3 DEAR PARENTS AND STUDENTS, Welcome to the Bowie High School Choral Department. We are excited that you will be joining us for what is sure to be an exciting year of opportunities. This document will outline your part in making this the best year that it can possibly be. Please read this handbook carefully and retain it for your reference. It is always available online at The expectation set forth by AISD Fine Arts Administration is that all members of the Bowie High School Choral Department will be aware of the policies and expectations set forth in the following pages. PLEASE DIGITALLY SIGN THE ACKNOWLEDGEMENT CONTRACTS LOCATED AT THE END OF THIS DOCUMENT NO LATER THAN PARENT ORIENTATION, SEPTEMBER 8th or 9th, Students will not be allowed to participate in the Bowie Choral Department until the contracts are signed. Completed contracts are required for every student. In this packet you will find the dates of concerts as well as other opportunities for your student. Please plan now to be a part of your student s experience in the department by marking these dates on your calendar and coming out to support them. All events will be placed, and updates made, on the calendar section of the Bowie choir website, You will also find forms for your child to take private voice lessons. Voice lessons are highly encouraged for all students in the Bowie Choral Department. There are many opportunities for parents to participate in the Bowie Choir experience as well. If you are able to volunteer your time, we will have need throughout the year for help with fundraising efforts, chaperones, clerical work, uniform distribution, and other duties. Please fill out the volunteer form and AISD application located on the AISD website ( NOTE: A COPY OR SCAN OF YOUR DRIVERS LICENSE IS REQUIRED WITH THE AISD VOLUNTEER APPLICATION. These students are expected to exhibit outstanding behavior, excellent leadership, and a positive attitude in all areas of student life. Your student leaders should, above all, exhibit a desire to serve the needs of our choirs. 6 STUDENT CODE OF CONDUCT ATTENDANCE POLICY Classroom attendance is taken daily and subject to the same rules and consequences put forth by the Bowie High School administrative staff. Because to be in choir is to be a part of an ensemble, attendance is extremely important. When a voice is missing from the ensemble, the ensemble suffers. Being a member of your choir means to be present and enthusiastic. Besides classroom attendance, extracurricular activities such as after school rehearsal and concerts are REQUIRED. Attendance at these extracurricular activities counts as part of our grading policy. It is impossible to make up missed rehearsals and concerts. BE THERE!! CLASSROOM POLICIES AND MATERIALS The directors of the Bowie High School Choral Department consider participation in the choral program a basic right of all students enrolled at Bowie. However, it is understood by the directors and administration that the selection to and participation in the choral department is a privilege and not an automatic right. Students earn this continued privilege by demonstrating responsible behavior, dependability, musical excellence, and dedication. With this philosophy in mind, the following rules of behavior will be expected: Treat everyone as you wish to be treated. Rudeness will not be tolerated. Follow the director s instructions at all times. Classroom behavior will be appropriate to the activities. Gum, candy, soft drinks, and food are not allowed in the classroom. Bottled water is encouraged. Students are not allowed to enter the office or use the office phone without the permission of the director. Students are not allowed to play the piano or be in practice rooms without the express permission of the director. Be ON TIME to all rehearsals (school or extra) and performances. You are to be in your place with your materials BY THE TIME THE BELL RINGS or THE REHEARSAL IS TO BEGIN. ****BHS tardy policy is enforced. Always have ALL MATERIALS needed for rehearsal. LISTEN to the conductor at all times. Talking while the conductor is rehearsing or giving instructions is NEVER appropriate. The use of cell phones, including texting, time checking, and calendar checking, are not allowed in class, except in accordance to the BYOT policies put forth by AISD. Use of technology devices during rehearsals or at concerts is NEVER acceptable, and your devices will be taken up in accordance to school policy. o Social and Electronic Media: Any student who represents themselves, peers, or their organization in an unfavorable, questionable, or illegal manner through electronic media (websites, blogs, text messages, social networking sites, etc.) will be subject to disciplinary action as deemed appropriate by school officials and directors, including but not limited to, dismissal from the organization. 7 The directors, not the bell or the clock, dismiss the choir. Don't begin to put your music away until instructed to do so. Stay involved and engaged in the rehearsal from start to finish. Rehearsals are not for personal grooming, catching up on the latest gossip, or doing homework. Keep the room orderly and clean. If you are not taking your music home, make sure you return it to the correct shelf. The Choir Room is not to be used as your personal locker. Clothes left in the choir room will be donated to Mission Arlington on a regular basis. Approach rehearsals as well as performances with OPTIMISM, ENTHUSIASM, DETERMINATION, AND YOUR WHOLE-HEARTED ATTENTION. The success of the Choir is your individual responsibility. Before asking a question-- ALWAYS refer to your handbook or website. As a member of the Choral Department, these issues should not need to be