Most individual contest entries must be submitted in a digital format to our web-based contest submission system. Paper submissions in these categories will not be accepted for any reason. If you no longer have access to your original digital files, you may scan yearbook pages to submit to the contest. n You may be able to enter materials produced by your staff into non-yearbook categories. Watch for the Student Media Contest Call for Entries in December. n Yearbooks free of prior review may receive their award in the Spartan Critique competition with Distinction. This does not affect a student media outlet s overall Spartan score or rating, but is designed to promote the educational advantages of student-led scholastic media. n Please go to get all contest information. You can also find all contest information by clicking on the Contests & Awards menu at the top of the page. n All awards will be presented at the MIPA Spring Awards event in April 2018 at the Lansing Center. If you are unable to attend, you may pay an added postage fee to have awards mailed to you. n It s important to carefully read category descriptions and contest rules. Failure to follow contest directions may result in your entries being disqualified. n Save 10 percent on your Yearbook Individual Category Contest entries if you submit by the early deadline. n YOU MUST BE A MIPA MEMBER TO ENTER CONTESTS. Membership information, including a member list that is updated weekly, is available at Membership in MIPA runs the academic year, and all members are eligible to enter for the July Spartan deadline (but we would be happy now to renew your membership for ). n ALL ENTRIES MUST BE SUBMITTED BY THE DEADLINE TO BE ELIGIBLE FOR AWARDS. Entries submitted by mail must be postmarked by the deadline. Entries submitted electronically must be uploaded to MIPA using the contest submission system by 11:59 p.m. on the deadline day. Payment is due by the same deadline. n All entries should be uploaded to MIPA s contest submission system via the adviser s Submittable account. That s how we connect those entries with your school. PLEASE DO NOT ALLOW YOUR STUDENTS TO CREATE THEIR OWN ACCOUNTS TO UPLOAD INDIVIDUAL CATEGORY CONTEST ENTRIES TO THE ONLINE CONTEST SUBMISSION SYSTEM! n DO NOT RELY ON YOUR SCHOOL OFFICE TO MAIL YOUR CONTEST MATERIALS! It s best to go to the post office yourself and mail the package! It is too important to you and to your students to risk letting it go through school mail. And to be even more sure (especially if you are mailing it on the deadline day), ask to see the postmark on the package and get a receipt. We also recommend you get a tracking number. n Please keep a copy of each of the forms that you send for your records. Also, don t hesitate to contact the MIPA office if you have questions at or mipa@msu.edu. n A Cut Above, MIPA s compilation of contest winners, is available online at This website features a selection of first-place winners our contests. We update this site with the previous academic year s winners each summer. *It is possible to send in Yearbook Spartan contest entries up to one month late (see postmark deadlines above) for an additional $40 fee. Spartan submissions postmarked after the late deadline may receive a critique, but will not be eligible to receive an award ranking. Late entries will not be accepted for the Individual Category Contests. 2 YOU BE THE JUDGE Be a judge in MIPA s Individual Category Contests. Join journalism educators and professionals from across the state for MIPA Judging Day on Saturday, March 3, 2018 at MSU. Never been a judge? New to advising? No problem! We ll teach you and we ll pair you with an experienced judge. Judging Day is a great opportunity to see some of the amazing journalism that students across Michigan are producing for their newspapers, yearbooks, broadcast programs and news websites. 3 HOW TO Using the MIPA contest submission system TO ACCESS THE CONTEST SUBMISSION SYSTEM OR PAY FEES: MIPA operates a web-based submission system for nearly all Individual Category Contest entries and for all of our special honors. Instead of clipping and mailing entries to MIPA, you will submit electronic files via this system. The system runs on the Submittable platform. News Page Design All news design entries must be submitted as PDF documents. FOR SPREADS (a spread is two facing pages) where your design crosses the gutter (flows across both pages), save your PDF as a spread, creating a single horizontal page out of two vertical pages. Otherwise, the judges may not see both pages of your spread together and will not get the full impact of your design. Consult your design software help guide for assistance saving a spread as a PDF. Yearbook Page Design Submit a single PDF of the page(s). FOR SPREADS (a spread is two facing pages), if possible, save your PDF as a spread, creating a single horizontal page out of two vertical pages. Otherwise, the judges may not see both pages of your spread together and will not get the full impact of your design. Consult your design software help guide for assistance saving a spread as a PDF. Art & Photos For most art and photo categories, submit the photo or artwork (see category description for file format) AND a PDF of the page on which the entry was published (if it appeared in print) or a working URL to the Web page on which the entry was published (if it appeared on a news website). Yearbook categories #28-33 will be submitted by mail by sending a single copy of your book to MIPA. (This must be a different book from the one you submit