2 School Matinee Information and Booking Form The Citadel Theatre / Academy is proud to share our productions and our passion for theatre with school audiences from Edmonton and the surrounding communities. We offer special matinee performances for school groups for many of the productions in our season, and consider these to be an essential part of our programming. We believe that all individuals should have the opportunity to experience, appreciate, and participate in live theatre. Sharing live theatre with new audiences, be they youths or adults, requires education and cooperation as it is a communal and participatory art form. The Citadel Theatre works to ensure that all patrons have a positive experience when visiting the theatre. For school matinees we rely heavily on the support of participating schools and teachers to ensure that students come to the theatre prepared to enjoy the production and be good audience members. The following information is provided to help you plan for your school s visit to the Citadel Theatre. Please be aware that the age recommendations provided are subjective. We will do our best to provide age recommendations and any applicable warnings in advance; however, things are subject to change at the Director s discretion during the rehearsal process. Some productions in the Citadel s 2017/18 season may have limited or no school matinees at this time. If schools express enough interest, additional matinee performances may be added to the schedule. Alternatively, group tickets to an evening performance can also be arranged. Please read through this information in detail, and do not hesitate to contact the School Booking Coordinator if you have any questions regarding a production or the booking process. 6 At the Citadel Theatre: Parking and Venues The Citadel Theatre is located in downtown Edmonton at A Avenue NW. Please note that with the construction of the Stanley Milner Library, scaffolding/hoarding will be up along 99 Street until further notice. Please refer to the City website for Current Traffic Disruptions: A list of nearby parking spots for school or tour buses can be provided upon request. Citadel Theatre Box Office Located on the main floor, in the south phase of the building. If entering from the north entrance, please head south, across the bridge over the Lee Pavilion (indoor garden) and through the sliding glass doors. Shoctor Theatre Productions in this venue: Shakespeare in Love, Hadestown, The Humans, and Children of God. The Shoctor Theatre is the Citadel s main proscenium stage, located on the second floor above the Box Office. The theatre doors will be open approximately half an hour prior to the start of your performance. Schools are expected to line up to enter the right theatre door (the door closest to the south side of the building, next to the Shoctor elevator) until our Front of House team is ready for your group to enter. The ushers will assign schools seats according to entry, filling the rows from the front to the back as schools enter. If school groups are arriving on separate buses and you all wish to be seated together, please wait until all students have arrived before lining up to enter the theatre. Accessibility: The Shoctor Theatre can only accommodate a maximum of two wheelchair seats per performance. Row B is the only row where patrons do not need to use stairs. If accessible seating is required, contact the School Booking Coordinator to reserve these seats. Washrooms: Main washrooms are on the main floor by the Box Office. The Shoctor washrooms are located on the landing half-way up the north staircase towards the Shoctor Theatre. Water fountain: Located outside the Shoctor washrooms on the landing half-way up the north staircase towards the Shoctor Theatre.

7 At the Citadel Theatre: Parking and Venues Maclab Theatre Productions in this venue: Ubuntu, A Christmas Carol, Mamma Mia!, and The Silver Arrow: The Untold Story of Robin Hood. The Maclab Theatre has a thrust stage, with the audience seated around the stage on three sides. The Maclab is located on the north side of the Citadel Theatre, on the lower level by the Lee Pavilion the indoor garden. The theatre doors will open approximately half an hour prior to the start of your performance. Schools are expected to line up starting at the left theatre door (furthest south, near the Maclab elevator) until our Front of House team is ready for your group to enter. The ushers will assign everyone seats, filling the centre sections of the theatre from the front rows and back, followed by the left and right sections. If school groups arriving on more than one bus wish to be seated close together, please wait until your entire group has arrived before lining up to enter the theatre. Due to the layout of the Maclab theatre, there is a chance that groups may be split up in different sections if we are nearing the end of a row/section. Please ensure that your supervisors are spread out amongst your group. Accessibility: The Maclab Theatre can accommodate up to a maximum of seven wheelchairs per performance. Rows M and N are the only rows that do not require patrons to use stairs. Sections D, E, and F of the Maclab Theatre features a Loop System, which is compatible with T-Coil Hearing Aids. If accessible seating is required, contact the School Booking Coordinator to reserve these seats. Washrooms: The Maclab washrooms are located just outside the right theatre doors, next to the stairs leading into the garden. Additional washrooms can be found on the main floor in the south side of the building, past the Box Office and around the corner to the left. Water fountain: A water fountain is available next to the Maclab Washrooms, near the right theatre doors. Seating maps are available online at:

