Don t forget to pass round this Info-Bulles Newsletter to all members of the Library Committee Chief executive officer s note National Volunteer Week, April 15 to 21, 2007 The National Volunteer Week is a very special week! This is when Canadians who give their time to volunteer work are recognized and honoured! Last year s theme, "Volunteers grow community will once again be used. Many of you found it perfect for this spring celebration. Take advantage of this occasion to thank your team of volunteers. Even small gestures are appreciated! There are lots of creative and inexpensive ways to show your volunteers that you value their work Here are some examples: Coffee and cake Potluck Ice creams and sundaes Recognition ideas: Photo of the volunteer team Flower bulbs or seeds after all, volunteers help the community grow Personalized certificate of appreciation Gift certificates or movie passes Solicit the participation of local stores and businesses. Some will be glad to offer prizes, food, etc. Go to for more information. Volunteer Canada invites you to introduce your projects online and to take a look at the other proposed initiatives. Take the time to consult the campaign kit; you will find all kinds of activity ideas, great promotional tips and more.

They are eligible to win a $1000 gift certificate exchangeable at the Réflexion bookstore. Promote the PIN to your users; they will be impressed by all the services this tool can offer! Questions? À vous le dernier mot! contest Tips and Tricks To highlight your collection, think about displaying your new releases: books recently r e c e i v e d v i a b o o k exchanges, the newly acquired documents or the most interesting donations. Also use beautiful books, which are often unnoticed when they are on your shelves! Please do not overcrowd your display; put less documents and change them regularly! Create a sign on the computer and affix it next to the display and Voilà! From February 21 st to March 15 th 2007, your users will be invited to select a French word for «scrapbooking». Will it be collimage, créacollage or mémographie? Encourage people to participate! There s more than $2000 in prizes to be won! To mark in your agenda March 21 st April 6 and 9 April 15 to 21 April 23 rd May 21 st World Poetry Day CRSBP s offices are closed for Easter National Volunteer Week World Book and Copyright Day CRSBP s are closed for National Patriots Day Clarification Weeding of documents It seems that some libraries use the options Weeded and Withdrawn in the inventory status when performing the weeding of their documents. These options should not be used because they do not actually remove the documents; they only add a note to the status. You must not change the Available status for Weeded or Withdrawn; the document must always stay available. If you have made these kinds of changes before (for books and magazines), understand that these documents are still present in MultiLIS. Documents can only be withdrawn from the MultiLIS databank by the CRSBP. So when you want to withdraw some documents from your collection, you must send us your barcodes numbers.
3 Page 3 WEB Sites to discover (French) (English) Radio-Canada s reviews and literary news online, available in English and French Book reviews listed by categories (suspense, historic or romance novels) BREF - WEB sites classified according to the Dewey Decimal System, to help your users in their searches. A resource of the Bibliothèque et Archives nationales du Québec. New releases A preview of upcoming releases, A resource of the Bibliothèque et Archives nationales du Québec. Interlibrary Loans Statistics The persons in charge of libraries who wish to receive the compiled chart of the Interlibrary Loans statistics produced by the library in 2006 need to contact Nancy Bilodeau, in charge of Technical Services. Audiovisuals in mailbags (Canada Post) Since February 1 st, 2007 audiovisuals have been excluded from the Interlibrary Loans service. Therefore, we would like to remind you not to put audiovisual documents in the mailbags. Canada Post will only accept books. Automatic transfer When a book is requested and the library is not able to provide it, the request is automatically transferred to another library. If the document is not available in other libraries, the request can be made again to the first library. If the document is not available anywhere, the request is queued up until the document becomes available. The CRSBP performs a weekly follow-up and can intervene to facilitate and speed-up the request. Promotional Items Take the Réseau BIBLIO de l'outaouais with you! 4 Page 4 Task reminder for the ILL service It is very important to execute all the functions in the MultiLIS module «Collection Exchanges» when you perform Interlibrary Loans. If you do not do it correctly, the document s request and tracking information will be erroneous. This will complicate the job of the persons in charge of the libraries and the CRSBP s staff. Here is a list of tasks that must be done to make sure that your books and requests are correctly processed and that your users receive their books more rapidly. 1- Answer other libraries requests every time the library is open. 2- Every week, ship all books that need to be sent to the CRSBP. 