reiterated. You know what you need to do to be the best you can be. Continued infractions will result in parental contact, followed by appropriate disciplinary procedures. If a student continues such behavior on a consistent basis, the student will be removed from the choral program at the discretion of the director. GRADING PROCEDURES DAILY PARTICIPATION (40%) Students begin each week of the six weeks period with a 100 for the weekly grade. Students are expected to participate in all classroom activities in order to maintain a 100% participation grade. Each infraction of classroom rules that causes the student to be off task, including not following director s instructions and not having all materials, will result in a deduction from the weekly participation grade. The participation grade will then average into your six weeks grade. FORMAL ASSESSMENTS and SIGHT READING (10%) Periodic written exams as well as singing and sight reading exams, will be given throughout each six weeks grading period. These exams will be used as checkpoints to determine your personal understanding of what we are learning in class. These exams will average into your six week grade. Part of your formal assessment grade will be taken from your daily journal entries to be written at the beginning of each class. The goal of the Bowie Choral Department is to create vocalists that are musicians and not just singers. Sight Reading is an integral aspect of that goal. We will sight read every day, and periodic sight reading exams will occur. These exams may be recorded or live with a director, and grades will be given based on pitch, accuracy, and tone quality. REHEARSALS (20%) Rehearsals are course requirements and are integral to our success. Prior to concerts, contest, and other musical events, extra rehearsals will be scheduled. Students will be given adequate notice of all extra rehearsals, sectionals, and activities. These rehearsals are necessary, and attendance is required as part of your grade and for continued participation in the Choral Department. Should you need to miss a choir rehearsal you MUST fill out an ABSENCE REQUEST FORM online at least 24 hrs. before the scheduled rehearsal. The form can be found at Directors will then review your request and decide whether you absence will be excused. Directors reserve the right to verify your absence with a parent or guardian. Chorale and Volunteer Voices will have regularly scheduled after school rehearsals. Page7

8 CONCERTS (30%) Concerts are the ultimate evaluation of many weeks of hard work and preparation. Students are graded not only for their performance on stage but also on audience etiquette. Therefore, attendance is required for the entire concert, not just the individual student s performance. Absence from a concert will lower a student s grade considerably. Students and parents are responsible for keeping up with dates and times of activities scheduled. All scheduled activities will be posted on the Bowie Choir website. Excused absences are to be fulfilled by a written assignment designated by the director. An excused absence is a documented illness (doctor s note) or death in the family. CONFLICTS WITH WORK SCHEDULE OR TRANSPORTATION PROBLEMS WILL NOT BE ACCEPTED AS EXCUSED UNDER ANY CONDITION. ONLY DOCUMENTED ILLNESS OR DEATH IN THE FAMILY WILL BE EXCUSED. If a student must miss a scheduled rehearsal or concert due to documented illness or death in the family, a parent or guardian must contact the Choir Office before the scheduled event at DO NOT CALL THE SCHOOL MAIN OFFICE. Until your Activity Fee has been paid in full, or a written financial contract has been signed and approved by a parent and director, you will NOT receive a uniform, and you will NOT be allowed to perform on stage at concerts. PROMPTNESS We, the directors, assume that you, the student, are present in our classes and in the Choral program because you want to be here. Therefore, we expect you to report to class on time with your materials and enthusiasm. Walking in late to a rehearsal or running to your seat as the bell rings is disruptive and erodes the focus. BE ON TIME. Page8

9 MATERIALS AND FEES You will be responsible for choir uniform and choral octavos throughout the year. Just as you are expected to return textbooks to the school, we expect you to return your binder, music and uniform to the choral department in good condition. Your binder and music should be returned with all pencil markings erased and all pages intact. Your choir uniform should be returned DRY CLEANED and in excellent condition. Please take care of your materials to avoid fines or replacement fees. Always write your name on the front of your music and label your uniform. Each student is expected to have their binder at the beginning of each rehearsal, and to put their binder back into the assigned slot at the end of each rehearsal. This is a part of your daily participation grade. Students will be expected to keep a pencil and highlighter in their folder at all times. This is also a part of your daily participation grade. It is the student s responsibility to replace any lost or damaged choir binder and/or its music at his/her own expense. A choir activity fee of $50.00 must be paid by all students in the BHS Choral Department by the date of your Parent Student Meeting (Sept. 8 or 9). This fee includes a black 3 ring binder, pencil, uniform choir shirt for informal events, formal uniform rental for formal concerts, audition fees, and music supplies, choral concert accompanist, sheet music, etc. Students will be expected to assist in all fundraisers throughout the year. Please make all checks payable to Bowie High School Choir. If you have a financial need that requires payments in installments, please fill out the expense contract located on the website. ALL CHOIR STUDENTS ARE EXPECTED TO PAY THE ACTIVITY FEE. Until your Activity Fee has been paid in full, or a written financial contract has been signed and approved by a parent and director, you will NOT receive a uniform, and you will NOT be allowed to perform on stage at concerts. 