1 Changes to British Library services supplying records in UKMARC format The British Library adopted MARC 21 as its cataloguing format at the beginning of June Records originated in MARC 21 will continue to be available in UKMARC to customers wishing to go on using this format. As the UK library community is in the process of migrating to MARC 21, the Library s current planning assumption is that support for UKMARC would continue for three years after its own implementation of MARC 21. Because of the necessity of having to convert records from MARC 21 originals, there are certain changes to UKMARC records. Some are due to different cataloguing practices while others are intended to provide for the compatibility of records when customers convert their database systems to MARC 21. We have sought to minimise these changes. Except where stated, UKMARC services will not change. Information applicable to all services is presented in section 1 while sections 2-4 contain information specific to the services named in section headings. 1. ALL BRITISH LIBRARY SERVICES SUPPLYING UKMARC RECORDS The changes described in this section are applicable, where appropriate, to the British National Bibliography (BNB), British Library catalogue files and the Library of Congress Books All file when supplied in the UKMARC format. 082 Dewey Decimal Classification Number Fiction codes F (fiction), FS (short stories by different authors) and J (juvenile fiction), hitherto held in subfield $d, are no longer be added to Dewey numbers because there is no equivalence in MARC $a $d J $c $a $c 22 1xx Name headings (also fields 6xx, 7xx and 8xx) Name headings are assigned in accordance with the United States National Authority File (USNAF) maintained by the Library of Congress. Many headings are shared by the British Library as the result of its participation in the Name Authorities Cooperative (NACO) component of the Program for Co-operative Cataloguing (PCC). Shared headings are in the form required for conversion to MARC 21. References no longer appear in bibliographic records (see page 5). For further details users are referred to BNB name headings and their NACO equivalents on the Library s web site at Title and statement of responsibility for multiple part items This field no longer appears in UKMARC records because there is no equivalent in MARC 21 so that the cataloguing procedure is different. Separate records are no longer created for each part of a multiple part monograph where authorship, title and subject content are repeated in each record. Instead, a single record for the whole item is created where the part titles, if there are any, appear in a 505 contents note. Additionally, where a part has an independent title requiring separate subject indexing and classification, an analytic record may be created for the part. 3 300 Physical description All illustrations statements appear in subfield $b, including enrichments currently entered in subfield $i because there is no equivalence of $i in MARC $a 250p $b ill $i maps, ports $a 250 p. $b ill., maps, ports 500 General note Various notes, which hitherto had specific tags, appear in the 500 field. This is because they appear in 500 in MARC 21 and, unfortunately, cannot be distinguished when converted into UKMARC. 4 504 Bibliography and index note Records may contain multiple instances of the 504 field. This is because in MARC 21 information about a bibliography may be entered in 504 and information about an index in 500. This is because they are not included in MARC 21 originals and therefore are not available for conversion into UKMARC. References used in conjunction with shared headings may be traced on the web version of the USNAF, which is known as Library of Congress Authorities and is available on the LC web site at * * * * * 2. THE BRITISH NATIONAL BIBLIOGRAPHY a) New records New records i.e. those with status code n at character position 06 of the record label, distributed from June 2004 onwards have the BL system control number in the 001 field. This is a nine-digit number of the type , , , etc. Other control numbers associated with an item are held in their respective fields, i.e. ISBN (021), BNB numbers (015), etc. b) Change records Change records i.e. those with status code c at character position 06 of the label have the original control number in field 001. In changes to records distributed before June 2004 this is the ISBN or the BNB number if an ISBN is not available. Changes to records originated from June 2004 onwards have the BL system control number in field 001. c) Formatting of the BNB number in change records The BNB number, when used as the record control number in 001, is entered in its traditional format with the b prefix followed by seven characters. This is so that customers wishing to continue using UKMARC will receive any change status records with the traditional style BNB number in 001 in order to update existing records where the BNB number has been used as the record control number. In 015, however, the BNB number has the prefix GB as used in MARC 21, which is intended to support future conversion requirements. 001 ba ba $a ba $a GBA The above information applies also to British Library catalogue records of current UK publications as described in section 3c) below. * * * * * Changes to British Library services supplying UKMARC records 5

BRITISH LIBRARY CATALOGUE FILES The following information applies to the BLDSC Monographs and Conferences, Humanities & Social Sciences and Science, Technology & Business services. a) New records New records, i.e. those with status code n in character position 6 of the record label, have in 001 the BL system control number consisting of 9 digits, e.g , , etc. b) Changed records A changed record is one that has been upgraded by British Library cataloguers. It is intended to replace the original record that may be held on a user s database system. The status code c in character position 6 of the record label shows it as a change. Changed records retain in field 001 the control number assigned to the original record when it was created. Some examples are given below of changes issued after June 2004 and that are applicable to records distributed before this date: BLDSC MONOGRAPHS AND CONFERENCES BLDSC control numbers 001 G c b 001 c g Control number in changed records 001 G c b 001 c g HUMANITIES & SOCIAL SCIENCES HSS control numbers Control number in changed records 001 bld00l bld00l wel wel SCIENCE, TECHNOLOGY & BUSINESS STB control numbers Control number in changed records 001 s s s x 001 s x Changes to records created from June 2004 onwards have the 9-digit BL system control number in field 001, e.g , , etc. c) Records of current UK publications The information given in section 2 in respect of BNB numbers is also applicable to UKMARC records of current UK publications to which British Library shelf marks have been added and which are supplied in the Library s catalogue files. d) BLDSC Monographs and Conferences Local field 960 is no longer be included. 7 e) Humanities & Social Sciences (HSS) Local fields 956 (holdings data), 957 (acquisitions data), 959 (processing data) and 967 (local information codes) are no longer be included. f) Science, Technology & Business (STB or SRIS or STI) Local fields 959 (processing data), 967 (local information codes) and 968 (STB record status codes) are no longer be included. * * * * * 4. LIBRARY OF CONGRESS BOOKS ALL FILE CONVERTED TO UKMARC 010 Library of Congress control number Records contain the 010 field, which has not previously been included. The 010 field holds the LC control number in the same format as in the 001 field: Geographic area The 043 may contain repeating subfields $a where appropriate, but the 043 field itself is not be repeated as it was before June $a n-us $a an-us--- $a n-us-ma /1 $a n-us-ma 082 Dewey Decimal Classification Number 082 subfield $b (segmentation point) no longer appears in records: $a $b 13 $c $a $c fields containing data other than a Dewey class number, e.g. Fic, do not appear. 350 Price and terms of availability* (revised April 2004) In the 350 field the CIP entry statement is followed by the projected month of publication in parentheses: $a CIP entry $a CIP entry (Dec.)
