1 Helion & Company Author Guidelines The following are guidelines only and as such are not intended to be exhaustive; for additional guidance contact your editor. It may be helpful to use other guides in the preparation of a manuscript; Helion recommends New Oxford Style Manual and The Chicago Manual of Style. NOTE: An author s manuscript will be referred to as the Work throughout this document. BIBLIOGRAPHICAL CONVENTIONS All material referred to must be detailed in full in the bibliography. You must provide complete (full name or initials) author particulars, book or article title, place of publication, publisher and date. Place commas between the elements of the reference rather than full stops. A book must be referred to as, for example: Spencer Jones (ed.), Stemming the Tide: Officers and Leadership in the British Expeditionary Force 1914 (Solihull: Helion & Company, 2013). Christopher Moore-Bick, Playing the Game: The British Junior Infantry Officer on the Western Front (Solihull: Helion & Company, 2011). A journal article must be referred to as, for example: David French, Official but not History? Sir James Edmonds and the Official History of the Great War, RUSI: Royal United Services Institute for Defence Studies Journal, 131:1 (March 1986), pp Arrange the bibliography in strict alphabetical order. Entries starting with M, Mc and Mac should all be ordered as Mac. Check dates carefully for consistency with text references to avoid time-consuming queries at the copy-editing stage. Type book and journal titles in italics with main words having capitals. Avoid using bold type to highlight elements of the entry. Type the article and chapter titles with essential capitals only and in single quotation marks. If you are using law reports, parliamentary papers, etc. please pay careful attention to consistency. For government reports use the name of the government department if there is no obvious author; do not use HMSO. If you think it will be helpful to the reader, list manuscript sources separately from published works. Electronic references should be included in the main bibliography and should include additional details as outlined here. 1

2 A book, part of a book, a journal, or a journal article which has been published and is also available on the internet should contain the usual reference details followed by the medium (e.g. online), where it is available (e.g. HTTP, Gopher protocols, , etc.) and then the actual electronic address with the access date in brackets. For example: University of Glasgow, Archive Services: Roll of Honour < (accessed 4 January 2016). If the reference is to a book, part of a book, journal or journal article but was published only on the Internet then the entry should be as above but without the place name and publisher. If the reference is to a message on a discussion board the entry should be: Author (year) Subject of message, Title of Discussion List, Online posting, Available listserv@wlv.ac.uk (4 January 2016). If the reference is to a personal message: Author (year) Subject of message. (4 January 2016). As online material may be continually updated or revised, you cannot be sure that the material you refer to will not have been changed since the time you cited it. Therefore you should always include the date that you accessed the material. QUOTATIONS & CITATIONS Please note the following amendments to the UK s Quotation and Parody Regulations (1 October 2015): Copyright in a work is not infringed by the use of a quotation from the work (whether for criticism or review or otherwise) provided that: The work has been made available to the public The use of the quotation is fair dealing with the work The extent of the quotation is no more than is required by the specific purpose for which it is used The quotation is accompanied by a sufficient acknowledgement (unless this would be impossible for reasons of practicality or otherwise). Lengthy text quotations (60 words or more) should be single-spaced, and indented but NOT italicised: The South African War, of course, had an impact beyond one British officer. It galvanised the British state, the British army and what would now be called the defence establishment. A series of important social reforms were designed to improve the health and potential military 2