10 UNIFORMS Men A tuxedo coat, pants, shirt, cummerbund and bow tie will be rented through the choir activity fee. It is your responsibility to maintain the entire uniform in excellent condition and to dry clean the outfit before returning it. It will be the student s responsibility to replace lost, damaged or destroyed uniforms (replacement tux $150). Boys will also be expected to wear black dress shoes and black socks with their tuxedo. Black tennis shoes, Doc Martins, etc. will not be accepted. If you are not in full dress for a concert, you will not be allowed to perform, and an alternate assignment will be given. ALL FEES DUE AT THE PARENT/STUDENT MEETINGS (SEPT. 8 OR SEPT. 9, 2014). CHECKS SHOULD BE MADE TO BOWIE HIGH SCHOOL CHOIR Women A black dress will be rented through the choir fee. It is your responsibility to maintain the dress in excellent condition and to dry clean the dress before returning it. It is the student s responsibility to replace lost, damaged or destroyed dresses. (Replacement dress $94.00) All girls will be expected to wear black closed-toed shoes with no more than a 2 heel. Black character shoes may be purchased at any dance studio. Your dress should be hemmed so that it is 2 from the floor with your concert shoes on. You may not wear sweat pants/blue jeans/shorts under your dress nude color hose are strongly encouraged. If you are not in full dress for a concert WITH THE APPROPRIATE DRESS HEM you will not be allowed to perform, and an alternate assignment will be given. 11 USE OF CHOIR FACILITIES AND EQUIPMENT Care of the Choir Suite (choir room, ensemble rooms, offices, and library/closet): Our choir room is our home away from home. Care and maintenance of our choir suite must be a daily priority. The choir room is not to be used as your personal locker. Clothes, etc., left in the choir room will be donated to Mission Arlington. Stage/Auditorium: You MAY NOT BE ON STAGE OR IN THE AUDITORIUM UNLESS ACCOMPANIED BY A FACULTY MEMBER. The stage and auditorium must be left in pristine condition after each use. Sound System: The sound system is only to be used with appropriate training and permission. Do not remove any part of the sound system. You may not use the sound system for your personal use. Pianos/Keyboards: The pianos and keyboards are delicate and are for classroom teaching and performances only. Do not play or lean on these instruments. Do not place food or liquid on these instruments. Offices: Offices are for the teachers ONLY. Please do not enter offices or studios without authorization. If the door is closed, please knock. If there is no answer, it means we are in the middle of a conference or phone call. Be respectful of these spaces. Office Computers: Students may not use faculty computers or printers, even if logged in to your own account. Lunch: Choral students ONLY will be allowed in the choir room. You may only have lunch in the choir room during B lunch and only when the directors are present. You may not have lunch in the fine arts hallway. The following rules will apply and must be maintained daily: If no choir director is present, you are not allowed in the choir room OR the Fine Arts Hallway. All trash must be picked up and put in the large trash cans. If you spill, immediately clean up your mess. Do not leave bits of your lunch on the carpet or chairs. The pianos are not to be used and no food or drink should be placed on them. Students utilizing the choir room during lunch will be responsible for overseeing cleanup each day. Should the choir room become messy or choir students abuse the privilege of a clean place to lunch, the choir room will be immediately off limits. Students MAY NOT GATHER IN THE HALL OUTSIDE OF THE CHOIR ROOM, PRACTICE ROOMS, OR IN THE FINE ARTS HALLWAY DURING LUNCH. Page11

12 CHARMS OFFICE ASSISTANT All of our record keeping (including concert & after school rehearsal attendance, student practice recordings, student information and finances) is maintained through CHARMS OFFICE ASSISTANT. To view your student s information and financial status, or to print receipts, follow these steps: 1. Go to 2. Our school code is: JBowieHSChoir 3. Your student password is your student ID number. 4. Please keep your records and contact information current. EARNING A LETTER JACKET Dedicated students who show involvement and participation in the choir program can earn a letter jacket through one of the following ways: Advancing to the Area Round of the All-State process Senior choir members who have completed ALL of the following: o 3 years in choir o 2 years of Auditioning for an Honor Choir (9/10 or All-State) o 2 years of participation in Solo & Ensemble o 2 years of participation in UIL Concert & Sight Reading FUNDRAISING ACTIVITIES Fundraising allows us to keep our Activity Fees at a reasonably low cost. Without fundraising, fees would easily be upwards of $300 per student. Therefore, it is expected that all students will participate in fundraising activities, and will attain individual goals. Due to a stricter interpretation of its rules concerning student activity accounts, the Internal Revenue Service will no longer allow us to keep individual accounts for students. All fundraising money will now go into the general choir activity fund to benefit the entire choral program. As a member of the Bowie Choral Department, it is expected that you will actively participate in all fundraisers. Money from fundraisers will go to help defray the cost of the choir banquet, trips, transportation, concert accompanists, music, materials and other needs of the choral department. 