2 General Information The Grand Rapids Public Library Local Research Newspaper Collection is the general archival collection, which lists the Greater Grand Rapids area and Kent County titles, and a few Michigan titles, currently held at the Main Library for long-term research. Only a few titles/issues outside this scope are held in the GRPL Archives, by exception. Search the regular online library catalog, as well as the Databases page, for information on Michigan or National newspapers titles held in the Library's regular collections. The two major Grand Rapids, Michigan newspapers of the 20 th century are the: Grand Rapids Press, which continues today, Grand Rapids Herald, known as the newspaper of U.S. Senator William Alden Smith and of U.S. Senator Arthur Vandenberg, which ceased in Holdings for most, though not all of the issues, for these two major titles, are held at the GRPL Main Library, Grand Rapids History & Special Collections Department (GRHSC), on microfilm. Holdings of earlier Grand Rapids area newspaper titles, beginning in the 1840 s, are also held on microfilm, though there are many missing issues that have been impossible to replace so far. Most notably, many Civil War era Grand Rapids newspaper issues are missing, though presumed published. Holdings for special and neighborhood newspapers titles are often owned by the Library, though missing issues are more likely for these titles. A list of all known Greater Grand Rapids and Kent County newspaper titles is in preparation. The Grand Rapids Public Library holds many, but not all of the known historical newspaper titles. This finding aid documents the holdings of Greater Grand Rapids and Kent County, Michigan newspapers, mostly held in the Grand Rapids History & Special Collections Department (GRHSC) at the GRPL Main Library. 2

4 Holdings formats Newspapers are available at the GRPL Main Library in paper, microfilm or digital full text. The dates and contents for these various formats vary. But, as a rule, most Greater Grand Rapids area newspaper holdings are held on microfilm, in the Grand Rapids History & Special Collections Department (GRHSC) at the Grand Rapids Public Library Main Library....Microfilm... Due to the poor quality of the paper used in most newspapers, most newspaper holdings are preserved and made available for long-term use on microfilm, rather than in the original paper format....digital... The Library subscribes to a digital newspaper source for the Grand Rapids Press, which provides access to key articles from the year 2000 to the present. Other digital sources for newspaper text, with some additional years of digital coverage, may be available in other area libraries. The digital version does not look like the published paper pages, does not include ads, and often does not include obituaries or other sections of the published paper format newspaper....paper... So far, most Grand Rapids area newspapers are still also published in paper format. This means that it is likely that preservation access will be available in the future for those holdings. Once newspapers move to digital only publishing, however, the full access to historical newspaper information is at great risk of being lost, and may not be available at the Library....Recent Paper... The individual paper issues for the latest weeks of newspapers are available in the Periodical Readings Room at the Main Library. For the Grand Rapids Press, the paper copy in the reading room is discarded, once the microfilm is created and sent to the Grand Rapids History & Special Collections Department. Treatment for other titles varies....grpl Research Holdings... This finding aid lists all known formats of newspapers held, though this information changes, as new microfilm is created, as paper becomes unavailable, or as digital services change. There are many issues that were unavailable in paper when the microfilm was created. As more information is collected on the specific issues missing from the microfilm holdings, as wish list will be created that will inform potential donors. The microfilm is located in the public access cabinets in the Grand Rapids History & Special Collections Department (GRHSC), on the 4 th floor of the Grand Rapids Public Library. Some paper holdings are also maintained, until microfilming can be done, or for historical documentation of the title or documentation of special events, and for exhibits. Clipping files and scrapbooks area also available for selective topics. 4

