 5 ILLUSTRATIVE MATERIALS Tables & Figures Color may be used; however, when it is microfilmed it will be in black and white. Therefore, if color is used there must also be some sort of labeling or numbering so the meaning can be determined in black and white as well as in color. The placement of these tables and figures either in the text or in an appendix is at the discretion of the author. The captions should match the list of tables, figures, and plates that is listed in the Table of Contents. Graphs Oversize fold-out pages may be included in a thesis/project. Ample margins for binding must be included. All pages must be appropriately numbered if bound within the text. If, upon folding, the oversize pages will be unusually bulky, a special pocket at the back will be provided by the bindery. If a pocket is required, list it in the Table of Contents. Page numbers are not required for material in a pocket. A duplicate copy for the California State University, Sacramento Archives must be provided of any material placed in a pocket. Any tables to be folded in the final binding of the original copy should be left unfolded and inserted so they can be folded properly by the bookbinder. Computer Printouts Computer printouts will be treated as oversize materials as in the statement above or, preferably, reduced and photocopied on 20 lb., 50% or higher rag content, non-erasable, 8 1/2 x 11 paper. The pages must be appropriately numbered if bound within the text.

10 Photographs 6 Photographs must be neatly mounted on a standard-sized page by either dry mount process (preferred) or white glue. Photographs and their captions must be kept within the standard margins. A duplicate set of photographs is required for the California State University, Sacramento Archives copy of the thesis/project. If photographs are good quality and not too dark, they may also be reproduced as "halftones" and photocopied on the appropriate 50% rag content paper; in which case a duplicate set is not required. Video Cassettes Video Cassettes must be 1/2 inch VHS tape. Cassettes must be submitted in duplicate and identified with the title, name of student and semester. Computer Software Theses and projects sometimes include software components. The author should include, as a separate section among the prefatory pages (lists of figures, tables, etc.), a statement of the requirements for the use of the software, i.e., required hardware, required software, screen resolution type, size and type of disk drive, and any other information which the student or advisor considers necessary for proper viewing of the software. Works of Art Works of art done as part of a creative project or thesis should be packaged to provide the works necessary protection, but also to allow easy access to viewing them. The contents of the packaged works should be clearly labeled and accompanied by the analysis of the works required for creative projects.

11 Chapter 3 7 ODDS AND ENDS Required Number of Manuscripts Only one copy of the thesis/project is required for filing with the Graduate Center located in River Front Center, Room 206. This copy will be microfilmed and bound, and will become the property of the University Library. Thesis/Project Submission At the time the thesis/project is submitted, the following should be included: An original and one copy of (1) the approval page, (2) the format approval page and (3) the abstract A receipt for the microfilming and binding fee Three copies of the Thesis/Project Receipt Form The thesis/project is to be filed in the Graduate Center no later than 12 noon on the deadline date published in the current Class Schedule. On the Thesis/Project Receipt Form, please indicate whether permission is granted to reproduce the thesis or project for interlibrary loan. An additional copy of the thesis or project may be required by the department. Please check with the department chair or graduate coordinator to find out whether this is a requirement for you. University Archives Extra copies of unreproducible materials will be stored in the University Archives. As the University Archives copy of the thesis/project is on microfiche, a second copy of all materials that will not reproduce on microfiche is needed. These include all photographs, slides, film strips, audio tapes, card files, blueprints, computer printouts, video cassettes, floppy disks, and all oversize materials. All material must be labeled for easy identification. On the reverse side

12 8 of photographs, the item and page number must be listed. If negatives are submitted as the duplicate copy, each negative must be placed in an envelope labeled with the item and page number. Photos and slides must be identified with the student's name, semester, page number (if appropriate), and slide number. For advice on special production problems on charts, graphs, computer printouts, photos, etc., please confer with the Thesis Consultant in the Graduate Center. Collaborative Theses & Projects Some departments allow students to do collaborative theses or projects. Check with your department about whether it allows such collaborative work and what special regulations and/or restrictions apply. Collaborative theses and projects must meet certain special standards and have a special variation on the University format regulations (see samples in Chapter IV). All other instructions regarding the preparation and filing of theses or projects remain the same. Note: Collaborative theses or projects are never to be filed separately, in parts. Format for the Collaborative Thesis or Project The format for preliminary pages in a collaborative thesis or project varies according to the type of collaborative work; the chief forms are: (1) Within Same Department (same degree earned; one copy of thesis/project submitted): One Title Page bearing names, in alphabetical order, and undergraduate degrees (include year of degree) of each collaborator. Approval Page (original plus a copy for each collaborator) bearing signatures of the chair of the committee and second reader and the names, in alphabetical order, of each collaborator. Format Approval Page (original plus a copy for each collaborator) bearing the signature of the department chair or graduate coordinator. Abstract Page (original plus a copy for each collaborator) bearing the signature of the committee chair.

