1 NOTRE DAME CHILDREN S CHOIR Parent-Guardian Handbook WELCOME Welcome to the Sacred Music Academy, the home of the Notre Dame Children s Choir (NDCC)! We are delighted you will take part in our community where young people sing sacred music in an inclusive environment, explore their faiths, and meet and learn about the diversity of people in the greater Notre Dame area. The Notre Dame Children s Choir began as a twenty-voice ensemble in the fall of 2013 and has grow to over 200 singers in eleven choirs for children as young as infants and toddlers and as old as high school students. We now offer a NDCC Liturgical Choir that leads music for mass and vespers at the Basilica of the Sacred Heart and Saint Mary s College Church of Our Lady of Loretto. The year offers singers exciting opportunities to travel to Los Angeles, Texas, the Indiana Music Educators Convention in Fort Wayne, and Leeds, UK, as well as perform with world-renowned guests such as 10-time GRAMMY winning trumpet player Arturo Sandoval and gospel artist and composer Mark Miller. A complete schedule is included at the end of the handbook. We will also release two albums of music this year: Arturo Sandoval s Christmas at Notre Dame on September 28, 2018 and Evening Prayer with the Notre Dame Children s Choir in May of This year s winter performance will take place at St. Monica s Catholic Church of Mishawaka and will include our choirs singing as part of a community evening prayer service. Parent and family participation and commitment to our program is the foundation for our success. MISSION STATEMENT The Notre Dame Children s Choir seeks to build a safe and inviting community around young choristers singing sacred music. We believe that every child has a unique voice and that children are capable of extraordinary creativity and expressive music. Through inspired singing, music education, and the creation of new music, we seek to reimagine the sacred-music landscape with young choristers as musical leaders in our community and in our churches. GOALS The organizational goals of the Notre Dame Children's Choir are to enable its members to: Form a life-long connection with the rich musical history of Sacred Music from Catholic, Protestant, and other faith heritages Express themselves through a high standard of choral singing Develop individual vocal, musical, aural and analytical skills, and benefit from age-appropriate training of the maturing voice as part of a comprehensive choral music education Become musical leaders in their churches and communities and to advocate for the highest quality of music in their environments Develop an appreciation for classical and traditional music from the world's cultures Develop understanding and respect for others from different racial, religious and ethnic backgrounds Develop responsibility, self-confidence and a love for singing Understand the importance of his or her individual contribution to the success of the group COVENANT Love is the Spirit of this Choir and Respect for all is our guide; We dwell together in Peace, Seek Christ in Love, And we help one another. 3 CHOIR LEVELS Cherub Choir (Boys on Tuesday, 4:00-5:30pm; Girls on Thursday, 4:00-5:30pm): Ages 5 and 6 These choirs are separate ensembles that focus on early music education: singing, phonation, movement and coordination, rhythm, and music appreciation. Cantabile Choir (Mixed, Tuesdays and Thursdays, 4:00-5:30pm): Ages 7 and 8 This choir introduces basic vocal technique skills, music reading, rhythmic skills, solfege and musical concepts (melody, rhythm, form/structure). Descant Choir (Mixed, Tuesdays and Thursdays, 4:00-5:30pm): Ages 9 and 10 Choristers become competent readers and are developed to function comfortably in group activities. This Choir focuses on basic posture, breathing and vocal technique, developing a greater degree of musical independence through part-singing, and the continued development of sight-singing/solfege and aural skills. Choristers learn to read music and work in 2-3 voice parts, strengthening vocal independence. Chamber Choir (Mixed, Tuesdays and Thursdays, 4:00-5:30pm): Ages 11~14 Choristers at this level are expected to sing independently in three parts, display solid vocal technique and a healthy vocal tone, and use advanced solfege skills. Choristers will comfortably read musical scores in three or four vocal parts and perform music successfully in a variety of languages and styles. Advanced sight singing and aural skills, an understanding and analysis of the choral score, a secure sense of vocal independence and adaptability as a performer are emphasized. Seraphim Choir (Mixed, Tuesdays from 4:00-5:30pm): Girls ages 15~17 and boys with changed voices Emphasis is placed on advanced choral score