3 effectiveness of the urban working class. British diplomacy abandoned splendid isolation. An important alliance was concluded with Japan (1902). Improved relations with France and Russia were sought and achieved (1904, 1907). 1 When using double ( ) quotation marks, full stops and commas are ALWAYS inside the end quotation marks. When using single ( ) quotation marks, where the material you are quoting ends with a full stop and it is also the end of your sentence the quotation mark should be outside the full stop; where quotations occur mid-sentence, punctuation in the original material such as commas should be retained inside the end quotation mark. Where the material quoted does not end in a full stop, the end quotation mark should go inside any subsequent punctuation. Square brackets should be used for author s comments inside quotations. For example: On 21st June they [2nd Buffs] moved to a new position. Quotations should NOT start nor end with ellipses. Double inverted commas should be utilised for direct quotations. For example: The trenches were badly shattered still and I saw many dead and wounded lying in them. Quotes containing quotes should be rendered with single quote marks denoting the latter. Thus: He came with the suddenness of a cyclone the CO of the battalion in the adjacent village rang up hurriedly to warn us to look to our guard. The new man, he said, had just passed and raised hell, had hauled him over the coals and threatened to send the adjutant home in disgrace. Look out he reiterated. FOOTNOTES/ENDNOTES Footnotes/endnotes must be rendered as follows: Archival Archive name, collection name, reference number (if applicable), item details. E.g. 5 All text footnote/endnote numbers should be placed following the nearest convenient piece of punctuation, 2 rather like this. 3 It is preferable to place them at the end of the sentence. Please delete extraneous spaces before the note; if the note number placement follows punctuation it should come after (e.g. text. 1 ) Footnote numbers for tables will not translate to InDesign; a separate note system must be employed when creating tables. ADDITIONAL STYLISTIC CONVENTIONS All text should be submitted in Times New Roman. Chapters should be numbered in Arabic style; appendices should be numbered in Roman style (all text references should follow these rules) Spelling It is acceptable to use either standard or American English spellings, but please ensure that the preference is then adhered to throughout the entirety of the text. This is important for overall consistency and to reduce time during the copy-editing process. With this in mind, avoid using different spellings of the same word (e.g. organisation and organization ; center and centre etc.) throughout the book. If a word is being quoted as part of an original source text which is spelt differently to the author s preferred language, please highlight this by adding [sic] after the word/s so that it is clear to both copy-editors and readers (upon publication) that the spelling is intentional (i.e. not a typo). Minimise the use of capital letters. Broadly speaking, proper names and ranks when applied to an individual (e.g. Captain Forde deserve capitals). Common names and general groupings (e.g. the sergeants in the company and the divisions in the corps of the army ) do not. Page Numbers Pages must be numbered. 6 Superscript Ordinal numerals within the text should also be typed in the regular text format. Please turn off the automatic superscript function for numerals. These should appear as 1st, 2nd, 3rd: not 1 st, 2 nd, 3 rd, etc. Numbers Numbers one to nine must be spelt out at all times, except when used in chapter titles, tables and charts, if they form part of the name of a regiment or unit (e.g. 2 Troop; 4- Indep etc.), or if they are being used as part of the Bibliography (e.g. 4 volumes, not four volumes). Numbers 10 or above must be written in numerical form at all times, except when appearing at the beginning of a sentence (e.g. Sixty-two soldiers readied themselves for battle, not 62 soldiers ), or if they form part of the name of a regiment or unit (e.g. German Sixteenth Army). Numbers referred to in film titles, works of art, book titles, etc. should be referenced in their original form regardless of the convention outlined. Times should be written as 3:00 a.m./p.m. instead of 3 a.m./p.m. or 3 am/pm except if text from an original source is being quoted (in which case, please write it as it appears in the source e.g. It was three o clock in the afternoon ). Military times: 0800, 1415, 1900, etc. All numbers 1,000 upwards must have commas inserted, if only to distinguish them from 24-hour clock times or years (e.g. Some 20,000 men advanced from the red line at 10:30. ). Calibres/projectiles should be written as 18 pdr, 75mm, 88cm, etc. Where two sets of numbered things appear together you should use numerals for one, and full numbers for the other (e.g. three 9mm pistols). Other than in notes and tables, percent (not per cent or % ) should be used at all times. En and Em Dashes Number and date ranges should be indicated with an en dash. E.g. pp or and May June (not May-June) Other uses: An en dash should be considered equivalent to to or and. 6

Dates Dates should always be rendered as follows (e.g. 4 August 1914) except if text from an original source is being quoted (in which case, please write it as it appears in the source e.g. On the 25th of August, I wrote a letter ). With the following exception: e.g. they had completed their manoeuvre by the 5th. Newspaper Titles Newspaper titles are always rendered in italics, viz. Guardian, but The Times or the The Daily News would have the definite article italicised. Media & Art Film titles should always be italicised with single quote marks; poems/songs/works of art should not be italicised with single quote marks. Nations Nation abbreviations should be written as USSR and USA etc. NOT U.S.S.R. and U.S.A. This applies to UN/U.N. as well. Foreign Language Please take particular care when spelling foreign terms/words. All foreign language terms/words should be in italics throughout the entirety of the text (e.g. Luftwaffe, Kampfgruppe, Stavka etc.). MILITARY HISTORY CONVENTIONS British Army conventions should be adhered to when describing United Kingdom formations/units. If forces described are not British, authors should clarify formation/unit conventions with their Helion editor at an early stage. 7

