SCP AUDITION PACKET Welcome to the Sunnyvale Community Players and auditions for our junior production. We want this to be a pleasant experience for everyone involved, so please take a moment to read the following information. Enclosed in this packet you will find audition information and general information about SCP s policies and procedures. If you don t have all the information you need to fill out the form, leave it blank. You will need to provide the pertinent information the day after your audition. If you have any questions, please let us know. Please follow these steps for your audition: 1. Fill out the Audition Information Form, Production Registration Form, Conflicts Calendar, and Fee Worksheet. 2. Read and sign the remaining forms listed above. 3. Take your completed forms to the registration table and pay the registration fee - $100 (Sunnyvale resident), $110 (non-resident), $80 for each sibling (Sunnyvale resident), $90 (non-resident). 4. You will be given an audition number tag. Please wear your audition number on your right shoulder. You May be referenced by this number throughout the audition and callbacks. 5. Have your photo taken if you don t have one. There is a $2.00 fee per photo. 6. Have your measurements taken by the costumers or one of the staff members. 7. Remain in the Theater lobby until you are called to audition. o NOTE: Auditions are closed! No parents or spectators will be allowed in the house. Break a leg! Remember, the Director is watching you from the moment your number is called. Take a deep breath, smile, and try to have fun. A positive attitude is very important. Ten performers at a time, in numerical order, will be called to audition. Please listen for your number to be called. Have respect for those who are auditioning and remain as quiet as possible while waiting. One at a time, you will be called forward to begin your audition. When you are called, introduce yourself in a nice, loud voice, and smile. After you perform your song, return to your group. Throughout, try to relax, and remember, we all admire your ability and willingness to audition. Once released back to the Theatre lobby, please wait to be given your callback sheet. If you have any questions, please ask the Producer or one of the staff. Since our Directors must concentrate on each performer, they will not be able to answer questions during auditions. Exceptions to this rule will be: 1. Tech week - All cast members will be called until 10:00pm for the entire tech week. 2. Children cast in principal roles may be asked to stay until 9:30 for rehearsals regardless of age. Performances: Performance Information February 20, 21, 22, 27, 28, 2015 No Conflicts! At this time, you will have the opportunity to meet the staff, Producers, and others involved in this junior production. You will receive most of the information you will need throughout the production. The parent meeting is also where we will be forming the volunteer committees. We have appropriate jobs at convenient times for everyone, and all parents and cast members will be asked to help in some way. We expect each family to volunteer at least 20 hours for the first child and 10 hours for each additional child during the course of the show. If you are unable to volunteer due to time constraints, you can instead choose to pay $100 for the 20 hours and $40 for each additional 10 hours. Every family is expected to participate in Load-In and Strike. SCP is proud to be able to provide the many talented performers of this area with an opportunity to participate in a unique theatrical experience. A production of this scope relies on the willingness of parents and friends to volunteer their special skills. Again, if you have any questions, please ask the Producer. Please be sure to bring with you to the Parent Meeting: Any completed forms not already turned in. Checkbook for script deposits & volunteer hours should you choose that option. Your calendar, so you can sign up to help on committees and to chaperone rehearsals. Health insurance information (policy #, etc), if not already submitted.

