2 294 Days to Go! The 2015 ithirst South Pacific Division Camporee is less than a year away. Pathfinder Clubs throughout the Division are working very hard to raise funds for this exciting memory event. You will be camping with Pathfinders from every nation in the South Pacific. This is your chance to enjoy the opportunity of a lifetime. Complete your Individual Application Form now and be sure to complete the Medical Information, Emergency Contact and Consent and Release sections on the reverse side. Once you have completed your Individual Application Form, give it to your Pathfinder Director and you are on your way to becoming a part of the second Division-wide Camporee. Staff to Camper Ratios The aim of the ithirst Pathfinder Camporee is to provide our Pathfinder aged children (10-17 year olds including master guides) with a once in a lifetime opportunity to celebrate Pathfindering together. Therefore the top priority is to ensure that Pathfinder aged children attend. Due to the fact that there has been a dramatic increase in numbers indicating their desire to attend the ithirst Camporee, a ratio system will be put in place. In order to achieve this as a priority each club will need to be aware that there are appropriate ratios between staff and Pathfinders. These ratios need to be enforced by our staff at local Conference and Mission levels. The reason for the ratios outlined below is so that the adult staff to camper ratio is approximately 20-25% adults to 75-80% pathfinder campers. Your support with these ratios is appreciated and will ensure that the maximum number of Pathfinders will share in this experience of a lifetime. Small clubs (1-25 members) The ratio is 1 adult for up to 4 pathfinders, plus 1 cook for up to 10 pathfinders. You may have up to 2 cooks for groups of 10 to 25 pathfinders. Medium clubs (26-50 members) For clubs of 26 to 50 members, the ratio is 1 adult for every 6 pathfinders and you may have up to 3 cooks. Large clubs (51 members and above) For larger clubs of 51 members and above the ratio is 1 adult for every 6 pathfinders. An extra cook can be added for every 20 additional pathfinders. Notice of Intention to Attend Thank you to those who have completed the Notice of Itention to Attend Form. More than 11,911 Pathfinders have already indicated their desire to attend this awesome event. In view of the limitations of the Camporee site we have established a quota system which is based on the received Notice of Intention to Attend data. PATHFINDER & STAFF QUOTA AUC 2000 NZPUC 1000 PNGUM 1500 TPUM 2000 TOTAL 6500 Table 2.1 Applications with full payment will be processed by your local Missions/Conferences in the order they are received. Once the quota for your Union is full, no further applications will be accepted. Application Forms INDIVIDUAL APPLICATION FORM Who Needs to Apply? Absolutely EVERYONE intending to come! Not a single person is exempt. Yes, even Club Directors, Counsellors and Cooks must complete the Individual Application Form and pay the Camporee fee. On the back of the Individual Application Form are: Medical Information, Emergency Contact and Consent and Release information which must be completed and signed by ALL applicants. CLUB APPLICATION FORM This is to include all individuals from your club attending the Camporee. Please read the Instructions for Completing the Club Application Form sheet carefully before filling it out. HOW TO REGISTER YOUR CLUB Club leader: Give an Individual Application Form to every person in your club (including staff) As you receive completed Individual Application Forms, check that all sections have been completed correctly. When you have ALL your club s Individual Application Forms and are confident they have been filled correctly and signed, complete a Club Application Form. You must then submit your completed Club Application Form and an Individual Application Form for each person in your club along with full payment for your Club to your local Conference/Mission. Page 2 Age Limits The minimum age of any attendee who is in a Pathfinder Club is 10 years of age. Please note that Pathfinders are eligible to attend if they have turned 10 years of age by the COMMENCEMENT date of the ithirst Camporee, January 6, Cooks or staff who have underage children will need to make other arrangements for them as they cannot be at Camporee. Please do not embarras yourself or us by disregarding this request. We appreciate your cooperation on this matter. Day Visitors The South Pacific Division Camporee, like all other major youth events, will be a CLOSED EVENT. In other words, only those who have legally registered and paid will be permitted on site during the Camporee. This is not only for security but also so that the facilities you pay for are available for your use. It will not be possible for people to live off site and visit the Camporee during the day. Our Security Officers will ensure that this rule is adhered to for the smooth-running of the event and your safety. Camporee Layout There will be 12 sub-camps of approximately 500 Pathfinders. Sites will be allocated as below: Under 20 Pathfinders: 15 metres x 17 metres (approx.) Pathfinders: 15 metres x 25 metres (approx.) Pathfinders: 25 metres x 25 metres (approx.) Pathfinders: 30 metres x 30 metres (approx.) 75+ Pathfinders: 30 metres x 40 metres (approx.) IMPORTANT NOTE The Kempsey Shire Council requires that all tents are to be erected 2.5 metres apart. This is a safety requirement and all clubs must plan accordingly as subcamp directors will enforce and police this throughout Camporee. As we are subject to Council inspections during Camporee, we thank you in advance for ensuring your club adheres to this requirement.