13 9 A clear statement in the Introduction and Abstract as to the responsibilities of each collaborator. An original and a copy of the abstract is required for each collaborator. Only ONE micro-filming and binding fee is required. (2) Across Departmental or School Lines (different degrees earned; a copy of thesis/project submitted for each author): Two Title Pages bearing the names, in alphabetical order, and undergraduate degrees of each collaborator, but only one degree earned (i.e. One might say Submitted in partial satisfaction of the requirements for the degree of Master of Social Work and the other Special Major (Social Research) Approval Page (original plus a copy for each collaborator) must have signatures of joint chairs, one from each department, on one approval page bearing the names, in alphabetical order, of each collaborator. Further readers may be added at the discretion of the chairs. Format Approval Page (original plus a copy for each collaborator) with the signature of the department chair or graduate coordinator of each department. Abstract Page (original plus a copy for each collaborator) signed by the committee chair. A letter from the committee chairs to the Associate Vice President for Research & Graduate Studies specifying that the thesis/project is a true collaboration entitling all the collaborators to the degree designated. A clear statement in the Introduction and Abstract as to the responsibilities of each collaborator. An original and one copy is required for each collaborator. A microfilming and binding fee must be paid for each copy of the project or thesis representing each different department (for example, one person from Social Work and one Special Major. Thus, in the example above, two copies of the thesis/project are to be submitted, each with a different Title Page: one for MSW and one for Special Major.)

14 Chapter 4 10 SAMPLE PAGES FOR THESES & PROJECTS In this section, you will find samples of the format for each of the pages required in the different types of theses and projects previously described. Due to the informational notes, the Roman numerals on the samples may be higher than the 1 inch required. Notes in italics are for informational purposes and should not be included in your document. Please note your thesis or project must be double spaced and printed on one side only. In addition, the left margin must be 1.5 inches to accommodate the binding process. The other three sides (top, bottom and right side) must be 1 inch. If you have any questions regarding these sample pages or other issues related to the correct formatting of the thesis or project, please do not hesitate to visit the Graduate Center (River Front Center, Room 206) from 9:00 AM to 5:00 PM (4:00 PM during the summer), Monday through Friday. 35 Appendix A 31 Graduation Checklist Do you have an approved Advancement to Candidacy form on file in the Graduate Center? Have all courses for your degree been completed? Have all Incompletes been cleared and grade changes been submitted by your instructor? Have you submitted official transcripts from other Universities from which you may be transferring credit? If course substitutions were made for those listed on your Advancement, have you filed a Petition for Exception? Has the Department certified currency for any coursework for the degree that is more than 7 years old? Have you completed an application for graduation, paid the $27.50 fee, obtained your advisor s signature and submitted it to the Graduate Center? Are you current in payments for continuous enrollment? If you are working on a collaborative thesis or project, does the abstract clearly explain each person s share of the research, analysis and writing?

36 APPENDIX B 32 HELPFUL HINTS AND THINGS TO AVOID 1. Check to be sure the year you received your Bachelor s degree is listed on the Title Page. 2. Do not put running headings on each page throughout the text; only list the heading once. 3. Do not put parenthesis around page number [i.e. (1)]. 4. Be sure you have an Abstract page. 5. Do not list the Abstract in the Table of Contents. 6. There are three acceptable ways to paginate an Appendix; A. Center "Appendix A" on a sheet of paper with the page number in the top right corner. Contents of Appendix A follows with page number in the upper right-hand corner. B. Type "Appendix A" one inch from the top on your first page of text with the page number in the top right corner. C. Center "APPENDICES" on a blank page with the page number in the top right corner. Contents of each Appendix follows with page numbers in the upper righthand corner. Each new appendix titled Appendix A, B, etc. centered at the top of each section. 7. Projects may have a second reader if desired. Theses may have a third reader if desired. The optional reader in both cases does not have to be California State University, Sacramento faculty; could be an expert in the field or from another University. However, the Department Chair will need to send the Associate Vice President for Research & Graduate Studies a memorandum requesting approval of the individual and enclosing the individual's curriculum vitae. 8. If you are looking for a typist, the Graduate Center has a list. We don't necessarily endorse any of them.
