1 University of Arkansas Libraries Cataloging and Acquisitions Department Cataloging Acquisitions Department Annual Report July 1, 2012-June 30, 2013 The goals of the Cataloging Acquisitions Department are to acquire materials in a timely and cost effective manner, to process gifts in accordance with library policies, to provide statistics for collection management staff, to provide accurate financial reports, to manage the ordering and receiving subsystem efficiently, to provide catalog access to newly acquired materials quickly, efficiently, and accurately; to improve catalog access or to provide access for retrospective materials; to provide authority control for names, subjects, and series titles; to physically process the materials; and to provide quick, accurate, and free access to all publications distributed to depository libraries through the Federal Depository Library Program (FDLP). The department met these goals, especially in several significant areas. HIGHLIGHTS AND TRENDS for 2012/2013: Electronic Resources: These continued to impact the work of the Cataloging Acquisitions Department, including: 64,724 vendor full MARC records were loaded into the library catalog. In FY12, 20,721 records were loaded. This is nearly 68% more cataloged records added to the library catalog. 42,323 brief bib records for electronic aggregators were loaded in FY13. Selectors continued to purchase more electronic books, particularly in MEST. Mary Gilbertson and the selectors extended the funding for the Demand Driven Acquisitions Trial for electronic books. Publishers continued to move serials and other types of reference publications to online publication; this trend includes titles published by University of Arkansas academic and administrative units. Staff members continued to acquire new cataloging and acquisitions skills, including the study of RDA and working with data harvesters, programming languages and programmers, to process electronic resources. Center for Research Libraries: As defined on the organization web site, The Center for Research Libraries (CRL) is an international consortium of university, college, and independent research libraries. Founded in 1949, CRL supports advanced research and teaching in the humanities, sciences, and social sciences by preserving and making available to scholars the primary source material critical to those disciplines. CRL acquires and preserves newspapers, journals, documents, archives, and other traditional and digital resources from a global network of sources. Most materials acquired are from outside the United States, and many are from five emerging regions of the world: Africa, the Middle East, Southeast Asia, South Asia, and Latin America. 1
2 Deb Kulczak removed the previous CRL records and loaded 19,716 CRL electronic resources records into the library catalog. Making these resources available for faculty and students supports the University goals and mission. Project Gutenberg: Project Gutenberg is the first and largest single collection of free electronic books, or ebooks. Michael Hart, founder of Project Gutenberg, invented ebooks in 1971 and continues to inspire the creation of ebooks and related technologies today. Deb Kulczak loaded 42,451 ebook records to provide students and faculty with access to this collection via the library catalog. Digital Projects: Deb Kulczak worked with Special Collections staff on metadata creation for two digital projects: Colonial Arkansas Post Ancestry and Fruit-full Arkansas: Apples. Demand Driven Acquisitions: In November 2011, Mary Gilbertson assumed leadership for a trial of Demand Driven Acquisitions of electronic books, using a $5,000 base. Records for the electronic books are provided by the vendor and loaded into the library catalog. Access is provided to the library user for a fee. After 3 uses of the electronic book, the library purchases permanent access to that title. As of 06/10/2012, patrons used 54 titles for a total of $ Due to the initial success, $30,000 was added to the service and increased the number of ebooks to 15,746 records in the catalog. As of 6/26/2013, 1,211 (includes short term loans and purchases) titles were purchased for $27,207. For full details, see Report 3 Monographs: Cataloging and Acquisitions Unit, p James D. Bales library: The Special Collections Cataloging Unit made significant progress in the cataloging of this collection. 1,319 titles are in the library catalog. Approximately, four shelves of cataloging problems remain to be resolved. Record sets loaded: Cataloging and Acquisitions staff, Mary Gilbertson and Deb Kulczak loaded 22 record sets with a total of 64,724 bibliographic records in FY13. In FY12, 23 record sets were loaded with a total of 20,721 records. From FY11 to FY12, there was an increase of 21.5% in the number of vendor records loaded. From FY12 to FY13, there was an increase of nearly 68% more vendor records loaded into the library catalog. All these records provide instant access to electronic resources (For a full list, see Appendix 1, p. 26.) Significant new additions to the library catalog included: a. Center for Research Libraries online resources: 19,716 records b. Project Gutenberg: 42,451 records in 5 loads c. Knovel electronic books: 517 records in 3 loads d. R2 digital library: 33 records e. Classical music library online: 1,236 records in 2 loads Receipts of purchased monographs (all formats) decreased by 9% over FY12. Receipts of gifts increased by 52.6%. Documents Processing Unit: Receipts of state and federal documents declined by nearly 11% and titles cataloged decreased by 15%. However, volumes cataloged increased by 34% and the level of reference and public services provided by the Unit also remained stable. 2