5 Equipment for reading and printing newspaper holdings Microfilm There are microfilm readers or reader/printers available for use in the Grand Rapids History & Special Collections Department (GRHSC), at the Main Library. The latest generation of digital reader/printers allow users to outline a specific article, to be printed, or sent as an attached to the researcher's , or saved to a flash (thumb) drive provided by the researcher. Formats used on these reader/printers include PDF, JPG or TIFF formats. Large TIFF files are usually too large to be sent successfully as attachments. Items printed at the library are only available on 8½ x 11 paper, at $.15 per sheet. Digital The Library purchases commercial digital sources of newspaper indexes and select articles. Some of these commercial sources are available for research from home, using the GRPL website, for those who are citizens of Grand Rapids, and own a Grand Rapids Public Library card. Others are welcome to use these sources at any Grand Rapids Public Library site. Some of these same commercial digital sources may be available from the Library of Michigan, or other Greater Grand Rapids area libraries. GRPL Website / Databases / Newspapers & Magazines Indexing Indexing is available for some newspaper titles, but not all title or all holdings of all titles, at this time. Sometimes an index is available only in paper, within the GRHSC department at the Library. Sometimes the index is searchable free of charge on the Library's website; some online indexes are restricted to GRPL card holders only. However, the largest percentage of Grand Rapids newspapers have no indexing at this time. So, the more specific information that the researcher has concerning when an item was published, the more likely it may be found. Grand Rapids area Obituary Indexing Created by volunteers of the Western Michigan Genealogical Society format=search.htm&-new Available for obituaries published in the Grand Rapids Herald or Grand Rapids Press. Indexing starts with Obituaries were not commonly available before 1910, and were scattered throughout the paper, rather than in a specific section. Researchers who know the death date can search the newspapers beginning with the death date, to see if an obituary or obituary article was published. WMGS is also adding some obituary indexing for select other area titles and years. 5

6 Grand Rapids Herald No comprehensive indexing available is available for most of the Herald. See the Bajema and other broad subject clipping files in the Vertical File cabinets. Online searchable indexing to some early holdings (to the mid 1920's) may be included in two online indexes: African Americans Women Indexing of articles on new housing starts, architects and buildings may be found in clipping files at the Library & in an online searchable index Lydens Index. The card file was original made by those doing research for the book The Story of Grand Rapids edited by Z.Z. Lydens. Staff are gradually creating digital indexing from these cards, with any additional information still on the cards. See the Robinson Photographs Studio searchable database. H numbers The Robinson Studio took pictures for use in the Grand Rapids Herald from the late 1930's into the late 1950's. Negatives for many of these images are indexed in the Robinson searchable database. Herald negatives are those which have an H in the negative number. The date field in the full record provides the best date to start looking for the image on the newspaper microfilm, where there may be more information about the image within the newspaper article. A few years of select indexing may be available in the paper index, located in GRHSC. Grand Rapids Press Earlier title: Evening Press. No comprehensive indexing available. Indexing in paper and online, prepared by the staff of the Grand Rapids History & Special Collections Department from xxxx to xxxx Brief indexing prepared by Library staff available from 1957 to No name indexing included in this set. Online searchable indexing to some early holdings (to the mid 1920's) may be included in two online indexes: African Americans Women Lydens Proquest (commercial) online indexing available at the Library or to Grand Rapids Public Library card holders from their home computers for Digital full text. 6

7 The Library also has online access to some newspaper stories for recent years via PROQUEST. Some indexing created by GRHSC department staff is available by computer for some articles 1982 to present, and in paper format from 1986 to present. Limited indexing from 1957 to 1986 is available within the department in the form of a paper index. Few personal and corporate names are given in this limited indexing time period. Other special files for accessing part of the newspapers exist, including the Lydens Card File, the Biography & Portrait File index, and even the Robinson Studio Photos online index including the Grand Rapids Herald series. For some event of national note, the date may be obtained by searching the New York Times index, for example, and then returning to the Grand Rapids newspaper for local articles. None of these tools are comprehensive, and many years of indexing for many newspaper titles, still needs to be prepared. Special indexing, created by WMGS volunteers, is available for Obituaries back to 1910 in paper format or via the Western Michigan Genealogical Society website. WMGS volunteers have now also begun indexing marriages and anniversaries, moving from the latest back to historical dates. Clipping Files Thanks to the work of researcher Carl Bajema, clipping files, created from microfilm copy prints taken by Bajema, are available for several broad subject areas. Some of these have now been indexed by volunteers & staff, and these indexes are available via the Grand Rapids Public Library Website. Clippings by subject can also be found in the department s Vertical Files, and in various archival collections. Generally, clippings are copies, rather than originals, though original clippings are desired and maintained for certain archival collections and important events. Clippings also exist in various scrapbooks, many of which are documented in the GRPL Scrapbook Collection #239, or in the finding aids of individual named collections. Scrapbooks may be in original, photocopy or microfilm format. Master Microfilm Sets Master Microfilm are those versions of the microfilm of the greatest quality, preserved for use only to create usage microfilm. The Grand Rapids Public Library Archives has some master microfilm for some titles, created when the Library has taken the initiative to microfilm the title, usually using a commercial vendor. Other master microfilm for Grand Rapids area titles is held at Central Michigan University or the Library of Michigan, if created through the U.S. Newspaper Microfilm Project, or by UMI Proquest, if created through that vendor, for example. For a list of titles for which GRPL has master microfilm, see the Master Microfilm section below in this finding aid. Those institutions wishing for order usage copies using GRPL master microfilm should contact: Ask Local History: Please note that several of these master microfilm were created using pre-us-newspaper project standards, and any master microfilm is likely to have missing issue, if those issues were unavailable at the time of microfilming. 7

