4 Welcome to Pathfinders We are so excited you have chosen to enroll your child in the Beltsville Broncos Pathfinder Club this year. Whether it is your first year in Pathfinders or you are Pathfinder veterans, we are happy you are joining the Broncos family. Pathfinder ministry is for young people in grades 5 through 12 with the dual objectives of enlarging their windows on the world and building a relationship with God 1. At Beltsville we believe that because we are giving young people an opportunity to strengthen their walk with Christ, Pathfinders is one of the most important ministries of the church. However, the importance of the many life-skills taught as part of the Pathfinder curriculum are also important to a young person s maturation process. Policies A club the size of Beltsville must have certain policies and guidelines to function efficiently. Here are the policies we expect parents and Pathfinders to be familiar with and abide by. Registration Each year Pathfinders must go through the registration process. There are 3 steps required to complete Step 1: Online Registration Online registration in Church Community Builder (CCB) Financial deposit (w/option to complete Financial Registration for a discount) Step 2: On-site Registration (Pathfinder must be present) Completed registration form Completed medical release form Completed ID badge permission slip Copies of insurance cards Order uniforms and/or club t-shirts Take Pathfinder photo for name badges Sign up for optional activities such as Pathfinder Bible Experience and the Teen Leadership Training for Varsity (high school) Pathfinders Step 3: Financial Registration Complete financial registration (if not completed in Step 1) Registration will be open for 4 weeks following the on-site registration day. 5 Finances Pathfinder dues are inclusive of everything that will happen during the Pathfinder year, including Pathfinder Fair, the Conference or Union camporee, club campouts, supplies for Induction, Investiture materials, and the Pathfinder s first club t-shirt. The only things not covered by annual dues are the purchase of Pathfinder uniforms (typically a one-time fee), drill team uniforms, TLT training weekends, travel to the PBE Competitions, and NAD Camporee in Oshkosh (when applicable). Payments Uniforms must be paid for in full at the time of purchase and a minimum of 50% of the annual dues at the time of financial registration. The remainder of the dues may be paid no more than three (3) installments on the following dates: 1 st installment by October 1 2 nd installment by November 1 3 rd installment by January 15 Pathfinders who are not current with payments, and who have not arranged an alternate payment plan with the club treasurer, may not be allowed to participate in the spring/summer campouts and/or NAD competition with PBE. Pathfinders with a balance must pay any outstanding dues from previous years prior to registering for the upcoming Pathfinder year. Dues and Discounts Club dues are $375 annually per Pathfinder and the following discounts are given for: Members of the Beltsville SDA Church a $50 subsidy per Pathfinder Early-bird discount when you complete financial registration online by July 31 o $25 off per Pathfinder for dues paid in full o $10 off per Pathfinder for 50% dues paid $15 off per Pathfinder for dues paid in full between July 31 and August 10 (On-site Registration) $50 off for each sibling above 2 Pathfinders per family Financial Assistance We do not want finances to stand in the way of someone who wants to be involved in Pathfinders. Thanks to very generous individuals who donate to the club, financial assistance is available. Please talk to the club director if you would like to be considered to receive this. Refunds A Pathfinder who drops out of the club may be entitled to a refund of the dues paid, less an administrative fee. This administrative fee varies based on the date the club is notified that the Pathfinder is leaving. There is no refund or buy-back for any uniforms purchased from or thru the club. 6 Drop off and Pick up Pathfinders are encouraged to arrive on time to each meeting, so as not to interrupt worship and opening exercises. Pathfinders who arrive late will be asked to wait along the side of the gym wall until given permission to join the formation. Pathfinders should be picked up no more than 15 minutes after the end of each event and enter the school through the lobby only. Parents who are regularly late to pick up their Pathfinders may be charged a late pick up fee of $20 per incident. Pathfinders may only be picked up by individuals listed on the Pathfinder application form signed at registration. If other arrangements are necessary, parents must the club director. All Pathfinders (including staff kids) will need to be signed out by the person picking them up following each Pathfinder meeting. Once they are signed out, Pathfinders should leave through the school lobby. Participation Points Pathfinders is a participation ministry and young people will get the most out of Pathfinders the more they are involved. To encourage and reward involvement, Pathfinders will receive points throughout the year in four different categories: Attendance, Events, Participation, and Commitment. (See Appendix for a complete list of points). These points will be used to determine the recipients of various Club Awards (see below) and eligibility for optional Pathfinder activities. Attendance Points Because much of the Investiture Achievement work