8 Ticketing and Seating School Matinee Tickets Everyone attending the performance requires a paid ticket. This includes all supervisors, aides, and bus drivers. No physical tickets will be provided for the school matinee performances. Entry will be by guest list. This helps keep costs low for schools and allows our Front of House team to get schools seated in the theatre in the most efficient manner so the production can start on time. Before entering the theatre venue, an usher will be at the door with a list of schools attending and the number of tickets purchased. They will confirm schools and numbers with teachers in the line. Seating Seats are not reserved. Ushers will be seating schools as they enter the theatre, filling the rows from the front to the back, and starting from the centre sections then the side section in the Maclab Theatre. Students are expected to fill each seat and to not save seats or leave a gap in the seats because some performances do sell out. If your students and supervisors need to rearrange themselves within the seats assigned to your group, that is fine; however, please wait until everyone has been seated to ensure that all seats in your row/section have been filled. For individuals who require accessible seating, please contact the School Booking Coordinator in advance to reserve these seats. The Shoctor Theatre can accommodate two wheelchairs and the Maclab Theatre can accommodate seven wheelchairs. The Maclab Theatre is equipped with a Loop System, which is compatible with T-Coil hearing aids. Please request to be seated in the appropriate section if necessary. Latecomer Seating and Re-entry After the performance has started, any individuals arriving late, or who have stepped out to use the washroom, may not be able to enter the theatre or return to their original seat right away. To minimize disruptions for the audience and the actors on stage, our ushers will only be able to admit entry at appropriate times (scene changes, loud musical numbers, etc), as per the Stage Manager and Front of House s discretion. Individuals must be seated at the back of the theatre in Latecomer Seating. Individuals may return to their original seats at intermission. If there is no appropriate time for an individual to re-enter, they may be asked to stay out in the lobby until intermission is over or until the end of the performance. For this reason, younger students leaving the theatre should be accompanied by a supervisor as they are the school s responsibility.

9 Payment Options The Box Office accepts payment via credit card or cheque. Cash may also be accepted in person. If your school wishes to pay by direct deposit, please note that these payments go to the Accounting Department and are therefore not automatically processed in the Citadel s ticketing software. To ensure that these EFT payments are applied to your order, please include a memo with either the invoice number, or the school s account number provided on the invoice. A $ GST order fee will be added to each order. Deposit Payment At the time of booking, a non-refundable 20 per cent deposit is required to secure your booking. If paying by cheque, please send in payment within 1 week of receiving your invoice. Final Payment Final payment is due on the day of your performances. If changes are made to an order, (see Adjusting Ticket Numbers below) revised invoices will be sent as necessary. Failure to pay the full balance will result in an additional 5 per cent late payment fee for each month a balance is still owing. Citadel Theatre GST # RT0001 Adjusting Ticket Numbers Changes and Cancellations Requests for changes to your order must be submitting in writing to the School Booking Coordinator for approval. If reducing the number of tickets, tickets must be within 15 per cent of the original booking. If reducing tickets by a larger number, the non-refundable 20 per cent deposit (to be paid at the time of booking) will still apply to the cancelled tickets. The confirmation deadline, three weeks prior to your performance, will be last day to reduce your numbers. After this date tickets may not be refunded. Tickets will not be refunded for no-shows on the day of the performance. Additional tickets can be added at any time but are subject to availability. If a performance is sold out you will be added to a wait list and contacted if any additional seats open up. Cancellations The Citadel Theatre has a No Refund Policy. However, we understand that some unexpected situations may arise. Requests for cancellations must be submitted in writing prior to the confirmation deadline to the School Booking Coordinator for review. Cancellations are looked at on a case-by-case basis. Approved cancellations will be refunded 80 per cent of the order.

10 Theatre Etiquette and Conduct Teachers and other adult supervisors are responsible for their students conduct while at the Citadel Theatre at all times. Unfortunately, incidents of inappropriate and disruptive behaviour have been occurring more frequently at the theatre during school matinees, so we ask that supervisors review the following information in detail with students prior to coming to the theatre. The following items are not allowed in the theatre: Food and drink (except for bottled water or the ice cream sold at intermission by the theatre students are expected to remove the wrappers for the ice cream before entering the theatre as the rustling of the wrappers can be disruptive). Cameras and other recording devices (please note that taking photographs or other recordings during a performance is strictly prohibited). Basic Courtesy: Turn OFF and put away all electronic devices prior to entering the theatre, such as cell phones, ipods, video game systems, etc. (If possible, please prevent students from bringing such items with them to the theatre.) Do not place your feet on the seat in front of you. The actors onstage can see and hear the audience during the performance it is important that audience members not talk or move around/fidget during the performance, as this can be distracting for the actors, as well as fellow audience members. Keep bags under your seat. The aisles must remain clear of clutter. In some performances actors may come out into the aisles when the lights are down and this can be dangerous. There is no dress code at the Citadel Theatre, but the Citadel has a No Scent Policy* and we respectfully request patrons refrain from wearing hats in the theatre. Late Seating: Late seating applies to both guests arriving to a performance late, and anyone who exits the theatre and returns after the performance has already started. To minimize disruptions, guests will be admitted into the theatre at the discretion of the ushers. Guests will be seated at the back of the theatre and must remain in the latecomer seating until intermission. At intermission, guests are welcome to return to their original seat. * Allergy Alert: The Citadel Theatre is a scent-free building. For the safety of those with allergies, please refrain from using perfume or other scented products.

