1 Venue Coordinator Application Pack 2018 Venue Coordinator roles This is an exciting opportunity to join the Sheffield Doc/Fest 2018 team in an essential front-line role. Venue Coordinators are positioned in each of the Festival s satellite venues, and are often acting as the Festival s main representative at that location. They are there to ensure the smooth running of the Festival programme, and to make sure audiences and guests have the best experience possible, reporting back to Festival staff if any problems or issues arise. The successful applicant will be confident in working with people and have experience of working on events in a technical, production or front of house capacity. Venue Coordinator roles are available in various departments across the entire Festival, including: Films; Talks & Sessions; Marketplace & Talent; Box Office. Role: Cinema Venue Coordinator Contract: Freelancer, contract for services Tenure: Variable between 7 to 12 June 2018 Reports to: Production and Film Teams Work closely with the Film team to support the smooth delivery of their programme Timekeeping for screenings and Q&A s; Work closely with the Doc/Fest Box Office team on site; Meet and greet guests associated with the screenings; Make sure the stage is setup ready for any introductions and Q&A s; Work with the Venue Technical teams to make sure the films are tested and ready for screening; Monitor screenings for any issues with image or sound; 1

2 Work with the Venue Managers and Front of House teams to effectively oversee audiences and queuing; Ensure audience award slips are handed out and collected in at each screening; Keep track of and record audience numbers; Coordinate and task manage any Volunteers assigned to venue; Together with the Box Office Assistant ensure that ticket and pass checking, scanning, audience numbers, and ticket releases happen smoothly; Create event and end of shift reports each day. Person Specification Essential Experience of working in a cinema or similar; Front of House experience (dealing with public, managing queues, checking tickets, monitoring capacities); Attention to detail; Tactful; Positive Attitude; Experience in speaking with high profile guests; Experience of working with volunteers and assigning tasks; Interest in documentary; Basic first aid certificate; Familiar with film formats. Role: Talks & Sessions Venue Coordinator Contract: Freelance, contract for services Tenure: Variable between 7 to 12 June 2018 Reports to: Production and Talks & Sessions Team Work closely with the Talks & Sessions team to support the smooth delivery of their programme; Work closely with the Doc/Fest Box Office team on site; Ensure that each Talk & Session starts and ends on time; Meet and greet Session Producers and speakers taking part in the programme; Work closely with the venue technicians to make sure all elements of the session are working and delivered correctly; 2

3 Make sure the stage and auditorium are setup correctly for each session; Monitor sessions for any sound, presentation, or general AV issues; Work with the Venue Managers and Front of House teams to effectively manage audiences and queuing; Keep track of and record audience numbers; Coordinate and task manage any Volunteers on site; Together with the Box Office Assistant ensure that ticket and pass checking, scanning, audience numbers, and ticket releases happen smoothly; Create event and end of shift reports each day. Person Specification Exceptional organisational skills; Ability to work independently, calmly and under pressure; Ability to work to tight deadlines; Experience in the delivery of conference/ industry programmes; Experience of working with volunteers and assigning tasks; Interest in documentary and the media industry; Positive and proactive attitude. Role: Marketplace & Talent Venue Coordinator Contract: Freelance, contract for services Tenure: 9 to 12 June 2018 Reports to: Production and Marketplace & Talent Team Work closely with the Marketplace & Talent team as required; Oversee the busy and multifunctional Marketplace & Talent venue that will host sessions, Marketplace & Talent activity, café, and other events during the Festival; Work closely with café sponsor; Maintain the venues aesthetic and keep the space clean and tidy; Meet and greet any guests holding workshops or meetings in the venue; Work closely with the venue technician to make sure all AV elements across the venue are working and correct; Assist in the set-up and pack down of the venue; Make sure different rooms are ready for different sessions; 3

4 Oversee and monitor all pass checking and scanning on the entrance to the venue, keeping track of capacity at all times; Keep track of and record daily attendance numbers; Coordinate and task manage any Volunteers on site; Create event and end of shift reports each day. Role: Box Office Assistant Contract: Freelance, contract for services Tenure: Variable between 7 to 12 June 2018 Reports to: Production and Box Office teams Work closely with the central Box Office team; From satellite Box Offices, use VIA, the Festivals ticketing system, to sell tickets and merchandise, give information on different events across the Festival and cross sell where appropriate; Brief Front of House staff and Volunteers on scanning and ticket and pass checking procedures; Handle cash and card sales; With the Box Office team, release unused tickets at agreed times; Work closely with the Venue Coordinator to communicate sales and busy events; Work with the Venue Managers and Front of House teams to effectively manage audiences and queuing; Keep track of and record audience numbers; Record and reconcile financial information after each shift; Create event and end of shift reports each day; 4