reading skills, as well as analytical skills in identifying melodic, tonal, and harmonic relationships, significant structural elements, and details of the choral score. The Choir s focus is the development of each individual Chorister as a leader in their section and the ensemble as a whole, with the goal of preparing each Chorister to be life-long singers and leaders in their churches, schools, and communities. Prelude Choir (Mixed, Thursdays from 4:30-5:15pm/6 week sessions): Parents with infants, toddlers, and/or preschoolers The class teaches parents and children to make music together, establishes the foundational elements of musicianship and vocalization, and provides a safe community for children to explore music in a social community. Lyric Choir : Children with mixed abilities Children with different abilities (special needs) who love to sing are invited to join the 3
4 Notre Dame Lyric Choir. The choir focuses on singing and experiencing sacred music in a welcoming choral community with musical instruction specifically geared to meet the abilities of students with physical, social, emotional, and/or intellectual challenges. NDCC Liturgical Choir (Mondays, times vary; see schedule): The Liturgical Choir is an auditioned group of chorister who are also enrolled in the Descant, Chamber, or Seraphim Choirs. This ensemble sings for masses and vespers at the Notre Dame Basilica of the Sacred Heart and Saint Mary s Church of Our Lady of Loretto. Singers perform alongside directors of the NDCC and may serve as cantors. NDCC Voices of Courage Choirs: These choirs, which focus on African American musical traditions, are based in local schools (after-school programs) and are available only to students in that particular school. These choirs will collaborate with all other choirs for the NDCC Festival each spring. Should you need to leave the program, we request that you do so between semesters. Singers who withdraw during a semester negatively affect the choir s progress and may not be allowed to return in subsequent years. Should you need to withdraw from the program for any reason, please alert us in advance and wait until December or June. We invest over $2,000 per singer each year to provide the highest quality musical education available in a safe and welcoming environment; to withdraw mid-semester prevents another child from receiving our musical education and opportunities. TUITION The Notre Dame Children s Choir is a free program for all singers involved. We strive to make any additional costs such as concert clothing as little as possible. Should you need assistance purchasing additional items, please contact us and we will attempt to make arrangements. SCHEDULE The schedule of rehearsals, performances, retreats, and optional events will be provided at the beginning of each semester and an up-to-date calendar will be maintained on our website at sma.nd.edu. Please check for updates to the rehearsal and performance schedule. 5
6 ATTENDANCE Attendance is REQUIRED at all Dress Rehearsals and Performances. We expect that students and parents will make their best effort to arrive ready to start at the scheduled time. A choir functions at its best when all members are present and fully prepared. We understand that family emergencies arise and that school academic priorities should come first. Please keep us informed of these necessary absences well in advance. Doctor s appointments, sports and other recreational activities including vacations should be scheduled around the announced rehearsal and concert dates. Such absences are not excused. Should a singer amass more than three unexcused absences prior to a concert, the singer and family will be contacted to discuss whether continued participation in the choir is possible. Because we offer our program as a free service, we believe attendance is a condition for participation. When a singer reaches two unexcused absences, we will contact the parent/guardian to determine a solution. REHEARSALS All rehearsals, unless otherwise indicated on our schedule occur at Sunnyside Presbyterian Church located at 115 S. Frances St., South Bend, IN. The doors to Sunnyside Presbyterian Church are locked at all times and monitored by NDCC staff. A staff member of the NDCC will greet singers before rehearsal to open the door. Should you find the door locked during rehearsal and need to enter, please use the intercom at the Church s main entrance and identify yourself as with the Notre Dame Children s Choir. We will update our interactive website ( sma.nd.edu ) with rehearsal and performance information. BACKGROUND CHECKS/ SINGER SAFETY Staff: All staff, graduate students, and student volunteers are background-checked by the University of Notre Dame for criminal and sexual offender status on local, regional, and national levels. Additionally, the University and the NDCC have protocols for working with minors. All choirs are team taught with two or more adults in the classroom. Parent/Guardian Chaperones: Parental support is an important part of our program and we rely on parents to serve as chaperones on our tours, during dress rehearsals, and during performances. For all overnight trips with parents, we require a full background check. Only parents or immediate guardians are allowed on overnight events; cousins, family friends, or older siblings are not eligible to chaperone tours or retreats. 6