is done during class time, regular attendance is essential to a successful Pathfinder year. Pathfinders who at any time fall below 80% of the available attendance points will not be able to remain in the TLT program and will not be eligible for the Good Conduct Award (see page 6). Event Points Pathfinder events offer many unique experiences that cannot be replicated at any other time and provide the opportunity to earn special honors and complete Investiture Achievement requirements. Events also allow Pathfinders to interact with other clubs from the Conference/Union. Additionally, the club must achieve certain attendance percentages or risk losing points from the Conference. Participation Points By being involved in the basic Pathfinder program, young people should be able to complete their Investiture Achievement and a number of honors during the meetings and at Pathfinder events. Most Beltsville Pathfinders also earn their Advanced Investiture Achievement as well and Pathfinders can work independently at home on honors. Pathfinders can also earn points for participating in optional Pathfinder activities (i.e. PBE, TLT, and Drill Team). Commitment Points At Induction each year, each Pathfinder must make or renew their commitment to act in accordance with the Pathfinder Pledge and Law. The club leadership will award commitment points to each Pathfinder, who will keep those points throughout the year providing they maintain their commitment to abide by the Pledge and Law. If at any time during the year Pathfinders engage in behavior that is outside the Pledge and Law, club leadership may deduct some of their commitment points. Beltsville Broncos Parent Handbook Pg. 5

7 Club Awards Each year at Investiture the club can award several special awards to recognize Pathfinders for their behavior, attendance, and participation during the Pathfinder year. Good Conduct The Good Conduct award recognizes Pathfinders have an overall dedication to Pathfinder ministry. The first year Pathfinders are eligible, they will receive the Good Conduct bar, which is to be worn on their uniform. Each additional year they are eligible, Pathfinders will receive a star to be added to their Good Conduct bar. To be eligible for the Good Conduct award, Pathfinders must have a minimum number points in the following categories: 80% of the available Attendance points for the year 80%of the available Event points 100 Participation points 90 Commitment points Perfect Attendance Pathfinders who do not miss a single meeting, Pathfinder event, or activity will receive a Perfect Attendance certificate. Eligibility for perfect attendance is not based on points and excused absences still count against perfect attendance. Pathfinder of the Year Each Pathfinder unit may award the Pathfinder of the year award to the male and female Pathfinder with the most points. Pathfinders must meet earn the Good Conduct award and complete their Investiture Achievement during the current year to be eligible for the Pathfinder of the Year. Attendance Pathfinders who fall below 80% attendance for the year will not be able to remain in the TLT program and will not be eligible for the Good Conduct award. Excused Absences Pathfinders are allowed no more than 2 excused absences a year. An excused absence is given for absences that are communicated via with your Pathfinder s counselor and the club director 24 hours prior to the event for the following reasons: School function (choir trip, standardized testing, etc.) Illness or family emergency Pathfinders will receive 80% of the possible points for meetings with an excused absence. Event Registration Policy Because many of our events require the arrangement of both transportation and food for Pathfinders and staff, it is imperative that proper arrangements are made well in advance of each event. Pathfinders must register, by way of a signed permission slip, for all off-campus events at least one month in Beltsville Broncos Parent Handbook Pg. 6

8 advance or they may not be allowed to attend. Pathfinders who cancel after registering for an event may be subject to a cancellation fee of $50 for multi-day events (club campout, Camporee, etc.) and $25 for single-day events (field trips, Pathfinder Fair, etc.). Exceptions will be made for emergency or illness. Parent Involvement For those of you familiar with the Adventurer ministry, which encourages family involvement, you should be aware that Pathfinder ministry is different. One of the tenets of Pathfinder ministry is to build relationships between our young people and adult church members outside of their family circle. Evidence shows that if a Seventh-day Adventist young person makes just three bonds with adults from church outside of their family they are much more likely to remain active church members themselves. Thus, when we travel or even during our club meetings parents are not invited to participate. Yes, our Pathfinder staff is made up primarily of parents, however we are looking for parents who have a passion for youth ministry and leading all young people to Christ. Parents who join this ministry should be prepared to allow their young person the space necessary for maturation and growth. Therefore, only parents who are official staff members will be allowed to participate in Pathfinder activities, including Pathfinder fair, campouts and camporees, and/or other off-campus activities hosted by the club, conference, union, or division. The Pathfinder ministry also provides a safe environment for