for a Spartan critique.) ACCEPTABLE FILE FORMATS Please review the instructions about acceptable file formats of entry materials. Some categories require only a URL to the entry while others require you to upload a specific file type (such as.pdf or.jpg). Contest entries published on the Web cannot be behind a password and must be set to public view so that they can be accessed on judging day. Entries that do not meet the category requirements will be disqualified. Videos Videos should be hosted on your own website or by a video file sharing service such as YouTube, Vimeo, etc. Be sure that you do not put these videos behind a password, and that these videos are set to public (NOT private) so that judges can view them. Entries that cannot be accessed on judging day will be disqualified. Choose a video hosting service with a high standard of reliability. If your hosting service goes offline on judging day, your videos may not be included in the contest. Web-based Content In most cases, you can submit a link to entries that are published on the web. In some cases, you may also be required to submit a supplementary file (such as a JPG for photos). Ensure all URLs 1 CONTEST DEADLINE Entries must be submitted by the contest deadline. Late entries will not be accepted. You may pay contest fees before or after submitting entries as long as payment is made by the submission deadline. Checks or purchase orders should be postmarked by this date. Credit card payments should be completed by this date. Plan ahead! PAYING ENTRY FEES You do not have to pay at the same time you upload an entry. But payment should be made by the submission deadline. You may pay by mail with a check or purchase order payable to MIPA. Or pay online with a credit card at submit Student media outlets must complete and submit a summary sheet, including payment, for each contest area entered. Payment should be made by the submission deadline. Checks or purchase orders should be postmarked by this date. Credit card payments should be completed by this date. If your school is slow to process checks or purchase orders, plan ahead. You can always pay fees before you submit your entries as long as you know how many entries you plan to submit in each category. You may combine payments for MIPA contests. Please provide an itemized list of all of the entry fees you are paying.

4 HOW TO Using the MIPA contest submission system ACCESSING THE SUBMISSION SYSTEM 1. Go to Follow the instructions to submit your entries. 2. Select the appropriate category for your entry. 3. FIRST-TIMER USERS: The adviser will be prompted to create an account in the submission system (accounts carry over from year to year) before uploading your first contest entry. ALL INDIVIDUAL CATEGORY CONTEST AND SPARTAN CRITIQUE ENTRIES MUST BE SUBMITTED FROM AN ACCOUNT USING THE ADVISER S NAME! That s how both you and MIPA can track all of your entries. Do not allow students to create their own accounts for individual contest and Spartan entries! RETURNING USERS: Log in to access your account. 4. Fill out the entry form as directed. You must complete a separate entry form for each contest entry. VIEWING YOUR SUBMISSIONS AND TALLYING YOUR ENTRIES Please count your entries carefully. If your school takes extra time to process payments, you may wish to pay contest fees early before you submit any entries to the system. That s the best way to ensure your entries meet the deadline and are accepted into the contest! You can view your submissions at any time in the Submittable. com contest system. 1. Go to to access the system. 2. Log in. 3. From the DASHBOARD menu at the top of the page, select My Submissions. A sortable list of all of your submissions will appear. 4. From this page, you can sort your entries. You also can WITHDRAW any entries that were submitted by mistake or that you decide not to enter. After you reviewing your entries, count the number of entries in each category and mark those numbers on the appropriate summary sheet. Download and print the summary sheet to tally your entries and prepare your payment. The online payment form will ask for a detailed tally of your contest entries. If submitting payment by mail, please include a copy of your summary sheet. 2

After your yearbook is evaluated, we will you the critique booklet with the judge s comments. To see a copy of critique criteria, view the booklet at Awards will be presented at the MIPA Spring Awards event in April 2018 at the Lansing Center. If you cannot attend, you may have your awards sent to you for a $5 shipping & handling fee. Visit the link above for details. We understand that yearbooks sometimes receive for publication photographs and other materials created by people who are not part of the yearbook staff. However, only student work is considered for MIPA awards. Please indicate here the system for which your yearbook distinguishes between staff work and work contributed by nonstaff sources. For example: Staff photos are highlighted with * and photo credits or Photos that are not produced by students include courtesy credits. 7. Press freedom issues & Seal of Distinction. You are eligible for an award with Distinction if your student media is free of prior review and censorship. The Spartan Critique Seal of Distinction may be awarded to student media recognized at all levels of the Spartan Critique contest. A seal is placed on the award signifying this honor. To receive the seal, a student media outlet must submit the Seal of Distinction verification form, signed by the school s principal, with this Spartan Critique entry form. Simply attributing work to its creator is not the same as getting permission. Plagiarism is passing off someone else s work as your own. Proper attribution can be a defense against plagiarism. MIPA has developed a policy on copyright and plagiarism in scholastic media. Please review this policy before entering this contest. 