7 Improper behavior by an NDCC staff member or other NDCC chorister should be immediately reported by the singers or the singer s parents/guardian to the Artistic Director, Administrator, or the Director of Sacred Music at Notre Dame. The Choir will investigate all complaints; instances of physical misconduct and violence will be investigated by the University of Notre Dame. NDCC MANDATED REPORTERS All employees of an educational institution in the State of Indiana and all staff members are considered mandated reporters. Indiana law requires anyone who has reason to believe that a Child is a victim of child abuse or neglect to make an oral report immediately to the local child protection service or the local law enforcement agency. If the Child is on the Notre Dame campus, the appropriate law enforcement agency to contact is NDSP ( ). If the Child is not on the Notre Dame campus, the best way to contact the appropriate law enforcement agency is to call 911. Separate from any legal duty, any member of the University community should contact NDSP ( ) or the Integrity Line ( ) to discuss any suspicious, inappropriate or unusual conduct involving a Child while the Child is on campus or is participating in a University-connected activity off campus that would lead a reasonable Protection of Children Policy person to have concern for the current or future well-being of that particular Child or other Children. SUNNYSIDE PRESBYTERIAN CHURCH The NDCC is hosted by Sunnyside Presbyterian Church and we wish to be responsible stewards of their generosity to let us use their facilities. Many of the policies below are intended to keep our singers safe and respect the facilities of Sunnyside Presbyterian Church. Parents who wish to stay and wait for singers at Sunnyside Presbyterian Church, we respectfully ask that you wait in the Church s Library. We do not allow parents in the classroom without prior notice and approval for safety reasons. Only background checked staff are allowed in the classroom on a regular basis. PARKING LOT PROCEDURES We requests that all pick-up and drop-off vehicle traffic ENTER Frances Street from WASHINGTON AVE. and EXIT using JEFFERSON Blvd.. U-TURNS are not permitted. While waiting for your child, please pull forward carefully to allow more cars to enter onto Frances St. 7
8 This year to ensure the safety of the children, we will dismiss each choir from a specific zone of the church lawn. Parents must retrieve Cherub choir singers from inside the atrium. Please introduce yourself to the directors so that they may recognize you at dismissal. Cantabile and Descant choir will meet parents from the South side of the front lawn and the Chamber and Seraphim members will be dismissed from the north side of the front lawn. Please do not park and leave your car on Frances Street. You may park in the lot across from the church or the lot attached to the south side of the church. All children should be accompanied by an adult when crossing the street. We ask that you notify us if someone other than a person on our Transportation List will pick up your child. STUDY HALL/ Pre-Rehearsal Supervision Should your child(ren) need to arrive early to Sunnyside Presbyterian Church, the NDCC will provide supervision from 3:15-4:00PM in the sanctuary. Do NOT leave your child at the church before this time or if our staff is not visible. We ask that you let us know if you foresee the need 8
