1 Band and Orchestra 36th Annual Concert Festival April 5,6 and 7, 2013 To: MICCA Concert Festival Participants From: Matt Lefebvre, chairperson Re: MICCA Concert Festival 2013 Sites: 1. Greenfield High School 2. Hopkinton High School 3. Lexington High School 4. Foxboro High School 5. Bellingham High School 6. King Philip High School (Elementary and Middle School Site) Upon Arrival: 1) Directors should immediately report to the registration desk with scores and information sheets. 2) Building supervisor will greet director at the registration desk and introduce escort for the day. 3) Escort will accompany the director to the bus and hand stamp the director, students, 2 chaperones per bus, and the bus driver. 4) The escort will then take students to the storage area where instruments and equipment may be stored throughout the group s assigned performance time. It is advisable that a chaperone remains in this room as a monitor. Do not leave money or valuables in this room. Warm-up: An escort will guide you and your group to the warm-up area thirty minutes prior to your assigned performance time. Percussion equipment and music stands will not be available in this area. Stage set-up crew: Each group should have a set-up crew organized to handle setting up their band/orchestra on stage. Since time is a factor, this should be well organized in advance. The escort will ask the set-up crew to leave the warm-up room approximately 10 minutes prior to performance time and proceed to the auditorium for stage set-up.
2 Stage Equipment Provided: (4) timpani, (1) concert bass drum, at least fifty music stands, an ample supply of chairs and a conductor s podium. Any other equipment should be provided by the participating group (you are encouraged to check directly with the host of your assigned building for the availability of certain items). Scores: Directors must provide three copies of each score presented. All measures must be numbered. Photocopies will be accepted, but disposed of following your performance. Full scores are required of all selections, excluding selections for which no full score is published. Programs: Directors should send their performance program to their site host at least two weeks prior to the festival so that hosts can prepare a printed festival program. Concert Performance: The escort will guide you and your group from the warm-up area to the auditorium stage. The stage manager will announce the name of the ensemble, the director, and the program to be performed before each group s performance. Conductors May Not Speak to the Audience! Time Limit: No group s performance shall exceed thirty minutes. This time limit includes set-up, performance and exit. We are on a very tight schedule with over 100 ensembles in the festival. Directors are asked to be flexible should unforeseen delays force the stage manager to adjust performance times. Clinic: At the conclusion of your performance, the escort will immediately guide you and your group to the clinic area. Your group will be asked to wait quietly until the clinic room has been prepared. Your set-up crew should be available to help if asked to do so. MICCA will provide music stands and percussion equipment which will duplicate that of the performance hall (possible exceptions would be timpani and chimes). Percussionists are encouraged to bring all auxiliary equipment with them to the clinic room (i.e. snare drums, cymbals, etc.).
3 Group Pictures: Group pictures will be taken as part of your Festival experience. Each director will receive a complimentary picture of the group. Students may order pictures for themselves. Admission to Concert Hall: Participants and chaperones or bus drivers (maximum four per school) will be admitted free. A hand stamp will be used to identify these persons. Tickets will be sold to all others at the ticket booth. Adults ~ $8.00/Students ~ $5.00. Please encourage parents and friends to attend the festival! Hand stamp admission is valid at all concert halls and for the entire festival. Refreshments: Refreshments will be available for purchase at each site. All food and beverages must be purchased, consumed, and discarded in the cafeteria. Award Ceremonies: Please note that the distribution of awards, comment sheets, and judges' scores takes place during the Awards Ceremony. Your materials will be available approximately 90 minutes after your clinic if you elect to leave the Festival site prior to the Awards Ceremony. We encourage you to use this time to attend the performances of other ensembles with your students and enhance the learning experience that MICCA is so proud to offer. Please note that MICCA, or the host school, will not ship materials to directors who do not receive them the day of the Festival. The ceremonies will reflect the seriousness of the day and give credit to the hard work of students and directors. Please encourage your band members and parents to be present. Ceremony Times (approximate): Friday: 6:00 PM and 9:30 PM Saturday: 12:30 PM and 5:30PM Sunday: 4:30PM Ratings and Medals: Adjudication sheets, music scores, and tapes are collected and distributed at each Award Ceremony. Ensembles are evaluated on the merit of their performance. Ensembles achieving a score in the highest rating bracket receive a gold medal; ensembles in the second bracket receive a silver medal; ensembles in the third bracket receive a bronze medal; ensembles in the fourth bracket receive a medal of merit and ensembles in the fifth bracket, or who have requested comments only, receive a festival participation medal.
4 Recordings: MICCA will provide an audio recording of each performance. This will include a performance audio CD, in addition to a recording of the adjudicators comments. Announcement and Information Sheet: Please fill out this form and submit the original and three copies along with your scores at your assigned festival site. Professional Development: A certificate of recommendation for Professional Development Points (PDP s) will be awarded to festival participants and teachers who work at festival sites. MICCA cannot officially award Professional Development Points, but will award certificates, which can be signed by a school PDP administrator and placed into your professional file.
