3 1. Introduction The purpose of this document is to assist Harvard Library units involved in creating templates for their digital masters. This document presents the production versions of generic templates for MARC holdings records developed by for various Harvard Library digital preservation projects and programs focused on the digitization of print monographs and serials. The goal is to export these records to the Registry of Digital Masters. In its implementation of the Aleph Cataloging Module from Ex Libris, Harvard uses the Sublibrary code NET in field 852 of the holdings record to identify a networked resource. Throughout this document, therefore, the digital holdings records and associated templates are referred to as NET records and templates. In addition, Aleph Collection code RDM in subfield c of field 852 is required to identify a digital master. Following specifications in MARC21 Format for Holdings Data, and the implementation guidelines by the Digital Library Federation (DLF), coding and wording in the templates represent collaboration among staff of, in consultation with staff from other Harvard cataloging and IT units. For information on current practices for reporting digital preservation masters see: DLF/OCLC Registry of Digital Masters. The templates include five fields required by DLF. Current Practice at All existing NET templates were updated to full dlr specifications for use beginning on 5/10/07. 4 4. Local template naming conventions Templates developed for have mnemonic file name extensions descriptive of the various bibliographic categories. These file name extensions are: _B (Book), _BC (Book Set Complete, i.e., complete work-in-parts), _BI (Book Set Incomplete, i.e., incomplete work-in-parts), and _SE (Serial). They are also used as shortcut descriptors. 5. Field 843 coding variants 9.1 Subfield f: series statement of reproduction Harvard Library digital preservation program and project titles are recorded in the program/project series name in field 843 subfield f (NET holdings record) and in field 830 (bibliographic record). 18 14. Appendix Local practices for recording completeness of digitized holdings in field 856 subfield 3, using data from field 843 subfield m 1. In general, copy the information from field 843 subfield m into field 856 subfield 3 unless it is too long or complex to be interpreted by a user. The conventions used in subfield m enable the cataloger to summarize the digitized holdings in a succinct statement. However, it is important to remember that the two subfields are intended for different audiences. Field 843 subfield m records the extent of holdings digitized, and is intended chiefly for preservation librarians. Field 856 subfield 3 is intended to help the user identify the part or parts of a resource made available through the link. 2. If field 843 subfield m is long and complex, consider using natural language to express simply what the holdings format does not. For example, use: 856 $$3 ser.1:no.26 and 32 only instead of 856 $$3 ser.1:no (1912:Mar.-1913:Sept.):[Lacks ser.1:no.27-31] 3.