young people to form the foundations of their spiritual walk. This is done by staff that have developed caring relationships with their Pathfinders throughout the year. Having parents who are not staff tag along at events or hang out at meetings can create confusion for Pathfinders and can stifle participation. Parents who are interested in becoming official staff members with an active role in the Pathfinder ministry are encouraged to talk to the Pathfinder director prior to the beginning of the year to see what openings are available on the staff. Staff Background Checks For the safety and security of your child, every staff member is required by the Potomac Conference to go through an online training course approved by Adventist Risk Management. This training teaches staff how to spot children who are possible victims of abuse, how to deal with a child that opens up to them about abuse, and how to report suspected abuse to the authorities. Staff members must also submit to an online criminal background check that alerts the Potomac Conference to any documented criminal behavior by the potential staff member. Only individuals who pass this background check and complete the online training are allowed to be staff members. Campout/Camporee Expectations Pathfinder campouts and Camporees are some of the most memorable times of Pathfinders and provide an opportunity for Pathfinders to practice some of the skills they have learned throughout the year. In order for a safe, productive time at these events, the club leadership has the following expectations for Pathfinders during these outings. Beltsville Broncos Parent Handbook Pg. 7

9 Loading and Unloading All Pathfinders are expected to be present at the time of loading the club s camping gear, typically the night before departure. Pathfinders are also expected to stay immediately after returning from a camping trip to help with the unloading of the camping gear. Parents are also encouraged to help. Camp Set Up/Tear Down All Pathfinders are expected to actively participate in the set up and tear down of the club s campsite, including the dining tent, kitchen area, and all Pathfinder sleeping tents. Upon completion of assigned tasks, Pathfinders are expected to check with their counselor or other staff member to determine what needs to be done next. Camp Safety/ Cleanliness Pathfinders are expected to contribute to a safe campsite by keeping the site clean. Personal items should not be left around the campsite or in the kitchen area and trash should be deposited in the proper place. Equipment Care Care should be given not to damage tents and other camping equipment, either by rough play or carelessness. While we understand that accidents happen, Pathfinders who damage equipment because of poor choices and/or actions that could have been avoided may be asked to cover the cost of repairing or replacing damaged equipment. Because they are not good on floor tents, suitcases with wheels are discouraged. If you see damage to club equipment please report it immediately to your counselor. KP Duty All Pathfinders will be assigned to help assist at least once in the kitchen, either for meal preparation or for clean up after meals. Pathfinders may be asked to do extra KP duty if they are unable to live up to these expectations. Food Our kitchen staff works hard to make sure our Pathfinders have plenty to eat after a long day of activities, including snacks and desserts throughout the day. Pathfinders should not bring additional food, as this has the potential to attract critters, ruin tents, and potentially aggravate allergies of others. Knives Because Pathfinders learn knife safety as part of the Camping Skills honors, small pocketknives are permitted on camping trips but may only be used in the fire bowl area or with staff supervision for designated Pathfinder activities (honors, etc.). Pathfinders should never walk around with an open knife. Pathfinders in grades 5-8 should not bring fixed blade knives or hatchets. Violations of this policy will result in the loss of the knife for the rest of the trip. Cell Phones/Electronics Cell phones and other electronics can be a major distraction to the educational enrichment and spiritual growth that make camporees a vital part of the Pathfinder program. Cell phones may be brought on club trips for use on the bus only. Pathfinders may use their phone as a camera as long as the other features and apps are not a distraction during activities. Pathfinders may listen to appropriate music in the tent and only thru headphones. No other electronics (video games, etc.) should be brought on club campouts Beltsville Broncos Parent Handbook Pg. 8

10 and the club is not responsible for any loss or damage to electronics. At Camp Blue Ridge there is no cell phone coverage and the club cannot provide a way for Pathfinders to charge their phones. Supervision Pathfinders are expected to be with their counselor or other assigned staff member at all times when they are away from the club campsite. Pathfinders should not leave the campsite for any reason without first getting permission from their counselor. Even after getting permission from a counselor, Pathfinders should use the buddy system and never be by themselves. Pathfinders of opposite gender should never be together without supervision. Activities/Schedule While club campouts are more relaxed, Conference/Union/NAD camporees often have very full schedules. Pathfinders are expected to participate in all activities unless there