8 Write ranks in full. This saves confusion: Field Marshal; Major General; Lieutenant Colonel; Lance Corporal and Corporal. RSM, CSM, CQMS, etc. are exceptions to this rule. Abbreviations (FM; Maj. Gen.; Lt. Col., etc.) are acceptable in footnotes/endnotes. If a rank not listed occurs frequently in a paragraph or chapter, there may be a case for abbreviating it, but the general rule is that ranks should be spelt out. Similarly, CO and GSO 1 etc. may be used if frequently occurring. Anyone writing military history has to confront the problem of how to describe military formations/units. Use the following method for formations: First Army; I Corps; 1st Division; 1 Brigade. This is clear and unambiguous. Military history also loves acronyms and abbreviations (i.e., BGRA, C in C, DQMG, etc.). These are acceptable, provided that a separate list is compiled for inclusion in the preliminary pages. Acronyms should be written in full the first time, with the intended abbreviation in circle brackets, viz. Royal Flying Corps (RFC). You may then use the abbreviation subsequently. Note: POW/POWs are the accepted acronyms for prisoner of war/prisoners of war. Always write the latter in lower case. Units/Formations: When a particular battalion is being referred to, the regimental number and name is used (see below). When referring to battalions (or brigades, divisions etc.), in general, no initial capital is required. The general rule is to be consistent: 7th Battalion North Staffordshire Regiment is fine, but so is 7/North Staffords or 7th North Staffords, but not both in the same manuscript. Infantry Battalions: Thus 7th Battalion North Staffordshire Regiment, 7/North Staffords or 7th North Staffords for titles. Commonly recognised regimental abbreviations can also be employed viz. 1st RIR for 1st Royal Irish Rifles, 16th HLI for 16th Highland Light Infantry, etc. These titles will, on first appearance, be reproduced in full with the intended abbreviation in squared brackets. Company: When referring to A, B etc., Company there is no need for quotation ( A ) marks. Where companies are numbered, the titles should be written 1, 2, 3 etc., Company to avoid confusion with a quantity of companies. Abbreviations: It is better if possible to avoid abbreviations in unit and formation names such as coy, sqn, bty, bn, regt, bde. Div. etc., except where space is limited (e.g. on maps, tables etc.) or if appearing in quoted passages. Full-stops: Do not use full-stops after courtesy titles such as Mr, Dr or St. Full-stops are not used in decorations such as VC, DSO, MM, etc. They are also not used for very common acronyms such as GHQ, BEF, CIGS and so on. Refer to First World War/Great War and/or Second World War NOT World War I or World War II. no man s land should always be written thus. 8

9 Battlefield localities should be written as normal place names (e.g. Hill 52, Rotten Row, The Sugarloaf, Venison Trench etc.) without quotes. Warship names are to be written in italic type but not HMS (e.g. HMS Illustrious). Merchant ships names should also be in italics with HT, RMS, SS etc., in normal font without full-stops. PHOTOGRAPHS & ILLUSTRATIONS To ensure the best possible reproduction of images in the Work, it is vastly preferable that you supply us with ORIGINAL photographs, negatives, slides or other documents - thereby enabling us to manage the quality of the final electronic version. Authors are not charged for the digital preparation of these materials. We realise that photographs and other documents are very valuable and will take good care of all images placed in our trust. These will be returned promptly by trackable (UPS/Fedex or similar) courier following the scanning process. We also take great pride in the care and respect we give to original materials. These should be posted by trackable courier as well. If for some reason it is impossible to supply the originals, the author should either take the materials to a photography vendor for reproduction or provide scans to the following specifications: Images should be supplied at 300dpi (minimum publishing standard) in either tiff, jpeg or PDF format. Images supplied as bmp or gif files are discouraged. Black and white photographs should be scanned and saves as greyscale images. Colour images should be scanned and saved as CYMK images. Printed copies of photographs should be on professional photography paper not inkjet or laser paper. All scanned images must be saved as tiff files and must not be compressed. Please be advised that when it comes to usage of non-digital images, we are able to scan as necessary. The following are unacceptable, so please do not transmit/post: Laser or inkjet prints of photographs Photographs or other images scanned from books, magazines or newspaper. This applies even if you are the author of the book/article. IMAGE PERMISSIONS If you wish to use images published in other books, magazines or newspapers, you must first obtain both an original or professional copy of the image AND written permission from the publisher/owner. This permission must be supplied at the time the image is submitted to us. If supplying us with images that belong to another party, 9

