3 BURDEKIN JUNIOR EISTEDDFOD POLICY, BURDEKIN THEATRE REGULATIONS, THE POLICY ACT AND COPYRIGHT LAWS PROHIBIT THE USE OF: VIDEO/CAM RECOREDERS CAMERAS RECORDING DEVICES (INCLUDING SMART PHONES AND TABLETS) MOBILE PHONES are to be switched off before entering the venue FLASHLIGHTS ELECTRONIC GAMES (OF ANY SORT) Such devices may be confiscated for the duration of the eisteddfod GENERAL RULES and CONDITIONS Failure to comply with the following rules and conditions will involve disqualification and withholding of prizes. The decision of the committee of the Burdekin Junior Eisteddfod in all questions or disputes arising out of, or not provided for, by the rules and conditions will be final. All entries are received according to this condition and in the spirit of a friendly competition upon which the eisteddfod is based; no dispute shall become the subject of any appeal at law. This competition is held under the auspices of the Burdekin Junior Eisteddfod Inc. (herein referred to as eisteddfod or competition) and is open to Amateurs only. An amateur shall be defined as a person whose principal source of income is not derived from the exercise of his or her talents in the particular class or classes which he or she has entered. This condition does not apply to Conductors and Accompanists.

4 All competitors compete at their own risk. It is most important that Competitors, Teachers, Parents & Guardians read all rules & conditions carefully. ENTRIES: Entries are to made through Stardom. Entries can be paid online via Debit / Credit Card. If you have an existing account with Stardom, please use those details to login to your account. When entering please keep a copy of your login details, as you will need them to login to get your reports. You must use the same login details to be able to view reports. OWN CHOICE PLEASE READ CAREFULLY In "OWN CHOICE" items a clear copy of music, lyrics or drama must be submitted in person, post or to the Burdekin Junior Eisteddfod Office by April 15th. Details can be found on the cover page. NO scripts will be accepted at the theatre. PLEASE NOTE: As from 2015 copyright forms are no longer required. There is a tick box in Stardom when entering that eliminates the need for these forms. Without ticking this box your entry will not be finalized. Once you have chosen your piece, please log back in to your stardom account and supply the name of your piece. Music scripts will not be accepted if they don t have the section number on the top right-hand side of the page. Competitors failing to comply will be allowed to perform but will not receive a mark. Competitors are not to hand copies directly to the adjudicator's desk. Copies will be destroyed by the committee following the Eisteddfod in compliance with copyright rules. Own choice selections performed are to be chosen with a view to the age of the competitors and with the realisation that there will be children in the audience. Offensive words, lyrics, costumes or stage behaviour will lead to disqualification. CHECK IN / WITHDRAWALS: These rules will be adhered to at ALL times. Competitors must check in with the Marshal upon arrival one hour prior to the commencement of their section. If your section begins the session arrival is 30 minutes prior to the commencement of their section and must be available when the section is called. Competitors will be deemed as Withdrawals if they are not present when called for their section/s. Once section has begun competitors running late will not be permitted to compete. All competitors in the music section will enter stage from auditorium except for Modern Pop. TEACHERS PASSES: Schools will have to supply the Burdekin Junior Eisteddfod committee with teacher s names and copyright number on Entry form in order to receive a backstage teacher pass. These passes will be mailed to the relevant school prior to the commencement of the eisteddfod.

5 NO passes will be available from the official table during the running of the eisteddfod. NO teacher will be allowed backstage without a pass. SUBMISSION OF MEMBERS NAMES: Names of all members in Duos, Duets and Trios must be submitted on the official entry Form. In the case of Groups and Ensembles all members and their birth dates must be listed Please highlight the youngest and the eldest on your entry form. The ability to do this will depend on what Geni is able to do. If any competitor/s in Duets/Duos, Trios or Groups is prevented from performing due to withdrawal of one partner, a substitute can be used. Trios may be reduced to Duos if necessary. These changes will be accepted provided all other conditions are met. Name/s and Date of Birth of substitute/s must be handed to the Secretary/Marshal at least one hour before commencement of the Section. ADJUDICATORS: The Adjudicators have the power to withhold or divide prizes according to merit. In the event of any breach of the rules and conditions, it shall be at the discretion of the management committee as to whether any disqualification or withholding of prizes is enforced, unless a formal complaint is received. Competitors MUST NOT have any tuition whatever from the Adjudicator or the Adjudicator's School from the time of announcement of the Adjudicators. In the case of Irish this is increased to 2 years. Any approach before or during competition, to an Adjudicator by an Entrant, Parent, Teacher or Friend of an Entrant during the Eisteddfod is prohibited. Disqualification of competitor may be enforced. This rule does not apply to the Eisteddfod committee. When necessary, a Competitor shall cease the performance on the sound of the Adjudicator s bell. This is not a reflection on quality, but means the Adjudicator has seen or heard sufficient of that item to make adjudication. BACK STAGE AREA: The only people allowed Back Stage during the Eisteddfod will be competitors and persons authorized by the Burdekin Junior Eisteddfod Committee. Closed in shoes must be worn by all persons working backstage, with the exception of competitors. Teacher s passes must be presented to backstage Marshals upon entering backstage. The only time/occasion a teacher or parent is allowed in the wings will be for all groups, the competitor is under the age of 10 years or it is the competitor s first eisteddfod. Only Teachers with students in a section will be allowed backstage. No entry or exit to stage from auditorium with the exception of Speech and Drama and Music. Strict penalties will be incurred if instructions set out by Theatre Staff are not followed.