is a medical reason that prohibits them from participating. Showers At Camp Blue Ridge, cabins are provided for Pathfinders to take showers. Pathfinders must have a staff member accompany them to the cabin each time they go to use the showers. Showers should not conflict with scheduled activities and may only be taken in the morning before the start of activities, after activities and before dinner, and after the evening meeting before lights out. Due to time constraints, showers may not be taken between dinner and the evening meeting. Religious Programs Pathfinders will accompany their counselor to each of the religious programs during the weekend and are expected to be respectful of the program participants and others around them by not talking during the programs. They are encouraged to use restroom facilities prior to the start of religious programs and will not be allowed to leave the meeting after the main speaker has started speaking, except in case of an extreme emergency. Parades In the event of a parade or other marching event each Pathfinder is expected to present him/herself according to the procedures of the event and follow the instructions of the parade coordinator. A parade means that our club will literally be on display for hundreds of other Pathfinders, staff, and visitors. Behavior that does not reflect the standards of the Beltsville church, our club specifically and Pathfinders as a whole will not be accepted. Class A uniforms are required for parades and no jewelry or colored nail polish may be worn. Clothing Unless otherwise instructed, Pathfinders are expected to wear their a PBE or TLT shirt on Thursday (if applicable), their yellow Beltsville Broncos shirt (Class C uniform) on Friday, their full dress Class A uniform for church on Sabbath, followed by their blue Potomac Conference shirt Sabbath afternoon. Pathfinders can wear any appropriate t-shirt on Sunday, although another Pathfinder shirt (if owned) is encouraged. TLTs will be required to wear their TLT shirts any time they are volunteering in a TLT capacity. Beltsville Broncos Parent Handbook Pg. 9

11 Pathfinder Information Pathfinders is an active and vibrant ministry, with many several activities happening each month. Families new to Pathfinders might find the following information helpful about our Beltsville club and Pathfinders in general. Investiture Achievement The Pathfinder curriculum, or Investiture Achievement, consists of coursework and activities for each year of involvement in Pathfinders. These activities are designed for the young people to experience growth in the following areas: Personal Growth Spiritual Discovery Serving Others Making Friends Health and Fitness Nature Study Outdoor Living The majority of the requirements for Investiture Achievement will be covered at the regular club meetings and on club campouts; however some of the Varsity units (high school) might have some activities to do outside of club time. The different levels of Investiture Achievement are as follows: Friend (Fifth Grade) Companion (Sixth Grade) Explorer (Seventh Grade) Ranger (Eighth Grade) Voyager (Ninth Grade) Navigator (Tenth Grade) Pioneer (Eleventh Grade) Guide (Twelfth Grade) Master Guide (age 16 and older) Advanced Investiture Achievement With the exception of Master Guide, Pathfinders have the option to complete additional activities to achieve recognition for Advanced Investiture Achievement. The majority of these activities are also done in class. Upon completion of these requirements, Pathfinders will receive a bar to display on their uniform above the right shirt pocket (see Uniform Requirements) Honors Pathfinder honors are given to Pathfinders in recognition for completing the requirements of that particular honor. Honors are typically completed during Pathfinder class time, at Pathfinder Fair, and at campouts/camporees. Pathfinders may work independently on honors at home, but must present a portfolio to a Master Guide with the club that shows completion of the honor requirements. 12 Master Awards There are 14 Master Awards that recognize Pathfinders who earn at least 7 honors in a specific category of honors. Often the requirement is any 7 honors from that category, but some Master Awards require certain combinations of honors to qualify. A checklist for each Master Award is on our website and Pathfinders are encouraged to see if they qualify for a Master Award. Calendar and Pathfinder Activities The Pathfinder calendar is published over the summer and is distributed via and is available on our website, Facebook page, and at on-site registration. The calendar is created in coordination with the Beltsville Adventist School, Beltsville Adventist Church, and the Potomac Conference. We also consult with Takoma Academy, Shenandoah Valley Academy, and Spencerville Academy, as a number of our Pathfinders attend these schools as well. Changes to the calendar will be announced via and on our Facebook page. Monthly Meetings Pathfinders meetings are typically held twice a month, with the majority of our meetings on Sunday morning from 9:30-12:30. Due to scheduling concerns, meetings will occasionally be held on Sabbath afternoon from 3:00-6:00. Induction During the Induction ceremony, new Pathfinders commit to abide by the Pathfinder pledge and law, and are officially welcomed into the Pathfinder community. Returning Pathfinders renew this commitment. Family and friends are encouraged to attend this sacred program. Pathfinder Fair Pathfinder Fair is an