8 Definitions of a Newspaper Generally, newspapers are serial publications issued in print on a daily or weekly basis. Traditionally, and still today, newspapers are printed in black on white paper. Two major changes in original newspaper formats in recent years has been the use of color on white paper, and the development of the publication of an original digital version of the story content from the publisher. That digital version may be different from the digital version used by newspaper index vendors, or in some cases these two functions may be developed together. The intent of the publisher continues to be on the presentation of the current news. As such, the physical form of the newspaper is ephemeral, not created by the publisher for long term durability or access. Newspapers published rough before the Civil War had rag content in the paper, potentially making the physical item more durable than later newspapers that were often printed on cheap newsprint paper. The only images used in early newspapers were dye cuts of generic forms, which could be purchased just like type. The art of type itself developed to create different visual styles in the lettering used in all or parts of the newspapers themselves. 10 Summary of Holdings & Related Collections GRPL Local Research Newspaper Coll. Departmental collections including newspaper holdings Grand Rapids History & Special Collections primarily collects newspapers from Grand Rapids and Kent County. Most of those titles, considered to be newspapers by definition, are documented in this finding aid. Most departmental holdings are on microfilm, rather than in paper format. The current issues of the Grand Rapids Press are held in the periodical reading room until microfilming is available. Newspaper type titles treated as Periodicals If the newspaper title desired is not listed in this finding aid, check with department staff. Some newspaper like publications are treated as magazines. These may be listed in the Library's online catalog, or the GRPL Local History Serial Database, which is currently available only in GRHSC. Two examples of titles managed as magazines/periodicals, which are known & cross referenced here are Grand Rapids Business News & Grand Rapids Legal News. Most periodical titles managed as archival holdings are documents in the archival collection #285, GRPL Michigan and Grand Rapids Archival Serials Collection. Other departmental periodicals are held on the GRHSC public service floor and listed in the Library's Online Catalog. Newspapers by definition, held in other Archival Collections Other collections of newspapers exist in the GRPL Archives. 10

11 Summary of Holdings & Related Collections continued... Formerly Coll. 255 Grand Rapids Public Library Newspaper Exhibit 1998/1999 In 1998/1999 materials were extracted from the available newspapers to form the Grand Rapids Public Library Newspaper Exhibit, which was mounted in the exhibit area of the Local History Department. This material was previously listed as a separate collection, but has never been processed. Since most of the original materials used in the 1998/1999 exhibit are from, the documentation of the exhibit will now be listed as a subseries within this collection, #259. The physical holdings may be eventually reincorporated into the main collection 259 boxes, but for the present are still in four separate boxes that house only those items considered for the exhibit, called EX1-EX4. Wherever the items sit, the exhibit will remain documented through an inventory of the items reviewed and selected for the exhibit. A few items used in the exhibit may be from archival collection other than, and will be cross-referenced from the exhibit, wherever they are currently stored, either in Coll. 259, or in their originating collection. The 255 collection number has now been reassigned to a completely different archival collection. 256 Underground Newspapers, ca. 1970's These underground newspapers share a time period in history, which is relevant to their creation and content as a collection. However, the holdings are also noted in this finding aid. Coll. 256 has a separate, though limited, finding aid which summarizes the current holdings for the alternative newspapers of this era. Other archival collections may include some newspapers, along with many other types & subjects of material. 11