9 for this service. Singers should bring books to read, homework, coloring books, etc. and are expected to behave respectfully in this space. Singers are not allowed outside the building or in non-ndcc areas of the building without supervision. Singers with food will eat in the Church s atrium. NO NUTS OR NUT PRODUCTS SHOULD BE OPENED AT STUDY HALL. ATTIRE For rehearsals, singers are allowed to wear school appropriate clothing. If they are coming from athletic activities, this attire is acceptable as well. For performances, the NDCC provides singers with the necessary T-shirts (Farmer s Market performance) and robes. We ask that boys have black pants and black shoes and girls have black pants, dresses, or long skirts, with black shoes to go with these elements. We are happy to help families to finance and purchase these garments; please contact us if we can be of assistance. SINGER BEHAVIORAL EXPECTATIONS The Notre Dame Children s Choir is a community built on trust and mutual respect. The Choir believes that self-discipline is more valuable than imposed discipline. It is the responsibility of each chorister to follow established rules and expectations articulated by our Covenant, not only to enable the Choir to achieve its goals, but also so individual needs can be met and respected. The Choir expects good conduct and behavior from every chorister. Upon enrollment, each singer assumes responsibility for following the prescribed rules. Additionally, the Choir expects that parents will support their child in this effort and will also support the Choir by respecting the rules. NDCC choristers must take responsibility for their actions at all NDCC functions and singing opportunities. The behavior of each chorister impacts the effectiveness and reputation of the Program as a whole. Any chorister whose actions demonstrate a failure to meet his/her responsibilities may be asked to leave the NDCC. If a chorister inadequately handles his/her own responsibilities in regard to his/her proper conduct, the chorister will be referred to the Artistic Director and the NDCC Administrator who will consider and decide upon the chorister s continued eligibility for membership in the NDCC. Possession or use of drugs or other illegal substances, alcohol, or tobacco, at NDCC events or NDCC-related functions will, in all likelihood, result in dismissal from the Choir. Infractions that may lead to suspension and potential dismissal from the Chorus include but are not limited to: Dishonesty Theft Physically or verbally abusive behavior Destruction or abuse of property or rehearsal/performance facility 9
10 Possession of an object deemed dangerous to self or others Disrespect for Directors, musicianship teachers, accompanists, administrators, other choristers, chaperones, parent assistants, or any other individual involved with a Chorus activity Excessive unexcused absences from rehearsals and/or performances INCLEMENT WEATHER/ CANCELLATION OF REHEARSAL In the event of a rehearsal being cancelled due to inclement weather (snow, blizzard, torrential rain), check your for a notice. We also use an automated call system for all sudden cancellation. Cancellation notifications will be sent out by 12:30pm on the day of the rehearsal. We will hold rehearsals on all days when safe driving allows transportation to Sunnyside Presbyterian Church. We will excuse absences on days where road conditions outside of downtown South Bend prevent you from bringing your singer(s) to rehearsal. Please use our online absence form to notify us if it is too dangerous for you to travel. HOLIDAYS The NDCC operates from the first week of the fall semester through the final week of the spring semester.the Program takes the following holidays off: Fall break for the University of Notre Dame Thanksgiving Christmas Break for the University of Notre Dame Spring break for the University of Notre Dame Maundy Thursday Summer Recess (All Choirs, Chamber Choir continues through the middle of June). ILLNESS Every year our singers come down with colds and are unable to attend rehearsals. Contagious singers are asked to notify us and stay home and recover. We ask that if your child is non-contagious and able to sit through a 90-minute rehearsal,she/he should come and listen and sing as able. On occasion a singer contracts a more contagious illness such as whooping cough, chicken pox, or hand, foot, and mouth disease. We ask that for these more serious and contagious illnesses that the singer return upon the recommendation of a doctor with a doctor s note. PERFORMANCES The NDCC holds performances at local churches and on the campuses of the University of Notre Dame and Saint Mary s College. All performances and Dress Rehearsals are required events for singers. 10