14 PARENT VOLUNTEERS The Bowie High School Choral Department is an active and visible presence in the community. With this comes the need for parent volunteers to help with planning, preparation and execution of extra activities. If you as a parent are willing to volunteer your time for these activities, please fill out the AISD Volunteer Application, located on the AISD website ( You can find a link to the webpage on the documents page of the Bowie Choral Department website, NOTE: A COPY OF YOUR DRIVERS LICENSE IS REQUIRED WITH THE AISD VOLUNTEER APPLICATION. BOOSTER CLUB FORM The purpose of the booster club is to provide support for all aspects of the Bowie High School Choir program and to promote the value of choral music at all levels. All families are asked to support the choir program by participating in the following activities: Become booster club members. Attend the booster meetings. Attend the choir performances. 15 ARLINGTON MUSIC ENRICHMENT PROGRAM (AMEP) Arlington ISD is able to offer private voice instruction through the Arlington Music Enrichment Program. Our voice instructors work one-on-one with our students to provide proper vocal technique, theory, and repertoire study. Students sing in voice recitals and master classes throughout the year and compete at Solo & Ensemble contests. Our voice instructors also help prepare TMEA All-State repertoire, musical and college audition repertoire. Lessons may be taught during the student s choir class, lunch, or after school. The cost is $17.00 per lesson. A limited number of voice scholarships are available and granted on individual need at the director s discretion. VOICE LESSON GUIDELINES Each student taking private voice lessons at Bowie High School must: Be prepared for lessons by bringing all required materials Practice all assigned vocal exercises and music Be teachable (open minded and willing to learn) Notify the private teacher in advance of any absence. When at all possible, a 24 hour advance notice must be given. This includes all school-related activities. If notice is not given in advance, the student is charged for that lesson. The earlier the notification, the easier it is to reschedule a lesson. Please try not to schedule doctor or orthodontist appointments during lesson times. Obtain a contact number for his/her private teacher. Participate in required recitals, auditions and solo competitions, as deemed appropriate by the private teacher. The minimum participation required for voice lessons is two recitals and the solo & ensemble contest. Payment guidelines Payment for a particular month s lessons is to be paid on the first lesson of the month. Cost is $17.00 for one twenty-five minute lesson per week. If fees have not been paid by the second lesson of the month, the remaining lessons for that month will not be given, but payment for the entire month is still due. If by the third lesson of the month the student still has not paid, the student becomes ineligible for lessons and will be replaced with someone on the waiting list. If the student will require financial aid, additional guidelines apply. These will be discussed with the individuals when the financial aid is awarded. o Returned check fees will be added to a student s current bill. o If a student wishes to discontinue lessons, a two-week notice must be given to the teacher. Completion of an AMEP application confirms an understanding of, and agreement with the aforementioned guidelines. If you have any questions or concerns, please feel free to contact your student s private voice teacher. PRIVATE VOICE LESSONS/AMEP It is the goal of the Arlington Independent School District s fine arts programs to provide for the very best learning experiences for every student. One of these learning experiences is the opportunity for a student to study privately with a professional instructor. This enrichment program will make the opportunity for private instruction available to all music students in grades The Arlington Music Enrichment Program serves a twofold purpose. First, it allows interested students to receive individual musical training. Secondly, it improves the performance level of the individual student, positively impacting the organization in which the student participates. If you are interested in studying privately (and it is highly encouraged), please fill out and return the Private Voice Interest Form. Slots will be filled on a first come basis. Page15

16 ARLINGTON MUSIC ENRICHMENT PROGRAM REGISTRATION FOR MUSIC ENRICHMENT INSTRUCTION I would like for my child to participate in the Arlington Music Enrichment Program by taking voice lessons. I understand that the cost of lessons is $17.00 per lesson, paid monthly at the beginning of each month. With your child s participation, you are asked to pledge the cost of your child s lessons, payable as a donation, in advance, at the first lesson of each month, with adjustments or refunds made according to additional or missed lessons. Excused absences (illness, emergency, etc.) will be made up if prior notice is given to the private voice teacher. Unexcused absences cannot be made up and no refund can be made. In order to continue participation in this program, students are expected to apply themselves, to maintain good attendance, and to be prepared for each lesson. 17 PARENT RELEASE FORM FOR MEDIA RECORDING I, the undersigned, do hereby grant permission to the Bowie High School Choral Department to use the image of my student throughout the school year.