10 RE-EVALUATION TEXT SPARTAN Text CRITIQUE RE-EVALUATION DEADLINE: 6 MONTHS FROM RECEIPT OF CRITIQUE Your Spartan critique is completed by an out-of-state judge who has built a national reputation for excellence in his or her own program. While judges are asked to apply a standard set of guidelines created by MIPA, a Spartan critique represents the opinions and expertise of a single person. Sometimes that person gets it wrong. Because of this limitation, MIPA allows the adviser of a newspaper, yearbook or video production to request a re-evaluation within six months of receiving results. (Because of the ever-changing nature of websites, unfortunately, we are unable to do a re-evaluation of a news website.) After thoroughly reviewing your critique, if you wish to have your students work re-evaluated, the fee is $45. You must send in the same item(s) that were used in the original critique. We have your original Spartan application form, including your adviser statement, on file in the MIPA office. Newspaper and Yearbook members will need to send new copies of your publication to be critiqued. Annotated critiques are not available for re-evaluations. Your entry will be sent to a different judge for another critique. The new judge will not receive the critique booklet completed by the first judge or be given any information about how your previous critique was scored. Before you decide to continue the appeals process, please make sure that you have read the judge s comments carefully and given a second reading several days later to ensure an objective decision. Please be aware that this process may take up to eight weeks to be completed, depending on the availability of judges. If you get a lower rating the second time, the higher rating will stand. The new critique booklet will be sent to you electronically once the MIPA office recieves it from the new judge. If you want your publication returned, please send a postage-paid (NO STAMPS ALLOWED), self-addressed mailer with your entry. 12 WHAT S NEW? MIPA Individual TEXT Text Category Yearbook Contest Every year, we try to improve MIPA s contests to keep up with changing technologies and the world of media. We also are constantly working to make the contests easier to enter and manage. Here are some changes for the 2017 contest: CATEGORY REVISIONS Y-22. PHOTO ILLUSTRATION This category was revised to clarify the definition of a photo illustration for the purposes of this contest. We are looking for images that have been significantly altered, typically via Photoshop or other software, to illustrate a concept or idea. ADVERTISING CATEGORIES The ADVERTISING SPREAD category has been eliminated. Our judges have noted in years that an increase in ads provided directly by advertisers has made this category particularly challenging (since only student-produced work is to be judged in MIPA contests). The BUSINESS ADVERTISEMENTS category and PROUD PARENT ADVERTISEMENTS category have been revised to recognize a mini-portfolio of work rather than single advertisements. An entry in each of these categories now is three advertisements, allowing judges to evaluate consistency of work in addition to the core criteria of these categories. Each MIPA member student media outlet can submit two entries into each of these categories. Triple-check how many entries you submit. We had many schools over-pay or under-pay last year because advisers did not accurately count how many entries were submitted. Help us help you so that you only have to deal with your bookkeeper once! If an entry is one of several similar items on a spread, make sure it is very clear which item should be judged! REMINDER: EARLY ENTRY DISCOUNT Your yearbooks are done well before MIPA's regular individual category contest deadline in February and we want to reward you for getting your entries in early so that we can process them. Submit your yearbook entries by these deadlines to save 10 percent on entry fees: Spring-delivery yearbooks: July 15 Fall-delivery yearbooks: Nov. 15 QUESTIONS? Please contact the MIPA office at or mipa@msu.edu. OTHER IMPORTANT INFORMATION SOLVE OUR MOST COMMON PROBLEMS BY CAREFULLY READING CATEGORY DESCRIPTIONS! Nearly all problems we ran across in last year s contest were because entry instructions were not followed. Carefully check over any entries uploaded into the contest system by students. See the contest how-to guide for information on how to view all of your entries. While it s not required, we strongly recommend that you submit original photos AND the final designed pages for photography categories. It helps judges more accurately determine the quality of an image. Give each entry a unique entry title. Do not use the category name for the entry title. Instead use a headline or description of the actual entry. Example: National Honor Society instead of Organizations Writing. MIPA believes it is a best practice for all photos to have captions. If a photo does not have a caption, it cannot be submitted into our contests. If an entry has multiple pages, combine those pages into a single PDF file. Double-check to make sure entries are submitted into the correct category. Entries submitted into the wrong category will be disqualified.

