1 Zinfonia Catalogue and Link Import File Specifications Version: 1.3c Last Updated: 20 October 2016 To import work title information into Zinfonia you must create an import file according to specifications below. As part of the import process you can set global action links for all works imported or you can use a separate link file which is also specified below. Catalogue Import File Format The catalogue import file must be a Unicode* text file with specific columns separated by a TAB (09 hex 9 decimal) character and each record separated by a CR (0D hex 13 decimal) or CR/LF (0D/0A hex 13/10 decimal) combination. For fields that require carriage return (such as the Description, Orchestration or Premiere fields), the Paragraph Marker CR (B6 hex 182 decimal) may be used. The first line MUST contain tab-separated Column Headings in the exact same order and representation as the table below. Any information that is greater than the max size will be truncated. Any information which is not applicable may be left blank. Records MUST contain at least a Unique Work ID, Composer Last Name and Title. While the inclusion of composer dates is not mandatory, inclusion will assist in the speed of the processing of your requests. All information should be in mixed case. 6 Link Import File Format The link import file must be a Unicode* text file with specific columns separated by a TAB (09 hex 9 decimal) character and each record separated by a CR (0D hex 13 decimal) or CR/LF (0D/0A hex 13/10 decimal) combination. Every record must have a valid WORKID The first line MUST contain tab-separated Column Headings in the exact same order and representation as the table below. Any information that is greater than the max size will be truncated. Any information which is not applicable may be left blank. Records MUST contain a Link TYPE and link ITEM. There can only be 1 link for the same TYPE and ITEM and LANGUAGE. The displayed text is a combination of the TYPE and ITEM text. When adding links, you MUST add all links for a particular work at the same time (any existing entries will be removed). NOTE: If no URL is entered, the request will be processed using the default Zinfonia Request Materials/Ask a Question options and the TYPE option will be ignored. IMPORTANT: For any title that you want to be processed by the Zinfonia order system, it is very important that if you are adding other links that you include a line item for the Zinfonia Request Materials option which is represented as follows: # COLUMN DESCRIPTION 1 WORKID Your Work ID Reference 2 TYPE ITEM 1 The rest of the columns are not required *A standard ASCII file can also be used so long as there are no extended characters. 9 Restrictions The import files must be smaller than 4.0Mb, and a maximum of 1000 records per file is recommended. You can though import more than one file to build up large catalogues. Using Excel If you use the Unicode Text option of the Excel, with the correct columns you should get an import file in the correct format.

10 Using Google Sheets If you use the Download as Tab-separated values with the correct columns you should get an import file in the correct format.
