1 CIGI QUICK STYLE GUIDE SUBMITTING WORK Once you have received the Program Director s approval, submit your written work as a Microsoft Word file to the Managing Editor, Publications at cbonnett@cigionline.org. Any photos or illustrations should be attached to your submission as separate files. See Illustration/Photo Format section below for details on file formats. THE MANUSCRIPT While the use of italics, bold and bullet points for lists is acceptable, additional formatting of your manuscript using fancy formatting options such as text boxes or clip art should be avoided. The manuscript should be headed by the title of the article, the author s name, affiliation, and contact address. Please include an author photo for your submission (see formatting details under Illustration/Photo Format ). CIGI Papers require executive summaries and author biographies of about 200 words each. The paper itself should be between 5,000 and 10,000 words, including footnotes and references. Policy briefs must include three to five key points at the outset, distilling the paper s central findings. A brief author biography of about 50 words is required. The brief should be between 1,500 and 3,000 words, including footnotes and references. TABLES AND GRAPHS Tables and figures should be numbered appropriately (as Table 1, Figure 1, etc.). Any captions should be integrated in the main body of the text (not forming part of, or nested inside of, the table, figure or image itself). Authors are solely responsible for obtaining permissions to reproduce any images to which they do not hold copyright, and for ensuring that appropriate acknowledgments are included. Please include a source file for each table and graph that is, whatever software file was used to make the original (such as an Excel spreadsheet), as copyediting may be required. ILLUSTRATIONS/PHOTOS The use of illustrations is welcomed. Authors are solely responsible for obtaining permissions to reproduce any images to which they do not hold copyright, and for ensuring that appropriate acknowledgments are included. Please include a source file for each image (see formatting requirements below), as editing or resizing may be required. ILLUSTRATION/PHOTO FORMAT All illustrations and photographs must be at a resolution of 300 DPI or higher. Illustrations must be sent in their own image files. They are not to be included in the manuscript file. Each file should be numbered, and their approximate position in the text should be clearly indicated in the manuscript file (e.g., insert Photo 1 here). Acceptable image file formats are: JPG, PSD, TIFF and PNG. REFERENCES: FORMATTING IN- TEXT CITATIONS AND WORKS CITED CIGI follows the author- date format as outlined in The Chicago Manual of Style (16th edition) (hereafter CMS) for all references. This formatting applies to all in- text citations and numbered footnotes. Samples are provided below; for full details, please visit the CMS Citation Quick Guide. (Be sure to click on the author- date tab.) CIGI staff can access the full CMS by visiting The user name is cigistaff and the password is cigi
2 FORMATTING IN- TEXT CITATIONS In- text citations for any publications books, chapters, multi- volume works, conference papers or reports, speeches, lectures, co- publications, articles, blogs, TV and radio programs, theses, dissertations consist of the author s last name and the year of publication of the work cited. No punctuation is used between the name and the date. There must also be a Works Cited entry for each in- text citation (CMS 15.20). SINGLE AUTHOR (Blustein 2013) MULTIPLE AUTHORS (Kinsman and Bassuener 2013) (Clarkson, Wood and Slee 1999) For four or more authors, list only the first author, followed by et al. (Barnes et al. 2010) * Note that the works cited entry for four or more authors should include all authors names, per CMS 15.9, Book with Multiple Authors, (bottom of page 790). GROUP, CORPORATION, ORGANIZATION OR GOVERNMENT AS AUTHOR (World Bank 2009) (UN 1989) DIRECT QUOTATIONS IN CITATIONS ORIGINAL SOURCES For direct quotations from original sources with page numbers, include the page number. A comma separates the year of publication and the page number. (Blustein 2013, 39) (Kinsman and Bassuener 2013, 76) For direct quotations from original sources without page numbers, include a subheading, chapter or paragraph number, or other organizational division of the work. A comma separates the year of publication and the number. (UN 2009, paragraph 28) 2