3 Cataloging of new titles (all formats purchased and gifts) increased by 89.4% over FY12. 75,536 new titles were cataloged, including the 64,724 MARC records loaded from vendor files. 2,416 records were loaded from Marcive; and 8,396 titles were cataloged traditionally. Record loads increased substantially in FY13; this trend must be managed carefully in the future. Re-cataloging of titles decreased by 21%. Transfers decreased by 30%. RUSH cataloging: 502 titles were RUSH cataloged in FY13, compared to 366 in FY12, an increase of 27%. The Department continues to respond within two working days to RUSH requests, providing this important service to library patrons. SIGNIFICANT PROJECTS STATUS: URL Checker Project, Open Access journals: This responsibility will be reassigned. URL Checker Project, Government Document electronic resources: Bridget Penrose continued her work on this project. She corrected or deleted 1,800 broken links in the past year. FDLP/GOP continues to change URLs and correct errors. The majority of these are redirects or permanent URL changes. Work on this project will continue in order to provide instant access to these government publications. Analytics Barcoding Project: 1,031 titles were processed. Serials Barcoding Project: 8,520 items created (FY12 6,803). This is an increase of 20% production over FY12. Cedar Middleton continued to work on the project. SmeadLink Conversion Project, Working in LISA Phase: The phase involves updating the item records, adding the shelf location of each volume and scanning the barcode, if necessary. In FY12, the project team completed 363 shelves in Storage B. This project facilitates the retrieval of these volumes. Placed on hold because of staffing issues. In the Documents Processing Unit, Renee Tobin barcoded 4,153 monographs (FY12: 4,278) and 1,527 serial volumes (FY12: 851) for 403 serial titles (FY12: 165). She also deleted 662 bibliographic records, which no longer represented items in the collection. STATISTIC TOTALS: Statistics for the Law Library and the Serials Department are counted separately. Some of the major collections were the Keneth Kinnamon, Alan McCartney, Jeffrey Myers, Crystal Bridges, Jon Lindstrom and William Bailey collections. 3,486 gifts were searched and 3,759 were added. Janell Prater and Mary Gilbertson worked with Nicole Fares, a student who is employed by the Middle East Studies Program, to process Arabic titles. A significant amount of the remainder of the Ken Brown collection was completed with Nicole s assistance. Personnel Accomplishments: Committees: Melissa Gatlin served on the Staff Awards Committee. Mary Gilbertson continued to serve as a member of the Web Development Group, Selectors Group, InfoLinks Review Committee, the Cataloging Policies and Practices Review Committee, and the Diversity Committee. Mary was also appointed to a University parking committee. Narrative: Judy Culberson from the Special Collections cataloging unit continues to assist with copy cataloging since the Monographs Unit only has one copy cataloger. We appreciate her help greatly! Ebook purchasing continues to increase, and we manage the cataloging of those purchases greatly through record loads, but Cedar Middleton and Rose Cody also catalog individual titles that need copy cataloging as needed. Record Loading News: Record Loads continue to evolve as different projects arise. The work has become more collaborative as record sets become more common. Patty George has been loading records for shelf-ready records for quite some time. Deb Kulczak has taken over most of the load table 15
16 writing. Mary Gilbertson and Amy Allen have been working to try to use the OAI Harvester feature within MarcEdit to load marc records for the Honors Papers. A grad student, Shiva, is currently trying to modify the programming. If the project is successful, it will save a considerable amount of time in the long run. The number of records loaded decreased this year. We went from 21 loads consisting of 20,721 records to 16 loads 2,557. This number includes only those records notated as full record loads loaded by Deb or Mary with the exception of the 19,716 CRL records that I did not include because Deb needed to withdraw and reload the records. The figure also doesn t include those records loaded by Acquisitions including shelf-ready titles or records for titles in the demand driven ebooks. Demand Driven Acquisitions With shrinking budgets many libraries are moving to a more Demand Driven or Patron Driven approach. In this process, libraries load records for electronic books that they don t actually own. They then pay a fee for the use of that title that you might