12 2017/18 School Matinee Booking Form Ticketing Information: Grades Attending: Number of Students: Number of Supervisors: Everyone attending the performance requires a ticket, including supervisors. 1 complimentary ticket will be provided for a supervisor per 25 students attending. *Suggested ratio of 1 supervisor per 15 jr/sr high students or 8 elementary students. Please indicate any mobility issues or health concerns our ushers should be aware of: Note: Physical tickets will not be provided for the school matinees. Entry will be by guest list. An usher will have a list of schools attending (including number of tickets purchased) at the theatre doors. They will check in with teachers while schools line up to enter the venue. For bookings more than one month in advance: A 20% non-refundable deposit is required to secure your booking. 13 2017/18 School Matinee Booking Form Please sign and date the bottom of the page to indicate that you have read through and understand the policies listed below. If you have any questions or concerns, please contact the School Booking Coordinator. Seating: Upon arrival schools may start lining up outside the theatre doors. Students can eat lunch in the lobby while in line; however, no food is allowed inside the theatre. There are no reserved seats for each school (with the exception of reserved seating for accessibility). Seating will be based on a first-come basis. Our ushers will seat everyone as they enter the theatre, starting from the front of the theatre to the back. Everyone will be seated as they enter the theatre, filling every single seat in a row. Schools groups arriving on more than one bus should wait until everyone has arrived before lining up to enter the theatre if they wish to be seated together. However, there is a chance that groups may be split up once a row or section sends so please ensure that supervisors are spread out among the group. This is especially true for the Maclab Theatre (for A Christmas Carol and Mamma Mia!), where the seats are first filled in the Centre sections, and then the Left and Right sections. DO NOT seat yourselves. This can cause congestion and confusion in the aisles while schools are being seated and delay the start time of the performance. It is also unfair to schools that have arrived early to line up for seats closer to the stage. Any schools found seating themselves will be removed from the theatre and seated at the back after all other schools have been seated. If students/supervisors need to rearrange themselves within your allotted seats, please wait until after your entire group has been seated. Latecomers and re-admittance into the theatre after the performance has started cannot be guaranteed. Patrons will be allowed into the theatre at an appropriate time at the ushers discretion. Patrons will be seated at the back of the theatre and will only be able to return to their original seat at intermission. For this reason, young children should be accompanied by a supervisor if leaving the theatre during the performance. Changes & Cancellations: Please be as accurate as possible when placing your order. Adjustments should be made within 15% of the original booking. The deadline to confirm your numbers is three weeks prior to your performance. Any requests for deadline extensions or changes to the order should be submitted via to the School Booking Coordinator. Refunds are not provided for students who are a no show and do not attend the performance. Order cancellations must be requested in writing via to the School Booking Coordinator for review. Cancellations cannot be made within a month of the performance. Cancelled orders are still subject to the non-refundable 20% deposit. Signature Date

14 2017/18 School Matinee Booking Form Other Policies: No children under the age of 5 will be admitted into the theatre. The Citadel Theatre is a scent-free building. For the safety of those with allergies, please refrain from wearing perfume or other scented products. No food or drinks except for bottled water or the ice cream sold at intermission is allowed inside the theatre (ice cream wrappers must be removed and disposed of prior to entering the theatre); however, students can eat their lunch or snacks in the lobby. Photographs and video or audio recordings of the performance are not allowed and are strictly prohibited. Any individuals behaving in a disruptive manner may be removed from the theatre. No refunds will be provided. Please note the Citadel recognizes that all citizens should have the opportunity to experience art and culture. We will do what we can to ensure special needs patrons are able to attend Citadel productions and some exceptions may be made. Late Payment Fees: Final payment is due on the day of your performance. Orders with balances owing will be charged an additional 5% per month that a balance is overdue.