3 SECONDARY SOURCES For citations taken from secondary sources quoting original works, the original and secondary source must be cited. The original author and date should be used in the running text of the narrative, and the in- text citation refers to the secondary work, using the words quoted in. The UN Secretary- General declared that things were looking up (quoted in Carin 2013). FORMATTING CITATIONS IN FOOTNOTES Where necessary, footnotes may be used to explain significant points. Any source citations in footnotes should be treated the same way as in- text citations. (See CMS ) 1. See Paul Blustein (2013, 17) for a further discussion about the IMF's role in this regard. FORMATTING WORKS CITED LISTS In a works cited entry, the year of publication follows the author s name. The elements are separated by periods, and the first author s name is inverted (last name first). BOOK SINGLE AUTHOR Blustein, Paul Off Balance: The Travails of Institutions That Govern the Global Financial System. Waterloo: CIGI. BOOK MULTIPLE AUTHORS Kinsman, Jeremy and Kurt Bassuener A Diplomat s Handbook for Democracy Development Support. Waterloo: CIGI. BOOK EDITED Heinbecker, Paul and Bessma Momani, eds Canada and the Middle East: In Theory and Practice. Waterloo: Wilfrid Laurier University Press. BOOK CHAPTER Neufeld, Victor A Stronger Role for Canada in Health Research in Africa. In Canada- Africa Relations: Looking Back, Looking Ahead, edited by Rohinton Medhora and Yiagadeesen Samy, Waterloo: CIGI. 3
4 GROUP, CORPORATION, ORGANIZATION OR GOVERNMENT AS AUTHOR If a publication issued by an organization or corporation carries no personal author s name on the title page, the organization may be listed as author in the reference list, even if it is also given as publisher. World Bank Doing Business Report The World Bank and the International Finance Corporation. JOURNAL ARTICLE Blair, Walter Americanized Comic Braggarts. SPELLING CONVENTIONS CIGI primarily uses the Canadian Oxford Dictionary (2nd edition) for spellings. Some exceptions, however, do apply; see below for exceptions and commonly misspelled words. Note: Always preserve the original spellings in quoted materials. If, however, the quoted material is an interview, but not a published speech, CIGI and Canadian spelling guidelines should be used. Hyphens are used where the unhyphenated word might create confusion in meaning or pronunciation, or where the closed- up word would be awkward or difficult to read (e.g., post- test, pro- union, co- worker). Further examples are provided below. adviser (unless advisor in a person s title) al- Qaeda anticorruption balance of payments (noun); balance- of- payments benefitted, benefitting buildup (noun); build up (verb) Cold War cooperation copyedit; copy editor counterterrorism credit rating agency (no hyphen) cross- border cyber attacks cybercrime cyber security cyberspace decision making (noun), decision- making defence (unless defense in original title, such as US Department of Defense) East, Eastern (political) east, eastern (direction) e- words use hyphen, except for ebook and enroll, enrolled, enrollment et al. euro, euro zone (two words, noun), euro- zone follow- through (noun); follow through (verb) fora Framework for Strong, Sustainable and Balanced Growth (including quotation marks) fulfill G5, G8, G20 G20 Framework G20 summit (not capitalized because not a specific one); St. Petersburg G20 Summit geoengineering geopolitics, geopolitical Internet licence (noun); license (verb) long- standing M.A., Ph.D., L.L.B., M.Sc. macroprudential multi- party multi- year multilateral multinational multi- stakeholder nation building (noun); nation- building nation- state(s) non- economic non- governmental nonlinear non- professional non- proliferation non- resident (except in original title, i.e. Bookings nonresident fellow) non- state North (political) north, northern (direction) overarching Parliament peace building (noun); peace- building peacekeeping percent policy making (noun); policy- making post- doctoral postgraduate pre- eminent realpolitik round table secretary general (except UN Secretary- General) September 11 preferred over 9/11 Sherpa signalled, signalling skeptical skillful socio- economic South (political) south, southern (direction) spillover state building (noun); state- building Sub- Saharan Africa (noun); Sub- Saharan African ; sub- Saharan time frame travelling, travelled troika vice president (no hyphen, unless in original title) war on terror (including quotation marks) Washington, DC Web website well- being (noun and adj.)