11 Definitions Concert Time - This is the precise time the performance begins. Call Time - The Call Time is when singers are expected to arrive to warm up for the concert. For example, if the concert is at 2:30, the singer s call time might be 1:30pm. Dress Rehearsal - The Dress Rehearsal is simply the final rehearsal prior to the performance. It is considered a full run of all the music without stopping. The Dress Rehearsal is the opportunity for singers to become accustomed to the new performance location, organ, guest instruments, and acoustics. While the Dress Rehearsal is intended to be a mock performance, in our case, it does not require singers to wear concert clothing. SNACKS Light refreshments will be provided halfway through each rehearsal. If your child has specific dietary needs or allergies, please indicate this to us in writing via the medical waiver and by . MEDICATIONS AND EMERGENCIES NDCC and its staff are not authorized to hold or administer medications for students. In the unlikely event of a health emergency, NDCC staff will contact emergency services and parents of the singer. We require and up-to-date medical form on all participants. UNIVERSITY PROVIDED TRANSPORTATION The NDCC has established relationships with local schools, parishes, and community centers to offer pick-up and drop-off points for transportation of children to and from rehearsals for those who cannot supply transportation. If you wish to participate in this transportation program, please us at ndcchoir@nd.edu. Transportation may also be available for performances and the retreat. RETREAT The 2018 Retreat will be at the YMCA Camp Eberhart in Three Rivers, Michigan. The retreat will begin at 6:00PM on Friday, November 1, and conclude with a parent concert on the afternoon of Saturday, November 2 at 2:00PM. (Departure around 3pm) The retreat is free for all members of the Descant, Chamber, and Seraphim Choirs. While optional, the retreat is HIGHLY ENCOURAGED and is seminal in the formation of the musical and fellowship formation of our singers and choirs. Transportation may be provided as needed for families who cannot drive their children to and from Camp Eberhart. Singers may arrive as early 5:00pm on Friday to get situated in the dorms (separate boys and girls dorms). 11
12 At the retreat, singers will spend the weekend rehearsing music, taking part in an evening prayer service, hiking, and playing games and activities. Our staff and music education students from St. Mary s and Notre Dame music departments will serve as counselors. All meals will be provided. The retreat is an excellent way for singers to get to know each other better and form lasting friendships. An online form will be sent in September for parents to register. COMMUNICATIONS The NDCC Weekly Newsletter is sent out on Mondays with information regarding the week s rehearsal and performance schedules. This is our primary means for communication with parents. Please check your for our updates and add our address to your contacts: ndcchoir@nd.edu. Important reminders regarding performances and changes to the regular schedule will also be sent home in paper form in addition to electronic means. The NDCC Facebook page ( facebook.com/notredamechildrenschoir ) and Twitter accounts (#ndcchoir) will send reminders about important events, but are not a form of official communications with parents. Similarly, sending messages to NDCC staff through facebook and twitter may not result in a timely response. If you have questions, please use our address ( ndcchoir@nd.edu ) or call our office ( ). SOCIAL MEDIA Please join us on facebook ( facebook.com/notredamechildrenschoir ) and twitter (#ndcchoir) to stay up-to-date with what is going on in our rehearsals and concerts. We post pictures to these accounts for you to see what is going on in our rehearsals and to share with your family and friends. While families and singers are welcome to join the NDCC facebook page, NO singer or NDCC staff member may be connected through personal facebook, twitter, or other social media accounts. Staff members are instructed to decline invitations from NDCC singers of any age. CELL PHONES Singers are permitted to have a cell phone for emergency purposes. Cell phones usage is prohibited during rehearsals and performances; they should be powered off. RE-REGISTRATION for Once you are part of the Notre Dame Children s Choir there is no need to re-audition. To participate in subsequent years, please use our online re-registration form to indicate your participation. 12
13 CHOIR ADVANCEMENT While a singer s age plays a significant part in the advancement from one choir to the next, it is not the only criterion. A singer s musical development and maturity within the rehearsal environment also determine their progression from one ensemble to the next. PARENT INVOLVEMENT We need assistance from parents for a range of activities including: Chaperones for concerts, dress rehearsals, retreats, and tours Measuring, fitting, and ironing choir robes Assisting with fundraisers Assisting with social activities for the choirs Please use the link on our website ( sma.nd.edu ) to volunteer. FUNDRAISING Participation in fundraising events is optional for all families involved. The Notre Dame Children s Choir fundraises for specific extra events such as tours (local, regional, and national), recordings, as well as to provide additional support for our transportation services.