compare to InterLibrary Loan. The charge varies by publisher. If the electronic book is used 3 times, in our case, it is then purchased and owned by the library. We began a trial for Demand Driven Ebooks in November of That is when the first few hundred records were loaded for browsing in the online catalog. Subsequent records are loaded when the vendor notifies us of their availability. We dedicated $5000 to the trial and have added $30,000 to support demand. As of 06/10/2012, we had only used 54 titles for a total of $ With some adjustment to the plan we now are supplied with several hundred ebook records each week. As a result of the increase in records, In June of 2013 we were able to access 15,746 records within the online catalog. As of 6/26/13 students have used 1211 titles for a total purchase of $27,207. Making our average cost per use for dda $ The average price per use has increased from the 2012 report because we have added commercial publishers with higher short term loan prices and also because we have actually purchased many more ebooks. Last year at this time only 4 purchases had been triggered, while in comparison 176 actual book purchases have been trigged within the last 12 months. Short term loan percentages now vary from 10% to 23% depending on the publisher. Book prices vary from under $20 to $250. Demand driven electronic books are available immediately with the click of a URL. The user can t tell that the ebook is any different than any other electronic book represented in the catalog. 18 III. Special Unit Projects: A. Serials Barcode Project: 1. Project total of titles converted since March 1999: 11, Project total of item records created since March 1999: 73, Total titles for FY13: 133 Total titles for FY12: 675 This represents an 80% decrease in titles converted. 4. Total item records created for FY13: 8,520 Total item records created for FY12: 6,803 This is a 20% increase in total item records created. B. SmeadLink Conversion Project: ON HOLD 1. This Project began in September In the Creating item records for Storage titles Phase, item records are created in MilCat from shelf list cards for titles located in LISA. Julie Thacker is the team leader for item record creation; Rose Cody and Patty George are the other team members. Item record creation was completed in October 2011 with a project total of 46,757 item records. 2. In the Working in LISA (Storage A, A2, B) Phase, mini computers are used in the LISA facility to open MilCat item records created by staff working in Mullins Library. Barcodes from the physical volumes are scanned into the item records and the shelf location is added in a note field. Lisa Lindsey left the project, due to an internal promotion. Renee Tobin continues to travel to LISA and enter the shelf locations. 3. Storage A and A2 have been completed. From June to August, 212 shelves were completed. From September 2011, Renee Tobin continued to work on Storage B titles. During that time period, she completed another 151 shelves. 4. Due to staffing issues, this project has been placed in the on hold status. No progress to report for FY13. C. Special Collections Dewey Serials Reclassification Project: 1. FY12, 23 titles reclassified. 2. FY13, 54 titles reclassified. 3. Project total: 77 titles. 4. This is an increase of 57.5 percent. 18
19 IV. Outlook: A. As in previous years, the addition and withdrawal of electronic journals continues to have a significant impact on the serials cataloging unit. New internet-only titles must be cataloged individually, particularly significant collections such as JSTOR. Print journals with internet access must be re-cataloged to include the link and holdings data. As electronic publishers change the URL (Uniform Resource Locator), the linking field must be edited. The unit will continue to give these journals a high priority in order to provide access to these expensive resources as soon as possible in the coming year. B. It is expected that the Serials Solutions software will, after the data is completely entered in that database, automatically update URLs and holdings. C. For online serials not appearing in the Serials Solutions database, it will be appropriate to move the Serials Cataloging Unit into work on the Sierra URL checker. V. Personnel Changes: There were no personnel changes. VI. Personnel Accomplishments: Library Committees and Service Cheryl Conway served as a member of the following library committees: Collection Management Group, Selectors Group, and InfoLinks Review Committee. University of Arkansas Theses and Dissertations (TDs) The cataloger position was vacant from April 2012-June During this period ProQuest began supplying MARC records (excluding Library of Congress Subject Headings and Classification Numbers), a backlog developed in assigning subjects and call numbers as well as name authority records created. This explains the much lower numbers for FY13 as compared to FY12 [By July 2013, this backlog was eliminated.] In 2012, the process followed normal or previous procedures. In 2013, the unit began to adapt procedures to ProQuest record loads and to anticipate changes to the workflow after the final remaining paper submission is completed.