13 INFORMATION MIPA Individual Category Yearbook Contest POSTMARK/ENTRY DEADLINE: Feb. 16, 2018 w Early entry discount for spring books: July 15, 2017 w Early entry discount for fall books: Nov. 15, 2017 GENERAL CONTEST RULES & INFORMATION The MIPA office receives thousands of contest entries in this contest. Entries that do not meet contest requirements will be disqualified. Please review the Call for Entries for this contest. Entries should have been published or broadcast by a MIPA member student media outlet from Feb. 18, 2017, to Feb. 16, 2018, or slated for broadcast. Each member student media outlet may submit up to two (2) entries in each individual category, unless otherwise noted. No entry may be submitted into more than one category, unless otherwise noted in the category description. A single entry in more than one category may be disqualified in all categories. If an entry was published via multiple platforms (ie, print, online and/or broadcast), it should be entered only once. All entries should be submitted via MIPA s Web-based contest submission system at Entries by mail will not be accepted (except for Yearbook categories #27 32, which are entered by mailing one book to MIPA) No more than four students may be named on each entry. Review each category description for information on required publication types (print, online, video, etc), acceptable file formats and other requirements. Incomplete entries or entries submitted into the wrong category may be disqualified. The MIPA office is not able to decide into which category an entry should go. Video and audio entries should be no longer than five minutes, unless otherwise noted. Time requirements do not include name slates, countdowns, etc. Video and audio should be hosted on your own website or by a file sharing service such as YouTube, Vimeo, Soundcloud, etc. Check to be sure your entry is not locked behind a password or set to private. Entries that are not publicly viewable on judging day may be disqualified. Entries must be submitted by the deadline shown above. Late entries will not be accepted. Payment should be made by the submission deadline. Checks or purchase orders should be postmarked by this date. Credit card payments should be completed by this date. If your school is slow to process checks or purchase orders, plan ahead! You can always pay fees before you submit your entries. Use of copyrighted music, artwork, videos or other materials without written permission of the copyright holder may violate U.S. law and MIPA s Copyright & Plagiarism Policy. Entries that violate MIPA s Copyright & Plagiarism Policy will be disqualified. If you feel your entry may be questioned by a judge, please include a note with the entry confirming the source of the material and/or permission to use it. PLEASE NOTE: If any music is included in an entry, the entrant must indicate the source of the music. (For example: Created on Soundtrack Pro or Garage Band, Part of our Staktraxx royalty-free collection, etc.) Please check your entries carefully before submitting them! Also, please remember that this is strictly a contest and not a critique service. All contest entries may be published by MIPA for non-commercial purposes and to promote MIPA educational activities. Winners of this contest will be announced at the MIPA Spring Awards & On-Site Contests in April. Winning work may be showcased on MIPA s website or other MIPA publications. Student media outlets entering this contest will compete in divisions. For Yearbook categories, divisions on based on the page count of books (with middle schools competing in a separate division). For other categories, divisions are based on school enrollment. Divisions are determined by MIPA s Yearbook, Newspaper, Video and Digital Media Chairs. Each division will have roughly the same number of schools. Divisions may be combined in any category based on the number of entries, at the descretion of the chairs. SUBMITTING CATEGORIES #1 26 (ON THE WEB) 1. An entry form worksheet is provided in this packet to help you gather all of the information you need to fill out the online entry forms. MIPA has a tutorial available on its website. 2. Give each entry a unique entry title (ie, don t submit two sports photos as Sports photo. Prepare your entry in the file format indicated in the category description (PDF, JPG, etc.) FOR SPREADS (a spread is two facing pages), save your PDF as a spread, creating a single horizontal page out of two vertical pages. Otherwise, the judges may not see both pages of your spread together and will not get the full impact of your design. Consult your design software help guide for assistance saving a spread as a PDF. 3. Go to Follow the instructions to submit your entries. 4. Tally your entries and include totals on the Summary Sheet with your mail-in entries. But sure to delete any entries mistakenly uploaded to the system so that you are not charged for them. (See our tutorial for details on how to view all of your submissions.) SUBMITTING CATEGORIES #27 32 (VIA MAIL) 1. Submit only one copy of the entire book to enter any or all of these categories. 2. Include one contest entry form and indicate which of these categories you are entering. Attach the entry form to the copy of the book. 3. Please tag pages in the book with sticky notes/labels to allow the judges to easily identify materials in each of these entered categories. MAILING & SUBMITTING PAYMENT 1. Prepare a Summary Sheet with a tally of all of your entries including those submitted on the Web and those submitted via mail. 2. To win the award, an adviser is judged according to documentation and evidence in portfolio form provided by students. A Golden Pen Award nominee must be currently teaching/advising at a junior high, middle or high school. The number of years of service to student media staffs as well as consistent excellence of a newspaper, yearbook, magazine, video program or news website advised by the candidate will be considered.
