Dear All-State Member: Congratulations on earning a position in this most prestigious organization! Please begin preparing yourself to give this event your very best. Be sure to notify your director immediately if you become unable to participate as an All-State student so that an alternate may be called. The following are included in this file: College Fair Flyer: Take time to meet with university representatives in the exhibit hall (open late on Friday)! Family Fact Sheet: This will help your family members prepare for their convention attendance. Recording Order form: All-State concerts are recorded and available for purchase. All-State Student Housing: Your director will secure a hotel room for you at the convention, which you will share with other All-State students from your school or area. Verifying/Updating Your Information Online: Once you have your All-State Student ID and Security Code (provided to your director by January 22) go to www.tmea.org/all-state and log in. Carefully verify and update your information, sign electronically, and print required forms (see below). You must bring the forms to All-State Student Registration (times/location below). You will be allowed to audition and participate only if these forms are completed and presented at All-State Student Registration. Do not mail any forms to TMEA. 1. Code of Conduct: Print and bring this form to All-State student registration. Following these conduct guidelines is imperative. Any student who breaks the rules will be sent home. Parents will be contacted and must make immediate arrangements for the student s transportation home. The principal and/or superintendent will be notified. 2. Medical Release: This form must be printed, completed, and notarized (don t delay!). Bring the completed form to All-State student registration. All-State Student Registration: Wednesday, February 14, 2018: TMEA All-State: 1:00 4:30 p.m. in the Convention Center Bridge Hall Registration area. Student meeting follows at 4:45 p.m. in the Stars at Night Ballroom 2 4 (third floor on the north side above the North Lobby). ATSSB All-State: 1:30 5:30 p.m. in the Hyatt Regency Los Rios Foyer. Student meeting follows at 5:30 p.m. in the Hyatt Regency, Regency Ballroom-Center. Bring a Music Stand! Instrumentalists must bring a personal music stand for all rehearsals. Bring Water! Water is not provided. Students should bring their own water bottles to rehearsals. Rehearsal Attire: Rehearsal attire should follow your school dress code and should be comfortable to support all-day rehearsals. No spaghetti straps, halter tops, sleeveless shirts, midriff-baring shirts, or skirts above the knee. As room temperatures vary, layers are recommended. No hats/caps are allowed in rehearsal. Concert Attire: Concert dress for All-State concerts is your school s concert attire. If you do not have school concert attire, wear solid black, modest dress clothes (long black dress, skirt, or pants for women and tuxedos/dark suit, white

shirt, and tie for men). Skirts/dresses must extend below the knees while seated. In addition, if you earn a position in the Symphonic Band, Symphony Orchestra, or Mixed Choir you may need your concert attire for a performance during the Second General Session on Friday morning (a subset of band/orchestra members will perform). All-State Concert Ticket Policy (does not apply to ATSSB as no tickets are distributed for ATSSB concerts). Each student receives one sheet of 4 family All-State concert tickets No more than 4 tickets will be provided to any family, regardless of circumstance. There are no exceptions. Lost tickets will not be replaced. Non-ticket holders are allowed entrance 10 minutes prior to a performance, if seating is available (at this point, a ticket does not guarantee your entrance). All-State Concert Entry Family members should allow ample time to arrive, park, and get to the convention center to ensure you can attend your family member s concert. There may be road construction and detours downtown. Allow plenty of time! Your ticket does not guarantee entry as of 10 minutes before a concert. Do not bring babies or young children to these concerts. No audio or video recording of the concerts is allowed. Concert Lines and Concert Times: Go to www.tmea.org/asconcerts for updated information about the concert schedule and where to line up in advance. Important: Advise your family that no phones, flash cameras, audio/video recorders can be used during your performance, and disruptive children must be removed from the concert venue. Professional recordings will be made. If you are also a member of an invited group such as Honor Band, Honor Orchestra, or Invited Choir you are allowed to miss no more than two hours of your All-State rehearsals to rehearse or perform with your invited group. This absence should be coordinated through your All-State ensemble organizer. TMEA is not responsible for instruments or equipment brought to the convention by All-State students. All-State Family Fact Sheet Congratulations on being a family member of one of the state s best high school musicians! Please take a few minutes to read these highlights to help you prepare for your attendance. Stay up to date by going to www.tmea.org/convention. STUDENT FORMS: Students must bring to All-State registration the printed forms they will complete online at www.tmea.org/all-state (Student IDs and Security Codes will be provided to their director by January 22). The medical release must be notarized. Log in early to ensure they are accurately completed. ALL-STATE STUDENT HOUSING: TMEA arranges housing for All-State students through requests from the students directors. TMEA notifies the students directors of housing assignments. Bring a Music Stand! Instrumentalists must bring a personal music stand for all rehearsals. Bring Water! Water is not provided. Students should bring their own water bottles to rehearsals. CONCERT TIMES AND LINES: Concerts are Saturday, February 17, in the San Antonio Henry B. Gonzalez Convention Center, in Lila Cockrell Theater, Hemisfair Ballroom 1, and Stars at Night Ballroom. Go to www.tmea.org/asconcerts for the concert schedule and lineup procedures. PARKING: Allow ample time to arrive, park, and get to the center. On Thursday Saturday, $10 day parking in Lots B-C of the Alamodome, with free shuttle service from Lot B (you can also walk to the center from here). Go to the Travel section of www.tmea.org/convention for more details and directions to this and other parking. There is no security at this lot. Allow plenty of time for shuttle service (3 buses will be running, 1 wheelchair accessible). Your ticket does not guarantee entry as of 10 minutes before a concert. NOTE! CLINIC/CONVENTION OVERVIEW: Over 29,000 people attend our annual convention at the Henry B. Gonzalez Convention Center in downtown San Antonio. Band, orchestra, vocal, elementary and college educators attend over 300 workshops, 100 performances, and shop at more than 1,300 exhibit booths. FAMILY CONVENTION BADGES: All-State student family members (who are not music educators) can obtain complimentary convention badges. You need a badge ONLY to enter the exhibit hall where you can find the best deals on all music supplies and instruments (closes at noon on Saturday). If you arrive before noon and want a badge, go to the VISITORS booth in the registration area (inside the convention center North Lobby). PERFORMANCE RECORDING SALES All-State concerts are recorded and available for purchase via form, online, and on-site. An order form is included.