SCP PRACTICES BOTH PARENT AND AUDITIONER MUST READ & SIGN THIS INFORMATION BEFORE AUDITIONING OR APPLYING FOR A CREW POSITION In order to utilize our rehearsal time most efficiently, SCP must maintain a rigorous, fixed rehearsal schedule to make the process fair to all involved. This will allow us to produce the best show possible. If you cannot fulfill the obligations below (especially regarding attendance) then we encourage you to take this show off and audition for the next show. A contract specifying these obligations is enclosed. It should be signed and turned in during auditions with the audition packet. DEADLINES Cast Members must meet all deadlines set by the Director. GRADES Cast Members are to maintain good grades during their involvement in the show. s should not be an excuse for unfinished homework or for being unprepared for class. COSTUMES The Costume Designer will let all cast members know what they will need to find or construct for their characters. Some costumes are handled by rentals or constructed by the Costume Committee. Parents and cast members will be kept informed of their costume fees. PARENT INVOLVEMENT Parent support is essential to the success of any production. Parents should be willing to set an example for their child by volunteering to help with the production and assisting him/her in memorizing lines and blocking. However, parents (except for Hall Monitors) should not plan to watch or attend rehearsals. The time during rehearsals is closed to parents. If you have any questions regarding these obligations and practices, including the purpose of them, please see the producers. SCP CONFLICT & ATTENDANCE POLICY Please complete the Conflict Sheet carefully and truthfully, as it will be used in the casting process. It is critical to successful casting and rehearsal scheduling to be as complete and accurate as possible. When writing your conflicts, be sure to include: Any other production you are in at this time Vacations and trips All regular weekly commitments such as classes, lessons, and athletic activities. If a child with a large number of conflicts is being considered for a lead role, they may be asked to eliminate certain conflicts before casting. SCP reserves the right to NOT CAST a participant if there are more than seven conflicts. Please note there are no excused absences during Tech Week. FREQUENTLY ASKED QUESTIONS: Casting: Who makes the casting decisions? The decision makers are the Director, Choreographer, Music Director and Vocal Director. These staff members work together as a collaborative team. They begin to discuss and rate the audition participants as soon as each group of ten participants completes the audition process. This has to be done in order to initiate the callback process. These staff members take home copies of the registration forms and continue to email and talk to one another during the entire callback process. Who is responsible for making the final decision? The Director will make the final decision, especially if the three staff members cannot agree on a casting choice. When is the casting meeting held and who attends this meeting? The casting meeting is held after the last night of callbacks. The following people attend this meeting: the Director, Choreographer, Music Director, Vocal Director, the Stage Manager and the Producer. Why is the cast list usually posted three to five days after the casting meeting? The three to five day period gives the staff the time to check for errors and omissions. This is particularly helpful when casting a large cast. Who is in the room during auditions and callbacks? Auditions and callbacks are closed. The Director, Choreographer, Music Director, Vocal Director and the audition pianist (if someone different from the Music Director) and other staff can be in the room. Are the Producers in the room during auditions and callbacks? No, they only bring paperwork into the room before the auditions begin, and then they go in and pick up the callback forms after each group has completed their auditions and has left the room. Do the Producers or Board Members participate in any casting decisions? No, they do not. The Director, Choreographer, Music Director and Vocal Director are the only ones in the room during the auditions and callbacks so we rely upon their knowledge and expertise and trust them to make the right decisions.

What is the Director looking for in an ideal actor? The ideal actor: Is well prepared, with an appropriate monologue from a published source Shows an understanding of the role and a commitment to the requirements of the role Has a well-prepared, appropriate song in the correct key, with either sheet music or recorded music Has a good attitude, accepts responsibility, and does not make excuses Demonstrates maturity and the ability to stay focused and on track in spite of mistakes or other distractions Gives 100% performance energy all of the time Is willing to accept any role Has few or no conflicts Dresses appropriately for the audition, including movement clothes and shoes for the dance audition. Final casting decisions are made based on the Director s vision of the show and the characters, the recommendations of the Music Director and Choreographer, carpool requests, and scheduled conflicts. While the Director has a certain vision of the show, casting may also be influenced by the specific actors that auditioned, and the requirements of certain roles (such as a singing role with a particularly high vocal range.) Because we double cast shows (depending on the number of children auditioning), the Director is also trying to assemble two equally balanced casts in terms of age and experience.

How can I get feedback about my audition? The Director, Music Director and Choreographer take a lot of notes during auditions. An actor may be able to request and schedule a small amount of time to talk about their audition with the Director, Music Director or Choreographer. However, as this is not a contractual requirement of the Artistic staff, actors need to understand that the Artistic Staff may not have the time for additional feedback. As auditions tend to be emotionally charged, it is also recommended that the actor wait a week or so before requesting audition feedback in order to gain some emotional distance. General Information FAQ s: What is my time commitment as a Parent/Guardian? A minimum of 20 hours per family is required (20 hours for the first child, and an additional 10 hours per sibling). How much money can I expect this commitment to cost me? Besides your participation fee, the costs for the costumes will depend on which role your child is cast for. You may be asked to buy your own costumes or they may be purchased for you and you will be asked for reimbursement. The cost could range anywhere from $50 to $200. Cast members will be required to provide their own makeup kits, which could run around $30. There is a $30 script deposit, which is refunded upon return of the script in good condition with all notes erased. Optional costs include sweatshirts/t-shirts, photographs, and the cast party. How am I expected to participate as a parent/guardian? Volunteers are an essential part of our junior shows. They are depended upon to accomplish much of the production workload. There are four required areas each family must participate in and several areas to volunteer your time. Required Areas each family is required to participate: supervision - attend at least 2 rehearsals as a supervisor to monitor cast member behavior, keep the noise level down, and make sure everyone is picked up safely after rehearsal ends. Move-In/Strike work with others to load and unload the set pieces, using a rental truck from the SCP set shop in Santa Clara to the Sunnyvale theater and vice versa when the show ends. If you prefer, you can buy-out of this responsibility for $75. Costuming each family is responsible for their own cast member s costume pieces unless otherwise specified by the costume Director. Specific design instructions and fabric will be provided or rental costumes will be made available. 20+ Volunteer Hours can be applied to any of the elective areas.