all-day conference-wide event that gives Pathfinders the opportunity to complete several unique honors, participate in fun activities, and compete in a drill-down competition. Can Collection Before Thanksgiving our club distributes grocery bags in the Beltsville/Calverton area for residents to donate canned/boxed goods. This food is then distributed to families in need. Parent drivers are always needed for this event. Campout Each year our club holds its own campout, typically at a Maryland State Park. Pathfinders are able to practice camping skills and earn nature honors on this weekend campout, as well as grow closer to one another and with Christ. Camporee Similar to the club campout but much larger in scale, a camporee is held each year by the Potomac Conference at Camp Blue Ridge in VA. Potomac does not host a camporee on years when the Columbia Union hosts a union-wide camporee. Lock-In An all-nighter where Pathfinders play games, eat snacks and watch movies all night long in the BAS gym. This event has shown over the years to provide bonding opportunities between our young people of Beltsville Broncos Parent Handbook Pg. 11

13 different ages as we do a lot of team events where the teams are made up of a wide variety of age groups. Investiture This end-of the year ceremony is when Pathfinders are awarded with Investiture Achievement, honor patches, and club awards earned during the year. Oshkosh Camporee This international camporee hosted by the North American Division is held every 5 years in Oshkosh, WI and is attended by 50,000+ Pathfinders. Although the event is held in August, close to the beginning of a new Pathfinder year, only active Pathfinders and staff from the previous year will be eligible to attend Oshkosh. Uniform Requirements As part of the worldwide Pathfinder Club, Pathfinders and staff are required to wear the appropriate uniform to all Pathfinder activities. There are three types of uniforms that are to be worn: Class A Uniform The Class A uniform is a full dress uniform and consists of black dress pants (no jeans or stretch pants), black socks and black dress shoes (not sneakers), a uniform shirt (complete with patches, pins, etc.), a scarf and slide, and black honor sash. Class A uniforms can be ordered at registration or online (see Resources section) and should be worn for the following Pathfinder events: Induction Pathfinder Sabbath Can collection (drop off) Club inspection Camporee Investiture PBE competitions Any Sabbath service with Pathfinder participation Class B Uniform The Class B uniform is a field uniform consisting of a navy blue Potomac Conference t-shirt and will be worn at the following Pathfinder events: Pathfinder Fair Regular Pathfinder meetings Conference/Union/Division camporees Club campout Beltsville Broncos Parent Handbook Pg. 12

14 Class C Uniform Each Pathfinder will receive one complimentary gold Beltsville Broncos club shirt. This is the Class C uniform and will be worn at the following times: Can collecting (pick up) Conference/Union/Division camporee PBE NAD Competition Club campout Additional club shirts can be purchased for $10. Optional Pathfinder Activities Pathfinders can choose to participate in several optional activities that enrich the Pathfinder experience and compliment Investiture Achievement. Pathfinder Bible Experience Pathfinder Bible Experience (PBE) is a rigorous yet rewarding extra-curricular activity that focuses on an in-depth study of certain book(s) of the Bible. Pathfinders who participate in PBE will meet outside of regular Pathfinder times (typically Friday evening) to study and practice, but additional individual study is also required. Parents are responsible for transportation to all PBE competitions except the NAD level. PBE teams will compete in several quiz-style competitions throughout the spring based on the book(s) of the Bible being studied that year. At each level of competition teams need to reach a certain score (graded on the curve) to advance to the next round of competition. The culmination is the North American Division competition, which sees more approximately 100 teams from around the NAD and England come together. Teen Leadership Training Varsity (high school) Pathfinders may choose to participate in the Teen Leadership Training (TLT) program alongside their regular Investiture Achievement program. The TLT program is designed to provide Varsity Pathfinders with opportunities to learn leadership skills from a mentor and put those skills into practice. As part of the program, TLTs will learn about and be involved in some of the various leadership roles for the club, including helping teach Investiture Achievement and honors to the younger Pathfinders, club administrative duties, and Pathfinder event planning. TLTs must work with their mentor throughout the TLT training program. TLTs are also often called upon to lead out at Conference and Union events. Pathfinders who want to participate in the TLT program need to fill out an application and provide 3 recommendations from pastors, teachers, etc. To apply for and remain in the TLT program Pathfinders must have and maintain 80% attendance and not be involved in any major discipline. Drill Team Pathfinders interested in learning more advanced marching and drilling may try out for one of the club s 3 drill teams. Practice is held outside of regular meeting time and there is an additional uniform charge. The teams use the skills they learn to compete each spring at the Conference drill competition.
