A new approach to local data OCLC is providing the option to migrate Institution Record (IR) data to Local Bibliographic Data (LBD). With LBDs, libraries benefit from the combination of the cooperatively managed master record data and library-specific local data, as well as future linked data and entities-based cataloging workflows. Some libraries created IRs because they couldn t add data to the master record in WorldCat, but with the Expert Community, member libraries now have the ability to improve, upgrade and make changes to the majority of WorldCat master records.
Local Bib Data vs. Institution Records An IR is a static copy of your full bibliographic record that is attached to an OCLC master record in WorldCat. Local Bibliographic Data (LBD) store only pertinent information (e.g. local notes, subject headings, added entries) from your bibliographic record, to be displayed to your users. Libraries should add as much information as possible to the master bibliographic record, and use LBD to capture information that doesn t have a place in the master record. Libraries might find them most useful for rare and special materials.
Options 1. Convert Institution Records (IR) to Local Bibliographic Data (LBD) 2. Delete your Institution Records without loading Local Bibliographic Data 3. Create Local Bibliographic Data from local system records

Timelines Creation of Institution Records Date Support Ends Batchload December 2015 Connexion June 2016 Notifications Deadlines Date Convert IRs to LBD December 15, 2015 Deletion of IRs June 2016
How to Get Started 1 Choose which option you would like: Delete your existing Institution Records Convert Local Bibliographic Data from your existing Institution Records or from your local system records 2 OCLC your selection IRInfo@oclc.org Frequently Asked Questions are available at: To request WorldShare Record Manager:
Institution Record FAQs 1. If libraries want LBD for part of the collection but not all of the collection, how is that handled in batchload? 2. How do libraries specify what should go in the master record vs. LBD? 3. What data gets merged into the master record? 4. If data doesn t get merged to the master record based on OCLC s algorithms, can it automatically be added to LBD?
Institution Record FAQs 5. Is the only way to do LBD through Record Manager, not Connexion? 6. If a library doesn t ask OCLC to delete existing IRs, will the IRs remain as read-only in Connexion after June 2016? 7. How will I view other libraries edits when IRs are discontinued?
Cynthia Whitacre Manager, WorldCat Quality & Partner Content
Questions and answers? 1. From Rachel Simon (Princeton) "We at Princeton are very interested to know more regarding OCLC plans to stop having Institutional Records saved with them, how the Master records will be updated, and if institutions will have updated Master records be loaded back to them. 2. From Marlene Schiffman (Yeshiva University) "In RDA you can put a former owner in 561 field, but when you trace it in 700 field, it is no longer local information. Could there be a local 700 field (or local indicator) so that the name of the former owner only comes up in the local system and not in OCLC generally? The opposite side of the coin is that many LC records have a 700 for the copy in LC that I have to delete in my record when I export it."