3- Immediately process all local and regional document collections received through ILL. 4- Regularly check the borrowed documents list to identify documents that are overdue and must be returned to the CRSBP as soon as possible. If you need help with the procedures, please contact the ILL staff. Videos Cataloguing Remember that donated videos are not necessary good for your local collection. They are more and more outdated and replaced by DVDs. Currently, the existing policy holds that the addition of documents are to be free of charge. Documents that need to be created will be processed and billed following the library s approval. Weeding Periodicals If you want to withdraw magazines from the MultiLIS databank, send us by the title and the month/year of the magazine in question. Example: «Withdraw the Coup de pouce from January to August 2006 and Clin d œil from March to December 2006.» It is easier and faster to do it this way than to use the barcode method. Volume of new books in the rotations The percentage of new books deposited during the exchanges is presently 10% for all categories except for the English comic books (which is 5%). The fixed percentage corresponds to the number of new books purchased. Some months have less new releases, so we receive fewer books. In this case, we need to replace new releases by books that have been published more than two years ago. We re coming! Spring is almost here and the f o l l o w - u p s o f l i b r a r y performances will soon be under way. The main Objective of these meetings is to establish a personalized contact with library committees and municipal representatives. All aspects of the library will be freely discussed! Starting now, up to December 2007, we will meet approximately 15 libraries: we will contact the libraries to ma ke an appointment. You would like to request a meeting at your library? 5 Page 5 Group Training Sessions, Spring 2007 Enrol in the Spring Training Sessions! Come and learn new ways of working and discuss with other members. Simply register by contacting Claudine Patry. The training are in French, but if a sufficient number asks for an English session, we will organize one. Tuesday, April 24, at the CRSBP Databases: Universalis, Hachette, Biblio-branchée and World Book: what kind of information can we find in these databases and how can we easily locate it quickly! Windows Vista Microsoft launched lately the new version of Windows. You are wondering if you should buy this product? Before doing anything else, you should download and run the Windows Upgrade Advisor utility at windowsvista/getready/upgradeadvisor/default.mspx. This software will examine your computer and provide you with a summary of what versions of Windows Vista the computer is capable of running. Note that the Upgrade Advisor only indicates whether or not the PC will run Windows Vista. It does not indicate which requirements the PC doesn't meet. Note that this tool will only work with Windows XP and will not work with Windows 2000 or lower. Determining which version of Windows Vista to install can be a bit more complex than it was with previous versions of Windows. Windows Vista will have five editions: Windows Vista Home Basic is ideal for homes with basic computing needs like , browsing the Internet, and viewing photos. Windows Vista Home Premium is the preferred edition for home desktop and mobile PCs. Windows Vista Business is the first edition of Windows designed specifically to meet the needs of small businesses. Windows Vista Enterprise designed to significantly lower IT costs and risks, Windows Vista Enterprise meets the needs of large, global organizations with complex IT infrastructures. Windows Vista Ultimate is the choice for those who want to have it all. Easily shift between the worlds of productivity and play with the most complete edition of Windows Vista. Windows Vista will need the following minimum computers settings : processor of at least 1 GHz 1 GB of system RAM 128 MB of video RAM hard drive of at least 40 GB in size with a minimum of 15 GB of free space DVD drive Please note that the Extranet is not accessible with Windows Vista.
6 Page 6 World Book and Copyright Day April 23 rd, remember to celebrate the World Book and Copyright Day! If your library is closed on Mondays, celebrate during the weekend of April 21-22, You could offer your users a day without fines, candies or a rose (traditionally given as a gift for each book sold). Invite people to write the title of their favourite book on a large placard, which will become a suggestion board! Or, ask people to estimate the number of books in the library: the person who has the exact or the closest number can win a prize (Tip: the answer is on your Web page under the menu portrait ). Any idea that livens up your library is a great idea! As the wheel turns We would like to welcome Mrs Monique Quesnel, the new person in charge of the Bois-Franc library. She is replacing Mrs Danielle Wallingford, whom we thank for her great work! Mrs Jocelyne Leclair, who was in charge of the Maniwaki library, retired last December after more than 39 years in post. We would like to thank her for her great contribution to her community and to the Réseau BIBLIO de l'outaouais. We wish her the best in her new life! We would like to take the opportunity to welcome Mrs Andrée David, who is the new person in charge of the Maniwaki library! Postal mail We would like to inform you that for a limited time you will receive your ILL mail in a box. This is a temporary measure. We are presently evaluating this service. Thank you for your comprehension. Locale Initiatives The Kazabazua library started reading clubs for adults. A French and an English group of 5 to 10 people each decided to meet 5 times a year to review and discuss books. All it takes is some chairs, a pot of coffee, and a good novel! The Lac-des-Plages library is expanding! The municipality is doing some renovations to offer a larger space to the library. This will allow the person in charge of the library to better highlight the library collections. You need funding ideas for your library? The Kazabazua library sold Christmas bows during the Christmas Holidays. In Namur, they sold tickets for a draw with various cool prizes! The Mansfield-et-Pontefract library organized a Christmas cards contest for kids! «Un Noël du bon vieux temps» was the theme. The municipality used the winning card to send their annual Best Wishes. Furthermore, all the cards were displayed at the library. The Grand-Calumet library, in collaboration with the municipal elementary school, organized a Valentine s Day drawing, poetry and history contest. During a special evening, the names of the winners (in three age categories) were announced. Furthermore, children were invited to participate in a Valentine s Day bingo and craft!
