2 BRIEF HISTORY The Cataloging Maintenance Center (CMC) was created in 2001 under the auspices of the Illinois State Library to provide quality catalog records to libraries across the state. The CMC was previously located in the Lewis and Clark Library System, the Lincoln Trail Libraries System, and the Prairie Area Library System. Since 2011, CMC has been administered by the Illinois Heartland Library System (IHLS).

4 SERVICES THE CMC PROVIDES Original or copy cataloging of eligible collections owned by Illinois libraries that are system members Cataloging training Assistance with general cataloging questions, including questions on RDA Consultation on metadata projects Contribution of name authority records to the Library of Congress through the Name Authority Cooperative Program (NACO)

5 2017 HIGHLIGHTS Provided 1,727 new or enhanced catalog records for Illinois libraries Materials consisted of both print and non-print items Includes special collections of genealogy, kits, scores, local authors, local history collections Over 2,500 documents transcribed for the Illinois History Digital Imaging Grant Over 2,000 metadata records created Includes naturalization documents, prison documents and digital images Provided 200 new or updated name authority records through NACO Conducted cataloging training on RDA at Effingham, Galesburg, and Westmont, Illinois

8 WHAT WE CATALOG Eligible collections include: Genealogy Local history Special collections (i.e., local authors, community cookbooks, government documents, etc.) Eligible collections are cataloged free of charge Material in most modern European languages can be accommodated

9 ITEMS THAT QUALIFY FOR FREE CATALOGING We catalog items that reflect your community or have an interest for the State of Illinois The items do not represent the majority of your collection, but are a special collection held by your library for the benefit of your patrons For example: Shawneetown Public Library has a special collection of items about The Crenshaw House (Gallatin County, Illinois), also known as The Old Slave House

18 METADATA RECORDS What is metadata? Definition: data about data Why do we provide metadata? To support access to digitalized information found in Illinois libraries and at Illinois Digital Archives by providing information on formation and content of metadata

19 HOW METADATA CATALOGING DIFFERS FROM REAL CATALOGING A digital image may include metadata that describes how large the picture is, the color depth, the image resolution, when the image was created, the shutter speed, and other data. A text document's metadata may contain information about how long the document is, who the author is, when the document was written, and a short summary of the document. Metadata within web pages can also contain descriptions of page content, as well as key words linked to the content. (from Wikipedia)

21 DIGITAL DOCUMENTS Miss Eunice Drew, a 19-year-old nursing student, who emigrated from Great Britain to the U.S., applied for naturalization on 11/28/1942.

22 DIGITAL PICTURES Electrical Building for the World s Columbian Exposition, which was held in Chicago in 1893, and these documents are part of the Meadville Lombard collection. The image can be found on p. 542 of #002 Worlds Columbian Exposition Scrapbook.

24 SENDING YOUR ITEMS TO THE CMC Visit the CMC website for the instructions and shipping label. Please identify your items with your library s property stamp. Please use an ILDS label even within IHLS. Please send items to the IHLS Edwardsville location only, no CMC items should be sent to the IHLS Carbondale location.

25 ILDS ROUTE SLIP FOR CMC CATALOGING Complete the route slip addressed to the IHLS Edwardsville CMC and if possible include a return slip. If you are sending individual items, a route slip should be on each item. If you are sending a box or package, only one slip on the outside of the box or package is necessary.