6 No teacher/parent will be allowed on stage during rendition of any item, unless as Accompanist or Conductor. The Eisteddfod will not make the stage available for rehearsals prior to, or through the duration of the Eisteddfod. Should a competitor wish to do this, it will be via private booking with the Burdekin Theatre Management, as long as it does not interfere with the normal running of the Eisteddfod. The Eisteddfod will not be responsible for any costs incurred. DRESS CODE: The Burdekin Junior Eisteddfod Inc supports a Dress Code for all competitors throughout the eisteddfod. Age appropriate costuming, formal or semi-formal dress is encouraged and all parents and teachers are urged to observe this standard of dress. Good casual is suitable for day competition. PERFORMANCE CODE: AGE LIMITS: The Burdekin Junior Eisteddfod Inc supports a Performance Code for all competitors throughout the eisteddfod. Age appropriate music and or performances are encouraged and all parents and teachers are urged to observe this standard of performance. The eisteddfod is open to all competitors age 18 years and under. Competitors in all sections must not be over the age stated in each section on or before the commencement date of the eisteddfod. Irish is as at 1 st January of the current year. Proof of age may be required. In the case of a dispute, prizes will be withheld until such proof is forthcoming. In case of Duets, Duos and Trios one of the competitors may be under the age limit but may only enter in one section. In sections where entry is by school year, competitors who have left school are still eligible as long as they are under the stated age limit. No competitors may perform in any section under a name other than his or her name stated on the entry form. ACCOMPANIMENTS A piano will be allowed for accompanying in all vocal sections. Competitors are responsible for obtaining their own accompanist. Modern pop solo and Modern Pop duet may use piano backing, guitar backing or CD backing. Folk Group sections may also use piano or guitar backing. All Choir sections may use a recorded CD backing or piano backing. Percussion instruments may be used with Novelty Groups and choirs. TIME LIMITS: Section 12yrs & Under 13yrs & Over Choirs, Groups & Ensembles Bands/Orchestras Maximum Time 3m 00secs 4m 00secs 5m 00secs 6m 00secs Time limits will be strictly adhered to. Competitors exceeding time limits will receive adjudication but will not receive a mark. Timing commences at the start of the performance and finishes at the completion of the performance.

7 CHOIRS Please advise Year levels on choir entries. All choir sections will be grouped in Year levels. Unison and Part choruses will be sung consecutively; therefore composition of these choirs must remain unchanged. Choirs in the novelty chorus will be limited to basic costuming. It may be necessary to leave the auditorium to regroup, maximum of three (3) minutes. Novelty Chorus may be performed separately in higher grade levels. Where solo parts are specifically marked in choral sections, the parts so marked are to be sung by a minimum of four (4) voices in the respective section of the choir. Choir stands will remain unchanged and minimum changes to formation of the choir must be achieved within one (1) minute. Schools with enrolments under 75 may enter the Open Division. No member of one choir, group or ensemble will be permitted to perform in another choir, group or ensemble in the same section. Any Choir/Group entered as a school Choir or Group shall consist solely of bona fide members of the school named on the entry form. Seating Accommodation for choir sections is specifically for Choir members and supervisors (1 adult per 10 children). Parents, who have assisted with transport of the students, will sit in the general part of the auditorium. Schools should advise the eisteddfod of the numbers of children attending in Choirs to allow seating allocation. PERFORMANCE Vocal solos, vocal duets, vocal trios may be sung in the original language. The same item must not be performed more than once by the same competitor. The ensembles are not restricted to school entries, but shall consist of 4 15 members. Percussion Ensemble a combination of tuned and untuned percussion instruments Members of a group may perform once in each ensemble section. Concert/Orchestra Band a balanced ensemble of woodwind, brass and percussion instruments usually a large group. - a full string section plus a proportional number of woodwinds, brass, percussion instruments. String Orchestra an ensemble consisting of strings. This ensemble may include percussion.