12 Summary of Holdings & Related Collections continued , Grand Rapids Press Collection This collection incorporates several accessions of materials from or about the Grand Rapids Press, which have been given to the Library by the Press or others over the years. The actual newspapers, in paper, but mostly on microfilm, have been left as part of the general Coll However, Coll. 297 includes clipping files taken from the newspapers. Other material in the Grand Rapids Press Collection include photos & negatives taken and used or not used in the newspaper, Newsboys photos & organizational files, some business files of the Press, and other types of materials are also found in Coll Held elsewhere in the Library The latest issues of the Grand Rapids Press are kept in the Periodical Reading Room, along with those received from other selected cities. Older issues of the New York Times are kept on microfilm in the Reference Department on the Lower Level. Ask Reference for information on other newspapers. Held by other Institutions Some holdings of Grand Rapids/Kent County newspapers may be located exclusively in other archives, libraries, museum, historical societies, commercial press owners, and other unique locations in this State, or even in other states. 13 Scope and Content GRPL Local Research Newspaper Coll. Formats 1. Microfilm: Microfilm is routinely created for new issues of the Grand Rapids Press, within about 5 weeks of the publication of the printed version. This is done by the Press. Microfilm of other titles is selectively created, as the paper issues are available, and as funds and services are available to create the microfilm copy. Typically, GRPL has used the microfilming services of Central Michigan University, which did the filming for the Michigan Newspaper Project, according to national standards. Turn around time for this type of microfilming is currently slow, perhaps a year. 2. Microfiche. No known holdings of newspapers on microfiche at this time. 3. Print: Only selective titles or issues of original newspapers are kept in the Archives, with the primary user collection being those on microfilm. Due to the fragile nature of the printed newspaper, these items are generally used only for exhibits or special projects. They are not routinely available for public use, but may be available with special permission of the Archivist or Department Head. Paper items kept are either received as gifts, or in the case of more current Grand Rapids Press issues, are retained from the copy used for indexing or brought in by staff. Some of these retained items find their way into other collections, due to their subject content. To date, these other random holdings have not been tracked and documented in this finding aid. Whole issues, sections, or clippings only may be found for the particular title/date. 4. Computer/Digital. Digital access to the Grand Rapids Press, and selected other Michigan newspapers, are available for current years via UMI Proquest. This version has not pictures, adds, obituaries, etc., and is not formatted as the traditional newspapers in paper or microfilm. Patrons holding Grand Rapids Public Library cards may access Proquest from home from the GRPL Website ( using the Internet, and will be asked to input their library card number. 13

14 Other digital accession to newspaper information and/or obituaries are available through other database sources to which the Library subscribes. B. Accuracy of Holdings Statements. This document is a work in progress. As time allows, holdings statements will become both more accurate, and more specific. It was believed, for example, that the holdings labels on some microfilm boxes were accurate. Much volunteer time is needed to review each microfilm reel to find out which published issues are actually available and which are missing. 14

Negative versions of currently available newspapers on microfilm are kept in the microfilm cabinets in the Local History public service area. See the inventory list below (in preparation 2001) Positive film versions of some of these titles, are kept in archival boxes in the Archives, under this collection. See the section Microfilm. Box summary below. Newspaper clippings or fragments of newspapers may be captured in the microfilm of scrapbooks in the collection. These are not indexed, however. B. Many of the items shelved in the Periodicals stacks could also be called Newspapers, particularly in tabloid format. For example, the Grand Rapids Legal News, and the Grand Rapids Business News are tabloid speciality serials. These titles are indexed and available from ProQuest under their newspaper package, but are not, by definition, newspapers, within the National Newspaper Project.