10 similarly you must supply written permission for their use and the name of the current owner, so we can correctly attribute the source. Authors who have already obtained letters or other permission documents must submit s/photocopies of the documentation and keep the originals. Authors who have not yet received permissions should contact us to obtain a sample permissions form. IMAGE PLACEMENT INSTRUCTIONS The author is required to provide a list of illustrations with the submitted manuscript. For example: 1. An infantry battalion of the Indian Army: the 2/10th Gurkha Rifles at Takdah in 1914 (Gurkha Museum, Winchester) Desired image placement, based on the aforementioned numerical list, will be denoted by hashtags throughout the text. For example: It must be said that even Hamilton thought of Gurkhas as unsophisticated hill-warriors, doubting that could they use modern weapons. He declared in the 5th Gurkhas mess that the Indian and Gurkha soldier can never be taught to use the backsight on his rifle as he will never be able to learn the numeric figures : this to officers who trained their men to use telephones, machine-guns and silent hand signals. #Insert Image 1# Please make certain designated image names match text placement instructions/ separate caption lists (either is acceptable). For example, if the instruction says place Figure 1, there actually needs to be an image entitled Figure 1. Avoid image placement at the very start or end of a chapter. MAPS Nearly all military history books require maps. These must be as clear and informative as possible. Helion is happy to arrange map renderings or introductions to third party cartographers. As a rule, all that is required is a rough or pre-existing map to indicate depiction requirements. Authors often wish to reproduce maps which are either public domain or provide copies from related books, journal articles, etc. Renderings from these sources usually present technical problems due to the fact that they are scanned or photocopied from the original source. This results in unacceptable quality and renderings that are often incorrectly sized to the dimensions of the forthcoming publication. Please discuss the use of public domain maps with us BEFORE submitting material. Maps sourced from copyrighted books or publications are not permissible. Authors desirous of creating their own maps or employing a third party cartographer should proceed as follows: 10

11 Maps must not be hand-drawn. Use of Adobe Illustrator is recommended. All renderings must be created at 600 dpi, and be submitted to us as native Illustrator (.ai ) files and NOT as tif, pcx, jpeg or any other file configuration. Submitting files in this way allows for corrections if necessary. It is recommended that you ascertain projected book dimensions prior to map creation. It is, for a standard (234mm x 156mm) hardback edition, normal for maps to be reproduced in landscape (i.e. the reader has to adjust the book to view the map). Maximum size should be c 128mm high x 203mm wide. If the map is reproduced in portrait, the maximum width should be c 128mm inches and the maximum height c 203mm inches. Map submissions should be rendered with Adobe Illustrator; Adobe Photoshop is an acceptable alternative. Renderings created with either programme must be 600 dpi and the file delivered in native Photoshop format ( psd file). Author-created layers should remain visible (in other words, do NOT flatten or merge layers), in addition, you must use the type tool to render layers of type. You should use one layer for each place name and each layer should be named with that place name i.e., the layer should be labeled St Mère Eglise not Layer 3 Authors choosing to employ a cartographer must supply a permission letter stating the map in question can be reproduced in the first and subsequent book editions. This also applies to editions published by another firm. The permission must accompany the map on submission as opposed to transmission/posting of the former at a later date. GENERAL ADVICE PRIOR TO MANUSCRIPT SUBMISSION AVOID use of forced line breaks; text should flow naturally. Putting in forced line breaks only restrains the text and all such efforts will require removal. AVOID excessive use of non-breaking spaces. Again, they restrain the text, which sometimes means paragraph ends up being very spacey with lots of loose lines. AVOID the use of tabs to line up text in lists of hanging paragraphs. AVOID using WORD numbered lists; it will not translate into InDesign. UTILISATION of tabs to create tables in fine, but please use only one tab between each piece of text; introducing a profusion of tabs to push the text in order to make it look right on the page only creates typesetting difficulties. GENERAL ADVICE FOR AUTHOR/EDITOR PROOFING PROCESS Supply of Author/Editor Proofs Final word document drafts submitted by the author will be considered final. Further revised versions cannot be accepted once the editorial/proofing process has begun. 11

12 Successive PDF proofs are a chance to correct already set text; it is not the time for extensive re-editing. Sometimes this does happen which is perfectly acceptable on occasions but, as a general rule, is not encouraged. Once your book has been submitted for indexing, moving/changing text sections should be avoided, as this can impact flow. Dealing with Proof Corrections PDF proofs should be annotated by use of Adobe s sticky note feature. An annotated PDF is the best way to relate desired corrections because it is generally quicker to determine the source. An MS Word document is fine, but simply inserting a page number means it takes longer to identify text in need of correction. The addition of line numbers would also be helpful. Always make certain you are working from the correct PDF proof; they are always numbered and older proofs should be discarded to avoid confusion. 12