8 Stage/Jazz Band a small group of saxophones, trumpets, trombones and a rhythm section. The rhythm section may include any keyboard, an electric or an acoustic guitar, an electric or an acoustic bass and a drum kit. A vocalist may be included in the groups. PERCUSSION INSTRUMENTS FOR BANDS AND ORCHESTRAS GENERAL To avoid backstage congestion, and limit set-up time for bands, the following percussion instruments will be available at the theatre. All groups are requested not to bring these instruments to the Burdekin Theatre. 2 pedal timpani 1 snare drum and stand 1 orchestral bass drum 1 pair orchestral crash cymbals 1 bass drum (small size for primary school groups) 1 suspended cymbal 1 glockenspiel and stand 1 drum kit 1 xylophone The pitch of the piano will be 522 The self-accompanied vocal solo and Vocal & Accompanied Duet will allow for the use of either a piano or acoustic guitar only. In both these sections the vocalist will be mic d. CONDITIONS FOR USE OF CDS & MINI DISCS There must be only a single track per CD or Mini Disc. THIS RULE WILL BE STRICTLY ADHERED TO. All recordings must be marked with Competitor s Name, Number, Section and AMCOS/ARIA License No. Competitors are responsible for the production of their own recordings. The Eisteddfod while providing adequate playback equipment, accepts no responsibility for quality of the reproduction. Competitors MUST hand their recording to the marshal upon CHECK IN one hour prior to section. PLEASE NOTE: CDRW Disks will NOT operate on the equipment at the theatre SIZE LIMITS Choir, Orchestra and Stage Band numbers are limited to: Primary 40, Secondary 50 Any competitors not adhering may be penalised. DIVISION OF SECTIONS Age groupings will be determined by the eisteddfod committee after close of entries. The eisteddfod committee will make its best effort to have a minimum age division of 9 years and under, 12 years and under and 13 years and over, however reserves the right to

9 PROPS combine ages due to lack of entries. If sections are divided, competitors must perform in the division allocated. All Props must be brought backstage, prior to the commencement of the relative session and collected immediately after the conclusion of that session. Props are limited to those that can be placed on stage by the competitor within a time limit of 1 minute. DURING THE ITEM, PROPS ARE TO BE MANIPULATED BY THE COMPETITOR ONLY. This condition may be relaxed in the case of groups subject to the Eisteddfods approval. All due care, but no responsibility, will be taken by the Eisteddfod for props on or off the stage. Only Eisteddfod officials and Burdekin Theatre staff will be able to place props on and remove from the stage. No props to be set in front of the proscenium. Respect for the stage must be shown. No substance (for example glass, china, powder, paint, oil, confetti, feathers, sand, water, cream, hay, bubbles) is to be spilt or spread on stage. No lighted candles, sparklers, lighted cigarettes or any naked flames are permitted. Penalties will be incurred. Blackouts and special lighting effects will not be allowed. ORDER OF COMPETITORS Positions allocated in programme will be strictly adhered to except in very extenuating circumstances. Competitors appearance on stage will be in reverse order to receipt of entries. PROGRAMMING The Committee is unable to make special arrangements for out of town competitors to compete at a time other than that shown in the official programme. The committee is unable to make special arrangements for anyone with religious believes. While desiring to adhere to the programme as printed, the Committee reserves the right to amend it should it be considered advisable. TEACHERS & PARENTS No teacher, parent, or person over the set age limit, will be allowed on the stage during the rendition of any item, unless as an accompanist or conductor. Back Stage Passes must be applied for with entry and will only be issued to authorised persons. Only teachers with students in the current section will be allowed backstage. AMATEUR STATUS Competition is open to amateurs. Definition of "amateur" - any person who does not derive nor has ever derived his or her main income or a substantial income as a teacher and/or performer from the exercise of his or her talent in the particular class for which he or she may have entered. Confirmation may be requested in writing from a student teacher presently studying and/or teaching under guidance of professional teachers, in the case of a dispute.

10 ENGRAVING The Committee will not be responsible for the engraving of trophies won. PERPETUAL TROPHIES Due to difficulties faced by the committee in regards to having all trophies returned to the office in good condition prior to the commencement of the eisteddfod, perpetual trophies will be presented on the day and then held by the eisteddfod. A smaller trophy will also be presented as a take home trophy. The cost of the engraving for the perpetual trophy will be covered by the eisteddfod committee. VENUE RULES Prams, school bags and large musical instruments are not allowed into the auditorium. Mobile phones and hand held games must be switched off light from a screen is a distraction to the adjudicator. Recording Devices of any kind are strictly prohibited as per privacy and copyright laws. (Audio, Video, Photographic) VENUE ETIQUETTE REPORTS A high standard of decorum is expected from all participants and spectators. Unpleasant or offensive behavior may result in those responsible being asked to leave and offending entrants may be disqualified. These rules also apply to misuse of the Venue and Eisteddfods facilities. The committee reserves the right to take any/all action to facilitate the satisfactory conduct of the Eisteddfod. The Eisteddfod is conducted under the relevant Queensland Government Workplace Health and Safety Regulations and expects all competitors, volunteers, patrons, teachers and visitors to respect these guidelines and will not be held liable for any such person who does not. On-line adjudication of all performances (except Highland and Irish Dancing), including non-place-getters, will be available by logging into your Stardom account. You must login using the same login details as you used to enter the eisteddfod. AWARDS and BURSARIES PROTESTS Awards/Bursaries will be presented to the winning competitors on the completion of that discipline. Please be advised not to leave the auditorium before winners have been announced. The Adjudicator s decision is to be final except in cases of dispute regarding AGE or INCORRECT ENTRY, when the decision of the Protest Committee shall be final. Where the age of a competitor is the subject of protest, a birth certificate may be required. All protests or disputed matters will only be permitted if made in writing and handed to the executive member on duty within half an hour of the cause arising, accompanied by a fee of $ In all cases the fee will be forfeited if the protest or dispute is considered frivolous.
